How to Adjust an Ergonomic Office Chair for Your Height and Desk

Adjust the chair and desk as one system, not as separate pieces. Set seat height first, confirm that your feet are supported, then set seat depth, lumbar support and armrests. Finish by checking that your legs fit under the desk and your forearms can reach the work surface without raised shoulders. If a fixed-height desk forces the chair higher than your feet can tolerate, an adjustable footrest is the practical fix.

The measurements below are fitting guidelines from the Canadian Centre for Occupational Health and Safety (CCOHS) and the U.S. Occupational Safety and Health Administration (OSHA), not a diagnosis or a guarantee that every chair fits every person.

The correct adjustment order

Use this sequence because each setting affects the next one. A chair that feels comfortable at the wrong height can still leave your shoulders elevated, your knees pressed by the seat edge or your feet unsupported.

  1. Set the initial seat height: with the chair empty, adjust the highest point of the horizontal seat to just below your kneecap while standing in front of it.
  2. Sit and check your feet: both feet should rest flat on the floor, or on a properly sized footrest if the desk requires a higher chair.
  3. Coordinate the desk: keep your legs able to move freely under the desk and your elbows close to work-surface height without lifting your shoulders.
  4. Set seat depth: with your back supported, leave approximately 5 centimetres (2 inches), about a clenched fist, between the seat edge and your lower legs.
  5. Fit the backrest and lumbar support: position the support in the hollow of your lower back without creating a hard pressure point.
  6. Set or remove armrests: let your upper arms hang naturally, bend your elbows to about 90 degrees and let the armrests barely touch beneath the elbows.
  7. Recheck the whole workstation: move through your normal task and change posture regularly rather than locking yourself into one position.

Why the “ergonomic” label is not enough

“Ergonomic” describes an intended design, not a personal fit. CCOHS advises considering your body dimensions, the workstation and the task together. Two people can use the same chair and need different seat heights, seat depths, lumbar positions and armrest settings. A chair can also have many adjustment levers yet fail to accommodate a particular person if its range is too narrow.

Start with the dimensions you can verify: the available seat-height and seat-depth range, the height and position of the lumbar support, the armrest range and width, and whether the chair can approach your desk. The chair must also leave a practical way to support both feet at the height required by the work surface.

Step-by-step chair adjustment

1. Set the initial seat height

Stand in front of the chair and raise or lower the seat until its highest horizontal point is just below your kneecap. Sit down slowly and place both feet on the floor. This standing reference is only the starting point; the desk and your relaxed arm position determine the final setting.

If your feet do not reach the floor at a comfortable desk height, do not solve the problem by letting them dangle. Lower the chair if that still lets your elbows reach the work surface, or plan to raise the chair and add an adjustable footrest when the desk is fixed and too high for you.

2. Match the chair to the desk and your feet

With the chair at its approximate height, slide toward the desk. Your legs should fit underneath it and move freely. CCOHS says a workstation should not be used regularly when the legs cannot fit or move freely beneath it.

Let your shoulders drop and bend your elbows to roughly 90 degrees while your hands reach the normal work surface. If the surface is high, raising the chair may bring your forearms into a neutral position, but it can also lift your feet. Support both feet with an adjustable footrest rather than balancing on the chair’s casters or resting only on your toes.

If the desk is low enough for flat feet but the work surface still forces your arms upward or downward, the chair alone cannot correct the mismatch. Consider changing the desk, using a height-adjustable work surface or choosing a chair whose adjustment range better suits the workstation.

3. Set seat depth and front-edge clearance

Sit with your back against the backrest. Look at the space between the front edge of the seat and the backs of your lower legs. CCOHS gives about 5 cm (2 inches), or one clenched fist, as a practical clearance check.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The seat should support most of your thighs without pressing behind your knees. If the edge touches the backs of your knees, slide the seat pan backward or use its depth adjustment to shorten the supported section. If your thighs are poorly supported and a large gap remains, lengthen the seat depth only until the clearance is restored.

Do not compensate for excessive depth by perching on the front edge. That removes back support and makes the lumbar adjustment ineffective. If the seat cannot provide both thigh support and knee clearance, its dimensions may not fit you; a different chair is more appropriate than forcing a painful setting.

4. Position the backrest and lumbar support

Adjust the backrest up or down so the lumbar contour sits in the hollow of your lower back. If the chair allows forward-and-back movement, bring the support close enough to support you without pushing your torso forward or creating a concentrated pressure point.

OSHA identifies height-adjustable lumbar support and a backrest that reclines as useful chair features. A recline mechanism can let you change trunk angle during the day, but it does not excuse a lumbar pad that is positioned too high or too aggressively.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

When a chair has no effective lumbar adjustment, OSHA names a removable back-support cushion as a temporary option. A rolled towel can serve the same short-term purpose while you evaluate the chair. Treat either as a workaround, not proof that the chair fits or a cure for every back problem.

5. Set the armrests, or remove them

Let your upper arms hang beside your torso. Bend your elbows to about 90 degrees and raise or lower each armrest until it barely contacts the underside of the elbow. Your shoulders should remain relaxed rather than shrugged.

Armrests are counterproductive when they hold your elbows too high, force your shoulders forward or prevent the chair from moving close enough to the desk. Lower them, move them out of the way or remove them if the design permits. A chair without armrests can be a better fit than one whose fixed armrests block your approach.

Armrests should support relaxed lower arms during suitable tasks; they should not become a rigid platform that keeps you in one posture. Recheck them after changing seat height or desk position because those changes alter elbow height.

6. Perform an integrated final check

After all adjustments, perform the task you normally do at the desk. Check five relationships at once:

  • Both feet are fully supported by the floor or an adjustable footrest.
  • Your thighs are supported without the seat edge pressing behind the knees.
  • Your lower back meets the lumbar support without a sharp pressure point.
  • Your shoulders stay down while your elbows remain near the work-surface height.
  • Your legs fit under the desk and can move freely.

Make one change at a time and reassess. Seat height affects foot support and elbow height; seat depth affects back contact; armrest height affects shoulder relaxation. Changing several controls at once makes it difficult to identify which setting caused a new problem.

Adjusting a chair at a fixed-height desk

Fixed desks create the most common conflict: the work surface may be comfortable for the arms only when the chair is high enough that the feet lose support. Use the following decision path.

What you observe Adjustment Reason
Feet are flat and shoulders are relaxed when hands reach the desk Keep the chair at that height and complete the depth, lumbar and armrest settings. The chair and desk already allow a workable relationship.
The desk is too high when feet are flat; shoulders rise or elbows sit well below the surface Raise the chair until your arms are near work-surface height, then place both feet on an adjustable footrest. CCOHS specifically recommends an adjustable footrest when a fixed desk requires a raised chair.
The chair is raised but the footrest is missing or too small Do not leave the feet dangling or supported on a narrow edge. Obtain a stable, adjustable footrest that supports both feet. Foot support is part of the seated fit, not an optional decoration.
Your knees or thighs hit the underside of the desk Stop and check whether the desk provides enough clearance. Change the desk, chair or workstation arrangement rather than repeatedly forcing the chair lower. CCOHS advises against regular use when the legs cannot fit or move freely underneath.
No chair setting allows relaxed arms, supported feet and free leg movement Use another chair or alter the workstation dimensions. A limited adjustment range cannot be overcome by tighter or looser tension controls.

A footrest should support both feet at the selected chair height and remain stable as you move. It should not force your knees sharply upward or become an obstacle when you stand.

Troubleshooting common fit problems

Symptom Likely mismatch What to try
Pressure behind the knees Seat depth is too long or you are sitting too far forward. Support your back, shorten the seat depth and restore roughly 5 cm (2 inches) of clearance.
Feet dangle after the chair is raised The fixed desk requires a higher chair than your leg length allows. Add an adjustable footrest supporting both feet.
Shoulders feel shrugged Desk or armrests are too high, or the armrests are holding the elbows up. Lower or remove the armrests and reassess the chair-to-desk height.
Chair cannot approach the desk Armrests are too wide or high, or the desk underside blocks the chair. Move, lower or remove the armrests; if the desk still blocks the chair, change the workstation arrangement.
Lower-back pressure in one small area Lumbar support is too high, too far forward or poorly aligned. Move it down or backward until it fits the natural hollow of your lower back.
Back loses support when you sit fully back Seat depth is excessive or the backrest is not positioned correctly. Shorten the seat pan if possible, then align the backrest and lumbar support.
Comfort changes whenever you adjust another control The settings are interdependent. Return to the sequence: height, desk and feet, depth, backrest, then armrests.

How to choose a chair that can actually fit

If your current chair cannot satisfy the integrated check, compare replacement chairs by adjustment range and dimensions rather than by the word “ergonomic” on the packaging.

Feature to compare Questions to ask Why it matters
Seat-height range Does the lowest and highest setting suit your leg length and the desk height? The chair must let you reach the desk without losing foot support or raising your shoulders.
Seat-depth range Can the seat support your thighs while leaving about 5 cm (2 inches) behind the knees? A fixed pan that is too deep or too short cannot be corrected by lumbar tension.
Lumbar support Can the support move up/down and, ideally, forward/back? Positionability lets the support meet the hollow of your lower back instead of pressing elsewhere.
Backrest movement Does the backrest recline and remain supportive through its range? Reclining provides posture variation when it does not create gaps or pressure points.
Armrests Are height and width adjustable? Can they move out of the way or be removed? Armrests must support relaxed elbows without blocking desk approach.
Overall dimensions Does the seat width, pan length and backrest size suit your body and task? No single model fits every body or every type of work.
Foot-support plan At the chair height required by your desk, can both feet still be supported? A chair choice is incomplete if it creates an unavoidable foot-support problem.

Before buying, measure the desk height and the clear space beneath it. Compare those dimensions with the chair’s published minimum and maximum seat height, seat depth and armrest range. If a retailer provides only a generic “standard” size, treat that as insufficient information for a precise fit.

Use posture variation as part of the setup

Even a well-adjusted chair should not lock you into one position all day. CCOHS describes frequent changes among body positions as part of workstation setup. Use the backrest’s recline when it remains comfortable, release arm support when it is not needed and stand or move when your task allows. The goal is to preserve support while varying posture, not to search for one perfect pose that never changes.

Recheck the settings after changing desks, adding a keyboard tray, moving the chair to another workstation or changing the type of task. A setting that works for close writing may not feel the same during a different activity because your reach and elbow height change.

When adjustment is not enough

Persistent discomfort, numbness, weakness or pain deserves medical or occupational-health advice rather than endless lever adjustments. A chair cannot correct every physical condition, and the guidance from CCOHS and OSHA is general workstation advice, not a personalized ergonomic assessment.

Replace or reconfigure the chair when its adjustment range cannot provide all of the following at once: supported feet, knee clearance, lower-back contact, relaxed shoulders, usable arm support and free leg movement under the desk. Forcing an incompatible chair into an extreme setting usually transfers the problem to another part of the body.

What the official guidance establishes

CCOHS’s “Office Ergonomics – How to Adjust Office Chairs” page was confirmed current on February 4, 2025, and reports a last revision date of March 10, 2014. Its practical checks include the kneecap starting reference for seat height, the approximately 5 cm (2-inch) front-edge clearance and the use of an adjustable footrest when a fixed desk requires a raised chair.

CCOHS also addresses chair selection and work-chair fit, while OSHA’s “Computer Workstations – Workstation Components – Chairs” guidance covers lumbar support, reclining backrests, armrests and a temporary removable back-support cushion. OSHA’s chair and workstation checklists emphasize evaluating the chair as part of the whole workstation. These are practical setup recommendations, not population statistics or a substitute for an individual assessment.
