To save an e-way bill as a PDF, open it in the official e-Way Bill System’s Print EWB view, open your browser’s print dialog, choose Save as PDF, and save the file in your approved business records location. You do not need a physical printer or scanner. The resulting PDF is a convenient copy; the available official sources do not establish that this export method alone meets every legal retention or evidentiary requirement.
Save the e-way bill as a PDF
- Open the bill in the official portal. Sign in to the e-Way Bill System and use the e-Waybill > Print EWB option. Enter the e-way bill number, then choose the displayed print action. The official user manual also documents a Detailed Print option. It says the print can be taken only by the generator and transporter. The manual is version 1.6, released 1 January 2023, so the current portal’s menus may differ. Read the e-Way Bill System User Manual; the official portal lists later updates, including one dated 27 January 2026.
- Check the print view. Confirm that it is the right bill and that the fields your business needs are visible. The manual confirms the standard and detailed print options but does not establish which is best for every current portal version.
- Open the browser print dialog. In Chrome on Windows or Linux, press Ctrl+P; on Mac, press Command+P. Select Save as PDF as the destination if it is available. Destinations and labels can vary with your device and organization’s settings. Chrome Help: Print from Chrome.
- Review the preview and save. Check that the bill number, dates, parties, goods, and other required details appear legibly, then save the PDF to an approved records location. This check is a practical quality-control step, not a portal requirement established by the cited sources.
- Use a consistent filename and file it securely. For example, use
EWB_<number>_<date>_<counterparty>.pdf. This is a suggested office convention, not an official portal requirement. Keep the exported copy unaltered; if you need an annotated or redacted version for another purpose, retain it separately.
Choose the print view and filing destination
Standard print or Detailed Print
Select the option whose visible fields meet your business’s record needs. Because the manual does not compare the contents of the two layouts in enough detail to establish a universal preference, inspect the generated PDF rather than assuming one is always more complete.

Local PDF or cloud copy
Save the file wherever your organization’s records policy permits, and consider access controls, retrieval, and backup when choosing a repository. Chrome Help describes uploading a saved PDF to Google Drive as a separate step; that browser workflow does not certify Drive, or any other storage destination, as a tax-compliant records system. The official FAQ’s advice to generate a report daily and save it is specific to the report discussed there; it is not a universal rule to print every bill as a PDF. A browser’s Save as PDF function creates a local PDF of the displayed print view. That gives staff a file to retrieve and store, but the cited official materials do not establish that a PDF made this way, by itself, satisfies every applicable GST record-keeping duty, evidentiary rule, or retention period. Check current official rules and your organization’s records policy for those requirements; do not treat the export method or a cloud copy as proof of compliance.

Troubleshoot common problems
- Print EWB is missing or the bill will not print: The 2023 manual identifies the generator and transporter as users who can take the print. Confirm your role and bill number, then check current portal notices if the menu differs from the manual.
- The PDF is incomplete or hard to read: Return to the print view, inspect whether the standard or Detailed Print option shows the fields you need, and review the browser preview before saving again.
- Save as PDF is not listed: Check the destinations offered by your browser and device setup, or follow your organization’s approved process for producing a PDF. Available labels and destinations can differ.
- The saved file is missing from the records location: Confirm the destination selected in the dialog and whether the save completed. If your process includes cloud storage, upload the saved PDF as a separate step and confirm it is retrievable.
