How to accept UPI payments as a small business without a card machine in India (2026 guide)

Yes. A small business in India can accept in-person UPI payments without buying a card machine. The usual setup is to onboard with an acquiring bank or payment provider, complete its business verification, and display the merchant QR that provider issues. For a walk-in counter, a static QR is usually the simplest starting point. A counter stand or payment soundbox can make the QR easier to use or alerts easier to hear, but neither creates a valid merchant account or replaces onboarding.

Before accepting money, confirm the merchant name customers will see, the merchant category, any applicable MDR or provider fees, the settlement account, and when funds become available. The fee rules described below come from a Ministry of Finance announcement dated 15 September 2026 and can change, so treat your provider agreement as the operational source for your business.

Can I accept UPI without a card machine?

You do not need a point-of-sale terminal, card reader or swipe machine to take a UPI payment at a shop counter. The customer scans a merchant QR with a UPI app, enters or confirms the amount, authenticates the payment in the app and receives a success message. Your acquiring bank or payment provider records the transaction and settles it according to your merchant agreement.

NPCI describes the acquiring bank as the merchant’s route into UPI acceptance: “To enabling UPI system, merchant need to partner with the acquirer bank. Acquiring bank will provide the UPI infrastructure to merchant.” The same NPCI FAQ lists QR, intent, application-based and collect modes; QR is the most direct fit for a face-to-face counter. See the NPCI UPI FAQ.

A personal QR is not a merchant setup

Use the merchant QR issued after business onboarding. During configuration, the acquiring bank supplies merchant details, including the merchant category code (MCC). A QR connected to an employee’s or owner’s personal account does not provide that merchant configuration and can make reconciliation, refunds, tax records and customer-facing identity difficult. Ask the provider to confirm the payee name displayed in the payer’s app and the bank account that will receive settlement.

What the card machine would have done

A card terminal combines payment acceptance, a display and transaction communications in one device. With QR acceptance, those functions are split: the customer’s phone supplies the payment interface, your printed or displayed QR identifies the merchant, and the provider’s systems process the transaction. You can therefore start with a QR and add hardware only if a particular operating problem justifies its cost.

How do I get a UPI QR code for my shop?

The exact documents and approval checks differ by provider and business type. NPCI does not publish one universal document list for every merchant. Contact your business bank or a provider that onboards merchants and ask specifically for “merchant UPI QR acceptance without a POS or card terminal.” Then follow this sequence.

  1. Choose the onboarding route. Ask your existing bank, a payment provider or a payment aggregator whether it supports in-person merchant QR acceptance in your business location and category. Confirm that the account will be onboarded as a merchant rather than as a personal payee.
  2. Request the current KYC checklist. Give the provider the business and proprietor details it requests. The checklist may vary for a sole proprietor, partnership, company, trust or other structure, so do not rely on a list copied from another provider. Ask which identity, address, business-registration and bank-account proofs are required in your case.
  3. Submit the application and complete verification. Check that the legal name, trading name, address, contact number and settlement account are typed correctly. Resolve mismatches before a QR is printed; correcting a merchant profile later can require a new QR or additional review.
  4. Confirm the MCC and customer-facing name. The acquiring bank assigns the merchant category code. Ask what category has been applied and what name a customer will see after scanning. A recognizable name reduces hesitation and helps you spot a wrong account during testing.
  5. Confirm the commercial terms. Ask for the current MDR treatment, any platform or service charges, settlement schedule, refund process, dispute channel, support hours and device terms if hardware is offered. Request the terms in writing or retain the provider’s onboarding confirmation.
  6. Receive the merchant QR. The provider may supply a printed code, a downloadable file, a counter display, a dynamic-QR integration or a combination. Do not edit the encoded data. If you need a larger print, reproduce the supplied artwork without covering the code, branding or required instructions.
  7. Place it at the payment point. Position the QR where a customer can scan without leaning across a counter or handing over a phone. Avoid glare, folds, scratches and transparent overlays that make the code hard to read.
  8. Run a controlled test. Make a small payment from a separate UPI account. Check the merchant name before approval, then verify the success event in the merchant app, dashboard, SMS or bank record supplied by your provider. Confirm the amount, reference number, settlement destination and fee treatment.

A payer’s screenshot is not settlement proof. If the customer’s app says successful but your own merchant record does not show the transaction, pause the handover and use the provider’s transaction-status or support process.

Which QR option suits a small counter?

UPI QR acceptance is available in several physical and software arrangements. The official June 2026 BHIM UPI guidelines illustrate static QR, soundbox/static QR and dynamic QR designs. They do not establish a universal price for any provider or device.

Option What it does When it fits What to verify
Static merchant QR A fixed provider-issued QR remains on the counter; the customer scans and enters the amount. Low-cost, simple walk-in sales where staff can check the amount. Merchant onboarding, correct payee name, legible print and a process for confirming each payment.
Dynamic QR A QR is generated for a particular checkout flow, often carrying the amount or order reference. Businesses that want fewer amount-entry errors or have an integrated billing workflow. Whether your provider supports it, how it integrates with your billing system and what charges apply.
QR soundbox A QR display is combined with a device that can announce or alert on a payment, depending on the service. Noisy counters, queues or situations where staff cannot watch a phone continuously. Device cost, rental or subscription, network dependence, battery, support, replacement and return terms.
Acrylic or other counter stand Holds the supplied printed QR upright and visible. Improving scan angle, cleanliness and visibility at a fixed counter. That it fits the printed QR and does not cover any required code, logo or instructions.

A stand is only a display accessory. It does not generate a merchant QR, route money, verify a payment or substitute for an acquiring provider. A soundbox is likewise optional; QR acceptance can work without one.

How should the QR be displayed?

Use the artwork supplied through onboarding and follow the provider’s and NPCI’s design requirements. The June 2026 guidelines include the instruction “Scan & Pay with any UPI app,” along with rules for QR sizing and layouts for static QR, soundbox/static QR and dynamic QR. Do not crop the code, add decorative elements inside it, cover required branding or attach a personal payment handle over the merchant artwork.

  • Keep the code flat, clean and high-contrast, with enough surrounding space for phone cameras to detect it.
  • Place it at the point where the customer actually pays, not behind merchandise or at an angle that reflects overhead lights.
  • Show the merchant name or a short instruction beside it so the customer knows which business account should appear before confirming.
  • Replace a faded, torn or water-damaged print through the provider rather than trying to redraw the code.
  • If you use several counters, label them for your own reconciliation while keeping the encoded merchant information unchanged.

The canonical design and wording requirements are in NPCI’s BHIM UPI Guidelines, June 2026.

Will my business pay charges for UPI?

Do not assume that every UPI payment is free for every merchant. The Ministry of Finance announcement dated 15 September 2026 describes different treatment by transaction type, amount and merchant category. It says the following:

Policy statement Qualification
₹0 MDR on P2M transactions up to ₹2,000 This is the policy described in the 15 September 2026 Ministry announcement; confirm that your transaction and merchant category qualify.
₹0 MDR for small merchants receiving up to ₹1 lakh per month under the P2PM category through UPI QR The monthly threshold and P2PM classification are conditions, not a universal promise to every business.
0.4% MDR on specified P2M transactions above ₹2,000 Applies to the specified transactions in the announcement. Ask the provider how it maps your sales to that category.
Maximum MDR of ₹300 for transactions of ₹75,000 and above A cap stated for the specified transactions; it is not a statement that every UPI transaction incurs ₹300.
Approximately 96% of P2M transactions unaffected This is the Ministry’s estimate in that announcement, not an individual merchant guarantee.

Read the provider agreement for any separate service, rental, settlement, support or device charges. The Ministry figures are policy statements, not a quote from your acquiring bank. Recheck the dated Ministry of Finance/PIB announcement of 15 September 2026 before making a pricing or margin decision. An earlier March 2025 announcement concerned an incentive period from 1 April 2024 through 31 March 2025; it should not replace the September 2026 policy when you assess current fees.

Questions to ask before accepting the first payment

  • Is the business categorized as P2M or P2PM for this product?
  • Does the stated zero-MDR treatment depend on monthly receipts, transaction amount or another condition?
  • Are there charges unrelated to MDR, such as a soundbox rental, subscription, installation or support fee?
  • How are refunds, partial refunds and disputed transactions handled?
  • Where will the net amount appear, and what description will it have in the bank statement?

When will UPI payments reach my bank account?

Settlement timing is governed by your merchant agreement. NPCI’s FAQ says: “Merchant will receive the money immediately after customer confirms the payment into the merchant Pool bank account/ merchant bank account as per their agreement.” The qualification matters: “immediately” may mean a merchant pool or an account controlled by the provider before onward settlement to your nominated bank account.

During onboarding, obtain the exact destination account, settlement frequency, cut-off rules, holidays or exceptions, reconciliation report and contact route for a missing credit. Make a small test payment and compare the provider’s transaction record with the bank credit rather than relying only on the payer’s success screen.

How do I compare UPI payment providers?

There is no universal provider ranking or single price list established by the official sources. Compare offers against the same checklist so a low headline fee does not hide an unsuitable settlement or support model.

Comparison area Specific question Why it matters
Eligibility and onboarding Will this provider onboard your legal structure, business activity and location, and what current KYC documents are required? An attractive QR offer is useless if verification cannot be completed or the MCC is wrong.
Fee treatment What MDR category applies, what threshold conditions exist, and are there non-MDR fees? Your net receipt depends on the complete agreement, not a generic “UPI is free” message.
Settlement Which account receives funds, on what schedule, and how are weekends or holds handled? Cash-flow planning requires a predictable credit destination and timing.
QR formats Is static QR available? Is dynamic QR offered for your checkout? Can you issue replacement artwork? The simplest format may be enough now, while a growing counter may need amount-linked payments later.
Optional hardware What is the soundbox price or rental, contract term, connectivity requirement and return process? A device can improve alerts but create recurring obligations.
Support and disputes How do you report a failed, duplicated, reversed or unauthorized payment, and what evidence is required? Fast escalation protects both the sale and the customer relationship.
Customer identity What exact merchant name appears before a customer approves? A mismatched name is a warning sign and can increase abandoned payments.

How to run a static-QR counter safely

Verify every payment independently

Train staff to check the merchant-side alert, dashboard or transaction list and match the amount before handing over goods. A customer showing a screenshot, animation or notification is not enough: images can be delayed, edited or related to another transaction. If the provider supplies a reference number, record it with the sale.

Handle failed or pending payments consistently

For a pending transaction, do not ask the customer to pay repeatedly without checking the first attempt. Note the time and amount, check the merchant record, and follow the provider’s status or support workflow. If the payment is ultimately reversed, use the provider’s refund or re-collection process rather than changing the QR artwork.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Keep a reconciliation trail

At closing, compare the day’s sales record with the provider report and the bank credit. Record transaction references for unusually large payments, refunds and disputes. This is especially important when several employees use the same counter QR or when the settlement account is not the account used for day-to-day cash management.

Protect the QR and the account

  • Inspect the display regularly for stickers or overlays placed on top of the legitimate QR.
  • Restrict provider-dashboard passwords and app access to staff who need them, and remove access when roles change.
  • Never share one-time passwords, UPI PINs or bank login credentials with a customer or caller claiming to be support.
  • Remember that a merchant does not enter a UPI PIN to receive money. A request to scan a QR or approve a collect request in order to “receive” a refund is a warning sign.
  • For refunds, initiate the transaction through the provider’s documented merchant flow and give the customer the reference.

What should I do if customers cannot pay?

UPI acceptance depends on the customer’s phone, app, account, connectivity and the payment systems involved. A QR-only counter therefore needs a contingency plan. Keep cash or another accepted payment method available, and tell staff what to do when a payment is pending rather than asking the customer to leave with unpaid goods. This is operational resilience, not a claim that UPI is always unavailable.

If your business regularly serves customers who cannot use UPI, a card terminal may eventually be useful, but buying one is not a prerequisite for starting merchant QR acceptance. Reassess only after looking at actual failed-payment frequency, average ticket size, queues and the complete cost of any additional hardware.

Opening-day checklist

  1. The provider has approved the business as a merchant and supplied the QR.
  2. The merchant name shown in a test scan matches the business customers recognize.
  3. The MCC and settlement account have been confirmed.
  4. The current MDR category, thresholds and non-MDR charges are documented.
  5. The QR print is intact, readable and positioned at the counter.
  6. Staff know how to verify a merchant-side success record and transaction reference.
  7. There is a written process for pending, failed, reversed, duplicate and refund cases.
  8. Someone checks the display for tampering and checks settlement against the daily sales record.
  9. A backup payment method is available for customers who cannot complete UPI.

Bottom line

For most small walk-in businesses, the lowest-complexity route is merchant onboarding with an acquiring provider followed by a provider-issued static QR at the counter. A stand can improve visibility and a soundbox can improve payment alerts, but neither is required. Confirm the current fee category and agreement, test the customer-facing name and settlement path, and verify every payment in your own merchant records before releasing goods.
