Outlook does not give every recipient the same view of your calendar. The permission you choose determines whether someone sees only occupied times, occupied times with titles and locations, or complete event information. Separate editor and delegate permissions let people change appointments or act on your behalf. Private events normally remain opaque, and Scheduling Assistant shows availability rather than the underlying calendar entries.
What each Outlook calendar permission reveals
When you share a calendar by invitation, Outlook offers view-only levels and broader working access. The labels can differ slightly between Outlook for Microsoft 365, Outlook 2024 or 2021, Outlook on the web, and Outlook.com, but the distinctions are consistent.

Busy-only sharing
The “Can view when I’m busy” choice is the narrowest useful setting for ordinary coordination. A recipient can identify open and occupied periods, but cannot read the subject, location, notes, attendees, or other fields on the event. This is generally the right level when someone only needs to propose a time.
Titles and locations
“Can view titles and locations” adds the event name and location to the availability view. It still prevents the recipient from changing your calendar. Details such as descriptions, attachments, and other private fields remain outside this view.

All details without editing
“Can view all details” is a read-only window into the calendar. The recipient can inspect the information Outlook makes available for ordinary events but cannot move, delete, or create items. A Private appointment is a separate privacy case and is not automatically opened by this permission.
Edit access
An editor can create, change, move, and delete calendar items according to the account and folder permissions. Edit access by itself does not make that person your meeting representative: the ability to send or answer invitations for you belongs to delegate access.
Delegate access
A delegate combines editing with administrative meeting work. Delegates can schedule meetings and respond to meeting requests on the owner’s behalf. Outlook treats visibility into private events as an additional choice, so a delegate may have broad access while still being unable to read private appointments until “Let delegate view private events” (or equivalent wording) is enabled.
How availability status is represented
Every calendar item has a “Show as” state. Outlook and Outlook on the web commonly offer Free, Working elsewhere, Tentative, Busy, and Away. Scheduling Assistant uses these states as signals when it lays out a meeting’s possible times.

- Free: the period is presented as available.
- Working elsewhere: you are working away from the normal office or location; it is not the same as a guaranteed appointment.
- Tentative: the time may be committed, but the commitment is not final.
- Busy: the period is occupied on the calendar.
- Away: Outlook marks you as unavailable because of an absence or similar status.
These labels describe the signal sent to scheduling tools, not a promise about what you can physically do. Someone marked Busy might still be able to accept an urgent call, while Working elsewhere does not mean the person is free.
What Scheduling Assistant shows
Scheduling Assistant is an availability grid for selecting a meeting time. For supported work or school accounts, it normally displays each attendee’s free, busy, tentative, working-elsewhere, or away blocks. It does not inherently reveal the event subject, location, description, or attachments behind those blocks.
When an attendee’s availability is available
People in the same organization usually have free/busy lookup through the organization’s directory and calendar service. Someone outside the organization is not visible by default. An administrator must configure cross-organization calendar sharing before Outlook can retrieve that person’s availability, and the external organization must permit the exchange as well.
The account used in the meeting’s From field also matters. Creating a meeting from an unrelated personal address instead of the work or school account can prevent Outlook from finding organizational free/busy data. A large attendee list or distribution list can also exceed service limits; if the grid is incomplete, test the same meeting with a smaller group.

How to share a calendar
The exact buttons vary by Outlook edition and whether the account is Microsoft 365, Outlook.com, or another connected service. Look for the permission names above rather than relying on a particular icon.
- Open Calendar and select the calendar you own or are allowed to share.
- Choose Share, Share calendar, or Calendar permissions. In Outlook on the web, this is normally available from the calendar’s three-dot menu; in desktop Outlook, open the Calendar view and use the calendar’s sharing command.
- Enter the recipient’s name or email address. Sharing may work with people inside or outside your organization only when the account and administrator policy permit it.
- Select the least-permissive level that meets the task: busy only, titles and locations, all details, edit, or delegate.
- If you are assigning a delegate, review the separate option governing private events before enabling it.
- Send the invitation. The recipient must accept it before the shared calendar is added to their calendar list.
If the Share control is missing, greyed out, or limited to certain people, your organization may have disabled calendar sharing. An administrator can also restrict which permission levels are offered.
Private events: what is hidden and what remains visible
Marking an item Private normally hides its subject, location, notes, and other details from people who have ordinary shared-calendar access. They generally still see the occupied time, so the appointment does not disappear from the availability grid. This behavior lets colleagues avoid double-booking without exposing the reason for the block.
A delegate can be given explicit permission to view private events. Without that additional setting, even a delegate’s normal editing rights do not disclose the private fields. Treat the Private flag as a per-event safeguard, not as a replacement for choosing an appropriate sharing level for the whole calendar.

Connected personal calendars in a work account
Outlook can include a connected personal calendar in the availability view of a work or school account. Microsoft guidance says this inclusion is on by default when the personal calendar is added, although the user can turn it off.
When included, personal events appear to work colleagues only as a status such as Tentative, Busy, or Away. Their titles and locations are not sent, even if the personal item is public or the work calendar is shared at a higher detail level. Only events from the personal account’s primary calendar are included; events on secondary personal calendars are excluded.
This arrangement can make your work availability look occupied without exposing personal information. If those blocks should not influence colleagues’ scheduling, remove the connected calendar from the availability view or disable its inclusion in the account’s calendar settings.

Invitation-based sharing
An invitation-based share is permission-driven. The recipient accepts an invitation, and Outlook presents the calendar according to the level you selected. You can later change or remove that person’s permission, subject to account and organizational controls.
Published HTML and ICS calendars
Publishing creates two different link types when the service offers them. An HTML link lets someone view the calendar in a browser. An ICS link is a subscription feed that another calendar application can import and refresh.
An ICS feed is read-only. Giving someone edit permission on your Outlook calendar does not turn a published ICS subscription into an editable calendar. To let a person change items, use permission-based sharing instead of a published feed. Refresh timing for an ICS subscription depends on the recipient’s email or calendar provider, so a change may not appear immediately.
Troubleshooting common availability and privacy problems
The recipient sees only “Busy”
Check whether you granted “Can view when I’m busy.” If the permission is higher, inspect the particular appointment: a Private item normally exposes only its occupied time. Also confirm that the recipient accepted the latest sharing invitation rather than an older one.

Free/busy is missing for an attendee
- Confirm the attendee belongs to your organization, or ask the administrator whether cross-organization sharing has been configured.
- Check that the meeting is being sent from the correct organizational account, not an unrelated personal address.
- Try a smaller attendee set if a distribution list or large meeting produces an incomplete grid.
- Verify that the attendee’s service and account type support free/busy lookup; consumer and business accounts do not always expose the same data.
Sharing is unavailable
A tenant or account administrator may have blocked calendar sharing. There is no client-side setting that overrides such a policy; the administrator must allow the feature or provide an approved alternative.
The recipient cannot edit a published calendar
That is expected for an ICS subscription. Replace the feed with an invitation-based share and assign Edit permission if the person needs to create or change appointments.
A delegate cannot read a private appointment
Open the owner’s delegate settings and enable the separate permission to view private events, if policy allows it. Otherwise, the delegate will continue to see the time block without its private fields.
