To assess an IT company’s earnings report, separate three questions: what was signed (deal wins and backlog), what was earned (revenue and margin), and what management now expects (guidance). Start with the reporting period and accounting basis, identify exactly what each order metric includes, trace margin changes to disclosed operating causes, then test guidance against timing, currency, contract mix, and cash conversion.
A large booking or remaining-performance-obligation balance can support future revenue without being current-period sales. A margin percentage can move because of mix or investment rather than deteriorating execution. Guidance is comparable only when its period, metric definition, currency, and adjustment basis match the prior outlook and actual results.

1. Establish the reporting frame before reading the headline
Write down the fiscal quarter and year, the comparison period, and whether the company is reporting GAAP or an adjusted measure. IT companies often present reported growth alongside constant-currency growth, and they may identify unusual comparison effects such as revenue recognized during the period. Microsoft’s FY2026 Q3 call, for example, discussed adjusted and constant-currency growth and noted an in-period revenue-recognition comparison factor: Microsoft FY2026 Q3 earnings call.

Outbyte PC Repair FREERepair Windows errors before they cause bigger problemsFix Now →Outbyte Driver Updater FREEFix the driver behind crashes, sound loss and screen glitchesFind Drivers →- Period: Confirm whether the figure covers a quarter, year-to-date period, or full fiscal year. Fiscal calendars do not necessarily follow calendar quarters.
- Basis: Label every number as GAAP, non-GAAP/adjusted, reported currency, or constant currency.
- Comparison: Distinguish sequential change from year-over-year change. A quarter can improve sequentially while still declining year over year.
- Scope: Check whether the metric covers the consolidated company, a segment, or a product such as cloud services.
- One-time effects: Record acquisitions, divestitures, restructuring, unusual tax items, or revenue timing that management says affects comparability.
Do not compare an adjusted operating margin with a GAAP margin, or a constant-currency growth rate with a reported-currency result, without first reconciling the definitions.

2. Decode what “deal wins” actually measure
“Deal wins” is a press-release phrase, not a universal accounting term. An issuer may report bookings, orders, backlog, remaining performance obligations (RPO), contracted revenue, or another internally defined measure. Read the definition in the earnings release, filing, and call before treating the number as evidence of demand.
Bookings
Bookings generally describe orders accepted during a period. The company may exclude cancellable work, unfunded options, taxes, pass-through costs, or contracts that do not meet its internal threshold. Ask whether a booking is a signed contract, a purchase order, a funded award, or management’s estimate of a broader pipeline.
Orders and awards
An order or award can be legally or commercially meaningful without being fully funded. Government and infrastructure projects may depend on appropriations, permits, notice to proceed, or customer financing. Look for cancellation rights and conditions precedent.
Backlog
Backlog is the portion of contracted work the company expects to perform in the future. It is not a balance-sheet asset and is not current-period revenue. Backlog can be reduced by cancellations, scope changes, foreign-exchange movements, or contracts that are not renewed.
Remaining performance obligations
RPO is the transaction price allocated to unsatisfied or partially unsatisfied performance obligations under the revenue standard. Companies can define the disclosed presentation more narrowly or broadly in supplemental materials, so use the issuer’s stated scope. Microsoft’s FY2026 Q4 call reported commercial RPO of $678 billion, a weighted-average duration of 2.3 years, and approximately 30% expected to be recognized within 12 months. Those figures describe Microsoft’s reported balance and definition for that period; they are not an industry conversion rule: Microsoft FY2026 Q4 earnings call.
| Metric | What it can tell you | Questions to ask |
|---|---|---|
| Bookings | New orders accepted in the period | Are they funded, cancellable, or conditional? What is excluded? |
| Orders/awards | Customer commitments or project awards | When does work become a signed, funded contract? |
| Backlog | Contracted work expected to be delivered | What is the duration, cancellation exposure, and expected annual conversion? |
| RPO | Unsatisfied or partially unsatisfied performance obligations | Which contracts and obligations are included, and what portion is expected soon? |
Never divide a headline backlog by annual revenue and assume the result is a forecast. The numerator may include multi-year work, optional phases, or obligations recognized only after delivery milestones.

3. Test the quality and timing of the pipeline
After identifying the metric, build a conversion view. The goal is not to predict revenue from one number, but to determine how much of the reported demand can plausibly affect the periods you are analyzing.
- Capture duration. Record the weighted-average or stated contract duration and any split between the next 12 months and later periods.
- Identify contingencies. Note funding, customer acceptance, permits, renewal decisions, minimum-volume commitments, and termination clauses.
- Separate fixed from variable consideration. Performance bonuses, usage fees, price-index adjustments, and unpriced options may not be included in the same way as fixed consideration.
- Map obligations to delivery. A software license, implementation project, managed service, and support obligation can each have a different recognition pattern.
- Check cancellations and changes. Compare opening and closing backlog or RPO, then account for new additions, revenue recognized, foreign exchange, acquisitions, and reductions.
Quanta Services’ 2025 Form 10-K illustrates why issuer definitions matter: its RPO discussion excludes potential orders under master service agreements and certain expected revenue from non-fixed-price contracts. A raw RPO comparison with another company that includes those items would overstate comparability: Quanta Services 2025 Form 10-K.
4. Explain margin movement with an operating bridge
Start with gross margin, operating margin, and cash-flow margin where disclosed. Compare both sequentially and year over year, then connect the movement to management’s specific explanations. A percentage-point change is a result; the bridge explains whether it is temporary, structural, or timing-related.
Mix
Higher growth in a lower-margin service, geography, customer tier, or cloud workload can reduce consolidated margin even when each business performs as expected. Conversely, a greater share of high-margin software or renewals can lift margin.
Investment and capacity
New data-center capacity, AI infrastructure, hiring, implementation teams, or sales investment can depress current margin before the associated revenue arrives. Determine whether the spending is expensed immediately, capitalized, or reflected through depreciation and amortization later.
Utilization and delivery efficiency
Consulting and managed-service margins are sensitive to billable utilization, subcontractor use, bench time, rework, and project delays. Ask whether utilization changed because of demand, hiring ahead of contracts, or deliberate capacity building.

Pricing and cost inflation
Separate price increases from volume and mix. Labor inflation, cloud-compute costs, energy, data-center leases, and supplier pricing can offset contractual escalators. A company may retain gross margin while operating margin falls if sales or research spending rises.
Productivity and efficiency
Automation, procurement savings, platform standardization, and workforce actions can offset cost pressure. Check whether the benefit is recurring, a one-time restructuring effect, or a timing benefit.
Microsoft’s FY2026 Q4 call reported Microsoft Cloud gross margin of 65% and attributed year-over-year pressure to a mix shift toward Azure and AI infrastructure investment, partly offset by efficiency gains. This is an issuer-specific explanation, not a general rule for IT companies: Microsoft FY2026 Q4 earnings call.

5. Read guidance as a conditional forecast
Record guidance in a worksheet rather than relying on the headline range. For each metric, capture the forecast period, low and high ends, growth basis, currency, adjustment basis, and the assumptions management identifies.
- Metric: Revenue, operating income, margin, earnings per share, bookings, or another measure.
- Period: Next quarter, full year, or a multi-year target.
- Range: Both ends of the range and the midpoint, if a midpoint is useful.
- Currency: Reported currency versus constant currency, including the exchange-rate assumption.
- Adjustments: GAAP or adjusted, and exactly which costs or items are excluded.
- Drivers: Capacity availability, contract mix, renewal timing, implementation schedules, and revenue-recognition cadence.
Compare the new outlook with the prior outlook and with the actual result for the completed period. A narrowed range can reflect greater visibility, while a range that remains wide may signal unresolved timing or demand variables. Do not infer reliability from the existence of guidance alone; the cited issuers do not establish a universal reliability rule.
Build a guidance variance log
- Copy the prior guidance range and assumptions as originally stated.
- Enter the current actual result on the same GAAP/adjusted and currency basis.
- Record the new range and identify every changed assumption.
- Classify the change as operational (volume, price, cost), timing-related (renewal or delivery), currency-related, or accounting-related.
- At the next report, compare the outcome with both the midpoint and the range, then note which assumption proved wrong or right.
6. Reconcile contracts with revenue recognition
Under ASC 606, revenue follows a sequence: identify the contract, identify performance obligations, determine the transaction price, allocate that price to the obligations, and recognize revenue as each obligation is satisfied. A company filing describes the policy this way: “We recognize revenue in accordance with Accounting Standards Codification (“ASC”) Topic 606, “Revenue from Contracts with Customers” (“ASC 606”).” See Aware’s Form 10-Q revenue-recognition note for the issuer’s application: Aware, Inc. Form 10-Q for the quarter ended June 30, 2026.

Point-in-time obligations
Some software licenses and hardware sales are recognized when control transfers, which may be at delivery or acceptance. A signed order can therefore appear in bookings before the delivery event that permits revenue recognition.

Over-time obligations
Maintenance, software-as-a-service access, and many implementation or services arrangements are recognized as the customer receives the benefit, often over the contract term or according to measured progress. The same contract can contain both point-in-time and over-time obligations.
Contract assets, liabilities, and receivables
Inspect receivables, deferred revenue or contract liabilities, and contract assets in the balance sheet and notes. Rising deferred revenue can indicate cash collection or billing ahead of revenue, while rising receivables without matching cash may indicate slower collection. Neither balance alone proves better or worse demand; connect it to contract terms and cash flow.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.7. Check whether growth converts to cash
Profit and backlog are not cash. Compare operating cash flow with net income, examine changes in receivables and contract liabilities, and note capital expenditure required to fulfill the pipeline. An infrastructure-heavy growth plan can produce strong RPO growth while consuming cash for equipment and facilities.
- Reconcile adjusted operating income to GAAP operating income.
- Review stock-based compensation, restructuring charges, acquisition costs, and other adjustments separately.
- Compare free cash flow definitions across issuers; companies may subtract different categories of capital spending.
- Look for customer concentration, disputed invoices, or milestone billing that could delay collection.
- Ask whether delivery capacity, not demand, is the binding constraint.
8. Compare two IT issuers without creating false precision
Use a like-for-like grid. If a cell is not disclosed, mark it as “not stated” rather than estimating it.

9. A repeatable earnings-report checklist
- Write the fiscal period, comparison period, segment scope, and accounting basis.
- Copy each deal metric’s definition and list exclusions or contingencies.
- Record duration and expected near-term recognition, if disclosed.
- Separate new bookings from opening backlog/RPO and revenue recognized.
- Calculate sequential and year-over-year revenue and margin changes on matching bases.
- Build a margin bridge using mix, investment, utilization, pricing, inflation, and efficiency explanations.
- Enter guidance ranges, currency, adjustments, period, and assumptions.
- Compare guidance with the prior outlook and actual results.
- Read the revenue-recognition note and map major obligations to point-in-time or over-time recognition.
- Check receivables, contract liabilities, operating cash flow, and capital expenditure.
- Write the conclusion in three separate sentences: demand signal, profitability explanation, and outlook condition.
10. Common mistakes and how to correct them
Treating backlog as revenue
Correction: State the definition, duration, cancellation conditions, and expected conversion before discussing its significance.
Comparing unlike margins
Correction: Match GAAP with GAAP, adjusted with adjusted, and the same segment and period.
Ignoring mix
Correction: Ask which products, geographies, customers, or workloads grew fastest and what margins they carry.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Assuming guidance is unconditional
Correction: List the operational and accounting assumptions and track them at the next report.
Using a sector-wide conversion rate
Correction: Use only the issuer’s disclosed timing. Microsoft’s approximately 30% within-12-month figure applies to its reported commercial RPO in that call, not to other companies.
Stopping at adjusted earnings
Correction: Reconcile adjustments to GAAP and inspect cash flow, working capital, and capital spending.
11. What a sound conclusion looks like
A disciplined conclusion distinguishes evidence from interpretation: “Bookings/RPO increased under the company’s stated definition, with recognition weighted toward later periods”; “margin declined because management cited mix and investment, partly offset by efficiency”; and “guidance changed because of the stated capacity, renewal, currency, or recognition assumptions.” That wording tells the reader what the report establishes without converting a contract metric into guaranteed revenue or an outlook into a promise.
