ChatGPT is useful for a first-pass spreadsheet audit, not for certifying that a workbook is correct. It can inspect uploaded XLSX, XLS, CSV, or TSV data for missing values, duplicates, outliers, data-type problems, trends, and calculation issues. In the Excel or Google Sheets sidebar, it can also explain formulas, references, assumptions, and proposed changes. You still need to inspect the actual cells, test business rules, and reconcile important results independently.
The safest workflow is: prepare a clean copy, ask for a bounded audit with cell-level evidence, review any change plan, then verify formulas and validation rules in Excel or Sheets before anyone relies on the numbers.

What ChatGPT can and cannot validate
ChatGPT can identify candidate problems and explain why they might matter. For a tabular data set, documented capabilities include finding missing values, unusual values or outliers, duplicate rows, inconsistent data types, trends, and calculations. With a formula-aware Excel or Google Sheets experience, it can explain a formula chain, compare formulas across a range, discuss references and assumptions, and suggest an edit.
That is different from proving correctness. A formula can be syntactically valid but use the wrong tax rate, period, lookup table, or business definition. A complete-looking data set can still omit an entire source system. OpenAI’s guidance says to review generated code, outputs, and assumptions before relying on the result, and its spreadsheet guidance warns that AI can make mistakes. Treat every finding as a question to investigate, with the workbook and source records as the authority.

Typical findings ChatGPT can surface
- Blank cells in columns that should be populated.
- Duplicate records based on an ID or a combination of columns.
- Numbers stored as text, mixed date formats, unexpected categorical values, and other type inconsistencies.
- Outliers or abrupt changes that deserve an explanation.
- Totals, subtotals, and calculated columns that do not follow the surrounding pattern.
- Formula errors, broken references, formulas that differ from neighboring rows, and references to empty cells when the selected experience can inspect formulas.
What remains outside a reliable guarantee
- Whether the selected rows represent the complete population.
- Whether an assumption is appropriate for your business or regulatory context.
- Whether a plausible result is economically or operationally correct.
- Whether macros, VBA, external connections, volatile functions, or complex workbook features behave as expected.
- Whether a proposed edit is safe to apply without affecting downstream reports.
Choose the right ChatGPT workflow
There are two practical ways to work. Select the one that matches where you need the evidence and the changes to live.
| Workflow | Best for | Important constraints | Review focus |
|---|---|---|---|
| Upload a workbook to ChatGPT data analysis | Profiling data, calculating summaries, transforming tables, and creating charts or a data-quality report. | Supported formats commonly include .xls, .xlsx, and .csv; OpenAI’s file-upload guidance gives an approximate 50 MB spreadsheet/CSV limit, while actual limits vary by plan, account, region, client, and workspace. | Check the generated code, assumptions, row counts, and calculations. The Python environment used for some analyses cannot make external web or API requests, so provide any reference data it needs. |
| ChatGPT inside Excel or Google Sheets | Understanding or updating a workbook in place, including formulas, references, assumptions, formatting, and charts. | Access depends on plan, workspace controls, setup, and current product availability. Advanced features such as VBA and macros may not be fully supported, and direct control of Excel may not be available for every request. | Inspect every proposed change in the affected sheets and ranges. Keep an untouched copy and confirm that formulas, formatting, and dependencies remain intact. |
Neither workflow is a certification service. For a large or sensitive workbook, use ChatGPT to accelerate review while retaining a human owner who signs off on the final numbers.
Prepare the workbook before uploading it
Analysis quality depends heavily on the shape of the input. OpenAI recommends a simple tabular layout for data analysis:
- Put descriptive column names in the first row. Use names such as
invoice_date,customer_id, andnet_amountrather than unlabeled columns. - Keep one record per row and one field per column. Do not mix a report title, a second table, or subtotals into the same rectangular range.
- Remove blank rows and columns that split the table. If a blank row has visual meaning, explain that meaning in your prompt instead of assuming the model will infer it.
- Upload the text-based workbook or CSV when exact values matter. An image of a table, a scanned PDF, or a complex dashboard layout may not preserve every value or relationship accurately.
- Make a working copy. Preserve the original file, hidden sheets, named ranges, formulas, and external links so you can compare before and after.
- Decide what sensitive data can be shared. Mask personal identifiers or confidential values where they are not necessary for the audit, and follow your organization’s rules for cloud services.
If the workbook contains several unrelated tables, either place each table on a clearly named sheet or tell ChatGPT exactly which sheet and range to analyze. State the expected grain of the data—for example, one row per invoice line or one row per employee-month—because duplicate detection depends on that definition.
Run a bounded first-pass audit
Start with a request that defines scope and output. A useful opening prompt is: “Check this data for common issues.” Follow it with the details that make the result testable:
- Sheet names and ranges to include or exclude.
- The key column or combination of columns that should be unique.
- Required fields and permitted value ranges.
- Date coverage, currency, units, and the expected number of records.
- The output format: a findings table with sheet, cell or row reference, observed value, reason it may be a problem, severity, and recommended next check.
Ask for counts before interpretation. For example, request the number of rows examined, nonblank values per required column, distinct key values, duplicate groups, and date minimum and maximum. A count gives you a way to detect a truncated upload or an accidentally excluded sheet.
Prompt for data-quality checks
Use a separate prompt for each logical check rather than asking for an unrestricted cleanup. For example:
- “Find blank or null values in
customer_id,invoice_date, andnet_amount. Report sheet and row references, counts, and whether blanks are concentrated in a particular period.” - “Find duplicate
invoice_idvalues. Show every row in each duplicate group and distinguish a true duplicate from a legitimate split line.” - “List values in
statusthat are outside the allowed set of Open, Paid, Void, or Disputed. Do not change them.” - “Identify numeric columns containing text, dates that cannot be parsed, and mixed units. Show representative cells and a proposed normalization rule.”
Require the model to separate observations from hypotheses. An outlier is an observation; “data-entry error” is only one possible explanation.

Ask ChatGPT to explain formulas and dependencies
For a formula review, name a cell or a selected range and describe the intended result. OpenAI’s documented example is: “Why am I getting an error in cell B145? Explain the formula chain and propose a fix.” A strong follow-up asks for:
- The exact formula currently in the cell.
- Precedent cells, referenced sheets, named ranges, and lookup keys.
- The value or error returned at each relevant step.
- How neighboring formulas differ, if they do.
- Two possible fixes, with the assumptions and risks of each.
- A proposed change list that names the exact cells or ranges to edit.
For calculated columns, ask ChatGPT to compare formulas row by row and report the first deviation from the established pattern. For totals, ask it to recompute the result from the underlying rows and show the arithmetic, not merely state that the total looks reasonable. If a formula depends on an external workbook, a macro, or a connection that the current experience cannot access, mark that dependency as unverified.
Request a change plan before making edits
Do not begin with “clean this workbook.” Broad instructions make it difficult to see what changed or to undo an unintended alteration. Instead, request a plan:
- Which sheets, tables, columns, and cell ranges will be touched?
- Will the action change values, formulas, formatting, validation rules, or names?
- Which rows will be skipped and why?
- What assumptions determine the proposed replacement?
- How will the result be checked after the edit?
For a high-risk workbook, ask for a patch-style output: current cell, proposed cell, reason, and confidence or unresolved question. Apply approved changes yourself or in a controlled copy, then compare formulas and key totals with the original. Keep a dated change log that records the reviewer and the source of each correction.

Verify findings in Excel or Google Sheets
Use the spreadsheet application as an independent checking layer. In Excel, open Formulas → Formula Auditing → Error Checking to inspect cells that produce error values, inconsistent calculated-column formulas, formulas referring to empty cells, and other built-in rules. Review Data → Data Validation settings and the cells they govern to find invalid entries or rules that were applied to the wrong range.
Microsoft notes that these checks can find common mistakes but do not guarantee an error-free worksheet. An ignored error can remain suppressed until ignored errors are reset, so check the application’s ignored-error settings when a warning seems to be missing. Recalculate important worksheets, then independently recompute critical totals from source records or a separate calculation.
A practical reconciliation sequence
- Confirm that the row count and date range in the workbook match the source system or control report.
- Recalculate key totals, subtotals, and rates using an independent method.
- Trace a sample of normal rows, boundary cases, and every exception ChatGPT flagged.
- Check that formulas in the first, middle, and last rows of each calculated range are consistent.
- Test blank, zero, negative, duplicate, and invalid-category cases against the documented business rule.
- Have a person who understands the process approve the final workbook and change log.
Handle privacy, access, and product limits
Spreadsheet conversations may be separate from your main ChatGPT chat history, and the Excel or Sheets add-in processes workbook content, attachments, and prompts to answer requests. Marketplace terms and OpenAI policies describe circumstances in which service providers may process or retain data; one cited disclosure says some OpenAI data logs may be stored for 30 days for safety and integrity. Check the current terms, your workspace settings, and organizational policy before uploading payroll, health, customer, or regulated information.

Availability is changeable. OpenAI’s Help Center currently describes ChatGPT for Excel and Google Sheets as available globally to Business, Enterprise, Edu, K-12, Free, Go, Pro, and Plus users, subject to workspace controls and setup requirements. Your account may show different access. File limits, supported features, and model behavior can also vary by plan and client, so confirm them in the product you are using rather than relying on an older guide.

Troubleshoot common audit failures
The result misses rows or sheets
Ask for the number of rows and sheets actually read, then compare it with the workbook. Upload the relevant sheet separately if a complex layout prevents reliable parsing. Do not treat a partial result as a clean result.
Dates or numbers are classified incorrectly
Show a few raw cell values and their formats, specify the intended locale and units, and ask for a proposed conversion without applying it. Verify the converted values against known examples before changing the column.
A formula explanation sounds plausible but is wrong
Inspect the formula directly in the formula bar, trace precedents in Excel, and test the formula with a deliberately chosen input. Ask ChatGPT to identify assumptions and alternative interpretations instead of accepting a single narrative.

The assistant proposes too many changes
Limit the request to a named range and require a plan first. Apply one category of correction at a time, recalculate, and review the resulting diff before proceeding.
Macros or external data are involved
Record those dependencies as out of scope for the automated pass. Run the workbook in its controlled environment, inspect macro code under your normal security process, and reconcile refreshed data separately.
Reusable audit checklist
- Original workbook preserved and working copy identified.
- Sheets, ranges, row grain, units, and expected date coverage documented.
- Required columns, key uniqueness rules, and allowed categories stated.
- ChatGPT output includes cell or row evidence, not only a narrative.
- Generated code, calculations, and assumptions reviewed.
- Every proposed edit has an owner, reason, and reversible change record.
- Excel formula auditing and data-validation rules checked independently.
- Critical totals reconciled to source records or an independent calculation.
- Exceptions and unresolved assumptions escalated to a subject-matter reviewer.
Used this way, ChatGPT shortens the time needed to locate suspicious cells and understand complicated formulas while leaving accountability with the person who owns the workbook and its business rules.
