To get paid faster, agree on payment terms before work starts, send a complete invoice as soon as it is contractually appropriate, make payment convenient, and follow up courteously. These steps cannot override a customer’s approval process, but they can prevent avoidable delays—and help make sure your invoice is payable.

1. Agree on payment terms and process before work starts

Set the due date and accepted payment methods with your customer before beginning the work. Record the agreement in the contract, then use the same terms on the invoice. Ask who will approve and process payment, whether the customer requires a purchase-order number, and whether invoices must be submitted through a particular portal.

Clarify how the due date is calculated. “Net 30” may not tell you when money is expected if the customer counts from month-end or another processing date. Ask for the expected receipt date and confirm what event starts the payment period.

Payment terms are negotiable, but legal rules vary by jurisdiction. UK government guidance says businesses can agree terms such as payment upfront or early-payment discounts; Australian government guidance also discusses payment terms. Check the rules that apply where you and your customer operate rather than assuming one country’s deadlines or late-payment rights apply everywhere.

  • Customizable Space: Each invoice book for small business has space at the top to add a company seal or sticker.

  • Upfront payment or a deposit: Consider this where appropriate to the work and relationship.
  • Early-payment discount: Agree the discount and its deadline in advance, and make sure the economics work for your business.
  • Installments or milestones: Divide payment across stages instead of waiting until all work is complete.

UK guidance: GOV.UK payment obligations; Australian guidance: business.gov.au payment terms.

2. Send a prompt, complete invoice that is payable

Prepare and send the invoice as soon as the agreed work or delivery is complete, in line with your contract. The UK Office of the Small Business Commissioner puts it plainly: “Submit your invoice as soon as possible after work is completed, in line with the contractual terms you agreed with your customer.” Send it to the actual accounts-payable contact or required portal, not simply to the person who commissioned the work.

Available options differ by country and business; weigh customer convenience against processing costs, settlement timing, and the way you handle bookkeeping. Clear instructions matter whichever method you accept.

Xero reports that invoices with online payment options are settled up to twice as fast. That is a vendor-reported finding, not a guarantee for an individual business or customer. Xero’s US guide also reports, based on Xero Small Business Insights in 2026, an average wait of 28.7 days for businesses to be paid and invoices arriving 9.1 days late on average. Those figures describe the source’s context, not a universal benchmark.

4. Follow up on a consistent, courteous schedule

A reminder can confirm that an invoice arrived and reveal a missing detail before the due date. Set a simple process for checking in before payment is due and following up when an invoice becomes overdue. The UK Small Business Commissioner suggests contacting the responsible payer the week before payment is due; government guidance also recommends a polite email or phone reminder. Choose a cadence that fits your agreement and customer relationship rather than assuming one schedule works for every payer.

  1. Before the due date: Check that the invoice was received and ask whether the payer needs any information to approve it.

  3. If payment remains blocked: Contact the responsible person directly to identify the issue and agree on a next step.

Automation can help you keep reminders consistent, but a personal contact is useful when an invoice is overdue or caught in an approval process. Keep a record of follow-ups and any revised payment date the customer confirms. The UK Commissioner’s invoice guidance and Australian government payment-terms guidance discuss payment follow-up.

Use deposits or milestone billing for larger projects

For a large or staged project, consider agreeing to an upfront deposit or billing at defined milestones so payment is spread across the work instead of waiting until the end. Document the arrangement in the contract and reflect it on each invoice. State the amount and due date, and show how any deposit will be credited against the final amount.

There is no universally appropriate deposit percentage established by the guidance cited here. Choose an arrangement that fits the project, customer, and applicable rules, and agree it before work begins. The UK Small Business Commissioner discusses building good payment practice in a new business.
