1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errorsThe practical route is to onboard with an acquiring bank or merchant payment provider, choose the UPI acceptance mode that fits your sales channel, and obtain written terms for settlement, merchant classification and charges. A QR is usually the simplest starting point for a physical shop; an online seller may need an intent, application or collect integration. UPI payment itself can be free for many transactions, but the merchant’s classification and the value of each transaction matter under the MDR framework announced by the Department of Financial Services.
What a small business needs before accepting UPI
UPI acceptance is not enabled by displaying an ordinary personal UPI ID. A merchant should apply through an acquiring bank or merchant payment provider. The acquiring bank performs merchant onboarding, including KYC, compliance and risk checks, creates merchant identifiers, and configures the merchant category and UPI details. The commercial agreement should identify the settlement account, reporting tools, refunds process, complaint route and every recurring or per-transaction charge.

For a physical store, the usual customer experience is to scan a business QR, check the merchant name and amount in the payment app, and confirm. An online business needs a checkout flow that sends the customer to a UPI app or collects the payment through an approved integration. The right setup depends on where the sale occurs, the expected transaction values and the provider’s support for your platform.
Choose the UPI acceptance mode for your sales channel
| Mode | Best fit | How the customer pays | What to confirm with the provider |
|---|---|---|---|
| QR | Counter sales, delivery staff and face-to-face payments | The customer scans a merchant QR and confirms the payment in a UPI app. | Whether the QR is static or dynamic, the merchant name shown, how payment confirmation is reported and whether an approved display is supplied. |
| Intent | Websites and mobile checkouts | The checkout invokes a compatible UPI app with payment details pre-filled. | Supported operating systems, checkout integration method, callback or confirmation handling and treatment of abandoned or pending payments. |
| Application-based | Businesses with their own app or a software-integrated checkout | The payment is initiated inside an application using the provider’s integration. | Technical documentation, testing credentials, reconciliation fields, security responsibilities and support hours. |
| Collect | Invoices or requests where the merchant sends a payment request | The customer receives a request and approves it in a UPI app. | Request expiry, customer notifications, partial or repeated requests, and how approved, declined and timed-out requests appear in reports. |
NPCI identifies QR, intent, application-based and collect as UPI integration modes. A shop that only needs an in-person option can begin by discussing a merchant QR with its acquiring bank. An online seller should select an integration that can reliably return payment status to the order system.

How to get a merchant UPI setup
- Describe your business and sales pattern. Tell the acquiring bank or provider whether you sell at a counter, online, by delivery, or through invoices. Provide expected monthly volume and typical ticket size; these details can affect risk checks and classification.
- Complete KYC and compliance checks. Submit the business and owner information requested by the acquirer. The bank creates merchant identifiers and records the merchant category and UPI details after its checks.
- Choose the acceptance mode. Request a QR for a physical location, or the relevant intent, application or collect integration for online sales. Ask whether one account can support multiple outlets and how each outlet will be identified in reports.
- Read the written commercial terms. Look for MDR by transaction category and value, settlement destination and timing, refund rules, dispute handling, support channels, and any disclosed device, subscription, soundbox, software or other service fee. The official material does not establish a standard hardware or subscription price, so do not assume that a “free QR” means every service is free.
- Test before going live. Make a low-value payment and verify the merchant name displayed to the customer, the confirmation received by staff, the order status, the settlement report and the bank-account credit. Test a failed or pending payment path as well.
- Document who can resolve a problem. Keep the acquiring bank’s merchant ID, support number, escalation route and refund procedure with the person responsible for daily reconciliation.
Using a QR correctly at a physical shop
NPCI’s acceptance guidance refers to QR standees or stickers. That does not establish that a merchant must purchase a standee: ask the acquiring provider whether it supplies or approves a merchant QR display. A generic stand alone does not activate UPI acceptance; the QR must be linked to the merchant account created during onboarding.
- Place the approved QR where customers can scan it without handing over their phone.
- Check that the business name shown after scanning matches the shop name customers recognize.
- For a dynamic QR, verify that the amount and order reference are correct before showing it.
- Do not accept a screenshot of a “successful” payment as proof. Confirm the transaction in the merchant app, provider dashboard, bank alert or reconciliation report.
- Keep a second, clearly identified payment route available if the network or provider is temporarily unavailable.
Never ask a customer to disclose a UPI PIN, one-time password or screen-sharing access. A customer should approve the payment in the customer’s own banking or UPI application.
When the money reaches your account
NPCI states that the merchant receives the money immediately after the customer confirms the payment into the merchant pool bank account or merchant bank account, “as per their agreement.” This is a network-level statement, not a promise that every provider uses the same settlement account or reporting cycle.

Before relying on “instant” wording, obtain these points in writing:
- the final destination account or merchant pool arrangement;
- whether the balance shown is available for withdrawal immediately or is subject to a provider settlement cycle;
- how weekends, bank holidays, risk holds and account changes are handled;
- the report fields used to match a UPI transaction to an invoice or order; and
- the procedure for a missing credit or an amount that differs from the customer’s confirmation.
Reconcile the provider report to your sales ledger every day. Match the UPI transaction reference, order number, amount and date rather than relying only on a customer’s name.
UPI MDR and the 2026 transition
Costs depend on the transaction category, value and your merchant agreement. The Department of Financial Services published an FAQ dated 15 September 2026 describing a new MDR framework with an effective date of 15 October 2026. The authoritative material used here was dated 9 October 2026, before that date. Therefore, treat the figures below as the announced framework and ask your acquirer to confirm that it is live and how it applies to your account.

Announced treatment for P2M transactions
The FAQ says a 0.4% MDR will apply to specified person-to-merchant (P2M) UPI transactions above ₹2,000. For transactions of ₹75,000 and above, it describes a cap of ₹300 per transaction. The examples in the FAQ are:
The Tool Desk
Outbyte Driver Updater FREEFix the driver behind crashes, sound loss and screen glitchesFind Drivers →Outbyte PC Repair FREEClear out junk files and repair common Windows errorsFree Scan →| Transaction value | Calculation under the announced framework | MDR amount |
|---|---|---|
| ₹2,000 or less | No impact under the FAQ’s small-value treatment | ₹0 under that treatment |
| ₹3,000 | 0.4% of ₹3,000 | ₹12 |
| ₹50,000 | 0.4% of ₹50,000 | ₹200 |
| ₹75,000 or more | 0.4% subject to the per-transaction cap | Up to ₹300 |
These are merchant-side charges. The Government FAQ says consumers and person-to-person users remain uncharged and that merchants cannot pass MDR on to customers as a convenience fee. Price your products accordingly rather than adding a separate UPI surcharge.
P2PM classification and the ₹1 lakh threshold
The same FAQ describes zero MDR for eligible person-to-person merchant (P2PM) accounts under its classification and threshold terms. It discusses small vendors receiving up to ₹1 lakh per month through QR and a transition to P2M after inward UPI credits exceed ₹1 lakh per month consecutively for three months. The account classification is operationally important: ask the provider how it determines eligibility, what counts as inward UPI credits, when a reclassification takes effect, and how it will notify you.

Do not assume that being a small shop automatically guarantees P2PM treatment. The acquiring provider’s onboarding data, merchant category and the final operational rules determine how your account is handled.
What the published percentages mean
The DFS FAQ says more than 95% of total UPI P2M transaction volume is at or below ₹2,000. A separate DFS statement says UPI remains free for 96% of merchant transactions. “Volume” and “merchant transactions” are different measures; neither percentage should be presented as the other.
The FAQ also attributes an industry estimate of approximately ₹20,000 crore in annual UPI operating costs. That is an attributed estimate, not an audited government measurement, and it does not tell you what your provider will charge.

How to compare acquiring providers and offers
There is no reliable universal “cheapest” provider without current, comparable written terms. Compare the complete offer against your own sales mix:
| Decision area | Questions to ask | Why it affects cost or operations |
|---|---|---|
| Sales channel | Does it support counter QR, online intent, application integration or collect requests? | A low-cost QR account may not provide the checkout controls an online business needs. |
| MDR | What rate and cap apply to each transaction category and value band? How will P2PM or P2M status be determined? | The announced framework applies differently by classification and amount. |
| Other charges | Are there hardware, soundbox, subscription, setup, rental, support or cancellation fees? | A zero-MDR offer can still have service costs; obtain the full schedule. |
| Settlement | Which account receives funds, when are they usable, and are there holds or reserve rules? | Cash-flow planning depends on usable funds, not only a payment-success screen. |
| Reconciliation | Can you export transaction references, order IDs, refunds and settlement statements? | Good records reduce missed orders and make disputes easier to prove. |
| Support | Who handles failed, duplicated, reversed or disputed payments, and what is the escalation time? | The acquiring bank is the route NPCI identifies for transaction grievances. |
Request the offer in writing and retain the version and date. Recheck the terms if the provider changes your classification, adds equipment or announces a new MDR schedule.
Refunds, failed payments and disputes
Refunding a returned order
NPCI says that, for returned goods or rejected services, the merchant asks the bank to refund the charged amount according to the defined process. Follow the acquirer’s refund workflow rather than sending money from a personal account. Record the original transaction reference, refund amount, reason and date, then give the customer the provider-generated refund reference when available.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
A customer says the payment succeeded but you cannot see it
- Ask for the transaction reference and exact amount, not merely a screenshot.
- Check the merchant dashboard, settlement report and bank account using that reference.
- Do not release goods twice while the status is pending or unverified.
- Raise the transaction grievance with the acquiring bank or provider and retain the complaint number.
The customer was debited twice
Compare both references with your order ledger. If two credits arrived, refund the duplicate through the defined bank process. If only one credit appears, provide both references to the acquirer so it can trace the second debit and advise the customer.
The QR or integration is failing
Check whether the merchant account is active, the displayed QR belongs to the correct outlet, the provider service is available and the integration is returning payment status. Avoid replacing a provider-issued QR with an unapproved image; request a corrected QR or integration credential from the acquirer.
A daily control checklist
- Verify every completed sale against a confirmed merchant-side transaction.
- Match transaction references and order IDs in the sales ledger.
- Review pending, failed, reversed and refunded transactions separately.
- Compare the day’s expected settlement with the provider report and bank credit.
- Keep staff from sharing customer credentials or approving refunds without an order record.
- Escalate missing credits and duplicate debits through the acquiring bank, retaining dates, amounts and references.
- Review the written MDR and service schedule after any classification or policy change.
Questions to settle before you go live
Ask the provider to answer, in writing, whether your account is P2PM or P2M; which announced MDR rules are currently implemented; the exact settlement destination and timing; every hardware or service fee; the refund and dispute route; and the reports available for reconciliation. Those answers are more useful than a headline claim that UPI is “free,” because they describe the costs and controls your business will actually operate under.
