How to Add and Manage Events on a WordPress Site

The practical way to add events to WordPress is to install a maintained event plugin, enter each event’s schedule and location, publish it, and place the plugin’s calendar or event list on a page. Choose a custom post type instead when your events need fields, templates, permissions, or queries that packaged plugins cannot provide. The steps below cover one-time and recurring events, venues, online meetings, registration, tickets, exports, maintenance, and troubleshooting.

Choose how your WordPress site will represent events

Decide on the content model before entering a large schedule. Your choice affects administration, templates, search, recurring dates, registration, and what happens if you later change themes.

Use a dedicated event plugin

An event plugin adds event-specific fields and workflows to WordPress. Depending on the product, those fields can include start and end dates, times, timezones, venues, online URLs, organizers, categories, ticket types, capacity, booking status, reminders, and check-in. Plugins also commonly supply a calendar, upcoming-events list, block, widget, shortcode, or feed.

This is the best route for a site team that wants to publish events without developing a data model and front-end templates. Check the plugin’s current WordPress and PHP requirements, documentation, maintenance activity, and the boundary between free and paid features before installing it.

Build a custom event post type

A custom post type is preferable when an organization has an unusual event workflow or needs complete control over fields, templates, permissions, and queries. WordPress Developer Resources explains that once a custom post type is registered, it receives a new top-level administration screen for managing and creating posts of that type.

Keep the post type and its event data in a plugin rather than in the theme. WordPress Developer Resources recommends this arrangement so the event content remains portable when the theme changes. A developer can then define the fields, archive and single-event templates, taxonomies, REST or feed behavior, and administrative permissions that your workflow requires.

Compare the two approaches

Requirement Dedicated plugin Custom post type
Fast setup Usually the quickest option; event fields and display tools are supplied. Requires development of fields, screens, templates, and queries.
Recurring schedules Choose a plugin that documents recurring series, complex rules, or timeslots. Build the recurrence data model and the logic that expands or displays occurrences.
Venues and online locations Use a plugin that supports physical and online locations. Define location fields and their front-end presentation yourself.
Registration and tickets Capabilities vary; documented options may include ticket types, quantities, capacity, waitlists, booking status, reminders, and QR check-in. Registration, payment, email, capacity, and check-in workflows must be designed and implemented.
Display and distribution Blocks, widgets, shortcodes, iCal, RSS, and add-to-calendar links may be available. Build the calendar, lists, feeds, and export integrations you need.
Developer control Limited to the plugin’s data model, hooks, templates, and documented extensions. Maximum control over fields, permissions, templates, queries, and integrations.
Theme changes Event content generally remains in the plugin’s data store, but display customization can depend on the plugin. Content remains portable when the post type is registered in a plugin, not a theme.

Prepare the site before entering an event

  1. Back up the site. Keep a restorable copy of the database and files before installing a plugin or changing event data.
  2. Check compatibility. Confirm the selected plugin’s current WordPress and PHP requirements, supported editor, and any required extensions. Requirements and premium feature boundaries can change, so use the plugin’s current listing and documentation.
  3. Choose a timezone policy. Set the site timezone in Settings > General, then decide whether events should use the site timezone or an event-specific timezone. Tell attendees which timezone appears in listings and confirmation messages.
  4. Plan your taxonomies. Decide which categories visitors will use, such as workshops, performances, webinars, or community meetings. Keep the list short enough to remain useful.
  5. Collect consistent event information. Prepare the public title, description, start and end times, venue or online URL, organizer details, featured image, accessibility information, registration instructions, cancellation policy, and contact address.

Install and configure an event plugin

  1. Sign in with an administrator account and open Plugins > Add New.
  2. Search for a maintained event plugin, read its current requirements and documentation, then select Install Now and Activate.
  3. Open the plugin’s settings. Set the event timezone behavior, date and time format, default status, permalink structure, notification address, and any calendar or booking defaults it exposes.
  4. Review the plugin’s page assignments. Some products create event, calendar, venue, booking, or account pages automatically; others ask you to select existing pages.
  5. Save the settings and create a test event before importing or entering your complete schedule. A test record makes it easier to identify a configuration problem without changing a public listing.

Create and publish your first event

The exact labels differ by plugin, but the content workflow is consistent.

  1. Open the Events screen. Use the plugin’s Events menu or its documented block-based workflow. Select Add New or the equivalent command.
  2. Write a specific title. Include the activity and, when useful, the location or audience. Avoid putting the date in the title if the same event will recur or be rescheduled.
  3. Enter the description. Put the outcome, agenda, eligibility, preparation, speaker or organizer information, and contact method in the main content. Use headings and lists so the page can be scanned on a phone.
  4. Set the start and end. Enter the date, start time, end time, and timezone. Check whether the interface distinguishes an all-day event from an event with a midnight end time.
  5. Add a location. Select or create a venue with its name, address, room, directions, and any access notes. For a virtual event, select the online-location option and enter the meeting or streaming URL in the field intended for attendees.
  6. Choose a category. Apply the category that matches your navigation and filters. Add only categories that help visitors find the event.
  7. Add the featured image and organizer details. Use an appropriately sized image with meaningful alternative text. Enter the organizer name, email, phone number, or website only where the plugin and your privacy policy allow it.
  8. Save a draft and preview it. Inspect the title, date, timezone, location, links, image, and registration call to action. Check the page at the actual public URL, not only inside the editor.
  9. Publish the event. After publication, open the public page in a private browser window. Confirm that an unauthenticated visitor can see the information they need.

Put a calendar or upcoming-events list on your site

An event record is not useful if visitors cannot find it. Create a dedicated calendar page and add a shorter upcoming-events component to relevant pages such as the home page, venue page, or organization landing page.

Use a block

If the plugin supplies a Gutenberg block, open the target page, select the block inserter, search for the plugin’s calendar or events block, and configure its date range, categories, number of items, and link behavior. Preview both the calendar and list views before publishing.

Use a widget

For a sidebar or footer list, open Appearance > Widgets or the site editor’s widget area, add the plugin’s events widget, select the number of upcoming items and any category filter, and save. Keep the list short enough that it does not overwhelm the page.

Use a shortcode

When the plugin documents shortcodes, paste the exact shortcode into a Shortcode block or the editor area specified by the plugin. The Event Management listing documents calendar and event-list shortcodes; test the generated markup after changing themes or caching settings.

Set useful archives and navigation

Link the calendar from the primary navigation, include category filters where they help, and make each item open its full event page. Verify that past events are either clearly separated, automatically archived, or intentionally retained for reference.

Handle recurring events and timeslots

Do not copy and paste a recurring event unless each occurrence genuinely needs independent content. A recurrence rule keeps a series consistent and makes later schedule changes easier.

Define the recurrence rule

Choose the interval, such as weekly or monthly, then set the end date or number of occurrences. Add exceptions for holidays, cancellations, or one-off changes if the plugin supports them. Event Organiser documents complex recurring schedules, while Events Manager documents recurring series and timeslots.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Decide between a series and separate occurrences

  • Use a series when the description, venue, organizer, and registration policy are shared.
  • Use separate events when capacity, ticket price, speaker, venue, or registration must differ by date.
  • Check how the plugin exposes individual occurrences in search results, feeds, calendar exports, and confirmation emails.

Check daylight-saving and timezone transitions

Review at least one occurrence around a daylight-saving change or a timezone boundary when your schedule spans regions. Confirm that the displayed local time, exported calendar entry, and booking confirmation agree.

Add physical venues and online locations

For an in-person event, store the venue name separately from the address so the same venue can be reused. Include building, room, entrance, parking, transit, and accessibility notes in the public description when attendees need them.

For an online event, label the event as online, explain the platform and access requirements, and provide the joining URL through the plugin’s online-location field or the protected confirmation message. Do not publish a private meeting link before you have decided whether it should be visible to everyone, registrants only, or staff.

Events Manager documents support for physical and online locations. Event Organiser documents venue support. Confirm the current behavior of whichever plugin you choose, especially for map links, repeated venues, and online access controls.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Configure registration, tickets, and attendance

Registration is a separate workflow from publishing an event page. Configure it only after deciding who may register, what information is necessary, how many places exist, and what happens when the event is full or cancelled.

Set the booking model

  1. Enable bookings or registration for the event.
  2. Create the ticket types or booking options supported by the plugin, such as general admission, member, or timed slot.
  3. Set quantities, per-person limits, booking opening and closing dates, and the event capacity when those controls are available.
  4. Choose the booking status shown to visitors, such as open, closed, pending, or full.
  5. Write the confirmation, reminder, cancellation, and waitlist messages supplied by the plugin.

Event Management documents ticket types, quantities, booking status, reminders, and QR check-in. Events Manager documents bookings, ticketing, capacity, and waitlists in its feature description. These capabilities are plugin-specific; do not assume that a particular plugin processes payments, supports a waitlist, or provides check-in unless its current documentation says so.

Keep the attendee journey clear

Place one prominent registration button on the event page. State whether a booking is free or paid, what confirmation the visitor receives, the cancellation deadline, and how to contact the organizer. If payment is required, verify the payment provider, currency, receipts, refunds, taxes, and privacy obligations separately; they are not guaranteed by an event calendar alone.

Prepare check-in

Before the event, export or view the attendee list using the plugin’s documented tools. If QR check-in is available, assign staff, test the scanner with a non-production booking, and prepare a manual lookup process for visitors whose confirmation cannot be scanned.

Manage published events day to day

Edit without losing the public link

Update the existing event record when the date, speaker, venue, or instructions change. Avoid deleting and recreating an event unless you have checked the effect on its URL, registrations, calendar exports, and email confirmations.

Use statuses deliberately

Use draft for work that is not ready, scheduled for content that should publish later, published for an open public listing, and a documented cancellation or closure status when the plugin provides one. Put the change and the next action in the event description so visitors do not mistake an old listing for an active booking opportunity.

Maintain categories, venues, and organizers

Periodically remove duplicate categories, correct venue addresses, and update organizer contact details. A shared venue or organizer record can affect many events, so review which listings will change before saving it.

Control past events

Decide whether past events should remain public for recordings, recaps, or proof of activity. If they remain visible, mark them as past and disable new registration. If they should disappear, use the plugin’s archive or expiry behavior rather than manually removing pages one at a time.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Support on Ko-Fi

Help visitors save and distribute events

Distribution features determine whether visitors can find an event outside your site and add it to their own schedule. Events Manager documents iCal, RSS, and add-to-calendar buttons; other plugins may expose different combinations.

  • iCal or calendar export: lets a visitor save the date and time to a compatible calendar application.
  • RSS: provides a machine-readable stream for subscribers and other site features.
  • Add-to-calendar links: place a clear control near the date, timezone, and location.
  • Widgets and blocks: surface upcoming events without duplicating event content manually.
  • Shortcodes: allow a documented calendar or filtered list to appear in pages where a block is unavailable.

Test each output after editing an event. A stale feed, incorrect timezone, or missing end time can be more damaging than a missing display component because visitors may save the wrong appointment.

Build a custom event post type when a plugin is not enough

A developer-led implementation should begin with a written data model. List every field, whether it is required, which users may edit it, how occurrences are represented, and which public views need to query it.

Define the editorial model

  • Core fields: title, description, start, end, timezone, status, featured image, and organizer.
  • Location fields: venue reference, address, room, online URL, access notes, and map information if required.
  • Classification: categories, audience, event type, and any filters used in navigation.
  • Attendance: capacity, booking state, ticket options, confirmation state, and check-in data.
  • Distribution: archive URL, calendar export, RSS representation, and add-to-calendar output.

Keep content independent of the theme

Register the custom post type in a plugin, as recommended by WordPress Developer Resources. Build templates in a way that allows the active theme to present the records without owning the records themselves. This protects event content during a redesign and lets administrators continue managing events from their dedicated top-level screen.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Plan recurrence before coding

Choose whether one record stores a recurrence rule, whether each occurrence receives its own record, and how exceptions are represented. Include this decision in search, feeds, booking capacity, exports, and cancellation handling; recurrence is not only a display problem.

Test the complete visitor and staff paths

Testing is editorial guidance rather than a claim that any particular plugin has been independently tested. Use a non-production or test booking account where possible.

  1. Open the public calendar on desktop and mobile.
  2. Open the event page from the calendar, list, navigation, and any widget.
  3. Verify the title, description, image alternative text, date, end time, timezone, venue or online URL, organizer, and category.
  4. Register with a test account. Confirm capacity behavior, ticket selection, booking status, confirmation message, and confirmation email.
  5. Test cancellation according to the published policy and verify the resulting attendee status.
  6. Export the event to a calendar and compare its start, end, timezone, title, and location with the page.
  7. For recurring events, inspect the first, middle, final, and any exception occurrence.
  8. For check-in, test the QR code or attendee lookup and keep a manual fallback.
  9. Repeat the review after enabling caching, changing the theme, or updating the plugin.

Troubleshoot common event problems

Symptom Likely checks and corrective action
The event is missing from the calendar Confirm it is published, its date falls inside the calendar’s range, its category is not filtered out, and the calendar page uses the plugin’s current block, widget, or shortcode.
The displayed time is wrong Compare the site timezone, event timezone, daylight-saving rules, browser display, confirmation email, and calendar export. Correct the source event rather than only changing the list format.
A recurring series has unexpected dates Review the interval, end condition, exceptions, and timeslot settings. Check whether the plugin treats the series timezone differently from the site timezone.
Visitors can see an event but cannot register Check booking status, opening and closing dates, capacity, ticket quantity, required fields, and whether the registration form is assigned to the correct event.
A confirmation email does not arrive Check the event’s notification settings, recipient address, spam folder, site mail configuration, and whether the test booking reached a confirmed status.
The venue or online link is unclear Separate the venue name from address details, label online events plainly, and place access instructions in the location field or confirmation message used by the plugin.
The calendar looks broken after a theme change Check the plugin’s assigned pages, block or shortcode markup, CSS conflicts, responsive layout, and any template overrides supplied by the old theme.
Old events still accept bookings Disable registration, set an appropriate past or closed status, and verify that archived listings no longer show the booking control.

Review accessibility, privacy, and maintenance responsibilities

An event plugin does not automatically guarantee accessibility compliance or a privacy-complete registration process. Use clear headings, descriptive link text, keyboard-accessible controls, readable contrast, captions or transcripts where relevant, and plain-language instructions. Confirm that forms collect only necessary information and that the site’s privacy notice explains storage, email, exports, and deletion requests.

Keep WordPress, the event plugin, and related extensions updated according to a maintenance plan. Read release notes before updating a live booking system, keep backups, and repeat the visitor-path tests after updates. Feature sets, premium boundaries, requirements, prices, and maintenance status can change, so verify them on the current plugin listing rather than relying on an old tutorial.

Use this decision framework

If your priority is… Start with… Confirm before committing
A simple public calendar and list A dedicated event plugin Calendar/list display, categories, responsive output, and the editor you use.
Complex recurring schedules A plugin that explicitly documents recurrence or a custom model Exceptions, timeslots, timezone handling, and occurrence-level links.
Venues plus online meetings A plugin with both location types Reusable venues, online access visibility, and location output in exports.
Registration, tickets, and attendance limits A plugin whose documentation lists those exact functions Ticket quantities, capacity, waitlists, confirmation, cancellation, and check-in.
Highly specialized fields and permissions A custom post type registered in a plugin Developer availability, migration plan, templates, queries, and support ownership.
Long-term content portability Either approach with data kept outside the theme Export options, documented storage, and what remains after disabling the plugin.

What a reliable event workflow looks like

For most organizations, install a maintained event plugin, set the site’s timezone and calendar pages, create one carefully reviewed event, and test its public and booking paths before entering the rest of the schedule. Use documented recurrence, venue, registration, and export features rather than assuming they exist. If the available data model cannot express your workflow, register a custom post type in a plugin and design the fields, permissions, templates, queries, and attendee processes deliberately.
