How Poker Players Should Track Winnings, Coaching Income, and Expenses

Use separate, dated records for poker play, coaching payments, and expenses. Preserve the underlying winning and losing transactions instead of recording only a net result, then reconcile your log to statements and payment records each month. That evidence lets a tax preparer determine how U.S. federal rules apply to your particular activity.

Start with three separate records

A poker player with coaching income should maintain three connected but distinct records:

As an Amazon Associate I earn from qualifying purchases.

  • Poker activity log: Every cash session, tournament, online session, prize, buy-in, fee and cash-out, with winnings and losses retained as separate amounts.
  • Coaching income ledger: Each lesson or package, the date performed or paid, payer or platform, gross amount, fees, refunds and invoice or platform evidence.
  • Expense ledger: Each cost, its date, amount, business or poker purpose, payment method and receipt or other proof.

Keeping the streams distinct does not require three bank accounts or a particular app. A paper journal, spreadsheet, accounting program or another electronic ledger can work if it clearly shows income and expenses and preserves supporting documents. The Internal Revenue Service says, “You may choose any recordkeeping system suited to your business that clearly shows your income and expenses.”

What to record for every poker session

The IRS describes an accurate diary or similar record as the core evidence for gambling activity. Publication 529’s suggested fields include the date, type of wagering activity, gambling establishment or location, other people present and amount won or lost. Poker is among the table-game examples covered by that guidance.

Record field What to enter Why it matters
Date and time Session date; for a long session, start and end times Shows when the activity occurred and helps match statements or withdrawals.
Venue or platform Casino, card room, home game location or online platform Identifies the source of the transaction.
Game or event Cash-game stakes, tournament name, sit-and-go, satellite or other format Explains the type of wagering activity.
People present Names or a useful identifying note when relevant to the game Follows the IRS diary approach for identifying the activity.
Amounts wagered Buy-in, rebuys, add-ons and other amounts paid Preserves the losing or cost side instead of hiding it in a net number.
Amounts received Cash-out, tournament prize, bounty or other payout Creates a source record for winnings.
Fees and withheld amounts Entry fees, rake, tips or other amounts shown on a statement Allows a preparer to analyze the transaction correctly.
Management result A calculated net figure for bankroll and performance tracking Useful for decisions, but never a substitute for the separate underlying amounts.
Document location File name or folder containing the slip, statement, hand history or receipt Makes the entry verifiable months later.

Enter the session as soon as practical. If you wait until tax season, memory gaps can make it impossible to reconstruct individual wins, losses, locations and dates. A net-session column is helpful for bankroll management, but a single “plus $400” or “minus $250” entry erases the information a tax professional may need.

Keep proof with the poker log

Live poker

Save tournament registration paperwork, buy-in and payout records, cage cash-out slips, casino statements, bank withdrawal and deposit records, and any tax forms you receive. The IRS lists Forms W-2G and 5754 where applicable, along with wagering records, canceled checks, bank records and statements or payment slips from the gambling establishment. Those examples are not an exhaustive checklist; retain any document that explains the amount and date in your diary.

Online poker

Download account statements and tournament summaries regularly rather than assuming the platform will retain them indefinitely. Preserve deposits, withdrawals, session or hand histories when available, fee reports and payment-processor statements. Store the original downloaded files and note the account, date downloaded and period covered in your ledger.

Cash handling

Cash creates a documentation problem because there may be no automatic statement. Record the amount taken to the venue, the amount returned, the date and the location, then keep related ATM receipts and bank records. A bank deposit by itself does not prove which session produced the money, so connect it to the diary entry and any cage slip.

Track coaching as its own income stream

Do not bury coaching payments in a poker bankroll column. Create a coaching ledger with one line for every lesson, package or group payment.

Coaching field Examples
Date Date the lesson was delivered and, if different, the date paid
Client or source Client name, marketplace, training site or payment processor
Service One lesson, package installment, group session or recorded review
Gross amount Amount charged before platform or payment fees
Fees Processor commission, marketplace fee or transfer charge
Refunds Date and amount of any refund or cancellation
Evidence Invoice, contract, receipt, platform statement or payment record
Payment status Paid, outstanding, refunded or disputed

For packages, record the payment and the service period clearly. If a client pays in advance, retain the invoice and agreement so a preparer can evaluate how the receipt should be treated for the applicable tax year. Keep client records secure; coaching files can contain personal and payment information.

Record expenses when they happen

Enter an expense on the date it occurs, identify what it was for and attach the receipt or bill. A poker-related account does not automatically make every purchase deductible. The expense’s business purpose, connection to the activity and the applicable federal rules depend on your facts.

  • Transaction evidence: Keep receipts, invoices, bills, canceled checks, card statements and proof of electronic payment.
  • Purpose note: Write a short explanation, such as “video call platform for paid coaching session” or “tournament entry at [venue name]” in your own record. Do not rely on a vague bank description.
  • Allocation: If an item has personal and activity-related use, record the business or poker portion and the method used to calculate it.
  • Timing: Log the cost when paid or incurred under the accounting method that applies to you; ask a preparer when timing is uncertain.
  • Source link: Give each receipt a file name that matches the ledger line, such as 2026-04-18_coaching-video-platform.pdf.

Potential categories can include platform fees, training materials, software or travel, but naming a category is not the same as establishing deductibility. Keep the facts and documents; let the applicable rule and your tax professional determine treatment.

Understand the federal tax distinction between winnings and losses

IRS Publication 17 states that gambling winnings must be included in income. Publication 529 and Tax Topic 419 explain that eligible gambling losses are recorded separately, generally limited to gambling income and subject to itemization requirements. Therefore, do not assume you can report only a net session or annual net result.

For example, a log showing $8,000 of winnings and $6,500 of losses preserves two different figures. A line showing “net $1,500” does not. The correct reporting method can depend on whether you gamble recreationally, operate in the trade or business of gambling, itemize deductions and meet other requirements. Publication 17 notes that a person in the trade or business of gambling uses Schedule C, but that statement does not classify every frequent or successful player as a business.

Keep enough detail for a preparer to evaluate:

  • Whether the poker activity is recreational or conducted with a profit purpose and continuity and regularity.
  • Whether coaching is a separate service business, part of another activity or not a business under the relevant facts.
  • How winnings, losses, coaching receipts, fees and expenses belong on the applicable federal forms.
  • Whether itemization, self-employment tax or another rule affects the result.

Do not infer state, local or non-U.S. treatment from federal guidance. The rules described here are U.S. federal concepts and must be applied to the tax year, jurisdiction and facts involved.

When coaching may be a Schedule C business

Schedule C is used by a sole proprietor to report income or loss from a business or profession. Its instructions describe business activity in terms of a primary purpose of earning income or profit and involvement with continuity and regularity. A player who offers recurring paid lessons may meet those facts, while an occasional informal lesson may not. The label “coach” or the existence of a payment platform does not decide the issue.

Keep coaching receipts and coaching expenses identifiable even if you expect to combine information later. A preparer needs to see gross receipts, refunds, platform fees and the supporting facts before deciding how to report them. Do not claim a deduction merely because an item appears in an account used for poker.

Reconcile every month

A monthly close catches missing sessions and duplicate entries while the evidence is still available.

  1. Export or download statements from each poker platform, payment processor and bank account.
  2. Match every deposit, withdrawal, prize, coaching payment and fee to a ledger line.
  3. Investigate unmatched items. Mark a transaction as pending rather than guessing its source.
  4. Check that poker winnings and losses remain separate and that coaching receipts are not mixed into the poker total.
  5. Verify that refunds, chargebacks, canceled tournaments and returned buy-ins are reflected.
  6. Save the reconciled files in a backed-up folder and record the download date and covered period.

Use readable copies and protect access with strong account security. The practical goal is that another person can follow a ledger line to its original document without relying on your memory.

Choose a recordkeeping system you will actually maintain

Approach Strengths Watch-outs Best fit
Paper journal and ledger Fast, inexpensive and usable at a live table or venue Harder to total, search and back up; receipts must be organized separately Players who prefer handwriting and have modest transaction volume
Spreadsheet Separate tabs for poker, coaching and expenses; formulas, filters and exports Accidental edits, broken formulas or missing attachments can undermine the record Players comfortable with regular file backups and monthly reconciliation
Bookkeeping software Recurring categories, document storage, reports and accountant access Subscription cost, setup time and possible over-complexity Players with many coaching transactions or multiple payment sources
Hybrid system Paper notes during play, electronic entry and document storage later Requires a reliable transfer routine to avoid omissions Live players who need speed but want searchable records

The IRS permits paper and electronic systems. An optional accounting ledger book is a reasonable physical choice, but free alternatives can be equally suitable if they are complete, accurate, backed up and understandable to a tax preparer.

Common mistakes and how to correct them

Recording only the annual net

Problem: A single net number hides separate winnings and losses. Fix: Reconstruct sessions from statements, tournament records, bank activity and contemporaneous notes, then preserve both sides in the ledger.

Mixing coaching and poker money

Problem: A payment labeled “poker” may be a lesson, prize or bankroll transfer. Fix: Add a source and activity-type field to every entry and maintain separate coaching and poker totals.

Relying on bank statements alone

Problem: A statement shows movement of money but not the game, client, location or purpose. Fix: Link each transaction to a diary line, invoice, platform statement or receipt.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Waiting until filing season

Problem: Lost slips and forgotten sessions cannot be recreated reliably months later. Fix: Enter activity promptly and set a monthly reconciliation date.

Assuming frequency proves business status

Problem: Number of sessions alone does not establish that poker or coaching is a trade or business. Fix: Document purpose, continuity, regularity and the actual services, then obtain advice for your facts.

Prepare a tax-ready handoff

At year-end, provide a preparer with separate summaries for poker winnings, poker losses, coaching gross receipts, refunds, fees and expenses. Include the underlying transaction export and a folder of statements, forms and receipts rather than only a spreadsheet total. Flag unusual items such as a large tournament prize, disputed payment, cash-heavy session, platform closure or missing statement.

Ask a qualified tax professional familiar with gambling income and self-employment to review uncertain classification and current-year rules. Federal guidance does not establish state or local outcomes, and your filing status, residence, activity pattern and documentation can change the answer.
