Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Clear out junk files and repair common Windows errors3Scan for outdated or missing drivers - takes under a minuteDo not treat an SAP ERP renewal as a simple maintenance-rate decision. Build a documented comparison of your current contract and system landscape against at least three paths: continue existing maintenance, move to an SAP S/4HANA cloud or on-premise model, or use a staged transition with a defined deadline. SAP says mainstream maintenance for SAP Business Suite 7 core applications, including SAP ERP 6.0, runs through December 31, 2027. Optional extended maintenance runs from January 1, 2028, through December 31, 2030, with a two-percentage-point premium on the maintenance basis. Those dates are policy boundaries, not a renewal quote or a promise that your contract has particular rights.
Your answer depends on your order forms, license metrics, release and database, custom code, integrations, operating capabilities, contract notices and the time your business can fund for transformation. A public SAP product description cannot establish your price, discounts, conversion credits, termination rights or eligibility. Use it to frame questions, then validate every conclusion against your contracts and SAP’s current written offer.

What are my SAP ERP options before renewal?
Most customers fall into one or more of these decision paths:
The Tool Desk
Outbyte Driver Updater FREEScan for outdated or missing drivers - takes under a minuteDriver Scan →Outbyte PC Repair FREERepair Windows errors before they cause bigger problemsFix Now →- Renew the current SAP Business Suite 7 arrangement: continue existing licenses and maintenance for the near term, subject to your agreement and the applicable support policy.
- Use extended maintenance: if your products are in the covered Business Suite 7 scope, SAP describes optional coverage from 2028 through 2030 at a two-percentage-point premium on the maintenance basis.
- Convert to a subscription cloud model: replace on-premise license and maintenance with a subscription for S/4HANA Cloud Public Edition or Private Edition. SAP Help describes moving from maintenance-based licensing to a subscription-based Private Edition as a contract change.
- Move to S/4HANA on-premise: adopt a perpetual-license model with customer-managed upgrades and operations.
- Stage the transformation: renew or extend only long enough to complete a controlled conversion, while setting an architecture, budget and exit date.
- Use the SAP ERP private edition transition option, if eligible: SAP’s August 2025 announcement describes a time-bound subscription for large and complex customers that need continuity from 2031 through 2033. It is not a blanket extension for every ERP customer.
These are not interchangeable products. They change who operates the system, how releases arrive, how you pay, which implementation routes are practical and what contract protections you need.

What happens to SAP ERP support after 2027?
Mainstream maintenance through 2027
SAP’s Maintenance 2040 policy page says mainstream maintenance for SAP Business Suite 7 core applications, including SAP ERP 6.0, continues through December 31, 2027. Confirm that your exact product, enhancement package and installed components are within the stated scope; “SAP ERP” on an invoice is not enough to establish coverage.
Optional extended maintenance through 2030
The same policy describes optional extended maintenance from the beginning of 2028 through the end of 2030. SAP states that the charge is a premium of two percentage points on the maintenance basis for all support offerings in the Business Suite 7 scope. It is not a two-percent increase to your total ERP spending, and it does not reveal the amount in your renewal notice.
After extended maintenance
Customers that do not use extended maintenance, or that reach its end, receive customer-specific maintenance. The practical terms depend on your agreement and SAP’s then-current commitments. Ask for the exact support status of each product and database in your landscape rather than assuming one date applies to every component.

What SAP’s current support commitments change
SAP’s maintenance and support commitments page describes changes effective July 10, 2026. It states that the Initial Term for maintenance and support does not restart with every additional license purchase. It also describes termination and landscape-split options subject to conditions and notice requirements. Treat these as issues to verify in the current policy and your signed documents, not as automatic rights.
Build a fact base from your own documents
Before asking for a proposal, create one controlled inventory. Assign an owner to each field and retain the document or system report that supports it.

- License metrics, named users, engines, packages, indirect-use terms and any caps or minimums.
- Maintenance base, renewal date, initial term, notice window and automatic-renewal language.
- Commercial installation definition and any rules governing separate productive, test, development, disaster-recovery or acquired-company systems.
- Termination, landscape-split, portability, transition-assistance and data-access provisions.
- Any conversion credit, dual-use, ramp, co-terming or price-protection language. Do not assume a benefit exists because it appears in another customer’s deal.
Technical and process worksheet

- ERP release, enhancement package, database, operating system and supported third-party components.
- Custom code, modifications, user exits, bespoke reports, interfaces, batch jobs and extensions.
- Add-ons and integrations with payroll, manufacturing, warehouse, ecommerce, banks, tax, identity, analytics and other critical services.
- Business processes that cannot tolerate functional change, downtime or a different release cadence.
- Data-volume, retention, residency, encryption, segregation-of-duties and audit requirements.
Operating-model worksheet
- Who currently supplies infrastructure, database administration, monitoring, backup, patching, application management and incident response.
- Internal skills that must be retained after a move, including security, integration, testing and release-management capability.
- Required service levels, maintenance windows, recovery objectives and compliance evidence.
- Your tolerance for monthly innovation, two-year release cycles or customer-scheduled upgrades.
Separate facts from assumptions. Mark each item as confirmed by contract, confirmed by technical evidence, an estimate or an open question. That discipline prevents a sales presentation or an old implementation diagram from becoming your decision record.
Compare the SAP operating and licensing models
SAP’s offering comparison distinguishes the choices below. The general comparison is useful for orientation, but the order form controls your commercial rights and obligations.
Crashes, No Sound, or Screen Glitches?
Random freezes, missing sound and display glitches usually trace back to one bad driver. Find and replace yours safely.Free scan · under a minuteWindows Errors? Fix Them Before They Spread
Repair common Windows errors and clear accumulated junk for a smoother, more stable PC - no reinstall needed.Free scan · no reinstall| Option | Commercial model in SAP’s comparison | Operations and upgrades | Functional and implementation considerations |
|---|---|---|---|
| S/4HANA Cloud Public Edition | Subscription | SAP operates and maintains the system; innovations are released monthly | Smaller functional scope than Private Edition, although SAP describes it as growing; favors fit-to-standard processes and disciplined extension |
| S/4HANA Cloud Private Edition | SAP’s general comparison lists perpetual licensing, but service and commercial configurations can differ; verify the applicable order form | Broader upgrade flexibility; SAP describes releases every two years, installed at the customer’s request, with the customer responsible for planning upgrades in time to remain in maintenance | Functional scope and upgrade flexibility comparable to S/4HANA; supports lift-and-shift, new implementation, system conversion and selective data transition |
| S/4HANA on-premise | Perpetual license | Customer-managed infrastructure and upgrades | Maximum control over timing and technical design, with corresponding staffing, security and lifecycle responsibility |
| Existing Business Suite 7 with mainstream or extended maintenance | Existing license and maintenance arrangement, subject to contract and policy | Your organization or its providers continue current operations; support dates constrain the horizon | Lowest immediate transformation disruption, but custom code, aging skills and future support deadlines remain material risks |
A subscription conversion is both a technical migration and a commercial reset. SAP states that customers may reallocate elements of installed on-premise solutions to public cloud or private managed cloud subscriptions, replacing on-premise license and maintenance with subscription. SAP also says original contract terms may vary substantially and directs customers to their SAP account team for assessment. Obtain the proposal in writing, including what happens to unused licenses, maintenance already paid, test systems, affiliates, indirect use, data extraction and termination.
Use a weighted decision framework
Score each scenario against the same evidence and time horizon. A simple 1-to-5 score is useful only when the written reason and owner are recorded.
| Decision axis | Questions to answer | Evidence to collect |
|---|---|---|
| Business fit | Are required finance, supply-chain, manufacturing, asset, country and regulatory functions available without unacceptable process change? Which customizations and add-ons must survive? | Process catalog, fit-gap results, extension inventory and business-owner sign-off |
| Commercial model | Is payment based on maintenance, perpetual licenses, subscription metrics or a combination? What are the term, renewal, price-adjustment, termination and conversion provisions? | Signed order forms, metric definitions, proposal assumptions and legal review |
| Operations | Who hosts, patches, monitors, secures, backs up, upgrades and supports the application? What remains your responsibility in a managed service? | Responsibility matrix, service description, SLA, security addendum and staffing plan |
| Change and timing | Can you complete discovery, remediation, testing, training, cutover and stabilization before the relevant support boundary? Can staff absorb monthly or biennial releases? | Integrated plan, critical-path dependencies, test capacity and business blackout calendar |
| Cost horizon | What is the total cost for the same scope over the same years, including SAP charges, partners, cloud infrastructure, internal labor, data migration, dual running, testing and exit? | Scenario model with assumptions, sensitivity ranges and one-time versus recurring columns |
| Resilience and exit | Can you retrieve data and configurations? What notice, portability, transition assistance and continuity rights apply if the provider, product or strategy changes? | Contract clauses, data-export format, recovery plan and tested exit estimate |
Weight the axes according to your risk. A regulated manufacturer may give resilience and functional fit more weight than a small division seeking the fastest standardization. Do not hide a disqualifying requirement inside an average score: if a model cannot meet a legal retention rule or a critical plant integration, label it a failed gate even if its price score is attractive.

Model costs without inventing a “typical SAP renewal increase”
No universal SAP renewal price, discount, conversion credit or entitlement is established by the available policy and product descriptions. Build a like-for-like model instead.
Set the same horizon and scope
Use at least three views: the near-term renewal period, a transition completed by 2030, and the longer-term target state. Keep the same legal entities, users, systems, availability requirements and service levels in each view, or show exactly where scope changes.
Separate cost categories
- SAP charges: maintenance, extended-maintenance premium where applicable, subscription metric, license purchase, service plan and support options.
- Implementation: assessment, fit-to-standard workshops, custom-code remediation, data conversion, testing, training, change management and cutover.
- Technology: cloud or data-center infrastructure, connectivity, backup, disaster recovery, security tooling and non-SAP integration services.
- Internal effort: subject-matter experts, project leadership, controls, testing, release management and temporary backfill.
- Transition exposure: dual running, parallel licenses, decommissioning, contract overlap, stranded assets and contingency.
- Exit and continuity: data extraction, replacement interfaces, archival, transition assistance and a tested fallback plan.
Request the assumptions behind every quote. A lower subscription can be outweighed by required process redesign, integration work or internal release capacity; a higher maintenance payment may be rational if it protects a critical program schedule. Present ranges and sensitivities instead of a false single-point forecast.
Choose between public, private and on-premise S/4HANA
When Public Edition may fit
Public Edition is the most standardized path in SAP’s description. SAP operates and maintains it and releases innovations monthly. It can suit organizations willing to adopt standard processes, limit modifications and establish a strong product-owner and testing discipline. Validate country scope, industry functions, integrations, extensibility and data-residency requirements before treating the smaller functional scope as acceptable.
When Private Edition may fit
Private Edition is designed for broader functional scope and more upgrade flexibility. SAP lists lift-and-shift, new implementation, system conversion and selective data transition as implementation routes. That flexibility can help a complex customer, but it does not remove the need to retire unsupported custom code, test integrations or plan upgrades. Clarify whether your proposed configuration is perpetual, subscription-based or a combination; SAP’s general comparison and an individual service order are not the same thing.

When on-premise S/4HANA may fit
On-premise S/4HANA uses perpetual licensing in SAP’s comparison and leaves upgrades and infrastructure under customer control. Choose it only with a funded operating model for hardware or hosting, database administration, security, patching, high availability, disaster recovery and lifecycle projects. Control over timing is valuable, but it is also a responsibility.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Understand the 2031–2033 private-edition transition option
In an August 4, 2025 SAP News Center update, Stefan Steinle, SAP executive vice president and head of Customer Support & Cloud Lifecycle Management, described an SAP ERP private edition transition option as a time-bound subscription intended to provide continuity from 2031 through 2033 for large and complex customers needing additional transformation time. SAP’s stated prerequisites include moving the systems to SAP ERP private edition on SAP HANA before the end of 2030, meeting other technical-readiness conditions and taking the max success plan during 2031–2033.
“SAP recognizes that our largest and most complex SAP ERP customers may not be able to complete this transformation by the end of extended maintenance for their installed SAP Business Suite 7 in 2030.”
— Stefan Steinle, SAP executive vice president and head of Customer Support & Cloud Lifecycle Management, SAP News Center, August 4, 2025

This option is a potential bridge, not permission to defer planning indefinitely. Confirm whether your products, architecture, size, HANA readiness and service plan meet the latest criteria. The August 2025 update said customers committing in 2025 were eligible for commercially equivalent terms to the then-existing subscription, customers signing in 2026 would receive a 20% uplift at transition, and later signups had not yet been priced. Those were dated statements, not a current quotation. Obtain the latest offer and order form before using any of those figures in a business case.

Run a renewal and transformation work plan
- Start 12–18 months before the earliest notice date. Put renewal, termination, price-adjustment and landscape-split dates on a legal calendar. Use the contract’s dates, not a generic industry timetable.
- Freeze the baseline. Export license and usage reports; reconcile products, systems, users, engines, databases, interfaces, custom code and add-ons to the commercial installation.
- Confirm support status. Ask SAP for written confirmation of each component’s mainstream or extended-maintenance eligibility and the support consequences of your chosen release.
- Define non-negotiables. Have process owners identify regulatory, plant, close-calendar, latency, data-residency and integration requirements that cannot be traded away for a lower quote.
- Request comparable scenarios. Ask for current-maintenance renewal, extended maintenance, Public Edition, Private Edition, on-premise S/4HANA and any applicable transition option. Require identical scope, term assumptions and named exclusions.
- Complete technical discovery. Measure custom objects, modifications, interfaces, data volume, batch windows, archiving, HANA readiness and test environments. Classify each item as retain, remediate, replace or retire.
- Build the total-cost model. Include one-time, recurring, internal, partner, infrastructure, dual-run and exit costs. Show three horizons and sensitivity to schedule delay, user growth and scope change.
- Test the operating model. For managed options, document the boundary between SAP, your team and partners. For on-premise options, prove that staffing, security and recovery budgets exist.
- Negotiate from documented facts. Ask about metrics, co-terming, transition rights, data access, termination, notice, portability, service levels and credits. Have procurement and counsel compare the redline with the current agreement.
- Approve a gated decision. Require executive sign-off on the selected path, the fallback if the migration slips, funding for remediation and the date at which the next commitment becomes unavoidable.
Common mistakes and how to correct them
Assuming a public date is your contractual right
Maintenance policy dates do not answer whether a particular component, release or contract is covered. Map every product and term to written SAP confirmation.
Comparing a maintenance invoice with a cloud subscription
Those figures cover different operating responsibilities and may exclude migration, infrastructure, service plans or internal work. Normalize scope, service levels and all one-time costs.
Treating Private Edition as automatically perpetual or automatically managed
SAP’s general comparison lists perpetual licensing, while commercial and service configurations can differ. Read the applicable order form and responsibility matrix.
Quick wins for a faster PC:
Repair Windows errors before they cause bigger problemsFix Now →Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Clear out junk files and repair common Windows errorsFree Scan →Ignoring release capacity
Monthly Public Edition innovations and two-year Private Edition releases create different testing and governance loads. Estimate the people and environments required to stay current.
Assuming conversion credits, dual-use or termination rights
Those rights are not universal. Ask for the exact clause, condition, notice period and calculation in your agreement.
Waiting for 2030 to begin
A transition option described for 2031–2033 still requires readiness before the end of 2030. Use any bridge only as part of a funded plan with measurable milestones.
Questions to put in the SAP renewal meeting
- Which exact products, releases, enhancement packages and databases in our commercial installation are covered through December 31, 2027, and which qualify for extended maintenance through December 31, 2030?
- What is the maintenance basis used for the two-percentage-point extended-maintenance premium in our agreement?
- Which license metrics, users, engines, affiliates, test systems and indirect-use rights carry into each proposed subscription?
- What happens to existing licenses, maintenance payments, unused capacity and support entitlements if we convert?
- What are the initial term, renewal, price-adjustment, termination, landscape-split, data-access and transition-assistance provisions?
- For each cloud option, which party owns infrastructure, operations, security controls, upgrades, testing, backup, disaster recovery and application management?
- Which custom code, add-ons and integrations are supported, replaceable or excluded, and what remediation evidence is required?
- What are the current eligibility and commercial terms for the ERP private edition transition option, and what must be completed before the end of 2030?
The Bottom Line
Renew only after you can explain, in writing, how each option meets your required processes, who will operate it, what it costs over the same horizon, which contract rights you receive and what happens if the transformation slips. SAP’s maintenance dates provide a timetable; your contracts, landscape evidence and operating capacity determine the sensible path.
