How to audit and control third-party AI apps connected to Salesforce, Slack, and Microsoft 365

Use each platform’s administrative control plane to inventory connected AI apps, inspect their OAuth scopes, identify who authorized them, and then approve, restrict, revoke, or remove access according to business need. A name such as “AI assistant” does not tell you whether an app can read messages, export files, modify CRM records, send mail, or act as a user. The reliable unit of review is the grant: app identity, publisher, principal, permissions, installation location, purpose, activity, and owner.

This guide gives a repeatable process for Salesforce, Slack, and Microsoft 365/Entra. It distinguishes delegated access from app-only access, explains what “restrict,” “block,” “revoke,” and “remove” actually do, and shows how to contain an app without breaking an undocumented workflow.

What you are auditing

Third-party AI connections usually arrive as OAuth authorizations, installed apps, connected apps, enterprise applications, browser add-ons, workflow agents, note-takers, or summarizers. Treat an app as an AI-connected app when its function or vendor documentation shows that it processes prompts, messages, files, CRM records, mail, directory data, or other organizational content. Do not classify an app by its name alone.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Review both delegated access and app-only access. Delegated access acts through a user’s grant; app-only access is assigned to a service principal or similar non-human identity. Microsoft Entra audit records distinguish these grant types, and the distinction matters when an employee leaves or a service identity remains active.

For every connection, answer five questions:

  • What can it read? Messages, files, mail, contacts, directory data, CRM objects, or metadata.
  • What can it do? Post, send, edit, delete, create records, trigger workflows, or act as the authorizing identity.
  • Who authorized it and where is it installed? Record the user or service principal, workspace, tenant, Salesforce org, profile, or permission set.
  • Why is it needed? Tie the permissions to a documented business workflow and owner.
  • What happens if you remove it? Identify automations, exports, reports, or integrations that could stop.

Platform controls reveal grants and scopes; they do not establish a vendor’s retention period, model-training use, subprocessors, data residency, or contractual commitments. Obtain those details from the specific vendor’s current privacy and contract documents before approval.

Build one inventory before changing anything

Start with a read-only inventory so that remediation decisions are based on evidence rather than app names or employee recollection. Keep one record per app-and-grant combination; the same app may have different scopes, owners, or installations in different places.

Inventory field What to capture Why it matters
Stable identity App name, client or application ID, publisher, and platform Names can be duplicated or changed; an ID supports reliable matching.
Location Salesforce org, Slack workspace or Enterprise organization, Microsoft tenant, and installation location Containment may apply to one workspace or tenant rather than every environment.
Principal Authorizing user, service principal, profile, permission set, or group Shows whose authority the app is using and who must be contacted.
Permissions Every OAuth scope, app role, API permission, and optional scope Scopes describe the actual data and actions available to the app.
Purpose and owner Business workflow, internal owner, technical contact, and review date Unowned or obsolete grants are candidates for retirement.
Activity Last-use information, active sessions, approval state, and relevant audit events Separates active dependencies from abandoned authorizations.
Decision Approved, restricted, pending evidence, or scheduled for removal; decision owner and rationale Creates an auditable basis for future reviews.

Include AI assistants, meeting and note summarizers, workflow agents, browser-connected SaaS add-ons, and any application that requests account permissions. Do not infer “safe” from a marketplace listing. Slack explicitly says that marketplace review is not an endorsement or certification; its security guidance states: “Though we review all apps in the Slack Marketplace, including their requested permissions, Slack doesn’t endorse or certify these apps.” Slack’s security recommendations

Audit Salesforce connected apps

1. Review active OAuth connections

In Salesforce Setup, open Connected Apps OAuth Usage. The page exposes active connections, user counts, usage details, and blocked or denied attempts. Salesforce documents administrative controls for installing or uninstalling third-party apps, blocking or unblocking org-wide use, and revoking active sessions. The page requires appropriate setup permissions. See Salesforce connected-app sessions and OAuth usage.

For each connected app, record the app identifier, users, connection activity, whether access is blocked, and any evidence of denied attempts. A high user count is not proof of business need; reconcile it with the owner and workflow recorded in your inventory.

2. Apply an access policy that matches the workflow

Salesforce connected-app settings can limit which users may access an app, enforce IP restrictions, and set refresh-token duration. Where appropriate, use admin-approved preauthorization so access is limited to designated profiles or permission sets instead of allowing every user to authorize the app. These settings require suitable administrative privileges and can vary by Salesforce edition and org configuration. Use the documented Salesforce OAuth access policies as the configuration reference.

  • Least privilege: Grant only the profiles or permission sets required by the documented workflow.
  • Network control: Use IP restrictions when the integration’s operating locations are known and stable.
  • Token lifetime: Choose a refresh-token duration that limits exposure without causing avoidable outages.
  • Preauthorization: Prefer administrator-approved access for business-critical apps rather than unmanaged user-by-user consent.

3. Revoke a user’s grant when only one principal is affected

If a single user authorized an app that no longer needs access, the user can review and revoke the grant in personal Salesforce settings. Salesforce says revocation stops that app’s access to the user’s Salesforce data. Use Salesforce’s user grant management instructions. This is narrower than blocking the connected app for the entire org.

4. Block or end sessions for urgent containment

For a compromised, unowned, or policy-violating app, use the connected-app controls to block org-wide usage and revoke active sessions. Salesforce documents that blocking an app ends current user sessions and prevents future sessions until the app is unblocked. Before doing this, identify scheduled jobs, data exports, and operational owners so that an emergency block does not silently interrupt a critical process. Verify the result in the OAuth usage view and preserve the decision, timestamp, affected principals, and rationale.

Audit Slack apps and authorizations

1. Inspect installed apps and scopes

Open Slack’s app management area and review installed apps, configurations, authorizations, and requested scopes. Slack explains that scopes govern the information an app can access and the actions it can perform, including posting or other workspace operations. Read the complete scope list rather than relying on an app’s description. See Understand app permissions.

For each app, capture the requesting developer or publisher, installer, workspace, scopes, optional scopes, channels or resources involved, and business owner. A scope that permits posting or action execution deserves a different review from a read-only scope, even when both are presented by the same app.

2. Turn on approval and define who can decide

Slack documentation says members can install apps without workspace-owner approval by default. Workspace owners can require approved apps and can optionally allow app requests, automation, or delegated app managers. Configure these controls in Manage app approval for your workspace and document who may approve or restrict requests. See Slack app approval and installation settings.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

When approval is enabled, a request identifies the app, requester, and scopes. The approver can approve or restrict the request and, for optional scopes, choose which optional permissions to grant. If a developer later changes the requested scopes, Slack may require a new request; treat that change as a fresh permission review rather than an automatic renewal. Details are in Manage app requests for your workspace.

3. Distinguish organization restriction from workspace removal

In a Slack Enterprise organization, an organization-level restriction does not by itself remove an app that is already installed in a workspace. If the app must stop operating, remove it from each affected workspace as well. Slack’s Enterprise guidance is at Manage apps in an Enterprise organization.

Also distinguish removing an app from revoking an individual third-party authorization. Removal changes the installation; revocation addresses a user’s authorization. Use the operation that matches the exposure and verify the resulting state. Slack documents both options in Remove apps and custom integrations from your workspace.

4. Preserve Enterprise audit evidence

Slack Enterprise audit logs can be viewed in the interface, exported as CSV or JSON, or accessed through the Audit Logs API for custom monitoring. Slack states that, as of April 30, 2026, audit logs are retained for a maximum of two years for all Enterprise customers. If your legal, regulatory, or investigative requirement is longer, export records to a controlled external store before they age out. See Slack audit logs.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Audit Microsoft 365 and Microsoft Entra permissions

1. Review enterprise applications and grant events

Use Microsoft Entra audit logs to examine application permission activity and consent. Relevant event types include Add app role assignment to the service principal, Remove app role assignment from the service principal, Add delegated permission grant, and Consent to application. Keep the principal, permission, time, application identity, and whether the event was a grant or revocation.

Microsoft lists Reports Reader, Security Reader, Security Administrator, and Global Reader among the roles that can view application activity logs. Confirm the least-privileged role that meets your organization’s separation-of-duties requirements. The event definitions and role information are documented in Microsoft Entra application permission audit logs.

2. Use the supported OAuth inventory when it fits

Microsoft Defender for Cloud Apps can display user-installed OAuth apps connected to Microsoft 365 and Salesforce, including permissions and authorizing users, and can let an administrator mark apps as approved or banned when the relevant connection and feature are configured. Microsoft notes that the management page differs when App governance is enabled. Review Manage OAuth apps in Microsoft Defender for Cloud Apps.

Do not assume this inventory covers every service. The documented coverage reviewed here supports Microsoft 365 and Salesforce; it does not establish equivalent Slack coverage. Confirm the connector, license, app categories, remediation actions, and retention behavior for your tenant before treating a consolidated view as complete.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

3. Set consent policy and review revocations

Align Entra consent settings and administrator roles with your risk tolerance. A grant event tells you that permission was assigned; it does not prove the app is still needed or explain what the vendor does with data after retrieval. Review removals as carefully as grants, because a revocation can indicate an employee departure, an incident response action, or routine cleanup.

Score each app’s risk and business need

Use a consistent decision record instead of a subjective “AI app” label. The following questions turn scopes into an actionable review:

  • Data sensitivity: Does the app reach regulated records, confidential files, private messages, customer data, mail, or directory information?
  • Action authority: Can it post, send, edit, delete, create records, trigger workflows, or impersonate a user?
  • Scope fit: Does every permission map to a current workflow, or are broad scopes requested for convenience?
  • Principal exposure: Is access tied to one user, many users, a privileged administrator, or a service identity?
  • Ownership: Is there a named internal owner who will review the app on a defined schedule?
  • Vendor evidence: Are retention, training use, subprocessors, deletion, residency, and incident terms documented for this product and contract?
  • Operational dependence: What reports, automations, exports, or customer processes fail if access is removed?

Classify the outcome as approved, approved with restrictions, pending evidence, or retire. “Pending evidence” is useful when the business case is real but vendor data-handling answers or a narrower scope are still missing.

Use a controlled approval workflow

  1. Request: The requester names the app, workflow, data sets, required scopes, expected users, and internal owner.
  2. Identity check: Match the publisher, application ID, redirect or installation details, and tenant or workspace location.
  3. Scope review: Translate every permission into plain language and remove optional scopes that are not required.
  4. Data review: Obtain current contractual and privacy terms covering retention, training use, subprocessors, deletion, and residency.
  5. Control selection: Apply Salesforce preauthorization or profile limits, Slack approval and scope selection, or Entra consent controls appropriate to the risk.
  6. Limited deployment: Test with one low-risk user, workspace, or non-sensitive data set. Record the rollback method before enabling production access.
  7. Decision record: Store approver, date, granted scopes, owner, review interval, and conditions.
  8. Periodic review: Recheck use, ownership, scopes, vendor terms, and audit events. A developer scope change or business-owner departure should trigger an out-of-cycle review.

Action Use when Important effect
Restrict Future requests or use should be limited while an installation may remain Restriction may not remove existing installations, especially at Slack Enterprise organization level.
Block Stop org-wide Salesforce use quickly Salesforce documents that blocking ends current sessions and prevents future sessions until unblocked.
Revoke One user’s grant or a specific delegated permission is no longer justified Removes that authorization without necessarily uninstalling the app for everyone.
Remove or uninstall The integration is obsolete, unowned, or unacceptable Can disable workflows, exports, and downstream automations; verify each affected location.

Before acting, identify dependencies and notify the workflow owner unless the situation requires immediate containment. Preserve the app identity, affected principal, permission set, decision owner, timestamp, reason, and evidence. Afterward, confirm the new state in the platform view and look for the corresponding audit event. For Salesforce, use the connected-app session controls and user revocation guidance at session management and user grant management. For Slack, verify both organization policy and workspace installation status.

Native controls versus a consolidated security tool

Native consoles are the authority for final actions because they show platform-specific scopes, sessions, installations, and consent states. A consolidated cloud-access or SaaS-security product can reduce analyst effort, but only if its connectors and remediation features match your environment.

Evaluation question Why it matters
Connector coverage Confirm Salesforce, Slack, Microsoft 365, and the exact tenant or edition are supported.
Identity resolution Check whether the tool distinguishes duplicate app names, client IDs, publishers, users, and service principals.
Grant visibility Verify delegated permissions, app-only roles, optional scopes, and active sessions are all represented.
Remediation Determine whether it can approve, ban, restrict, revoke, end sessions, or only report.
Existing installations Test whether a policy change removes current workspace or tenant installations or merely blocks new use.
Evidence retention Confirm export formats, API access, retention period, and legal-hold options.
Licensing and prerequisites Validate required plans, connectors, roles, and whether App governance changes the interface.

Run a pilot with one low-risk app and a documented rollback. Compare the consolidated record with each platform’s native view; do not treat an empty result as proof that no apps exist until connector coverage and permissions have been validated.

Common failure modes and fixes

“The app name looks harmless.”

Fix: Review the stable application identity and every scope. A summarizer may still read private messages or files; an assistant may also be able to post or modify records.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

“We restricted it, so it is gone.”

Fix: Check installation state. Slack Enterprise organization restriction does not itself remove workspace installations. Remove the app in each affected workspace when the objective is full shutdown.

“The marketplace reviewed it.”

Fix: Treat marketplace review as one signal, not certification. Slack explicitly disclaims endorsement or certification and you still need a business-owner, scope, and vendor-data review.

“The audit log proves the app is safe.”

Fix: Audit logs prove that a grant, revocation, or consent event occurred. They do not establish downstream retention, model-training use, subprocessors, or data residency.

“A consolidated dashboard shows no Slack apps.”

Fix: Confirm that Slack is a supported connector and that the required feature and permissions are enabled. The documented Defender for Cloud Apps OAuth inventory coverage cited here establishes Microsoft 365 and Salesforce, not equivalent Slack coverage.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

“We removed access and a process failed.”

Fix: Restore only under an explicit owner and revised scope review, then replace undocumented personal grants with an approved service identity or narrower permission set where the platform supports it.

Recommended review cadence

  • Continuously: Capture new consent, installation, scope-change, and revocation events.
  • Monthly: Review newly installed apps, high-impact scopes, privileged principals, and blocked or denied attempts.
  • Quarterly: Reconfirm owner, purpose, active use, vendor terms, and least-privilege settings for every approved app.
  • After an incident or scope change: Reassess immediately, preserve logs, and decide whether to revoke sessions or remove the installation.
  • Before contract renewal: Recheck retention, training use, subprocessors, deletion, residency, and security commitments for the exact product and tenant.

Keep exports in a controlled evidence store when platform retention is shorter than your policy. For Slack Enterprise, the documented maximum audit-log retention is two years from April 30, 2026, so longer retention requires an external export process.
