Properties hold typed facts such as status or a review date; tags classify notes for broad filtering; links express relationships between notes, files, headings, and blocks. Automation becomes dependable when those roles are separated, YAML is valid, field names and values are consistent, and every script or view is tested against the behavior of your installed Obsidian version.
The three metadata roles at a glance
These features are complementary, not competing filing systems. A useful mental model is to treat a note as a record with three layers: structured fields, classifications, and relationships.

For example, a project note might have a property saying its status is active, a tag such as #work, and a link to an index note. The first is a predictable value for a workflow; the second is a broad category; the third is a navigable connection.

Obsidian stores properties as YAML frontmatter at the beginning of a Markdown file. Property names are unique within a note. Obsidian documents text, list, number, checkbox, date, date-time, and the special tags property type. Once a type is assigned to a property name, that type is intended to apply consistently across the vault, so changing a field from a date in one note to free text in another can make filtering and automation unreliable.

Choose properties for facts that need predictable values
Use a property when an automation needs to compare, sort, validate, or update a value. Typical examples are status: active, reviewed: 2026-10-13, a numeric priority, or a checkbox such as archived: false. A property can also hold a list, which is useful for several sources or related notes.
Keep the YAML valid
YAML is sensitive to indentation, punctuation, and duplicate keys. A malformed frontmatter block can prevent a value from being read as intended. Internal links in YAML should be quoted. Obsidian automatically quotes manually entered links, but templates and external generators need to do this explicitly. Avoid creating the same key twice in one frontmatter block; a template should merge with existing properties rather than blindly emitting duplicate entries.
Know the normal interface’s limits
Obsidian’s regular Properties interface does not provide nested-property editing or general bulk editing. For a large migration, use a controlled script or a community plugin, then inspect the resulting Markdown. Treat the interface limitation as a design constraint: define a small schema first and make any bulk operation reversible.
Tags: broad classification, not a substitute for fields
Tags classify notes. They may be written in the body as hashtags, such as #work, or stored in the special tags property, which is a list. Bases exposes file.tags as the tags found in both content and frontmatter.
A hashtag inside ordinary text is not automatically a tag property
A value such as topic: #work in an ordinary text property is still text; the hashtag does not turn that property into a tag. If a workflow needs a real tag, put it in note content or use the special tags property. This distinction matters when a view or script reads the tag index instead of scanning arbitrary text.

Use tags for grouping and properties for precise state
Tags are effective as a broad filter: all notes tagged work, reading, or project can be collected without requiring every note to share a large set of fields. Properties are better for values whose meaning must remain stable, such as a controlled status vocabulary or a date. This division is a practical design choice, not a taxonomy mandated by Obsidian. You can use either surface where it fits, but document the choice so automations do not look in two places for the same concept.
Links: relationships between notes and files
Links state how one piece of information relates to another. Obsidian supports Wikilinks such as [[Three laws of motion]] and Markdown links such as [Three laws of motion](Three%20laws%20of%20motion.md). Links can target a note, a heading, or a block. Obsidian’s documentation describes the result plainly: “By linking notes, you can create a network of knowledge.”

Links can live in the body or in properties
A link in the note body is easy for a reader to follow. A link in a property makes the relationship available as structured metadata for a view or script. In YAML, quote a Wikilink value:
related: "[[Project A]]"For several relationships, use a list and quote each link. Quoting prevents YAML from interpreting the brackets as syntax and makes the intended value unambiguous.
Do not confuse a link with a label
A tag answers “what class does this note belong to?” A link answers “what other item is this connected to?” A property can hold a link when the relationship has a defined role, such as source, parent, or related. Avoid encoding a relationship only as a tag; a tag cannot identify a specific destination note.

The important part is not these exact names. It is that every note using the schema uses the same spelling, value type, date format, and relationship convention. If another note uses state instead of status, a view must account for both names or one note will disappear from the intended result.
How Bases brings the metadata together
Bases provides views that can display and filter note properties alongside file-level information. Its syntax distinguishes note properties from file properties. Among the file fields are file.links, which includes internal links including those in frontmatter, and file.tags, which includes tags in content and frontmatter.
Use note fields for structured filters
A project view can filter a note property such as status, show its reviewed date, and sort by another typed field. Because these are properties, the view can treat a date as a date and a checkbox as a boolean rather than parsing prose.
Use file fields for relationships and classification
The same view can display file.tags to group broad categories and file.links to reveal connected notes. This is especially useful when links or tags are split between frontmatter and the body. Bases can expose both sources without requiring you to duplicate every value in a property.

Test refresh behavior in the target vault
Documentation describes the available fields, but it does not promise that every third-party workflow refreshes data in exactly the same way. Create a test note, change one property, add one body tag, and add one frontmatter link. Confirm when the view reflects each change before relying on it for a dashboard or an automated action.
Designing an automated vault step by step
- Define the meaning of each surface. Write down which concepts are fields, which are classifications, and which are relationships. For example, make
statusa property,worka tag, andProject Indexa link. - Choose canonical names and values. Decide whether the field is
statusorstate, whether the value isactiveorin-progress, and which date format you will use. Keep the decision in a short schema document inside the vault. - Assign a property type before mass creation. A date should be a date everywhere; a list should not become a comma-separated text string in some notes. Consistent types make searches and Bases filters predictable.
- Build a template with valid frontmatter. Include only the fields a note needs. Ensure internal links are quoted and that the template will merge with existing properties without emitting duplicate YAML keys.
- Create a controlled test note. Test a normal value, an empty value, a list, a tag in content, a tag in frontmatter, and a quoted link. Open the Markdown source to verify what was actually written.
- Construct the view or script. Use note properties for exact filters and
file.tags/file.linkswhen you need tags and links from both body and frontmatter. - Run automation on a copy first. Export or duplicate a small set of notes, execute the operation, and compare frontmatter before and after. Keep a backup before any bulk edit.
- Verify the result as a reader. Open links, inspect displayed dates and checkboxes, and confirm that a note with a body tag is found where expected. A script that writes valid YAML can still encode the wrong business meaning.
CLI automation: what the supported surface covers
The official Obsidian CLI documents commands to list properties and tags, read or set a property on a file, remove a property, and search the vault. That is enough to build inspection and maintenance scripts: enumerate existing field names, find notes with a particular tag, update a controlled field, or remove a deprecated key.
CLI syntax and availability are version-sensitive. Use the help output for the installed application and confirm command names and arguments against a copy or a controlled test note. The documentation describes capabilities; it does not validate an end-to-end script for your vault or guarantee that a third-party automation layer handles errors correctly.
Safe CLI practices
- Start with read-only listing and search operations.
- Log the file path, old value, and new value for every mutation.
- Limit writes to a known folder or an explicit file list.
- Check that the resulting YAML parses and that links remain quoted.
- Make the operation rerunnable without creating duplicate keys or duplicate list entries.
Obsidian URI for cross-app workflows
Obsidian URI is a separate integration path. Its new action can create a note, while open can navigate to a note or vault. The documented prepend and append parameters add content and attempt to merge properties. URI values must be properly encoded, especially when they contain spaces, brackets, line breaks, or other reserved characters.
Use URI when another application needs to launch Obsidian or populate a note, not as a general-purpose database transaction. An external caller may not receive a useful error for every malformed value, and the merge behavior should be tested with the exact frontmatter you intend to send.
Templates and property merging
Templates provide repeatable structure. Obsidian merges template properties with properties already present in a note, which lets a template add expected fields without replacing everything. The merge is not a reason to duplicate keys: keep one canonical definition for each field and decide how an existing value should be treated before applying a template repeatedly.
When a template inserts an internal link into frontmatter, quote the value explicitly. Manually entered links are automatically quoted by Obsidian, but templating plugins require care. After changing a template, test it on a disposable note and inspect the raw Markdown.
Common failure modes and fixes
A filter misses notes that visibly contain a hashtag
Check whether the hashtag is inside ordinary text or an unrelated text property. Move it into note content as a tag or add it to the special tags list. Then confirm that the view is reading file.tags rather than a custom text field.
A link appears as plain text or breaks a view
Inspect the YAML. A Wikilink stored in a text or list property should be quoted, for example "[[Project A]]". Also verify that the target note name, heading, or block reference is valid.
Only some notes appear in a property-based dashboard
Look for spelling and type drift: status versus state, active versus Active, or a date stored as prose. Standardize the schema, then update the affected notes with a controlled script or manual edit.
A bulk edit produces unexpected YAML
Restore the backup, reduce the operation to one test note, and inspect indentation, quoting, duplicate keys, and list formatting. The normal Properties interface does not support general bulk editing, so scripts and plugins must be treated as migrations with logging and rollback.
A Bases view does not refresh as expected
Change one known property, one body tag, and one frontmatter link separately. Wait for the view to refresh, reopen it if necessary, and test the same workflow in the vault where the automation will run. Do not assume that a third-party integration observes changes on the same schedule as Obsidian itself.

- Use properties for facts that need a type, comparison, or update.
- Use tags for broad, reusable classification.
- Use links for named relationships and navigation.
- Keep field names, value spellings, and date formats consistent.
- Quote internal links in YAML text and list values.
- Prefer one source of truth for each concept; do not make a tag and a property carry the same status unless a documented synchronization process exists.
- Test templates, Bases views, CLI operations, and URI calls on a copy before applying them across the vault.
- Check the current documentation for the installed version, particularly for CLI syntax and feature availability.
With those boundaries, an automated vault can use all three features without forcing one to behave like another: properties make metadata computable, tags make classification discoverable, and links make the knowledge network navigable.
