Scan for outdated or missing drivers - takes under a minuteDriver Scan →Clear out junk files and repair common Windows errorsFree Scan →To preserve a webpage as evidence, save more than a screenshot. Capture the complete rendered page, exact URL, UTC time, browser and page state, HTML or a self-contained page file, response headers when available, and a short capture note. Hash every retained file with SHA-256, protect an untouched evidence master, and keep a separate working copy. When the capture time may be disputed, timestamp the manifest hash with an independent RFC 3161 service and, where policy allows, submit the URL to a public web archive.
A screenshot is useful for showing what a person could see, but by itself it does not establish which URL produced it, what state the page was in, or that the image was not edited later. The workflow below creates a reproducible evidence package and explains how to verify it before publication or a legal submission.

What a defensible web capture contains
Think of the result as an evidence package, not an image file. Each item answers a different challenge someone may raise months later.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problems| Artifact or note | What it establishes |
|---|---|
| Full-page PNG or PDF | What the rendered page looked like, including content below the initial viewport. |
| Exact URL | The address requested, including path, query string, fragment when relevant, and trailing parameters. |
| UTC capture time | When the capture occurred on a common time scale. Record local time too if it helps explain the operator’s records. |
| Browser and version | The rendering environment used to produce the visual record. |
| Page-state note | Logged-in or logged-out status, locale, filters, consent choice, expanded disclosures, and any other interaction that affected what was visible. |
| Rendered HTML or self-contained MHTML/HTML package | Text and structure that can be inspected or replayed independently of the image. |
| Original response headers | Server-delivered context such as content type and cache information, when the capture tool can retain it. |
| Capture note and operator log | Who performed the capture, where, with which method, and what happened step by step. |
| SHA-256 manifest | A repeatable integrity check for every retained artifact. |
| Independent timestamp token | Evidence that the manifest hash existed no later than the time asserted by the timestamp authority. |
RFC 3227’s evidence-handling guidance uses the same principles: capture an accurate picture, distinguish UTC from local time, minimize changes, and make collection methods transparent and reproducible. It also warns that procedures must be assessed against the rules of the jurisdiction involved.

1. Stabilize the page before you capture it
Record the URL and time
Copy the address directly from the browser rather than retyping it. Preserve the complete URL, including query parameters that select a product, search result, language, date, or filter. Write the UTC time immediately before or after the capture and note the local time zone separately. Do not rely on a file-system “created” time as your only clock; it can change when a file is copied.
Describe the viewing context
In a text file named something like capture-notes.txt, record:
- the operator’s name or identifier and the machine or account used;
- browser name and exact version, operating-system version, viewport dimensions, device-pixel ratio, locale, and time zone;
- whether the page was logged in, and which account or role was used (do not put passwords or session tokens in the package);
- geographic or network conditions that could change the page;
- the interaction sequence, such as opening a disclosure, selecting a tab, applying a filter, scrolling a virtual list, or pausing a video;
- whether a consent banner, newsletter prompt, chat panel, or modal was present, dismissed, or left untouched; and
- whether the page is personalized, region-specific, paywalled, or behind authentication.
Use a clean browser profile when possible, but do not “clean up” a page in a way that changes the fact you need to prove. If dismissing a banner is necessary to expose the relevant text, record that action and capture the important pre- and post-interaction states.
Minimize unintended changes
Do not edit the page with developer tools, inject scripts, resize elements, or alter text before the evidentiary capture. Disable extensions that rewrite pages or block resources unless the extension is itself part of the documented environment. If the page auto-refreshes, note the behavior and capture the relevant state as quickly as practical.
2. Capture the complete rendered page
Full-page image
- Open the exact URL in the documented browser profile.
- Wait until the main content and images have loaded. If content appears only after scrolling, scroll through the page once and note that action.
- Open the browser’s developer tools, use the command menu, and choose the full-page screenshot command (in Chromium-based browsers this is commonly named Capture full size screenshot). Save the resulting PNG without opening it in an editor.
- Record the filename, UTC time, and any warning such as a failed image or blocked resource in the capture notes.
A full-page image is the human-review layer. It is not a substitute for the source and metadata files, and very long or virtualized pages may still require additional captures of states that are not present in the document at one time.
PDF for pagination and printing
Print the page to PDF using the same URL, browser profile, viewport, and state. Include background graphics when they carry meaning, and record paper size, margins, orientation, and page range. PDF pagination can make a long page easier to cite, but it can also reflow responsive layouts; retain the PNG as well.
HTML, MHTML, and response metadata
Save the rendered HTML or a self-contained MHTML/HTML package from the browser when the option is available. A self-contained package is preferable to a folder of links that may break when opened offline, but test it because scripts, cross-origin resources, and media may not replay.
Where your tooling permits, retain the original response headers. A network export or equivalent capture can preserve those headers and request timing. Keep the export in its delivered form; do not “clean” it by deleting requests that look irrelevant. Headers and network records are supporting context, not proof that every resource displayed successfully.
Interactive and time-based content
Record each state that materially supports your claim. For an accordion, capture the closed and opened states if the wording differs. For a tabbed application, note the tab name and capture it separately. For a video, record the player time and save the delivered file or a permitted copy when possible. If a page loads more entries as you scroll, capture the loaded state and explain how it was reached.

3. Organize the package before hashing
Use a read-only or access-controlled folder for the evidence master and a different folder for analysis and sharing. A practical layout is:
case-2026-001/
master/
page-full.png
page.pdf
page.mhtml
response-headers-or-network-export.har
capture-notes.txt
manifest-sha256.txt
timestamp-token.tsr
working/
The names are examples; choose names that remain stable and do not expose secrets. Never include passwords, bearer tokens, private cookies, or personal data that is not necessary for the claim. If authentication is material, describe the account state in the notes and restrict access to the master.
The Tool Desk
Outbyte PC Repair FREEClear out junk files and repair common Windows errorsFree Scan →Outbyte Driver Updater FREEScan for outdated or missing drivers - takes under a minuteDriver Scan →4. Hash every artifact with SHA-256
Hash the files after the capture is complete and before making copies. The manifest should list each filename, byte size, SHA-256 digest, exact URL, UTC capture time, and the tool and version used. Include the manifest itself only after its entries are finalized; if you later change it, create a new manifest and explain the revision rather than silently replacing the old one.
Generate hashes
On macOS or Linux, a typical command is:
sha256sum master/page-full.png master/page.pdf master/page.mhtml master/capture-notes.txt > master/manifest-sha256.txt
On systems that provide shasum, use its SHA-256 mode:
shasum -a 256 master/page-full.png master/page.pdf master/page.mhtml master/capture-notes.txt > master/manifest-sha256.txt
On Windows, compute a file hash with:
certutil -hashfile masterull-page.png SHA256
Use one consistent path convention in the manifest and verify that the command’s output corresponds to the files you intend to preserve. A hash proves that the bytes have not changed since hashing; it does not prove that the page’s statements were true.
5. Add independent time proof when timing matters
File metadata and an operator’s note are useful but controlled by the same system that created the files. For a contested or high-stakes capture, calculate the final manifest hash and submit that hash to an independent RFC 3161 timestamp authority. Store the returned timestamp token beside the manifest and note the authority, request time, and verification method. The token binds the manifest’s digest to an independently recorded time; it does not certify the content of the page.
Signed WACZ-style evidence packages can add a manifest, cryptographic signature, and an independent verification path. Review the service’s export and verification behavior, retention terms, and jurisdictional suitability before relying on it. Do not put a timestamp token on a working copy while leaving the evidence master unprotected.
6. Preserve the master and document custody
Separate master and working copies
Make the evidence master read-only or otherwise access-controlled. Perform annotation, OCR, redaction, and screenshots for publication only on a working copy. Keep at least one offline or separately controlled backup; an encrypted external SSD is storage, not a guarantee of authenticity. Record when each copy was made, by whom, from which hash-verified source, and where it is stored.

Maintain a transfer log
For every transfer or access, record the date and UTC time, person, source and destination, purpose, files involved, and verification result. Recompute the SHA-256 values after a transfer and compare them with the manifest. If a value differs, quarantine that copy and investigate rather than overwriting the master.
Protect sensitive captures
Web pages can contain personal data, trade secrets, or session identifiers. Encrypt storage and restrict permissions. Redact only a working copy, preserve the unredacted master under appropriate access controls, and record what was redacted and why. If a page is behind a confidentiality agreement, do not submit it to a public archive or third-party timestamp service without authorization.

Pick the symptom - the matching free tool is one click away.
7. Use a public archive as corroboration
When privacy, robots rules, and policy permit, submit the URL to a public or specialist web archive. An independent snapshot can corroborate that a page existed, but archives may miss resources, fail on authenticated or personalized pages, or capture a different region and time. Retain your own full package even when an archive supplies a public record, and save the archive’s resulting URL or identifier in your notes.
8. Verify before publication or submission
- Recompute every SHA-256 digest from the protected evidence master and compare it with the manifest.
- Validate the RFC 3161 token or signed-package verification result and record the verifier and date.
- Open the self-contained HTML or MHTML package offline and confirm that the important text and layout are present.
- Compare the screenshot, PDF, HTML, response metadata, URL, UTC time, and interaction notes. Resolve discrepancies before anyone relies on the package.
- Confirm that no working-copy edits, redactions, or annotations were copied back into the master.
- Have counsel assess authentication and admissibility under the governing jurisdiction. Technical integrity and a timestamp do not by themselves prove that the publisher made a truthful statement.
Which capture approach should you use?
| Approach | Strengths | Limits and controls |
|---|---|---|
| Manual browser screenshot | Fast, inexpensive, and shows the operator’s visible page. | Often omits URL context, source files, headers, and reproducibility; rely on detailed notes and hashes. |
| Browser full-page capture plus HTML/PDF | Better completeness and replayability, with multiple views for review. | Dynamic, authenticated, and virtualized content may not replay; document every interaction. |
| Public web archive | Independent external copy and a public reference. | Coverage, timing, privacy, robots, and personalized-state limitations; never use it as your only copy. |
| Signed WACZ or managed evidence platform | Can package manifests, signatures, timestamps, and verification instructions. | Service retention, export, vendor, and jurisdiction terms require review; preserve your own master too. |
| Screenshot API | Repeatable requests, automation, and consistent viewport or device settings. | An API image is still one layer. Save request parameters, returned headers, URL, UTC time, and your own hashes and timestamp. |
Common failures and fixes
The screenshot stops at the first viewport
Cause: a normal viewport screenshot was used. Fix: use the browser’s full-size capture command, verify the image dimensions, and capture separately loaded or virtualized sections.
Images or text are missing
Cause: lazy loading, blocked resources, consent gates, a network timeout, or content that requires scrolling or interaction. Fix: wait for the page, scroll through it once, record what was revealed, and capture the affected state again. Preserve the failure note rather than silently substituting a different page.
The offline HTML does not look like the screenshot
Cause: scripts, cross-origin assets, or authentication are unavailable offline. Fix: retain the screenshot and PDF as the visual record, keep the original package untouched, and document which resources could not replay. Do not edit the HTML to make it appear complete.
Free tools Windows power users keep installed
One-click scans. No signup required.
Hashes differ after copying
Cause: a transfer error, line-ending conversion, archive recompression, or accidental edit. Fix: compare the source and destination hashes, quarantine the changed copy, and recopy from the verified master. Never update the original manifest to hide a mismatch.
The page changes between captures
Cause: personalization, A/B testing, geolocation, login state, caching, or a live data feed. Fix: record the differing context, capture both materially relevant states, and preserve request and response metadata where possible. Avoid claiming that one capture represents every visitor.

ScreenshotNeo is a website screenshot API and MCP server. It can capture a full page, load lazy images, return PNG, JPEG, WebP, or PDF, and expose response headers that identify the page verdict and whether the request was billed. For evidence work, save the request URL and options, UTC time, returned headers, response body, and your own SHA-256 manifest; the API does not replace those controls.
See the ScreenshotNeo documentation for the current parameter reference. A one-request capture looks like this:
cURL
curl -G "https://api.screenshotneo.com/v1/shot" -d access_key=YOUR_API_KEY --data-urlencode url=https://stripe.com -o shot.webp
Python
import requests
r = requests.get("https://api.screenshotneo.com/v1/shot", params={"access_key": "YOUR_API_KEY", "url": "https://stripe.com"}, timeout=90)
open("shot.webp", "wb").write(r.content)
Node.js
const q = new URLSearchParams({ access_key: 'YOUR_API_KEY', url: 'https://stripe.com' }); const res = await fetch(`https://api.screenshotneo.com/v1/shot?${q}`);
Replace the example URL with the page you are documenting. ScreenshotNeo can accept cookies, headers, user agents, timezone and geolocation settings, wait for a selector, delay, or network idle, click an element, hide selectors, block selected requests or resource types, capture one CSS-selected element, set a viewport or one of 12 device presets, apply dark mode or retina scale, and produce PDFs with paper, margin, orientation, and page-range controls. It also supports custom CSS and JavaScript, transparent backgrounds, image resizing, a chosen cache TTL, signed links, asynchronous jobs with signed webhooks, bulk capture of up to 100 URLs per call, usage reporting, an OpenAPI specification, and familiar parameter names used by other screenshot APIs.
For an evidence capture, decide explicitly whether cleanup changes the fact you need to preserve. ScreenshotNeo can accept consent banners and remove more than 60 known consent platforms, newsletter popups, and chat widgets before capture, and each cleanup step can be turned off. Keep those steps off when the banner or popup itself is material, or document the altered state when you use cleanup. Only clean shots are billed; bot checks or CAPTCHAs, blank pages, timeouts, failed loads, and cache hits are not billed, and the response states the page verdict and billing result in X-Page-Verdict and X-Billed headers.
The MCP server supplies take_screenshot, get_page_info, and capture_pdf tools to Claude, Cursor, and other MCP clients. That can help an AI-assisted workflow, but preserve the same URL, state, notes, hashes, and timestamp as you would for a manual capture.

Make captures reproducible
Fix the viewport, device scale, locale, timezone, user agent, and wait condition for recurring captures. Record cache settings and whether a page was loaded from a logged-in session. A deterministic wait for a selector or network idle is more explainable than an unexplained pause, while a short delay may still be needed for animations or late data.
Control load and expense
Capture only the states that support the claim, but do not omit a state merely to save a request. Use caching only when the cached response is acceptable for your evidentiary purpose, and record the chosen TTL. For many URLs, batch jobs can reduce orchestration overhead; verify each returned result and hash each artifact individually.

Separate failure from success
Record HTTP status, page verdict, billing header, timeout, and missing-resource information with the capture notes. A failed or blank result is not evidence of what the intended page said. FAQ
Should I capture the page before or after accepting a consent banner?
Capture whichever state is relevant to the claim, and capture both when the banner obscures or changes material content. In every case, record the action and the UTC time.
How long should I retain a web-evidence package?
There is no universal retention period. Follow the limitation period, litigation hold, regulatory rule, contract, or newsroom policy that governs your matter, and preserve the master for as long as that policy requires.
Can a hash prove that a screenshot is authentic?
A hash proves only that the bytes match the hashed bytes. Authenticity also depends on the documented capture method, custody, source context, and verification records.
What if the page contains private personal information?
Restrict and encrypt the master, avoid public archiving without authorization, and publish only a documented redacted working copy when disclosure is necessary.
Is a timestamp token the same as a court ruling?
No. It provides independent time evidence for a digest. A court or tribunal still decides authentication, relevance, privacy, and admissibility under its own rules.
Final checklist
- Exact URL copied and preserved.
- UTC and local times recorded with time-zone labels.
- Browser, version, viewport, locale, account state, and interactions documented.
- Full-page PNG and, where useful, PDF captured.
- Rendered HTML or self-contained package and response metadata retained.
- Dynamic states and linked files relevant to the claim captured.
- Every artifact hashed with SHA-256 and listed in a manifest.
- Manifest independently timestamped when timing is material.
- Protected evidence master separated from a working copy.
- Transfers, access, and hash checks logged.
- Public archive used only when permitted and treated as corroboration.
- Package re-verified before publication or submission.
The durable record is the combination of pixels, source context, time, integrity proof, and documented custody. Build that package each time, and a reviewer months later can reproduce what you captured, when you captured it, and whether the files remained unchanged.
