How to Accept ACH Payments in QuickBooks Online—and Pay Bills by ACH

To accept ACH payments from customers in QuickBooks Online, connect or apply for QuickBooks Payments, then enable bank transfer as an invoice payment option. To send ACH payments to vendors, use the separate QuickBooks Bill Pay workflow. These instructions reflect Intuit’s US English QuickBooks Online guidance; available features and labels may vary by account and can change.

How do I accept ACH payments through a QuickBooks invoice?

Customer payments require QuickBooks Payments. Once the account is connected and bank transfer is enabled for invoice payments, customers can pay through the online link included with an invoice.

  1. Sign in as an administrator. In QuickBooks Online, apply for QuickBooks Payments or connect an existing QuickBooks Payments account. If you opened the account in another QuickBooks product, connect it rather than creating a duplicate. Intuit reviews applications for eligibility; approval is not automatic. See Intuit’s instructions for receiving and processing payments.
  2. Enable bank transfer for invoices. Turn on bank transfer in the invoice payment options available in your QuickBooks Online account.
  3. Create and send an invoice. The customer uses its online payment link and chooses bank transfer if it is available for the invoice.

Check your account’s current processing fees and timing before quoting them to customers. Intuit’s standard guidance does not establish one universal fee or processing time for every account.

Can I manually enter a customer’s bank payment?

Yes. This is a different workflow from enabling ACH on an invoice. Use it to process a payment against an invoice or sales receipt, and get the customer’s explicit permission before entering or saving bank details. Intuit recommends collecting payment through a payment-enabled invoice to help reduce processing risk. Manually entered ACH payments may be delayed for additional security checks. See Intuit’s steps for processing an ACH bank transfer from a customer.

How do I pay a vendor bill by ACH?

Paying a vendor is not controlled by the customer-invoice bank-transfer setting. Use QuickBooks Bill Pay to schedule payment for an unpaid bill. In QuickBooks Online, open All apps > Expenses & Bills > Bills, select the bills, and choose ACH or a mailed check as the payment method. Intuit’s guidance says standard ACH takes 3–5 business days. Eligible Faster ACH can deliver in one business day for an extra fee, for payments up to $25,000. Scheduling deadlines apply, and weekends, holidays, risk reviews, or third-party delays can affect delivery. Check your current plan and account terms before relying on a fee or arrival date. See Intuit’s bill-payment steps and its QuickBooks Bill Pay overview.

Is there a customer-paid ACH convenience fee?

Intuit documents a separate configuration in which a customer pays a flat $25 convenience fee for an ACH payment on an invoice greater than $125 and less than $100,000. In the described setup, other online payment methods must be disabled. This is not the ordinary setting for offering online payment options while the business pays processing fees. Do not assume the fee applies to your account or is appropriate for your customers; check current QuickBooks terms and applicable rules. See Intuit’s convenience-fee instructions.

Can I use another payment processor directly in QuickBooks Online?

QuickBooks Online integrates directly with QuickBooks Payments merchant services. For another provider, check whether an integration is available; payments processed outside QuickBooks may need to be recorded separately. Do not assume that any bank or merchant account can process transactions inside QuickBooks Online. Intuit explains this in its third-party merchant services guidance.
