Schools prepare well for digital assessments by rehearsing the exact student and staff workflows, validating devices and testing rooms against the selected assessment’s current specifications, and assigning and checking accessibility supports before test day. The requirements are not universal: browser versions, operating systems, lockdown applications, audio equipment, test windows, and permitted accommodations vary by assessment, state, and administration cycle. Use the assessment provider’s current documentation and state or district directions as the controlling checklist.
Preparation should make the test interface familiar without teaching students answers. It should also protect the validity of scores, provide every support required by a student’s plan, and give staff a documented response when a device, network connection, or accommodation fails.

What digital-assessment readiness actually includes
Readiness is more than owning enough laptops. A usable plan connects five parts of the administration:
Recommended Free Tools
- Rules: the assessment, administration window, state policy, district procedures, and provider requirements.
- Technology: supported browsers and operating systems, required applications or locked-down mode, network capacity, power, and peripherals.
- People: students who can navigate the interface and staff who know their roles, permitted directions, and escalation paths.
- Accessibility: universal tools, designated supports, accommodations, and alternate assessments assigned to the right students and verified in the test engine.
- Purpose: a clear distinction between technology needed to measure the intended construct and technology selected for broader instruction.
Smarter Balanced’s technology-readiness guidance treats device sufficiency, operating-system and application management, test locations, collaboration with special-education staff, and student and educator comfort with technology as connected planning issues. That is a useful model, but each assessment system still supplies its own operational rules.

1. Confirm the assessment and its current rules
Start with a one-page administration brief. Record the assessment name, grade or subject, state and district instructions, testing window, delivery platform, approved devices, permitted tools, and the person responsible for each decision. Include the date on which the requirements were checked; software and policy details can change between cycles.
Separate universal planning from assessment-specific instructions
Do not turn a recommendation for one assessment into a rule for every test. For example, National Center for Education Statistics (NCES) digital-assessment tutorials recommend an up-to-date Chrome browser and a screen of at least 11 inches to best reproduce the tutorial experience. The tutorials are optimized for Chrome but may load in other browsers. Those details describe the NCES tutorial environment, not a universal minimum for every state test, college-entrance exam, or classroom platform.
Build a requirements register
For each requirement, note whether it is mandatory, recommended, or still awaiting confirmation. Useful fields include:
Quick wins for a faster PC:
Repair Windows errors before they cause bigger problemsFix Now →Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Clear out junk files and repair common Windows errorsFree Scan →- Supported browser and version, operating-system version, and required application.
- Whether a secure browser, kiosk mode, or other lockdown is required.
- Network, firewall, content-filter, and sign-in conditions.
- Screen size, keyboard, mouse, touch input, calculator, scratch paper, and audio requirements.
- Allowed accessibility tools and the deadline for entering them.
- Test-room, supervision, break, and make-up procedures.
- Provider help-desk contact and the school’s internal escalation chain.
Mark any item that the provider has not stated as “not stated” rather than filling the gap with an assumption.
2. Audit devices, network, and testing locations
Inventory the equipment students will actually use, not an ideal replacement fleet. Match each device type and location to the provider’s current documentation. Check charging capacity, power outlets, wireless coverage, wired connections where used, headphones or earbuds, and the ability to update or launch the required application under the school’s management controls.

Run a representative readiness check
Test a sample from every device model, operating-system build, browser configuration, and room. A single successful login on one machine does not establish readiness for a mixed fleet. Confirm that the assessment loads, embedded tools open, responses save, and the device can reconnect under the school’s normal network controls.
Plan the room, not just the hardware
Choose locations that support supervision, accessibility, and reliable power. Coordinate seating with special-education staff and anyone responsible for individual supports. Consider glare, viewing distance, noise, privacy of screens, movement during breaks, and whether a student using audio will disturb others. Keep spare charged devices and an approved way to move a student without losing the testing session, if the provider permits that procedure.
The Tool Desk
Outbyte Driver Updater FREEScan for outdated or missing drivers - takes under a minuteDriver Scan →Outbyte PC Repair FREERepair Windows errors before they cause bigger problemsFix Now →Handle audio accessories carefully
NCES describes students using earbuds to reduce distractions in its digital-assessment context. That does not establish a universal need, connector type, or approved model. Before purchasing anything, verify whether the assessment uses audio, whether headphones or earbuds are permitted, which devices they must connect to, and whether accessibility rules require a particular configuration.
3. Give students practice with the real interface
Practice should use the official tutorial, sample items, or practice test supplied for the assessment whenever available. The objective is fluency with the delivery system, not exposure to secure test content.
Teach the actions students must perform
Have students practice signing in through the approved route, selecting an answer, entering text, changing an answer, moving between screens, pausing or taking an allowed break, submitting a section, and recognizing a saved response. Include the interface’s help, review, flag, zoom, highlighting, calculator, notepad, or other embedded tools only when those tools are available on the actual assessment.

Make unfamiliar formats routine
Use varied practice items so students encounter the response types they may see: selected response, multi-select, constructed response, drag-and-drop, graph or equation entry, and audio or video prompts when applicable. IES guidance emphasizes ample practice so students become comfortable with unfamiliar technology and platform features before an assessment is administered.
Practice supports, not just questions
Students who will use text-to-speech, a home-language option, a pop-up glossary, translated directions, braille, an American Sign Language video, enlarged text, or another approved support should rehearse that support in the same environment. Explain what the tool does and how to activate it, while making clear which help a proctor may provide and which help would change a response.
Check comfort without coaching content
Ask students to demonstrate navigation and tool use, then correct the process. Do not use practice sessions to infer a score or promise an outcome. The reviewed sources identify the value of familiarity but do not provide a quantified score gain or a readiness success rate for any preparation method.
4. Plan accessibility as an operational workflow
Accessibility decisions should be made from the student’s current IEP, 504 plan, language-support plan, assessment policy, and documented needs. Smarter Balanced distinguishes among universal tools available to eligible test takers, designated supports selected for particular students, and accommodations required by an individual plan. The labels and availability differ across systems, so use the selected assessment’s definitions.
Use a team-based decision process
- Select the staff members and define their roles, including special-education, English-learner, technology, testing, and classroom personnel as applicable.
- Inform staff, students, and parents about the assessment, available supports, and decision deadlines.
- Identify students who may benefit from a designated support or accommodation by reviewing plans and relevant classroom evidence.
- Select only supports permitted for that assessment and appropriate to the student’s documented need.
- Enter the selections in the assessment’s test engine or management system.
- Conduct a pre-administration check in the student’s test session or practice environment.
- Verify during testing that the support appears and functions as intended, using the provider’s privacy and security procedures.
Protect personally identifiable information in rosters, accommodation records, screenshots, and troubleshooting notes. Limit access to staff who need it for administration.

Examples of system-specific supports
Smarter Balanced describes resources such as braille, Spanish translations, ASL videos, glossaries, translated directions, a digital notepad, and scratch paper. Its source page reports glossaries in 13 languages and translated test directions in 20 languages. Those counts describe that assessment system’s resources and should not be treated as a general inventory for other tests.
Meet the federal disability-assessment requirement
Under 34 CFR § 300.160, states must include children with disabilities in state and district-wide assessment programs with appropriate accommodations and, when necessary, alternate assessments indicated by their IEPs. The regulation also requires accommodation guidelines identifying supports that do not invalidate a score. State policy and the assessment’s own rules determine how a school implements that framework.
5. Prepare teachers, proctors, and technical staff
Students experience the assessment through the adults running it. Give every staff member a written role and a short, hands-on briefing in the same platform students will use.
Define who does what
- Test coordinator: confirms the window, roster, secure materials, room assignments, and provider communications.
- Proctor or teacher: delivers only permitted directions, monitors the room, records incidents, and knows how students request help.
- Accessibility lead: confirms plans, entries, prechecks, and delivery of individual supports.
- Technology lead: validates devices and connectivity, manages approved updates, and handles technical escalation.
- School administrator: resolves staffing, room, privacy, and make-up decisions that exceed the proctor’s authority.
Rehearse the boundaries of help
Staff should know which directions may be repeated or clarified, which content-related assistance is prohibited, how to respond when a student cannot access a tool, and when to pause rather than improvise. Use the provider’s administrator manual for exact scripts and security rules. Smarter Balanced’s process explicitly includes role definition and training for staff, students, and parents.
Create a failure-response card
Post a concise sequence at each testing station or in the proctor’s materials:

- Follow the provider’s approved reconnect, resume, or pause procedure.
- Contact the designated technical or testing lead; do not change settings outside the documented process.
- Record whether the session resumed and whether an accommodation was delivered.
- Escalate to the provider or district when the manual requires authorization for a restart, invalidation, or make-up.
6. Compare assessment and readiness options on useful axes
When a district is comparing platforms or deciding between readiness approaches, compare the dimensions that affect validity and workload rather than choosing by feature count alone.
| Comparison axis | Questions to answer |
|---|---|
| Technical compatibility | Do the actual devices, operating systems, browsers, applications, network, power, and peripherals meet the current specification? What happens after a disconnect? |
| Accessibility | Which universal tools, designated supports, accommodations, and alternate-assessment pathways exist? How are they assigned, entered, prechecked, and monitored? |
| Training burden | How much practice do students, teachers, proctors, accessibility staff, and technicians need to use the interface correctly? |
| Location and supervision | Can the school provide suitable rooms, privacy, seating, audio management, breaks, and staff coverage for the administration window? |
| Measurement purpose | Does the system measure the intended knowledge or skill, and are supporting technology choices justified by evidence and educator judgment? |
The available material does not rank vendors or establish that one assessment system is superior. Use the comparison axes to expose operational and accessibility consequences before committing to a platform.
7. Judge supporting education technology by its purpose
Assessment delivery tools and instructional technology are related but not interchangeable. The U.S. Department of Education announcement dated August 20, 2026 describes guidance centered on instructional value, educator judgment, evidence, transparency, practical implementation support, and student outcomes.
For any product used before, during, or around an assessment, ask:
- What learning problem does it solve?
- When should it be used?
- For whom should it be used?
- For how long should it be used?
- What evidence demonstrates that it improves student learning?
Keep the assessment’s measurement purpose separate from a product’s convenience. A tool that adds animation, automation, or data dashboards is not automatically appropriate for a secure test or for a student who needs a documented accommodation.
8. Use a test-day runbook
Convert the plan into timed actions so staff are not making policy decisions in front of students.
Quick Recap
Before students enter
- Confirm the correct test session, roster, room, and administration window.
- Check charged devices, required applications, browser state, network access, and approved audio or input accessories.
- Verify that accommodations and designated supports appear for the students assigned to the room.
- Remove unauthorized materials and arrange seating for privacy and supervision.
- Give proctors the incident-response and escalation contacts.
At sign-in
- Use the provider’s approved authentication and security procedure.
- Check that each student is in the correct session and that the intended support is visible before beginning.
- Allow students to resolve navigation or tool questions during the permitted orientation, without coaching answers.
During testing
- Monitor the room and the status of sessions without reading student responses.
- Watch for a missing or malfunctioning support and follow the documented escalation route.
- Record interruptions, device swaps, pauses, and provider case numbers as required.
At submission
- Confirm that the student has completed the provider’s submission action and receives the expected completion state.
- Secure scratch paper and other controlled materials according to local rules.
- Report incidents and unresolved accessibility or technical problems before the make-up window closes.
Common preparation mistakes and their fixes
| Mistake | Why it causes trouble | Fix |
|---|---|---|
| Applying one test’s hardware guidance to every assessment | Recommendations such as the NCES tutorial’s Chrome and 11-inch-screen guidance may not be another provider’s requirement. | Check the current specification for the exact assessment and administration cycle. |
| Practicing only sample questions | Students may know the content but lose time on navigation, response entry, or embedded tools. | Rehearse the complete interface and each support the student will use. |
| Entering accommodations without testing them | A support can be selected in a system yet fail to appear or function in the room. | Run a pre-administration check and verify delivery during testing. |
| Buying headphones before checking compatibility | The assessment may not require audio, may restrict accessories, or may use a different connector. | Confirm need, permission, device compatibility, and accessibility rules first. |
| Letting proctors improvise technical fixes | Unapproved changes can interrupt a session or compromise security. | Provide a short failure-response card and a named escalation path. |
| Choosing technology by feature count | Extra features do not establish instructional or measurement value. | Apply the Department of Education’s problem, timing, audience, duration, and evidence questions. |
