To add dependable version history to a design template, keep one clearly identified source file, save named versions at meaningful milestones, and use automatic history as a recovery aid—not as the only record of approved releases. For large changes, work in an isolated branch when your design tool supports it. The exact steps and retention rules depend on the product and plan; here are the documented workflows for Figma and Adobe Express.
Set up a version-history workflow before editing
A history panel is useful only if your team can tell which version is approved, what changed, and how to recover it. Start with a small set of conventions that apply whether your template is a Figma design-system file or an Adobe Express template.
- Identify the source. Give the shared, approved template a clear name and location. Figma recommends organizing teams, folders, and files so contributors can find the correct main file; see Figma’s team, folder, and file organization guidance.
- Choose who can change the source. Decide who may edit or restore the shared file and who reviews changes before they become the new approved template.
- Name deliberate releases. Save a named version when a meaningful change is accepted, such as a new component set or approved layout. Use a short label and describe what changed and why. Add a related task or milestone reference if that helps your team trace the decision.
- Separate risky work. If a substantial proposal should not affect people using the current template, create a separate copy or, where available, a branch. Agree who reviews it and how it becomes the new source.
- Check retention. Version history is not necessarily a permanent archive. Confirm the retention window and access rules for the product and plan you use, and preserve especially important milestones according to your organization’s policy.
This is a practical team workflow, not a claim that one vendor prescribes the same governance for every team. The aim is to make intentional releases distinguishable from incidental recovery points.
Add and restore named versions in Figma
Save a deliberate milestone
- Open the Figma file.
- Open the menu by the file name and choose Show Version History.
- Choose Save to Version History.
- Enter a concise title and description, then save. Record the change and its purpose; include a task or milestone reference when useful.
Figma says anyone with Can view access can browse history, while people with Can edit access can create, name, remove, or restore version information. Its automatic checkpoints are recorded every 30 minutes. A named milestone records an intentional release; automatic checkpoints offer additional recovery points. Recover an earlier state
- Open Show Version History and select the version you want to inspect.
- When you have confirmed it is the correct state, choose Restore This Version.
- Review the restored file and save a new named milestone if it is now the approved template.
Figma says restoration creates checkpoints for both the current state and the restored state, so the pre-restore state is not simply erased from history. Comments have separate behavior: comments from later versions remain, and restoring does not recover comments that were deleted. Figma’s developer documentation describes version records as including a creation timestamp, label, description, and user, and characterizes version history as a way to view, track, and restore previous versions; see Figma’s version-history documentation.
Know Figma’s history-access limit
Figma’s help page says Starter-team members can view only 30 days of a file’s history, while Professional and Education teams or organizations can access the entire history. The page does not state the year for those plan details. Check the current plan documentation and account settings before relying on long-term access, since plan terms can change.
Use Figma branches for substantial template changes
A branch gives contributors an isolated place to propose a significant update without changing the main file until the work is merged. Figma describes a branch as an exact replica of the main file at the time it is created. Changes in the branch do not affect the main file until merge.
- Create a branch from the main file before beginning the substantial change.
- Make and review the proposal in the branch. Agree who is responsible for reviewing and merging it.
- Merge when the update is ready, then inspect the main file and confirm the published template or library reflects the intended changes.
Figma says the main-file history records branch and merge activity, with an additional checkpoint before a merge. Changes made in a branch are not published to a library until merged into the main file. Figma also cautions that incomplete merges or updates can occur, so treat post-merge inspection as part of the release process. Use version history in Adobe Express
Adobe Express documents this path: File → Show version history. In the history panel, users can create a copy from a version, bookmark it, or restore the file to that version. A copy is useful when you need a prior state without replacing the current file; bookmarking helps protect important versions from the stated unbookmarked expiration window.
Adobe’s help page, last updated August 7, 2026, gives these retention periods for unbookmarked versions:

Troubleshoot common version-history problems
You cannot save or restore a Figma version
Check your file permission. Figma distinguishes browsing access from edit access: Can view users may browse history, but creating, naming, removing, or restoring version information requires Can edit access.

The version you need is no longer visible
Check which plan and history window apply to the file. Figma states the Starter-team window is 30 days. In Adobe Express, check whether the version was bookmarked and whether its plan-specific unbookmarked retention period has elapsed.
A restored file has unexpected comments
Figma’s documented restoration behavior does not roll comments back in the same way as design contents: later-version comments remain, while deleted comments are not recovered. Review comments separately when validating a restored template.
A Figma library does not reflect branch changes
Branch changes are not published to a library until they are merged into the main file. Confirm the merge completed, inspect the main file for incomplete changes, and then verify the library publication state.

Team members cannot tell which version is approved
Adopt a naming convention and record the reason for each intentional release. Keep the approved source easy to find, and make review and merge responsibility explicit. Automatic checkpoints are recovery aids, not a substitute for those decisions.
