If you publish the newsletter, start with its official export and use screenshots as a visual supplement. For a newsletter you pay to read, save only what you are entitled to access and check the publication’s terms before keeping, sharing, or republishing copies. A subscription is not ownership.
First decide whose newsletter you are archiving
“Your own” can mean a publication you write or one you subscribe to. The distinction matters: an owner may have access to a publication-wide export, while a subscriber’s access does not itself grant permission to redistribute the writer’s work.

- Your publication: export the material through the platform’s owner tools first. Capture selected posts as screenshots when you need a visual record.
- Another writer’s paid publication: open content through your ordinary, authorized subscription access. Keep any permitted personal reference copy private, and ask the publisher before sharing or republishing a post.
For a Substack publication you own, export before taking screenshots
Substack’s official help page says publication owners can create an export from Settings > Exports. The export is a ZIP of publication data, so it is a broader archive than a set of page images. Substack Support writes, “Anything you publish on Substack is yours to own,” in the context of content you publish—not posts written by other authors. Substack’s export instructions
- Sign in with an account that owns or administers the publication.
- Open the publication’s Settings, then choose Exports.
- Start the export and download the generated ZIP when it is ready.
- Keep the original ZIP in your archive. If a specific post needs a visual record, capture that page separately and record its identifying details.
The documented export is the better starting point for preserving your own publication’s material. Screenshots are useful for how a page looked, but they can omit the URL, publication identity, date, or content outside the captured area.

Capture a paid newsletter page you can access
For a selected post—whether it is yours or one you are authorized to view—use the page as presented in the ordinary signed-in session. Do not try to get around a paywall or use someone else’s credentials.
- Open the newsletter page while signed in through the normal subscription or owner account.
- Confirm the post title and publication identity. Scroll through the article so you know what the page contains before capturing it.
- Use your browser or operating system’s screenshot feature for the visible page. If your device or browser offers full-page capture, you can use it, but availability and controls vary.
- Open the saved image and check that it is readable and complete enough for your purpose. If it captures only the current viewport, take additional images rather than assuming it saved the whole post.
- Keep a note alongside the image with the source URL, publication name, post title, author, and publication date when available.
There is no single screenshot shortcut that applies across browsers and devices. Use the screenshot controls documented for your own system, and verify the resulting files rather than relying on a particular key combination.

Choose screenshots or PDF based on what you need to preserve
A screenshot preserves appearance as an image; it is not a publication export and may be awkward to search or quote from. Browser print-to-PDF is a separate, more text-oriented option for readable offline reference. It only captures content the browser can access. The PrintFriendly help page says its service can retrieve publicly available pages but cannot show material behind a paywall. PrintFriendly FAQ
- Use the owner export for a broader record of a publication you control.
- Use screenshots when visual appearance matters or you need a record of a particular page view.
- Use print-to-PDF when a readable document is more useful than an image, understanding that inaccessible paywalled content will not appear.
Respect subscription terms and keep access private
Substack’s general Terms of Use say users retain rights in original content they post and caution against exploiting content they do not own without prior consent. Substack Terms of Use Individual publications may set additional terms. For example, one publication describes paid access as a limited license and restricts redistribution and systematic archiving; that is that publication’s policy, not a universal rule for every newsletter. Whether a particular personal screenshot is allowed can depend on the applicable terms and law; the available sources do not establish a universal legal answer. Check the terms for the publication you subscribe to. Do not assume that a tool’s ability to save a page means you have permission to distribute it.

- The owner export option is missing: confirm you are signed into the publication owner or administrator account and check the publication’s current settings and help documentation.
- The screenshot shows only part of the post: capture the remaining sections separately or use full-page capture if your browser or device supports it; inspect the saved image to confirm coverage.
- Paid text is absent from a PDF: the print service may only be able to retrieve publicly available content. Sign in through the legitimate subscription route and use the browser’s own print flow if permitted; do not treat a public-page service as a way to access paywalled material.
- You are considering an extension: verify its permissions and privacy practices before installing. A Chrome Web Store listing advertises downloading posts available through a signed-in session in PDF, Markdown, or text, but that is a vendor claim, not an official Substack feature or independent test. - You are unsure whether keeping or sharing a copy is permitted: review the publication-specific terms and ask the publisher before redistributing it.
