To add a printer in Windows 11, connect and power on the printer, then open Start > Settings > Bluetooth & devices > Printers & scanners and select Add device. Windows usually installs a local USB printer automatically. Wi-Fi, network and Bluetooth printers must be connected or paired first. If Windows cannot find the printer, use Add a new device manually, then work through the connection and driver checks below.
Before you start
Have the printer powered on and close to the computer while you set it up. Identify how the printer should connect:
As an Amazon Associate I earn from qualifying purchases.
- USB: the printer connects directly to the PC with a compatible USB cable.
- Wi-Fi or wired network: the printer joins your home, office or other local network, and the PC discovers it over that network.
- Bluetooth: the printer pairs wirelessly with the PC over Bluetooth.
You may also need the printer’s supplied driver media or the manufacturer’s support page if Windows cannot provide a suitable driver. Keep the printer’s model name available so you select the correct software.

- Turn on the printer and wait until it finishes its startup routine. For a wireless model, connect it to the intended Wi-Fi network using the printer’s own screen or buttons and the instructions supplied with it.
- On the PC, open Start > Settings > Bluetooth & devices > Printers & scanners.
- Select Add device. Windows searches for available printers.
- When your printer appears, select it and follow the prompts. Windows downloads or selects an appropriate driver when one is available.
- After installation, open the printer’s entry in Printers & scanners and choose the available test-print option. A test page confirms that Windows can communicate with the printer and send a job.
Microsoft says that local or wired printers will usually install automatically after they are plugged into the Windows device and turned on. If the search remains empty or the listed printer is not the one you need, select Add a new device manually and use the method that matches the connection.

Install a USB printer
Connect the hardware
Use a compatible USB printer cable and connect one end to the printer and the other to the PC. The connectors must be fully seated. Turn on the printer and wait for Windows to react. If you are replacing a damaged or missing cable, use one that matches the printer’s USB socket and the PC’s available port.
Microsoft’s guidance is explicit: ensure that the USB cable is securely connected to both the printer and the computer. A loose connection can make the printer appear powered on while remaining invisible to Windows.
Let Windows install it
- Wait briefly after powering on the printer; Windows may install it without any additional action.
- If no printer appears, open Start > Settings > Bluetooth & devices > Printers & scanners.
- Select Add device and wait for the search to complete.
- Select the printer when it is listed, then print a test page from its printer settings.
Try another USB path
If Windows still does not recognize the printer, unplug the cable from the PC, reconnect both ends firmly and try a different USB port. A port on the computer can fail or may not make a reliable connection. If the printer works from another port, leave it connected there and run the add-device search again.

In Printers & scanners, select Add device, wait for the search, then choose Add a new device manually when that option appears. For a local printer, select the existing USB port in the wizard. If you have driver files supplied with the printer, choose Have Disk and point Windows to those files. You can also choose Windows Update in the driver selection screen to load Microsoft’s available printer-driver list.

Connect a Wi-Fi or network printer
Put the printer and PC on the same network
First connect the printer to the desired wireless network using the printer’s control panel or the manufacturer’s network setup instructions. The PC must be connected to that same network. Compare the network name, or SSID, shown on the PC with the one configured on the printer.
Discovery can fail when the devices are separated by different wireless networks. This is common with extenders or multiple routers that broadcast different SSIDs: the PC may have internet access while still being unable to discover a printer on another network segment.
Add the printer in Windows
- Open Start > Settings > Bluetooth & devices > Printers & scanners.
- Select Add device.
- Wait while Windows searches the local network.
- Select the correct printer and complete the prompts.
- Print a test page.
Use manual discovery when necessary
If the printer is powered on and connected to the same network but does not appear, select Add a new device manually. Follow the printer manufacturer’s network instructions for the manual option offered by your model. Remove any duplicate or old entry first if Windows already contains a disconnected installation, then repeat the add-device search.

Prepare both devices
Enable Bluetooth on the PC and on the printer. Put the devices within the printer’s normal Bluetooth range and place the printer in its pairing mode as described by its documentation. Bluetooth discovery depends on the printer actively advertising itself; simply turning on the printer may not be enough if pairing mode is separate.

Complete the Windows pairing workflow
- Open Start > Settings > Bluetooth & devices > Printers & scanners.
- Select Add device and use the Bluetooth printer-pairing workflow.
- Choose the printer when it appears and approve any pairing prompt shown on either device.
- After Windows adds it, print a test page.
If it does not appear, confirm Bluetooth remains enabled on both devices, move the printer closer to the PC and repeat pairing mode before searching again.
What to do when Windows cannot find the printer
Work through these checks in order. Stop when the printer appears and a test page prints.
1. Check power and the physical connection
- Confirm the printer is switched on and has completed startup.
- For USB, reseat both cable ends.
- Try another USB port on the PC.
- For Bluetooth, enable Bluetooth on both devices and keep them within range.
2. Check the network identity
For Wi-Fi printers, verify that the PC and printer use the same SSID. Do not assume that being connected to the same internet service means they are on the same local network. A Wi-Fi extender or a second router with a different SSID can place the devices where Windows discovery cannot reach the printer.

3. Run the Windows printer troubleshooter
On Windows 11, open the Get Help app and start the automated printer troubleshooter. Microsoft says this troubleshooter runs diagnostics and attempts to fix most printer problems. Follow each prompt, allow it to apply suggested changes, then return to Printers & scanners and try Add device again.

4. Remove and re-add the printer
If Windows shows an old, offline or incomplete entry, open Settings > Bluetooth & devices > Printers & scanners, select that printer and choose Remove. Return to the same page, select Add device (or Refresh where shown), and run discovery again. This clears a stale installation without changing the printer’s own network settings.
5. Use the manual wizard
Select Add a new device manually when automatic discovery fails. For a USB printer, choose the existing USB port. If the printer came with a driver disk or downloaded driver package, use Have Disk. If you do not have a supplied driver, choose Windows Update so Windows can load its current driver list.
6. Update Windows or the printer driver
Check Windows Update for pending updates. Also check the printer manufacturer’s support page for a current driver that matches your printer model and Windows edition. Install only the package intended for that model and connection type, then restart the PC if the installer requests it. Afterward, remove any failed printer entry and add the printer again.
7. Clear stuck jobs by restarting Print Spooler
A printer can be installed correctly yet stop responding when its queue is stuck. Microsoft documents this reset:

- Open the Windows Services management tool and locate Print Spooler.
- Stop the service.
- In File Explorer, enter
%WINDIR%system32spoolPRINTERSin the address bar. - Delete the files in that folder. These are queued print-job files, not the printer driver itself.
- Return to Services, start Print Spooler again and set its startup type to Automatic.
- Retry the print job or remove and re-add the printer if the queue remains unavailable.
8. Test and consult the printer documentation
Print a Windows test page after each major change. If the page still fails, use the printer manufacturer’s troubleshooting and driver documentation for model-specific errors, network setup screens or firmware requirements.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Manual driver choices explained
Windows Update
The Windows Update option in the manual printer wizard loads drivers from Microsoft’s available catalog. It is useful when you do not have a supplied driver package and the printer model is supported.
Have Disk
Have Disk is for a driver package supplied with the printer or obtained from the manufacturer. Browse to the folder containing the driver’s installation files and select the entry that matches the printer model.
Manufacturer support software
Use the manufacturer’s support page when Windows cannot find a compatible driver or when the printer’s network features require model-specific setup. Check the model number carefully; similar names can use different drivers.
ARM-based Windows PCs
Some ARM-based PCs cannot add printers through manufacturer-provided installer programs. Microsoft recommends using Windows’ own installation instructions instead. To check the processor architecture, open Settings > System > About and review the processor information. If the PC is ARM-based, start with Printers & scanners > Add device, use Add a new device manually when needed, and prefer the Windows driver choices over a traditional manufacturer installer that will not run on the device.
Windows 10 consideration
The same general connection ideas apply to Windows 10, although labels and menu placement can differ. Microsoft ended Windows 10 support on October 14, 2025. After that date, Microsoft no longer provides free Windows Update software updates, technical assistance or security fixes for Windows 10. If a printer setup problem occurs on an unsupported Windows 10 installation, moving the PC to a supported Windows version may be necessary before current drivers or troubleshooting tools are available.
How to confirm the installation worked
- The printer appears under Settings > Bluetooth & devices > Printers & scanners.
- Its status does not show an old or removed connection.
- A Windows test page prints successfully.
- A normal document reaches the printer and clears from the queue.
If one of these checks fails, return to the matching connection section rather than repeatedly reinstalling an unchanged setup. USB failures usually require a cable or port check; Wi-Fi failures require an SSID and network check; Bluetooth failures require pairing mode, range and Bluetooth checks; queue failures require the Print Spooler reset.
Quick Recap
As an optional shortcut for driver-related problems, Outbyte Driver Updater can scan more than 100 devices, identify outdated, corrupted or missing drivers, install official drivers, show current and recommended versions, create driver backups and restore them, and schedule scans. It runs on Windows 11, 10, 8 and 7 and offers a two-day free trial without a credit card before a subscription is required; results vary and it will not repair every printer problem.
