1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problemsTo accept UPI, your business must be onboarded by a bank or other merchant-acquiring provider. The provider completes its KYC and risk checks, assigns a merchant identifier, configures your merchant details and account, and issues the acceptance method you choose. For a shop, that usually means an acquirer-issued merchant QR. Online businesses can also ask about intent, app-based or collect integrations.
After the customer confirms a payment, NPCI describes funds as reaching the merchant pool account or merchant bank account immediately, subject to the settlement terms in your agreement. QR rules and fee policies can change, so use the code and written schedule supplied by your chosen acquirer rather than a generic QR image or an old social-media claim.

What you need before accepting UPI
UPI acceptance is a merchant service, not something created merely by printing a personal UPI ID. Start with a bank where your business can receive settlements or a bank-onboarded merchant-acquiring provider. NPCI says the merchant partners with an acquiring bank, which supplies the UPI acceptance infrastructure.

During onboarding, the acquirer performs bank-side compliance and risk checks and configures the information needed to identify your business. NPCI’s FAQ describes the merchant setup as including a merchant identifier and details such as your merchant category, UPI ID and account information. The provider gives you the current documentation list and tells you which account will receive settlements.

Have these decisions ready for the onboarding conversation:
- The legal or trading name that should appear in merchant records and, where supported, to the payer.
- The business category that best describes what you sell.
- The bank account to be used as the merchant or merchant-pool destination.
- Where customers will pay: a counter, delivery operation, website, app or another channel.
- Whether you need only a QR or also an online integration such as intent, app-based or collect.
Do not assume that a personal UPI account can be converted simply by downloading an app. Ask the provider to confirm that the onboarding is for merchant acceptance and that the issued identifier and QR belong to the business.
Choose the acceptance mode that fits your business
NPCI lists four broad UPI acceptance modes. The practical choice depends on how the customer reaches your payment flow and what your acquirer supports.

|---|---|---|
| QR | The customer scans the merchant’s issued code in a UPI app and confirms the payment. | Shop counters, stalls, clinics, service desks and other in-person locations. |
| Intent | The payment flow invokes a compatible UPI app for confirmation. | Digital checkout flows where the customer is already using a mobile device. |
| App-based | The merchant uses an app-supported UPI acceptance flow supplied through the acquiring relationship. | Businesses whose provider offers an app channel rather than a standalone counter QR. |
| Collect | The merchant sends a payment request that the customer approves in a UPI app. | Cases where a request is preferable to displaying or invoking a QR. |
The table describes the modes NPCI lists, not a ranking. A counter shop can ask first for merchant QR acceptance; an online seller should compare the modes with its provider and confirm technical, reporting and settlement details before choosing.
Step-by-step: get a merchant UPI account and QR
- Select an acquiring relationship. Contact your business bank or a merchant-acquiring provider that can onboard your business for UPI. Ask whether it supports the acceptance modes you need and whether onboarding is available for your business category and location.
- Submit the provider’s KYC and business information. The exact document list comes from the acquirer. Complete its identity, business, risk and account checks; NPCI’s general FAQ does not publish one universal document list for every provider.
- Confirm the merchant configuration. Check the merchant identifier, registered name, category, UPI ID and settlement account before the provider activates acceptance. Correct errors at this stage rather than after printing displays or connecting a checkout.
- Ask for the acceptance infrastructure. For a physical shop, request the provider-issued merchant QR. If you need online payments, ask about intent, app-based and collect options and the integration instructions for your website or app.
- Obtain the current written commercial terms. Request the onboarding cost, any QR or soundbox rental, settlement terms, transaction charges and support or dispute process in writing. Keep the signed agreement and the latest fee schedule with your business records.
- Test before opening the display to customers. Make a small payment using a UPI app, verify that the merchant name is the expected one, and confirm where the credit appears. Follow the provider’s process for checking a successful transaction; do not treat a customer’s screenshot as the final confirmation of settlement.
- Put the issued code where customers pay. Use a clean, well-lit position at the counter or service point. If you use a standee or countertop holder, treat it as a display accessory for the issued code, not as a payment terminal or QR-generation method.
How to get and display a valid UPI QR code
Your acquirer must issue the merchant QR. A generic printed QR stand or an image copied from another account does not register your business and does not create a merchant identifier. Ask the provider to reissue the code if the merchant name, UPI ID or destination account changes.

Static, dynamic and soundbox-linked formats
NPCI’s BHIM UPI Guidelines, updated 4 June 2026, show static QR, soundbox/static QR and dynamic QR formats. A static code can be displayed repeatedly, while a dynamic arrangement may be generated for a particular payment flow. A soundbox is an optional provider-supported device associated with a QR setup; it is not required to create a valid merchant code. Confirm which format your acquirer is issuing and how transaction confirmation is delivered.
Sticker and layout requirements
For the customized sticker designs covered by the June 2026 guidelines:
- The QR code must be at least 2 cm by 2 cm.
- The QR should occupy at least 50% of the sticker area.
- The line “Scan & Pay with any UPI app” should be included.
- In the cases described by the guidelines, the merchant’s UPI ID must appear below the QR.
These are display requirements for the specified customized designs, not permission to alter a provider-issued code arbitrarily. Follow the acquirer’s current issuance and artwork instructions, keep the code sharp and unobstructed, and leave enough contrast and space around it for reliable scanning. Rules can be updated, so obtain the current version from your provider and check the NPCI document before producing a large batch of stickers.
Where to place a physical QR
Place the code at the point where the customer is asked to pay, at a comfortable scanning height and away from glare, folds or protective plastic that distorts the pattern. A countertop holder or QR standee can keep the issued sticker upright and visible. It is only a physical display accessory: buying a holder does not open a merchant account, connect a bank account or generate a QR.
Settlement: when the money reaches your business account
NPCI’s UPI Frequently Asked Questions says that after the customer confirms payment, the merchant receives funds immediately into the merchant pool bank account or merchant bank account as agreed. “Immediately” describes the UPI payment outcome in that explanation; your actual destination and any operational settlement arrangement are governed by the acquiring agreement.

Before going live, ask the provider to state in writing:
Recommended Free Tools
- Whether your destination is a merchant pool account, your merchant bank account or another account structure.
- How the credit is identified in statements and reports.
- Whether any settlement cut-off, hold, reserve, refund or reconciliation process applies to your agreement.
- Which team handles a payment that shows as successful to the payer but is not visible in your merchant report.
Check the merchant dashboard or bank record after a test payment and reconcile the reference shown by the provider. If the customer’s app says success but your merchant record does not, avoid asking for a second payment until the transaction status has been checked through the acquirer’s support channel.
UPI costs for a small business
There is no single current merchant price that applies to every acquirer. The Ministry of Finance stated in a Press Information Bureau release dated 8 August 2026 that consumers making UPI payments would face no transaction charges and that the vast majority of merchant transactions would remain free of charge. The release describes a conditional policy process for possible merchant discount rate (MDR) changes: any MDR would be threshold-based rather than universal and would be decided by the NPCI-headed UPI and Services Steering Committee after passage of the proposed Taxation and Other Laws (Amendment) Bill, 2026.
The release does not establish that the proposed bill has passed, and it does not publish a universal merchant tariff. The official statement says: “No charges for users: Consumers making payments will not face any transaction charges.” That sentence concerns users; it is not a promise that every merchant service, device or transaction has zero cost.
Ask your selected bank or acquirer for the current written schedule and compare it with the signed agreement. Check each of these items separately:

- Merchant onboarding or setup charges.
- QR issuance, replacement or printing charges.
- Soundbox purchase or recurring rental, if you request one.
- Transaction charges or any MDR that applies to your category or threshold.
- Settlement, refund, dispute or reconciliation charges.
- Taxes or other amounts added to the quoted service price.
Do not rely on a blanket claim that UPI is always free for merchants, and do not assume a fee mentioned in an old post is still current. Ask for the effective date, the transaction categories covered and the conditions that trigger a charge.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. How to compare acquiring providers
If you are considering more than one bank or merchant-acquiring provider, compare the written offer rather than only the headline QR promise. Use the same questions for each provider:
- Onboarding: What KYC and business information is required, and how is the application status communicated?
- Acceptance formats: Is the offer for static QR, dynamic QR, soundbox/static QR, intent, app-based, collect or a combination?
- Settlement: Which account receives funds, how are credits identified, and what settlement conditions are in the agreement?
- Fees: What are the current onboarding, device, QR, rental, transaction, refund and dispute charges, and when can they change?
- Reporting: Can you export or view payment references, dates, amounts and settlement status for reconciliation?
- Support: What channel handles failed scans, incorrect credits, refunds and disputes, and what information must you provide?
- QR artwork: Who supplies the sticker or standee, and what approval is needed before you print or modify a display?
No verified current tariff comparison is provided, and no cheapest provider is identified. The right choice is the one whose written terms match your sales channel and make settlement, reporting and support clear.
Common problems and practical fixes
A printed QR does not show your business name
Stop using it and ask the acquirer to verify the merchant identifier, UPI ID and registered name. A generic or personal QR is not a substitute for an issued merchant code.
Customers cannot scan the display
Remove glare, folds and coverings, increase contrast, keep the pattern unobstructed and replace a damaged print. Check that the QR meets the provider’s current design requirements, including the 2 cm minimum and 50% sticker-area guidance where those customized designs apply.

The payer sees success but you cannot find the credit
Record the transaction reference and time, check the merchant report and bank destination specified in the agreement, and contact the acquirer through its dispute or support process. Do not mark the order paid solely from a screenshot.
A provider quotes a fee that conflicts with an online claim
Ask which service, transaction type, threshold and effective date the quote covers. The Ministry’s 8 August 2026 statement describes a conditional policy process, not a universal price list. Use the current written schedule and signed agreement as the operational reference.
You changed the bank account or business details
Ask the acquirer to update the merchant configuration and issue a replacement QR if necessary. Keep the old display out of circulation until you have confirmed where new payments are settling.

A launch checklist for your counter or checkout
- Merchant onboarding is complete and the acquirer has passed its KYC and risk checks.
- The merchant identifier, category, UPI ID and settlement account are correct.
- The QR was issued by the acquiring provider, not copied from a generic image.
- The chosen mode matches the way customers pay: QR in person, or an agreed intent, app-based or collect flow online.
- The display is readable, stable and compliant with the current provider and NPCI guidance.
- You know whether a soundbox, dynamic QR or other device is included, rented or optional.
- The current written fee schedule and settlement terms are saved with the agreement.
- A test payment has been reconciled to the expected merchant account or pool.
- Staff know how to check transaction status and where to escalate a discrepancy.
- Old QRs are removed when the merchant account, UPI ID or destination changes.
Keeping the setup current
Merchant acceptance, QR artwork and fee policies are changeable. NPCI’s general onboarding information is available at its UPI FAQ, while the QR layout document linked above is dated 4 June 2026. Recheck the acquirer’s current issuance rules before reprinting stickers, adding a soundbox or changing your checkout. Reconfirm fees and settlement terms whenever the provider sends an amended schedule or you change your business account.
