Use an AI agent to capture a public university page, then preserve the image with its exact URL, page title, capture time in UTC, and viewport or image dimensions. A screenshot is a visual record of one moment—not a copy of the site, its linked documents, or its interactive behavior—so keep other materials too when future retrieval matters.
What a screenshot preserves—and what it does not
A screenshot records how a page appeared at capture time. It does not preserve the underlying HTML, scripts, linked PDFs, or interactive behavior, and it cannot guarantee that the page can later be searched or replayed. Describe the result as a screenshot, not a complete website archive.

Before asking an agent to capture a university page
- Choose a public page and check the institution’s current website policy, copyright and privacy notices, and any access restrictions.
- Do not ask an agent to evade a login, CAPTCHA, or other access control, or to enter personal information into forms.
- Use institution-specific policies. Jawaharlal Nehru University’s website policy is an example, not a rule for other universities.
- Government guidance is not automatically a university requirement. GIGW 3.0 covers Indian government websites and apps, with guidance on quality, accessibility, and security; it references standards including WCAG 2.1 and ISO 23026.

How to capture and document the page
- Give the agent a narrow instruction. Provide the exact public URL and specify whether you want the initial viewport, a full-page image, or both. Ask it to wait for visible content to settle before capture. Avoid form submission and other interactions that could change data. Agent capabilities vary; this workflow does not depend on a particular agent.
- Capture the useful page states. Save a viewport screenshot for the initial visible state and a full-page screenshot if supported. If the page contains lazy-loaded content, language variants, or interactive states, note what was actually visible and which version was captured rather than assuming every section or language was included.
- Check the result. Open the saved image and compare it with the displayed page. Confirm that it is readable, that the intended page and state appear, and that no loading issue is mistaken for the page’s content.
- Create a sidecar note or catalog entry. Record the exact URL, page title, capture time in UTC, viewport or image dimensions, language, and any loading issues or interactions. Keep the note associated with the image so a later reader can identify the capture.
- Keep the master unchanged. Preserve the original image as captured. Put highlights, annotations, or redactions in a separate derivative and label it clearly. For material that needs to persist, maintain an additional backup. National Archives of India guidance calls for a mechanism for appropriate and regular website-data backups; it does not prescribe a screenshot-specific retention period or a particular backup medium. Choose the preservation method according to what you will need later. A screenshot is useful for visual evidence of appearance; source documents and web-archiving methods serve different retrieval needs.
