OCR, or optical character recognition, is the step that converts letter shapes in a camera image into characters an app can index. On an iPhone, you can either insert the recognized words as editable text with Notes’ Scan Text, or preserve the page as a PDF with Scan Documents. Apple says Notes search can find text in scanned documents, while Live Text is intended for selecting and acting on text visible in the Camera, photos, or video.
The right workflow depends on your goal: choose Scan Text when you need editable words, Scan Documents when the page layout matters, and Live Text when you only need to copy, translate, share, or search a short piece of text.

What happens between the camera image and a search result
A paper page is initially only pixels. The iPhone camera captures those pixels, detects likely text or page boundaries, and presents an action based on the feature you chose. With Scan Text, you select recognized characters and insert them into a note. With Scan Documents, the app keeps the page image in a PDF and Apple says Notes can search text in that scanned document.
That is the user-visible OCR chain: image capture, recognition, selection or page capture, storage, and indexing. Apple’s user guides describe the results and controls, but they do not establish whether recognition runs on the device or in the cloud, how confidence scores are calculated, which preprocessing stages are used, or an accuracy percentage. Those implementation details should not be inferred from the controls shown in the apps.

Searchability also depends on where the result is stored. Text inserted directly into a note behaves like ordinary note text. A PDF scanned into a note remains a page-preserving document, but Notes can still include text from scanned documents in search results. A Live Text selection is an interaction with visible content rather than the same saved-document workflow.
Choose the iPhone workflow that matches your result

Apple’s detailed Notes instructions are in Scan text and documents in Notes using the iPhone camera. Its search guide explains attachment searching and locked-note behavior at Search through your notes on iPhone.
Insert recognized words directly into a note with Scan Text
Use this option when the words matter more than a photographic copy of the page. The result is editable note content, so you can correct a name, add a heading, or combine the extracted words with your own writing.

- Tap the attachment control, then choose Scan Text.
- Point the iPhone camera at the printed or displayed text. Wait for the text-recognition interface to identify the words.
- Use the selection handles to choose the passage you want. You do not have to insert every recognized word in the camera view.
- Tap Insert. The selected recognition is placed in the note as text that you can edit, move, and search.
This is the shortest route from a page to searchable characters because the destination is ordinary note text rather than a separate attachment. The Notes guide says the feature supports selected languages, but the cited instruction does not provide a complete language inventory. If recognition is unavailable for the language in your image, use the document-preserving scan as a visual record and verify the text manually before relying on it.

When Scan Text is the better choice
- You need to quote or edit a paragraph.
- You want extracted words alongside your own notes.
- You need a small portion of a larger page rather than a complete page image.
- You want search to match the inserted characters as note text.
Save a page-preserving PDF with Scan Documents
Choose Scan Documents when retaining the page’s visual arrangement is important or when several pages belong together. Notes can capture a sequence of pages and save the resulting document as a PDF inside the note.
- In Notes, open or create the destination note.
- Tap the attachment control and select Scan Documents.
- Hold the page in the camera view. Apple describes automatic capture when the app detects page boundaries.
- If automatic capture does not suit the situation, use manual capture instead.
- Review the captured page. Adjust the page corners so the document edges match the paper, then keep the scan.
- Continue capturing additional pages when needed.
- Tap Done. Notes saves the document as a PDF in the note.
The corner adjustment matters because the PDF is meant to represent the page, not just a rectangular camera frame. Review every page before finishing, especially when a corner is close to the edge of the image or when a page was angled in the viewfinder.
What this PDF gives you
The PDF preserves a page-oriented record that is easier to read as a document and keeps multiple pages together. It is different from Scan Text: you are not inserting a selected paragraph into the note’s editable body. Instead, you are storing a document attachment whose recognized content can be included when Notes performs a search.
Search words inside a scanned document in Notes
After Scan Documents has saved the PDF, use Notes search rather than assuming that searching only the note’s typed body will inspect every attachment.

- Open Notes and use the main search field to enter a distinctive word or phrase from the scanned page.
- To search within one note, open that note and use Find in Note.
- For a PDF or another attachment, enable Include Attachments.
- Review the matching note or attachment result and open it to check the page in context.
Apple explicitly documents that Notes search includes text in scanned documents. Its search instructions also state that, for a locked note, only the note title appears in search results. Therefore a locked note can prevent the page’s words from being discoverable even when the PDF itself is present.
Search problems and the corresponding check
- The note appears, but a word in its PDF does not: open Find in Note and confirm that Include Attachments is selected.
- A locked note returns only its title: this is the documented locked-note limitation; the title is searchable, while the note’s contents are not exposed in results.
- A short word produces unexpected matches: try a more distinctive phrase from the page and inspect the result visually rather than assuming every match identifies the intended line.
- The scan is readable as an image but a query finds nothing: verify that the item is the Notes Scan Documents PDF and that you are searching in Notes. Apple’s Preview instructions do not establish the same Notes indexing behavior for PDFs created there.
Use Live Text for immediate actions, not as a replacement for a saved scan
Live Text recognizes text that is currently visible in the Camera, in a photo, or in a video. In Camera, wait for the detected-text control, tap it, select the words, and choose an action such as Copy, Translate, Share, or Search Web. In Photos, open the image and select the detected text; in video, pause on a frame before selecting it.
Apple’s guides for these interactions are Use Live Text with your iPhone camera and Interact with content in a photo or video on iPhone. The Camera setting is at Settings > Camera > Show Detected Text, according to Apple’s Camera guide.

It is not the same as creating a Notes PDF and does not, by itself, document a workflow for saving a page-preserving scan whose words will later be indexed in Notes. If you need a durable, searchable record, use Scan Text or Scan Documents and store the result deliberately.

Live Text availability
Apple warns that Live Text is not available in every region or language. The Scan Text guide likewise refers to supported languages without listing all of them in the cited instructions. Availability can therefore vary with the iPhone’s language and region settings; do not treat a missing Live Text control as proof that the camera or document is defective.

Preview on iPhone can scan one or more pages into a PDF and provides controls to crop, rotate, and adjust coloring. Apple’s instructions are at Scan text and documents in Preview on iPhone.
Preview is a sensible choice when your immediate requirement is a PDF that needs page adjustments. However, the cited Preview guide does not say that a PDF created there will be indexed by Notes search. Separate the two questions: can the app create and edit the PDF, and does the destination app document text indexing for that file? The Notes documentation establishes that behavior for scanned documents saved in Notes, not for every PDF made elsewhere.

Choose Scan Text when content is the priority
Scan Text is appropriate for meeting notes, quotations, addresses, short labels, and any passage you expect to revise. Its output enters the note as characters, so you can correct recognition mistakes and search those characters with the same tools used for other note text.
Choose Scan Documents when evidence and layout are the priority
Scan Documents is appropriate for receipts, forms, multi-page handouts, signed pages, and records whose visual arrangement matters. The PDF keeps the pages together, and Apple says Notes search includes text in scanned documents. Search the attachment explicitly when working inside a note.
Choose Live Text when no saved record is needed
Live Text is appropriate for copying a phone number from a sign, translating a menu, sharing a line from a poster, or sending selected words to a web search. It avoids creating a document, but it should not be mistaken for the Notes storage and indexing flow.
Limits you should account for
- Recognition is not guaranteed for every language: Scan Text refers to supported languages, and Apple says Live Text availability varies by region and language.
- A scan’s visual quality is not an accuracy percentage: Apple’s cited guides provide no measured OCR accuracy figure, so there is no documented rate to apply to your particular pages.
- Locked notes restrict discovery: Apple says only the title of a locked note appears in search results.
- Attachment search must be enabled in context: use Find in Note and select Include Attachments when searching a PDF or another attachment.
- Creation and indexing are separate claims: Preview can create a PDF, but its cited instructions do not promise Notes-style indexing for that PDF.
- No separate scanner is required for the built-in workflow: Apple’s documented Notes and Preview procedures use the iPhone camera and app controls.
A practical decision sequence
- Decide whether you need editable words, a page-faithful record, or a one-time action.
- For editable words, use Notes > attachment control > Scan Text, select the passage, and tap Insert.
- For a page-faithful record, use Notes > attachment control > Scan Documents, check corners, capture all pages, and tap Done.
- For a quick copy, translation, share, or web search, use Live Text in Camera, Photos, or video.
- When searching a Notes PDF, use Find in Note and enable Include Attachments.
- If a note is locked, expect only its title to appear in search results.
- If you need a PDF with crop, rotation, or color adjustments and do not need the documented Notes workflow, create it in Preview.
