Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errorsUse both synchronized captions and a separately published transcript. Captions follow the video’s timing and include every spoken line plus meaningful sounds. The transcript gives viewers a text version they can read, search, copy, or navigate outside the player; for science content it should also explain essential information that appears only in charts, diagrams, labels, or demonstrations. Keep background music low enough to distinguish the narration, then check scientific terms, units, timing, and visual descriptions manually.
Captions and transcripts do different jobs
Captions are a timed representation of the soundtrack. They display dialogue when it is spoken and identify non-speech audio when that sound matters to understanding the program. A transcript is a text document or web page published with the video. It can be read at the viewer’s pace, searched, copied into notes, or used when the player is inconvenient.

| Resource | What it contains | How viewers use it |
|---|---|---|
| Captions | Timed dialogue, speaker changes, and meaningful sound or music cues | Follow the explanation while watching; turn on or off in the player |
| Transcript | Full spoken text, useful speaker labels, and descriptions of essential visual information | Read, search, review, quote, or navigate without relying on synchronized playback |
| Audio description | Spoken descriptions of important visual information that ordinary narration does not communicate | Understand charts, demonstrations, actions, and on-screen text through an audio track |
A caption file can be a starting point for a transcript, but it is not automatically a complete transcript. Remove or adapt timestamps for a plain reading version, preserve helpful structure, and add visual details that cannot fit naturally into caption text.

Decorative background music
Music does not need a caption every time it plays merely because it is audible. W3C Web Accessibility Initiative planning guidance gives background music as an example where captions are unnecessary when it is the only sound and carries no information. In a narrated science video, a continuous, non-descriptive music bed can therefore remain uncued while the spoken explanation is captioned.

Music or sound that conveys information
Identify a sound when a viewer needs it to understand the program. Examples include a warning tone before a hazardous experiment, a machine alarm that explains a result, a rhythmic pulse used to represent a measurement, or a song lyric that carries part of the lesson. Use a consistent, concise label such as [alarm sounds], [rapid pulse], or [music with lyrics: “…”]. Do not add an uninformative [music] cue every few seconds; that creates clutter without adding meaning.
Set a safe mix before captioning
Correcting the audio mix first makes the captions more useful and improves the experience for everyone. W3C WAI production guidance recommends setting background sounds at least 20 decibels below foreground speech, except for occasional sounds lasting only one or two seconds. This is a WAI recommendation associated with its WCAG AAA guidance, not a universal legal limit for every publisher or jurisdiction. Use it as a production target, then listen on ordinary speakers and headphones.
W3C’s wording is direct: “When the main audio is a person speaking and you have background music, set the levels so people with hearing or cognitive disabilities can easily distinguish the speaking from the background.” Avoid irritating or distracting effects, duck the music whenever narration starts, and check transitions so a musical sting does not cover a key word.

Clear out junk files and repair common Windows errorsFree Scan →Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Repair Windows errors before they cause bigger problemsFix Now →Inventory the video before editing
Write down what the media actually contains before opening a caption editor. Accessibility requirements differ for prerecorded and live media, and for audio-only, video-only, and synchronized video with audio. Your inventory also prevents a transcript from silently omitting a critical chart or demonstration.
- Format: prerecorded, live, or a recording of a live event.
- Sound: narration, interviews, multiple speakers, music, effects, alarms, silence, or overlapping voices.
- Visual evidence: chart axes and values, equations, specimen names, labels, procedural steps, color changes, demonstrations, and text shown briefly on screen.
- Audience needs: scientific vocabulary, multiple languages, reading speed, and whether viewers will use a keyboard or screen reader.
- Delivery: the player or platform that will host captions, and the page or document where the transcript will live.
Watch once without pausing and note every point where the narration says “as you can see,” “this label,” or “the red line.” Those phrases signal information that may be unavailable to someone who cannot see the frame or who is listening without the video.

Make the narration carry essential science
Replace visual references with spoken facts
If the result matters, say the result. Instead of “As you can see on this chart,” narrate the axes, the comparison, and the trend: “The horizontal axis shows elapsed time in minutes; the vertical axis shows temperature in degrees Celsius. The treated sample rises from 20°C to 34°C over ten minutes, while the control remains near 21°C.” The exact wording should match the values shown on screen.
Explain demonstrations and procedures
State actions that affect interpretation: which solution is added, the order of steps, the color or state change, and the observation that supports the conclusion. A viewer should not have to infer that a hand moved a valve, a sample was heated, or a measurement appeared on a display.
Read essential on-screen text
Include specimen names, units, warnings, equations, and short labels when they are necessary to follow the argument. You do not need to read decorative branding or repeat a paragraph that the narrator already delivers verbatim. When a visual contains too much detail to narrate naturally, provide a descriptive transcript and consider an audio-description track.
Create synchronized captions
- Choose a timed-caption workflow. Use the hosting platform’s caption editor or an authoring tool that exports a standard timed-text format accepted by your player. Keep an editable master so corrections can be made without starting over.
- Generate a draft, then listen against the original. Automatic speech recognition can accelerate the first pass, but it commonly mishears names, Greek letters, abbreviations, chemical formulas, decimal values, and units. Never publish an unreviewed automatic file for technical science content.
- Transcribe every spoken line. Include introductions, quotations, questions, corrections, and words spoken while a slide is visible. Do not summarize dialogue in the caption track.
- Mark speakers clearly. Use a consistent label when more than one person speaks, for example Dr. Lee: and Student:. If the picture makes the speaker obvious, labels may be unnecessary, but remain consistent when voices alternate off camera.
- Add meaningful sound cues. Identify information-bearing alarms, impacts, or music lyrics. Keep labels brief and place them at the time the sound occurs.
- Synchronize in and out times. Captions should appear with the words, disappear when the speech ends, and not cover a later statement. Split long sentences at natural pauses rather than cutting through a unit, name, or equation.
- Check reading comfort. Keep lines short enough to scan, avoid covering essential diagrams, and leave each caption on screen long enough to read. Review fast exchanges and dense terminology frame by frame.
- Preview on the real player. Confirm that line breaks, speaker labels, italics, symbols, and special characters survive import. Test the caption toggle with keyboard controls as well as a mouse or touch screen.
Accuracy, synchronization, completeness, and readability are separate checks. A perfectly timed caption with the wrong species name is still wrong; a verbatim transcript that appears several seconds late is still inaccessible.
Build a descriptive transcript
Start with the caption text
Export the corrected caption text or copy it into an accessible page. Remove timestamps when the goal is a conventional reading transcript, but retain speaker labels and meaningful sound cues when they clarify the conversation.

Add visual information captions cannot carry
Insert short descriptions at the point where they matter. For example:
- [Chart: The horizontal axis is time from 0 to 10 minutes. The blue treatment line climbs from 20°C to 34°C; the gray control line stays near 21°C.]
- [Close-up of a leaf. Pale spots spread from the lower edge toward the center.]
- [On-screen equation: F = ma. “F” is force in newtons, “m” is mass in kilograms, and “a” is acceleration in meters per second squared.]
Descriptions should communicate the information, not merely announce that a graphic exists. “A graph appears” is not enough if the conclusion depends on its slope or values.
Keep the transcript navigable
Use real headings for chapters or experiments, lists for procedures, and a table when the video compares samples or conditions. Preserve the order in which information is introduced. An interactive transcript can highlight phrases as they are spoken; W3C describes this as a way to help viewers locate and follow sections. If your player supports links from transcript lines to playback times, make those links keyboard accessible and give them descriptive names.
Publish the transcript beside the video
- Place a visible link near the player. Label it “Read transcript” or “Open descriptive transcript,” not a vague phrase such as “Click here.”
- Use an accessible format. A properly structured HTML page is usually easiest to search and works with screen readers. An accessible document can also work when a page is not practical.
- Keep versions together. If the video changes, update the caption file and transcript at the same time. Display a revision date or version identifier when a lesson is used in a course or laboratory record.
- Expose player controls. Caption selection should be easy to find. For federal information and communications technology, Section508.gov describes caption and audio-description controls at the same menu level as volume or program selection.
- Test without sound and without sight. Turn audio off and follow the captions; then use the transcript without watching. If a required result disappears in either test, revise the narration, transcript, or audio description.
Section508.gov summarizes the timing relationship this way: “The text and the speech or sound that the text describes must appear at the same time.” That principle applies whether captions are embedded in the video or supplied as a selectable track.
Choose an in-house or outsourced workflow
There is no single best production arrangement. W3C notes that transcription can take considerable time without suitable skills and software, and many organizations outsource some or all of the work. Compare a workflow on the needs of the specific science program rather than on a promised speed alone.

Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Quality-control checklist for a finished video
- Every spoken word appears in the captions, including names, numbers, units, and corrections.
- Captions start and end with the corresponding speech and remain readable during quick exchanges.
- Speaker labels are consistent and meaningful sound cues appear only when they add information.
- Music never masks narration; the mix is tested on headphones, laptop speakers, and a phone.
- Charts, diagrams, labels, equations, color changes, and procedural actions that matter are spoken or described.
- The transcript follows the same order as the video and includes visual descriptions unavailable from the audio alone.
- Scientific spelling, capitalization, symbols, decimal separators, and units have been checked against the script or source material.
- The player exposes caption controls, and the transcript link is visible and keyboard reachable.
- The caption file imports correctly after publishing; special characters and line breaks have not changed.
- The captioned video and transcript are revised together when the underlying lesson changes.
Troubleshoot common failures
Automatic captions confuse technical words
Search the draft for every proper noun, abbreviation, formula, measurement, and unit. Listen to the surrounding sentence, check the presenter’s script or slide deck, and replace the machine output. Add a glossary for future episodes, but still review each occurrence because context can change pronunciation.
Captions are correct but hard to follow
Check timing first, then line breaks. Split at punctuation or a natural phrase boundary, keep a speaker’s thought together, and avoid placing a new caption over a diagram or label that viewers must read. Preview the fastest section repeatedly rather than judging readability from a paused frame.
The transcript repeats the captions but omits the experiment
Compare the transcript with the images, not only with the audio. Add the observation, sequence, chart trend, or on-screen wording that the narrator did not say. If the visual cannot be described briefly without interrupting the lesson, provide an audio-description track as well as the descriptive transcript.

Music competes with speech
Lower the music under narration, remove frequency-heavy elements that mask consonants, and check every transition. The 20-decibel WAI recommendation is a useful target for sustained background sound, while short effects should still be judged by whether they obscure a word or carry information.

A live event cannot be edited in advance
Plan for live captioning separately from a prerecorded workflow. Provide presenters’ names, slides, terminology, and likely questions to the captioner, then produce a corrected transcript from the recording afterward. Do not claim that a prerecorded-video process alone satisfies a live-media requirement.
Understand standards and legal scope
W3C WAI’s media guidance separates prerecorded from live content and distinguishes audio-only, video-only, and synchronized video with audio. Its transcript resource describes captions for prerecorded video with audio as a Level A requirement and transcripts for synchronized media as Level AAA within that WCAG framing; its planning material also identifies audio description when important visual information is not already in the audio. These labels belong to the named WCAG guidance and should not be generalized into a promise of legal compliance.
Section508.gov presents captioning and audio description in the context of federal information and communications technology. A school, laboratory, broadcaster, platform, or public agency may have additional rules. Check the WCAG version, conformance level, jurisdiction, contract, and institutional policy that actually govern your publication. General guidance cannot certify a particular video.
