Choose the payment route that matches your sale
UPI acceptance is not one product or one setup. The customer’s location and your sales channel determine which method is least confusing to operate.

| Route | Where the customer pays | Typical setup | Payment methods | Best fit |
|---|---|---|---|---|
| Merchant QR | At your counter, reception desk, delivery point or other face-to-face location | Merchant onboarding with a bank or payment provider, followed by a provider-issued QR displayed in print or on a stand | UPI through supported apps; exact acceptance depends on the provider | Retailers, cafés, clinics, tradespeople and other businesses collecting in person |
| Payment link | Inside a message, email or chat conversation | Create a link in a provider dashboard and send it to the customer | Provider-dependent; some links support UPI, cards and net banking | Remote services, deposits, invoices and orders taken by phone or messaging |
| Website or app checkout | On an online store or mobile app | Gateway account plus a hosted checkout, plugin, API or other integration | UPI and, where enabled, cards, net banking and other gateway methods | Merchants taking repeat online orders or managing a digital catalogue |
A simple QR display and an integrated checkout solve different problems. A QR does not create a merchant account, and a payment link is not the same as a checkout embedded in your store.

What to arrange before accepting the first payment
Select a provider and confirm eligibility
Start with a bank or payment provider that serves your business type and settlement account. The exact documents, eligibility checks and onboarding sequence vary by provider and business structure; the available material does not establish one universal document list for every Indian small business. Use the provider’s current merchant onboarding pages and agreement rather than relying on a checklist copied from another service.

Decide how you will identify each sale
Choose an order number, invoice number or customer reference before payments arrive. The reference should appear in your invoice or message so that a confirmed transaction can be matched to the correct sale. This matters most when several customers pay similar amounts on the same day.
Plan settlement and records
Ask where successful-payment and settlement reports are shown, how transaction references are presented, how refunds are requested, and when funds reach your bank account. These details are part of the merchant arrangement and can differ by payment method and provider. Do not assume that a displayed customer payment amount is the same as the amount eventually settled.
Check the live fee schedule
Confirm the rate for every method you intend to enable, whether any setup or annual fee applies, and whether an advertised rate is promotional. Keep a copy of the fee schedule and merchant terms that applied when you signed up; offers and pricing pages can change.

1. Complete merchant onboarding
Apply with your chosen bank or payment provider and complete the checks it requires. After approval, obtain the merchant QR generated for your account. The QR is the payment credential; a plastic, acrylic or printed holder is only a way to display it.
2. Place the correct QR where customers can scan it
Put the provider-issued code near the point of payment, at a height and angle that a customer can scan without moving equipment. PhonePe’s offline merchant offering describes QR stickers and standees, along with transaction tracking and business-insight tools; those are features of that provider’s service, not a guarantee that every UPI provider supplies the same materials or dashboard.

An acrylic tabletop QR stand can be useful when a counter needs a durable, visible display. Buy one only after you have a valid merchant QR, and insert the code supplied by your provider. Purchasing a stand by itself does not open a merchant account or generate a payment QR.
3. Tell the customer what to do
- Ask the customer to open a UPI app and scan the displayed merchant QR.
- Have the customer confirm the payee shown in the app before authorising payment.
- Request the transaction result or reference only as an aid; verify the payment in your merchant dashboard, app or notification channel.
- Match the confirmed amount and reference to the order before handing over goods or marking the invoice paid.
PhonePe says its offline merchant service accepts payments from major UPI apps. For another provider, verify which apps and payment methods it supports instead of assuming universal acceptance.

Compare your till, invoices or point-of-sale records with the provider’s transaction list. Investigate any amount that appears in the customer’s screenshot but not in your merchant record. Keep the provider reference with the sale so a later refund or customer query can be traced.
Collect remotely with a payment link
When a link is the right tool
A payment link lets you request money when the customer is not standing at your counter and you do not have a full online checkout. It can fit a consultation deposit, a repair estimate, a custom order or an invoice sent over messaging.
Create and send the link
- Open the payment provider’s merchant dashboard and choose its payment-link function.
- Create a link for the specific customer or order using the fields the dashboard requests.
- Copy the generated URL and send it through the channel your customer already uses, such as WhatsApp, SMS, email or chat.
- Tell the customer the amount, what the payment covers and how to contact you if the page fails to load.
- Watch for the provider’s confirmed transaction status and record its reference against the order.
PhonePe describes dashboard-created links that can be shared through WhatsApp, SMS, email and other channels, and says its links can collect UPI, card and net-banking payments without requiring a website or app. Payment modes are provider-specific. A separate Razorpay API document describes a UPI-specific payment-link route, while its mobile-app documentation describes links supporting several modes; technical API material should not be treated as a consumer setup guide.

Do not reuse a single-use link
The cited PhonePe product page describes single-use links. Treat each link as belonging to one payment request unless your provider explicitly documents a reusable, multi-payment link. Generate a fresh link for a new customer or a second instalment when the product’s terms require it.
Control the message around the link
Send the link from a business-controlled account and include an order reference in the message. Do not ask a customer to send a UPI PIN, one-time password or card security code to you. If a customer says a payment is complete, check the merchant record rather than relying solely on a screenshot or forwarded message.
Add UPI to a website or app checkout
Choose the integration level
An online merchant generally chooses among a hosted or standard checkout, a provider plugin, a dynamic QR flow, or a custom API integration. PhonePe’s gateway material lists standard checkout, dynamic QR, payment links, APIs and plugins for platforms including Shopify and WooCommerce. Confirm that your platform and technical stack are supported before committing to an integration.
Hosted checkout or plugin
- Open a merchant account with the gateway and complete its onboarding.
- Check the gateway’s current plugin or hosted-checkout documentation for your store platform.
- Install and configure the supported integration in a test environment or the platform’s designated settings area.
- Set the return, confirmation and order-status behavior required by the gateway.
- Run a low-value test and verify that the order, payment reference and settlement record agree before advertising UPI at checkout.
The exact menu names, credentials and technical steps depend on the gateway and platform version, so use the provider’s current documentation rather than applying instructions for a different integration.
Dynamic QR inside checkout
A dynamic QR is generated with transaction-specific details instead of being a permanently printed code. PhonePe says this can reduce errors caused by manually entering a virtual payment address. It belongs inside an integrated payment flow, where the order and QR are connected; it is different from taping a static merchant QR to a counter and different from sending a generic payment link.

- Please Note: To reach 10Gbps speed, keep the cable under 3.3 ft. For USB A Male to USB C adapters, try flipping the USB C connector. USB C Male to USB A adapters support bidirectional 10Gbps transfer within 3.3 ft
Custom API integration
An API can give a software team control over order creation, payment status and reconciliation, but it also creates maintenance work. Budget for credential management, webhook or callback handling, retries, failed payments and version changes. Do not copy a UPI payment-link API example into a live store without checking the provider’s authentication, environment and error-handling requirements.
Compare providers before you commit
Use the same questions for every provider so that a low headline rate does not hide an operational mismatch.
| Comparison point | Questions to ask |
|---|---|
| Customer location | Does the product cover in-person QR, remote links, online checkout, or the combination you need? |
| Setup and integration | Is onboarding dashboard-based, plugin-based, or dependent on developer work? Which of your platforms and app versions are supported? |
| Payment methods | Is the route UPI-only, or can it also accept cards, net banking and other methods? |
| Reconciliation | Can you see transaction references and settlement reports, and can you match them to your order numbers? |
| Refunds | Where are refunds initiated, what status is shown, and how will you communicate the outcome to the customer? |
| Fees and terms | What is charged on a successful transaction, which methods have different rates, and are setup, annual or promotional conditions involved? |
| Business fit | Will the workflow remain manageable for a counter seller, a remote service business or an online store as volume grows? |
Understand fees instead of relying on a headline offer
Rates are not universal across UPI providers or payment methods. PhonePe’s public gateway pricing page currently presents a limited-time free offer alongside a crossed-out 1.99% standard rate, states zero setup and annual-maintenance fees, and says a transparent per-transaction rate applies to successful payments. The page directs merchants to method-specific fee details and terms. It does not establish the exact conditions of the offer or the post-offer rate for every merchant, so review the live schedule and your merchant agreement before signing up: PhonePe payment gateway pricing and fees.
| Cost item | What to verify |
|---|---|
| Successful transaction rate | Whether the percentage or fixed amount differs for UPI, cards, net banking or other methods |
| Promotional pricing | Start and end dates, eligibility, exclusions and the rate after the promotion |
| Setup fee | Whether onboarding or integration carries a one-time charge |
| Annual maintenance | Whether a recurring account or service fee applies |
| Settlement and refunds | Any method-specific conditions shown in the agreement or fee schedule |
Record the date on which you checked pricing. If your business accepts several methods, calculate the cost for the actual mix rather than assuming one UPI rate applies to every checkout.

Build a reliable payment and refund record
Use one reference from order to settlement
Put the same order or invoice number in your internal record, the payment request and the provider dashboard wherever the product allows it. Store the provider transaction reference alongside that number. This makes it possible to distinguish two payments of the same amount.

Separate payment status from settlement status
A customer can receive a payment result while your business still needs to check the merchant-side status and eventual settlement. Mark an order as paid only after the provider confirms it. Then reconcile the settlement report with your bank statement according to the provider’s schedule.
Document refunds and partial adjustments
Keep the original transaction reference with every refund request and note the amount, date and customer communication. The provider’s dashboard and agreement determine the available refund controls and any timing or fee conditions; do not promise an instant refund unless the provider documents that outcome.
Fix common UPI acceptance problems
The QR will not scan
- Clean or replace a damaged print and remove glare from a plastic sleeve.
- Check that the entire code is visible and not covered by a price label.
- Try another UPI app to separate a display problem from an app-specific issue.
- If the code points to the wrong payee, take it out of service and obtain a corrected merchant QR from the provider.
The customer says payment succeeded, but you cannot see it
- Ask for the transaction reference and exact amount, but do not treat a screenshot as final proof.
- Refresh the merchant dashboard or app and check the correct account and date range.
- Do not collect a second payment until you understand whether the first is pending, failed or completed.
- Contact the provider through its merchant support route with the reference if the status remains unresolved.
A payment link is not opening or has expired
- Confirm that the customer received the complete URL without punctuation added by the messaging app.
- Generate a new link if the provider documents the original as single-use or expired.
- Check whether the requested payment method is enabled for that link product.
- Use a different channel, such as email instead of SMS, while keeping the same order reference.
The checkout order remains unpaid
- Check the gateway’s order status and callback or webhook record before changing the order manually.
- Confirm that the plugin, API credentials and return URLs match the gateway’s current documentation.
- Test a new order in the supported test or low-value workflow before retrying a customer’s purchase.
- Keep the customer informed and avoid asking for repeated payment while the original transaction is being investigated.
What a provider milestone does—and does not—tell you
PhonePe announced that it had passed more than 50 million lifetime registered merchants across India on 28 April 2026. That is a PhonePe company figure, not an independent count of all Indian UPI merchants. The announcement quotes Yuvraj Singh Shekhawat, Chief Business Officer, Merchant Business, saying: “Reaching 50 million merchants is a significant milestone in our effort to make financial services more accessible to merchants across India.” Read the announcement here: PhonePe reaches 50 million registered merchants across India. Use such figures to understand a provider’s stated scale, not to estimate the size of the entire UPI market.
A practical decision checklist
- Sell mainly face to face? Obtain a provider-issued merchant QR and display it securely at the counter.
- Take orders by phone or message? Use a separate payment link for each request when the provider describes links as single-use.
- Run a website or app? Compare hosted checkout, plugins, dynamic QR and API support for your platform.
- Need cards or net banking as well as UPI? Confirm those methods are enabled for the exact product you are buying.
- Before launch, test payment confirmation, order matching, settlement reporting and refund handling.
- Recheck the current fee schedule, promotional end date, setup charges and annual fees before accepting regular volume.
The shortest reliable path is to start with the simplest route that matches your sales channel, then add links or integrated checkout only when the business needs remote or online orders. Keep the QR, link and checkout records tied to your own order references, and make every pricing and settlement assumption against the provider’s current terms.
