To accept UPI payments, ask an acquiring bank to onboard your business as a merchant, choose an acceptance method suited to how you sell, and confirm in writing where payments settle and what charges apply. Then match each payment to an invoice or order and reconcile your records against the merchant dashboard or bank statement every day. India’s Ministry of Finance described zero-MDR protections for specified merchant categories in a clarification dated 15 September 2026, but your eligibility and any separate service charges depend on your classification and provider agreement.
How to accept UPI payments as a small business
Start with a bank that provides merchant UPI acceptance. NPCI identifies the acquiring bank as the source of merchant UPI infrastructure and lists QR, intent, application-based, and collect modes. Choose a mode that fits how you sell
- In-person sales: Ask about a merchant QR for customers to scan at the counter.
- Online sales: Ask about checkout integration and whether transaction records can be matched to orders.
- Other workflows: NPCI also lists intent, application-based, and collect modes. Ask the bank how each would work with your sales process rather than assuming one is universally best.

Confirm settlement and charges before accepting payments
NPCI describes merchant settlement as immediate after customer confirmation, into either a merchant pool account or the merchant’s bank account, as set by the agreement. Check your own onboarding agreement and bank statement to establish the destination account and any settlement workflow; arrangements are not necessarily identical across providers. Ask for the applicable charges and terms in writing before choosing a setup.

Do small businesses pay fees for UPI?
There is no single fee answer that applies to every merchant. In a Ministry of Finance clarification published on 15 September 2026, the government said small merchants in the P2PM category receiving up to ₹1 lakh per month through UPI QR continue to have zero MDR on all transactions. The clarification also says payments to merchants up to ₹2,000 and transactions covered by the small-merchant zero-MDR framework remain free; it reports that approximately 96% of P2M transactions are unaffected. Those national statements do not determine the charges on your account. The acquiring bank assigns the MCC, while the stated protections refer to P2PM and other qualifying categories. Ask your bank to confirm your business’s category, whether a threshold applies to your account, how transactions are treated, and what settlement schedule and other charges apply. Ask the bank for a written fee breakdown
- Your assigned MCC and the fee treatment the bank says applies to it.
- Any applicable threshold and how the bank determines whether you meet it.
- Whether charges differ by transaction type or acceptance mode.
- Any separate provider, service, or device charges, distinguished from MDR.
- The settlement destination and schedule under your agreement.
Do not calculate a business-specific fee from a national summary alone. Your bank’s current terms are needed to establish what your business will actually be charged.

How to reconcile UPI payments each day
A customer’s screenshot or payment notification is not a substitute for checking the merchant-side status and bank credit. Keep a sales-side record that ties each UPI payment to the sale it belongs to, then compare it with the records available from your bank.

- Give every sale an invoice, order, or receipt identifier.
- Record the UPI amount, date and time, transaction reference, and success status against that identifier.
- At the end of the day, match the sales-side list against the merchant dashboard and bank credits.
- Leave any unmatched or unconfirmed payment marked as unresolved until its merchant-side status and bank credit have been checked.
- Log refunds, reversals, and disputes separately, preserving the original transaction reference and resolution status.
- Ask the acquiring bank about transaction-status questions or merchant grievances, and follow its defined refund process.

What to compare when choosing a provider
Ask each provider the same questions so you can compare the actual terms offered to your business, rather than relying on a generic claim about UPI.

Is a UPI soundbox necessary?
No evidence cited here establishes that every merchant needs a soundbox. NPCI’s June 2026 merchant QR guidelines include soundbox formats, and Bank of India describes a portable UPI QR soundbox kit that provides audio notifications of incoming UPI payments. That can make it an optional aid for noticing payment notifications at a counter; it does not replace checking transaction records and bank credits.
