To add subtitles, either create a caption track in the platform where your video is published or add captions in a video editor before exporting. YouTube Studio offers three routes—upload a caption file, sync a transcript, or type captions manually. Adobe Premiere Pro can turn a transcript into a caption track and export it separately or burn it into the video.

Choose the right subtitle workflow

Where you are in the process Best-fit route What you need
The video is already on YouTube YouTube Studio A caption file, transcript, or time to enter captions manually
You are editing the video on a desktop Premiere Pro A project with dialogue to transcribe or captions to create
You need subtitles in a player without caption-track support Burn them into the exported video A video editor and a review of the final picture

A separate caption track or sidecar file can be toggled by viewers when the player supports it. Burned-in subtitles are part of the picture and cannot be switched off. Check the destination’s supported formats and playback behavior before exporting.

Add subtitles in YouTube Studio

  1. Sign in to YouTube Studio and select Subtitles from the left menu.
  2. Choose the video, select Add language, then choose the language for the subtitles.
  3. Under Subtitles, select Add.
  4. Choose whether to upload a caption file, auto-sync transcript text, or type captions manually. You can also add subtitles during video upload. YouTube’s subtitle and caption guide describes these routes; check the current Studio interface for accepted file types, since platform support can change.
  5. Review the text and timing, then publish the subtitles.

Upload a caption file

A caption file contains the spoken text and timestamps that determine when each line appears. Some formats can also include position and style information. Select the timed or untimed upload option that matches your file, upload it, and save. If you are unsure whether the format is currently accepted, check the choices shown in YouTube Studio.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Auto-sync a transcript

Enter or upload a transcript and let YouTube synchronize it with the video. The transcript must be in a language supported by speech recognition and must match the language being spoken. YouTube does not recommend auto-sync for videos longer than an hour or for audio with poor quality. Review the generated wording and timing before publishing.

Enter captions manually

Play the video and enter each caption as it is spoken; YouTube sets the timing as you work. Include meaningful non-speech sounds—such as [applause] or [thunder]—so captions communicate relevant audio beyond dialogue. Watch the video with the finished captions before publishing.

Review automatic captions

YouTube may create automatic captions in a video’s default language when they are available. Treat them as a draft: generated text or timing can be wrong. YouTube’s creator guidance says automatic captions can be edited in Studio after processing. YouTube’s caption guidance explains why creators should review captions rather than assume generated output is final.

Create subtitles in Adobe Premiere Pro

  1. In your Premiere Pro project, create a transcript using Speech-to-Text, then review and edit the transcript.
  2. Open Captions and choose Create captions from transcript.
  3. In the Create Captions dialog, set the available options that suit the project, including caption preset, format, style, caption length, duration, gaps between captions, and one- or two-line layout.
  4. Select Create captions. Premiere adds captions aligned with dialogue to a separate caption track in the timeline.
  5. Choose whether to export captions as a separate .srt sidecar file or burn stylized subtitles into the picture, then preview the output.

Adobe’s Premiere caption instructions document the transcript-to-caption workflow. Labels and options can move between software versions, so check the version you are using. Adobe’s captions overview and subtitle guide describe the separate-file and burned-in output approaches.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Choose a separate track or burned-in subtitles

  • Use a separate caption track or sidecar file when viewers should be able to turn captions on or off and the destination player supports the format. For YouTube, you can upload a caption file or add captions directly in Studio.
  • Burn subtitles into the video when the text must remain visible in a player or presentation that does not support caption tracks. Viewers cannot toggle burned-in text off.

Before final export, confirm the destination’s format requirements and test how the captions appear in the actual player. A file that works in one destination may not behave the same way in another.

Check subtitle accuracy and readability

  • Watch the complete video with captions enabled. Correct transcription errors, speaker names, and timing.
  • Confirm that the caption language matches the spoken language, especially if you used auto-sync.
  • Check that line breaks are readable and text does not obscure important on-screen content. In Premiere, adjust the available line, duration, gap, and style settings.
  • Include meaningful non-speech audio cues, not just spoken words.
  • Preview the exported video or caption track in the destination player and confirm the result matches your intended viewer experience.

Troubleshooting common subtitle problems

Auto-sync captions have poor timing

Check that the transcript matches the spoken language and that the audio is clear. YouTube cautions against this method for videos over an hour or with poor audio quality. Correct the timing in Studio or use a timed caption file or manual entry instead.

Generated captions contain errors

Review the full video and edit the text in YouTube Studio. Pay particular attention to names, words spoken over music or noise, and meaningful sounds that are not dialogue.

Subtitles are missing or cannot be toggled in the destination

Check whether you exported a separate caption file or burned the subtitles into the picture. A separate file depends on the destination player supporting and loading that format; burned-in subtitles are visible in the image but cannot be switched off. Confirm the destination’s requirements and preview the output there.
