Place an existing signature in Preview
Preview’s Markup tools let you add a previously captured signature to a PDF without installing another signing application. The signature is inserted as an annotation that you can position and size on the page.

- Open the PDF in Preview on your Mac.
- Look for the Markup controls. If they are hidden, choose Show Markup Toolbar.
- Click Sign in the Markup toolbar. (The control is represented by a signature icon in Preview.)
- Select the saved signature you want from the list.
- Move the pointer over the signature, press and hold, and drag it to the signature line or other required location.
- Use the handles around the annotation to make it larger or smaller. Keep its proportions visually natural and check that it does not cover nearby text, checkboxes, dates, or initials fields.
- Save the PDF from Preview when the placement is correct. Apple’s placement instructions do not specify a dedicated save-key shortcut, so use Preview’s normal save command or menu.
If the PDF contains several pages, scroll to the page that needs the signature before dragging it. You can repeat the Sign process for additional signature fields, provided the form allows separate annotations.
What you need before starting
- A Mac with Preview and the PDF file stored locally or in a location Preview can open.
- At least one signature already saved in Preview’s Sign menu.
- Permission to edit or save the PDF in its current folder. A file opened from a read-only location may require saving a copy elsewhere.
You do not need to purchase a signing service to place a saved Preview signature. A trackpad, Mac camera, iPhone, iPad, or Apple Pencil can be used when creating a signature, but none is required to place one that already exists.

If the Sign menu has no saved signature
Use the same Sign control to create one, then return to the PDF and select it. Preview offers three capture routes:
Trackpad
Choose the trackpad option and sign with your finger on the Mac trackpad. Follow Preview’s on-screen controls to accept or clear the result. This is useful when you want to create the signature directly on the Mac without another device.
Mac built-in camera
Choose the camera option and write your signature on white paper. Hold the paper in front of the Mac’s built-in camera so Preview can read it, then accept the captured signature. Use dark, continuous strokes and keep the paper flat and well lit so the outline is easier for the camera to detect.
Nearby iPhone or iPad
Choose the iPhone or iPad option. If more than one eligible device appears, select the one you want, sign on that device, and tap Done. Apple says this route depends on the device meeting Continuity system requirements; an iPhone or iPad that does not satisfy those requirements may not appear in the list.
After you finish any capture method, the new signature becomes available from Preview’s Sign menu. You can then follow the placement steps above. Apple’s Preview guide describes these as ways to capture a signature; it does not say that one method produces a legally stronger signature than another.

Make several saved signatures easier to identify
People sometimes keep separate signatures for different documents or use a full signature and a shorter initials mark. If you use VoiceOver, Apple says Preview can associate a description with a signature while you create it. Give each one a clear description, such as “full name” or “initials,” so you can distinguish entries in the Sign list. The description helps with identification; it does not alter the visible mark placed on the PDF.
Adjusting the annotation after placement
Move it precisely
Click the placed signature to select it, then drag from inside its bounding box. Zooming in with Preview’s normal zoom controls can make it easier to align the baseline with a printed signature line. Check the result at normal viewing size before saving, because a placement that looks aligned when highly magnified may appear too high or low on the finished page.

Drag a corner or side handle to change the annotation’s size. Keep the signature large enough to read but small enough to stay inside the designated field. If the PDF includes an instruction such as “sign within box,” treat the box as the boundary and leave surrounding labels visible.
Correct a mistaken placement
If the signature is in the wrong place, select it and drag it again before saving. If you need to start over, remove the annotation using Preview’s normal editing controls and insert the saved signature again. Save only after every field has been checked.
When a saved signature is missing
A missing entry usually means you are looking at a different Mac, a different user account, or a device where the signature was never saved. Open a PDF or image, show the Markup toolbar, and click Sign to see the signatures available on that Mac. If the list is empty, create a new signature with the trackpad, camera, or a compatible nearby iPhone or iPad.

Apple says saved signatures can be available on the user’s other Macs when iCloud Drive is turned on. For that to work, iCloud Drive must be enabled on the Mac where the signature was created and on the other Mac where you want to use it. The same Apple Account and normal iCloud synchronization conditions also need to apply. If a signature has not appeared yet, verify iCloud Drive on both Macs, allow synchronization time, and reopen the Sign menu.

iCloud availability does not mean every Mac will display identical interface labels. Apple’s guide does not provide a version-by-version list of macOS differences, so the wording or location of a control may vary by release even though the workflow remains based on Markup and Sign.
Delete a saved signature
Deleting a signature removes it from the Sign list for Markup apps on that Mac. If iCloud Drive is enabled, Apple says the deletion also applies on other Macs using iCloud Drive.
- Open a PDF or image in an app that uses Markup, such as Preview.
- Show the Markup toolbar.
- Click Sign to display saved signatures.
- Move the pointer over the signature you want to remove.
- Click the X that appears beside it.
Deletion affects the saved signature entry; it is separate from removing a signature annotation already placed in a particular PDF. If you need to preserve a mark in an existing document, save that document first and only then remove the saved entry.

Markup toolbar is not visible
Open the PDF in Preview and choose Show Markup Toolbar. The Sign control is part of Markup, so it will not be available while that toolbar is hidden. If the command is unavailable, confirm that Preview is the active app and that a PDF or image is open.

The signature will not move
Click the annotation once so its handles appear, then drag from inside the selected box rather than from a blank area of the page. If the document is still loading, wait until the page is rendered. A protected or specially constructed PDF may restrict editing; in that case, try saving a copy and opening the copy in Preview, or obtain an editable version from the document owner.
The signature looks too large or too small
Select it and use the handles to resize. Compare its height with the printed line and nearby text, not just with the page at a particular zoom level. Recheck every page after resizing because a large annotation can cover instructions or form fields.
The iPhone or iPad option does not appear
Apple states that the mobile-device method requires Continuity system requirements. Confirm that the iPhone or iPad is nearby, unlocked as needed, and eligible for Continuity, then reopen the Sign menu. If it still does not appear, create the signature with the trackpad or built-in camera instead; those routes do not depend on a nearby mobile device.
The signature is available on one Mac but not another
Check that iCloud Drive is turned on for both Macs. Apple’s cross-Mac availability statement applies when iCloud Drive is enabled on the relevant computers. If synchronization has not completed, keep both Macs connected and check the Sign menu again later. You can also capture the signature locally on the second Mac.
The PDF cannot be saved
Use Preview’s save command and choose a writable location, such as your Documents folder, if the original is read-only. If the file came from an email attachment, cloud share, or external drive, save a copy before editing. Confirm the filename and extension after saving, then reopen the copy to verify that the annotation remains.
Preview signature versus a certificate-based digital signature
Preview’s Sign feature adds a visible signature annotation to a PDF. Apple’s instructions explain how to capture, place, resize, synchronize, and delete that annotation, but they do not establish that it is a certificate-based digital signature or that it satisfies a particular jurisdiction’s electronic-signature rules.
Whether a signed PDF is acceptable depends on the recipient’s policy, the document type, and applicable law. A government form, regulated filing, employment document, or contract may require a specific identity-verification or certificate workflow. Before relying on a Preview annotation for a consequential document, ask the recipient what format and signature method it accepts. Do not assume that a visible mark created in Preview provides tamper evidence, signer authentication, or legal validity merely because it appears on the page.
Privacy and document-handling checks
- Save the signed file under a new name when you need to retain an unsigned original.
- Review every page for misplaced marks, hidden text, or accidentally covered fields before sending the document.
- Send the completed PDF through the channel required by the recipient, especially if it contains personal or financial information.
- Remember that a saved signature can be reused from the Sign menu. Delete entries you no longer want stored on the Mac, following the deletion procedure above.
These checks are document-management precautions, not additional security features supplied by Preview.

Apple Support’s current Preview guidance, consulted October 13, 2026, documents this Markup workflow and the three signature-capture methods. Interface wording can change between macOS releases, but the relevant controls remain the PDF’s Markup toolbar and Sign menu.
