Notion then lets you upload a local file, embed an image URL, or choose an Unsplash photo. For a database record, use its Files & media property or place the image in the record’s page body.
This guide covers each route, image controls, database placement, supported formats, size caveats, troubleshooting, and a way to create a clean screenshot without configuring a browser.
Add an image to a regular Notion page
- Open the target page and click an empty line where the image should appear.
- Use one of these insertion methods:
- Drag an image file from your computer onto the page.
- Click the + in the left margin and select Image.
- Type
/image, then press Enter.
- Choose the source in the image block: Upload for a local file, Embed link (or the URL option) for an online image, or Unsplash for a stock photo.
- Wait for the block to finish loading. The image appears where the cursor was placed and can be moved like other Notion blocks.
Notion documents these insertion paths in its Images, files & media help page. Drag-and-drop is usually the quickest choice for a file already on your computer; the slash command and plus menu make the available sources explicit.
Choose the right image source

Add an image to a Notion database
Use a Files & media property
- Open the database and add (or select) a Files & media property.
- Open the relevant record and upload an image into that property. You can also drag a file into a gallery card or property cell where the property is available.
- Use the property when the image should be visible as a field in table, board, gallery, or other database views.
Put the image in the record’s page body
Every database record has its own page. Open it and use drag-and-drop, the plus menu’s Image block, or /image just as you would on a normal page. This is better when the picture belongs in a longer description, project brief, or set of notes rather than in a compact property column.

Resize, move, crop, and describe the image
Move and resize
Drag the image block to reposition it. Use the side guides that appear on the block to make it wider or narrower. Repositioning changes the block’s location without changing the original file.
Crop and align
Open the image block menu for cropping and alignment controls. Cropping changes what is shown in the block; it does not require you to edit the source file first.
Add a caption and alt text
The image controls include a caption field and an alt-text option. Use a concise caption when surrounding text needs context, and describe the meaningful content in alt text so someone using assistive technology can understand the image’s purpose.

The block menu also provides downloading and full-screen viewing. These controls are useful when a collaborator needs the original inserted asset or a larger view without changing the page layout.

Supported image formats and upload-size caveat
Notion’s supported-file list includes HEIC, ICO, JPEG, JPG, PNG, TIF, TIFF, GIF, SVG, and WEBP. The same help page lists other media and document formats separately; those are not image formats.
Notion’s published size guidance is internally inconsistent, so do not treat one number as a universal current limit. Its note says paid-plan PDFs must be under 20 MB and PNG/JPG images under 5 MB, while a later FAQ says paid-plan files may be up to 5 GB each. It separately says Free Plan uploads must be under 5 MB. Check the current in-product guidance for your workspace before relying on a limit, especially for a large image.

If an image is too large to display, Notion suggests uploading it as a file instead. That preserves the asset for download when displaying it as an image block is not practical.
Troubleshoot images that fail to upload or display
The upload is rejected immediately
- Confirm the extension is one of Notion’s supported image types.
- Try uploading the file again; a transient upload failure can clear on a second attempt.
- If the file is very large, upload it as a file rather than an image block, as Notion recommends for images that are too large to display.
- For Free Plan workspaces, check the documented under-5-MB condition. For paid plans, verify the live limit because Notion’s page presents conflicting figures.
An embedded URL shows a blank or broken image
- Open the image URL in a browser and confirm it is still available.
- Check whether the host requires a login, a token, or a permission that Notion cannot use. External accessibility and permissions affect whether Notion can retrieve embedded media.
- If the host blocks automated retrieval or the URL expires, download the image and use Upload instead.
Many images produce an image-loading error
Notion warns that loading many images at once can trigger an image-loading error. Put some images inside toggles, remove images that are no longer needed, or split a crowded page into smaller sections. Its troubleshooting guidance is available at Can’t upload or view a file in Notion.
Only some collaborators can see the image
Review the page and source-file permissions. A permission problem or an expired permission can prevent someone from viewing the asset even when the block exists for you. For an external URL, make sure the host permits the intended viewers or replace the embed with an uploaded copy.

A practical checklist
- Place the cursor on a new line in the correct page or database record.
- Choose drag-and-drop,
/image, or the plus menu. - Select upload, URL, or Unsplash according to where the image comes from.
- For database views, decide whether the image belongs in Files & media or the page body.
- Resize, crop, align, caption, and add alt text from the image block controls.
- Check format, permissions, and current size guidance if the image fails.
Frequently Asked Questions
Can I embed an image from a private URL?
Only if Notion can retrieve it with the permissions available to the service. If the URL requires a login, token, or permission Notion cannot use, download the image and upload a local copy instead.
Where should a cover-style image go in a database item?
Use the Files & media property when the image should behave like a database field across views. Use the record’s page body when it belongs alongside that item’s notes or other content.
