Never put an AI-generated price into production without treating it as a proposal. An AI system can suggest a number, but it does not prove that the number uses current costs, follows your pricing policy, appears correctly to customers, or complies with the rules where you sell. An audit reconstructs the price from trusted business facts, checks every customer-facing amount, examines whether personal data influenced an individual offer, and records who approved the result.
This guide gives a practical control process for a language-model suggestion, a machine-learning recommendation, or an automated pricing rule. It is not a legal safe harbor or a regulator-approved scorecard. Use the legal examples below as United States context and verify requirements in every state or country in which you operate.

What an audit must establish
A useful audit answers four separate questions:
- Economic validity: Does the price cover the right costs and produce an acceptable contribution margin under current assumptions?
- Policy validity: Does it stay within approved floors, ceilings, discount rules, contracts, and exception authorities?
- Price accuracy: Do the generated, displayed, checkout, and charged amounts match in the right currency, unit, channel, and effective period?
- Transparency and governance: Can you explain what data influenced the suggestion, disclose the offer accurately, identify the accountable reviewer, and reproduce the decision later?
A fluent explanation from a model is not evidence for any of these answers. The audit has to use independent records and calculations.
Step 1: Define exactly what the price represents
Many apparent AI errors are definition errors. Before reviewing a number, write a precise description of the offer:

- [Deep Bass with Clear Vocals] High-performance drivers produce punchy bass while keeping vocals clean and detailed for everyday listening.
- Product or service identifier and version
- Market, selling entity, and jurisdiction
- Currency and unit of measure
- Customer segment, eligibility, and sales channel
- Start time, end time, and time zone
- Whether the amount includes taxes, shipping, mandatory fees, discounts, bundles, installation, or other charges
- Whether the figure is a list price, advertised price, negotiated quote, minimum price, or final payable amount
For example, “$120” is not an auditable description. “US online price for one annual subscription, consumer segment, valid from 00:00 Eastern time on 17 October 2026, before sales tax, with no optional add-ons” is. Keep this definition beside the model output so a reviewer cannot accidentally compare a pre-tax unit price with a tax-inclusive bundle.
Step 2: Preserve the proposal and its provenance
Save the complete input and output before anyone edits the number. A minimum record should contain:
- The exact prompt, parameters, or structured inputs sent to the system
- Data extracts and their timestamps, including costs, inventory, demand, exchange rates, and eligibility data
- Model name, model version, pricing-rule version, and configuration
- The unedited output, including any confidence score or explanation supplied by the system
- Human changes, overrides, comments, and the identity of each reviewer
- Approval decision, effective time, and the published price or rule identifier
Record what the system could actually access. If a model claims that a price reflects competitor data but no competitor feed was available, the claim is an unsupported rationale, not provenance. Do not treat an AI-generated explanation as a faithful account of the internal calculation; reproduce the calculation from source data instead.
Step 3: Recompute the economics independently
Use your own accounting, procurement, and operations records to rebuild the proposal. Check each input, not just the final arithmetic.
Validate costs and the price formula
- Confirm current unit acquisition or production cost.
- Include variable fulfillment, payment, support, usage, returns, and transaction costs that apply to the sale.
- Check whether a fixed overhead allocation is being confused with a variable cost.
- Verify the target contribution margin or markup and the formula used to obtain the price.
- Confirm that discounts, rebates, commissions, and refunds are represented under the same assumptions as the proposed price.
For a simple contribution calculation, use contribution = price − variable costs and contribution margin % = (price − variable costs) ÷ price × 100. A 30% markup on cost is not a 30% margin: a product costing $70 with a 30% markup sells for $91, which yields a margin of about 23.1%. Keep the chosen convention in the audit record.
Check freshness and units
Match every input to the proposal’s effective period. A stale supplier quote, an old exchange rate, inventory measured in cases instead of units, or a monthly cost applied to an annual plan can make a mathematically correct result commercially wrong. Have a person who did not create the model output recalculate the result in a spreadsheet, accounting system, or independently coded check. Save the intermediate values and the final arithmetic.

Test assumptions rather than accepting a single forecast
Run at least a base case and the business-relevant downside and upside cases. Vary demand, return rates, shipping, exchange rates, and discount redemption when those factors materially affect contribution. An audit does not require a particular forecasting method; it requires that the decision-maker can see which assumptions make the price viable and what happens when they change.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Clear out junk files and repair common Windows errors3Fix the driver behind crashes, sound loss and screen glitchesStep 4: Apply internal policy, market, and contract checks
Compare the independently recomputed price with every rule that can constrain it:
- Approved price floors, ceilings, and minimum advertised prices
- Discount ladders, coupon conditions, and employee or partner eligibility
- Customer, reseller, government, or channel contracts
- Price-match promises, renewal commitments, and service-level obligations
- Inventory or capacity limits and approval thresholds for exceptions
- Current market observations or competitor quotations, where your business legitimately uses them
For an external comparison, retain the source, observation time, geography, currency, product specification, and whether taxes or shipping were included. Market prices move; a screenshot without a timestamp is difficult to interpret later. Do not let a competitor number override a contractual floor or make an otherwise unsupported claim about what customers will pay.
Step 5: Probe edge cases and outliers before deployment
Test the inputs and rules that commonly produce silent failures:
- Missing, null, stale, duplicated, or impossible values
- Currency, decimal, tax, unit, and rounding mismatches
- Extremely high or low outputs relative to approved ranges
- Products with no recent sales or costs
- Boundary times such as midnight, daylight-saving changes, month-end, or a promotion’s start and end
- Equivalent products, stores, locations, or customers receiving unexplained differences
- Returns, cancellations, partial quantities, bundles, and prorated renewals
Investigate patterns, not only the single strangest number. If every rural location receives a different result, or prices change whenever a particular data field is populated, identify the rule or feature responsible before removing one visible outlier. Keep rejected outputs and the reason for rejection so later reviewers can see what the control caught.

For retail inspection, the National Institute of Standards and Technology (NIST) says its Examination Procedure for Price Verification (EPPV) uses “randomized” and “stratified” sampling plans to evaluate products throughout a store. NIST says an inspection fails when more than 2% of verified product prices differ from the price charged and describes a passing inspection as at least 98% matching at the time of inspection. Those figures are an officials’ evaluation guide, not permission to have inaccurate prices, a general accuracy guarantee, or a universal legal threshold. NIST developed the procedure with the National Conference on Weights and Measures and it was adopted in 1995; results must still be evaluated under applicable state or federal law.
Step 7: Distinguish dynamic pricing from individualized pricing
A price that changes with demand, inventory, booking time, or location is not automatically an individualized price. The distinction is what drives the price and how the offer is presented.
Ordinary dynamic pricing
In a United States FAQ, the Federal Trade Commission (FTC) states: “Yes. Businesses may use dynamic pricing strategies to adjust prices, for example, based on demand or inventory, so long as the pricing information is not misleading.” That does not remove the need to test advertised terms, timing, availability, and the amount charged. A demand-based price shown to everyone under the same conditions is a different fact pattern from a price calculated from a particular person’s data.
Personalized or surveillance pricing
Flag any system that uses browsing history, purchase history, precise or inferred location, device details, loyalty behavior, demographics, or other personal information to estimate what a particular individual may pay. Document which fields were used, the purpose, the authority for using them, the disclosure shown to the person, and a human escalation path.
An FTC release in August 2026 discussed a proposed enforcement policy statement on personalized pricing and warned that undisclosed collection or use of personal data for such pricing could raise concerns under the FTC Act. The release described a draft open for comment until September 18, 2026; it did not establish the draft’s final disposition. Check the later status and the law in each jurisdiction before making a compliance conclusion.
FTC Chairman Andrew Ferguson said in that release: “When consumers see a listed price, they expect it to be same price that everyone else sees, not the retailer’s estimate of how much they are willing to pay based on their personal data.” Treat this as a policy concern and enforcement signal, not proof that every algorithmic price is unlawful.

Step 8: Audit the total price and disclosures
Review the complete transaction, not only the headline number. The FTC FAQ says mandatory fees generally belong in the total price and that the final payment amount must be displayed before the customer is asked to pay. The FAQ treats taxes, shipping, and optional add-ons differently under stated conditions, so classify each charge and verify the conditions that apply to your offer.
- List every mandatory fee and decide where it must appear in the advertised or displayed total.
- Separate optional services from charges required to obtain the advertised product.
- Show eligibility, quantity, timing, automatic renewal, and expiration conditions near the price.
- Confirm that a promotion is available on the represented terms and that stock or capacity limits are not hidden.
- Check that localization does not change currency, decimal separators, units, or required disclosures incorrectly.
Do not describe a low entry amount as the price if a mandatory charge is added later. Preserve screenshots or rendered copies of the offer and checkout state with timestamps so a reviewer can compare what customers actually saw.
Step 9: Compare competing price proposals consistently
When an AI system offers several prices, use the same review axes for each candidate rather than choosing the most persuasive explanation.
| Axis | Questions to answer | Evidence to retain |
|---|---|---|
| Economic validity | What is the contribution after current variable costs, and are demand and cost assumptions current? | Cost records, formula, scenarios, and timestamped assumptions |
| Policy fit | Does the candidate comply with floors, ceilings, discount rules, contracts, and exception authority? | Policy version, contract clause, and approval owner |
| Price accuracy | Do generated, displayed, checkout, and charged amounts match in unit, currency, and effective period? | Test orders, screenshots, invoices, and payment records |
| Customer transparency | Are the offer, mandatory fees, conditions, and final amount represented clearly? | Rendered offer, disclosures, and checkout capture |
| Data and distributional risk | Does personal data drive individual differences, and are unexplained or harmful patterns present? | Feature inventory, comparison tests, complaints, and review notes |
| Auditability | Can another reviewer reproduce the decision and identify every change and approval? | Inputs, versions, intervention log, decision, and effective time |
These are practical review axes, not a single regulator-approved scoring rubric. If two candidates are economically similar, prefer the one with clearer assumptions, fewer unexplained data dependencies, and a more reproducible implementation.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Step 10: Establish approval and audit records
Name one accountable person for the release. The reviewer should have authority to reject or modify the proposal and should not be the only person who designed the model or rule. Record:

An OECD Global Forum country contribution recommends audit trails that document data inputs, training parameters, and intervention logs, along with interpretability and proactive monitoring. That is a recommendation from a country contribution, not a binding universal standard. Adapt the level of detail to your risk, but retain enough information to reproduce the decision after the source data or model has changed.
Best Value
Step 11: Monitor prices after launch
Approval is a release gate, not the end of the audit. Set a sampling plan that reflects volume and risk. For a large catalog, combine random samples with strata such as store, channel, product family, promotion, and customer eligibility. For a small business, check every new rule and a representative sample of routine changes.
- Compare displayed, checkout, charged, refunded, and invoiced amounts.
- Track overrides, failed tests, customer complaints, refunds, and support contacts.
- Alert on prices outside approved bounds or on sudden changes in the distribution of prices.
- Recheck data feeds after supplier, tax, currency, inventory, or software changes.
- Pause a rule when discrepancies are unexplained; correct the source or logic before resuming.
NIST’s sampling language is useful for designing a retail control, but a sample pass does not guarantee every transaction is accurate. Document the sample design, date, population, exceptions, and remediation.
United States legal context and limits
NIST notes that federal FTC jurisdiction covers most advertising and pricing practices while states also maintain price-verification laws or regulations. State requirements can vary, and NIST identifies state weights-and-measures authorities as general contacts for those matters. A business selling across state lines should map the locations in which an offer is displayed, sold, fulfilled, and charged rather than assuming one state’s process applies everywhere.
FTC staff’s January 2025 discussion of surveillance pricing described possible deceptive-advertising, competition, and civil-rights concerns where pricing is opaque or consumers face obstacles to finding an alternative seller. It was staff analysis of potential risks, not a finding that every algorithmic price is unlawful. The OECD’s 2025 G7 report likewise describes both possible benefits and risks of price discrimination, including transparency, search costs, trust, distributional outcomes, and potential algorithm-facilitated collusion.
The OECD report recounts a 2021 Japanese study in which algorithms could facilitate data collection and estimates of willingness to pay. It also reports that a 2024 preliminary Italian airline study found personalization based on browser history, location, or device type remained rare in that particular study, with most differences associated with booking time and demand. Neither study establishes how common personalized pricing is in your business. The report said no G7 antitrust enforcement cases focused solely on exploitative abuses caused by pricing algorithms had been identified at the time of publication; that dated statement is not a current global count.
Common failure modes and fixes
| Failure | Why it happens | Control |
|---|---|---|
| Trusting a convincing explanation | Language is mistaken for a calculation trace. | Recompute from source records and retain intermediate values. |
| Using stale costs or inventory | Feeds refresh on different schedules. | Attach timestamps and reject inputs outside a defined freshness window. |
| Comparing the headline price only | Fees, tax, shipping, or rounding appear later. | Test the final payment amount and classify every charge. |
| Calling every change dynamic pricing | Personal-data features are hidden in a broad label. | Inventory features and test whether an individual’s data changes the offer. |
| Removing one odd output | The underlying pattern is not investigated. | Compare equivalent items, locations, and customers and analyze the distribution. |
| Signing off without a rollback | Approval focuses on launch, not failure recovery. | Record a pause threshold, owner, and restoration procedure. |
| Keeping no intervention history | Manual edits occur outside the pricing system. | Require authenticated overrides with reason, time, and approver. |
A compact pre-release checklist
- Is the product, market, currency, unit, segment, channel, and effective period explicit?
- Are the exact inputs, timestamps, model or rule version, output, and explanation preserved?
- Has an independent reviewer verified costs, formula, margin, discounts, and scenarios?
- Has the candidate been checked against policy, contracts, market observations, and jurisdictional limits?
- Have missing data, unit mismatches, outliers, boundaries, and comparable offers been tested?
- Do displayed, checkout, final-payment, and charged amounts match?
- Are mandatory fees, taxes, shipping, optional add-ons, and eligibility terms disclosed correctly?
- Does personal data influence an individual price, and is that use documented and disclosed?
- Are reviewer identity, override rationale, approval, effective time, and rollback owner recorded?
- Is post-launch sampling and monitoring scheduled?
Bottom line
An AI-generated price becomes usable only after independent verification. Rebuild the economics, enforce your own policies, test the complete customer transaction, separate demand-based changes from personal-data personalization, and preserve a reproducible approval trail. Those controls reduce commercial, customer-trust, and regulatory risk without pretending that a checklist or a human signature guarantees compliance.
