How New Jersey Businesses Can Manage Cash Flow When Customers Pay Late

When a customer pays late, the fastest way to protect your business is to make the cash gap visible, pursue the receivable consistently, and adjust outgoing payments carefully. Borrowing can bridge a mismatch, but compare its full cost and repayment demands against your actual forecast before committing.

How do I see the cash gap before it becomes a crisis?

Start with a short-term cash view that puts money available beside money expected and money due. A business can report a sale as income before the customer pays, so accounting profit does not guarantee cash to cover payroll, rent, or suppliers. The U.S. Small Business Administration explains the difference between accrual and cash accounting and recommends keeping track of accounts receivable, accounts payable, available cash, and bank reconciliations in its business-management guidance.

  • Cash currently available in business accounts.
  • Each unpaid invoice, its amount, agreed due date, and realistic expected payment date.
  • Essential bills and their actual due dates, including payroll, taxes, rent, utilities, and critical suppliers.
  • Discretionary or deferrable spending that could be paused or rescheduled.

Update the forecast regularly and compare expected receipts and payments with what actually clears. If a customer slips past the expected date, revise the forecast promptly rather than treating the original date as cash in hand.

What can I do about overdue invoices?

Make the invoice easy to approve and pay

Send a complete invoice as soon as the contract allows. Confirm the billing contact, purchase-order number and submission requirements, and state the agreed due date and payment method. Keep the invoice, proof of delivery or completion, and relevant customer communications together. The SBA recommends prompt invoicing and a consistent follow-up system in its working-capital guidance.

Use a repeatable follow-up routine

Track invoices by due date in a receivables aging list or calendar. Send a courteous reminder as the due date approaches, then follow up after it passes. Ask whether the invoice is approved, whether any documentation is missing, and when payment is scheduled. Note the date, contact, and response so another team member can pick up the thread if needed.

Reduce exposure on future work

For a customer with a pattern of late payment, discuss a deposit, milestone billing, shorter payment terms, or pausing additional work until the account is current. These are options to agree on for future work, subject to the contract; do not assume you can change an existing invoice’s terms unilaterally. The SBA also identifies deposits and customer credit checks as possible ways to manage payment risk.

How can I manage bills while waiting for customers?

Review outgoing cash by urgency. Protect obligations that keep the business operating and meet legal or contractual duties; identify discretionary purchases or expenses that can be delayed. Contact suppliers early to ask whether payment terms can be aligned with your collection cycle. The SBA describes supplier Net 30 or longer terms as a way to keep cash in the business longer, but base any arrangement on the supplier’s agreement and the actual due dates.

Before rescheduling a payment, check for late fees and consider the effect on an essential supplier relationship. Update the cash forecast to reflect any agreed change; do not count a supplier extension until it has been confirmed.

When should I compare financing options?

Consider financing only after you have a clear estimate of the timing gap and have worked the receivable and expense timing. A loan or invoice advance may provide cash sooner, but it adds cost, eligibility conditions, and a repayment obligation. Compare written offers rather than relying on a headline rate or promised advance.

Option How it may help What to check
Invoice or accounts-receivable financing May advance funds against unpaid invoices, potentially bridging the wait for customer payment. Fees and total dollar cost; whether repayment is required if the customer does not pay (recourse); collateral or personal guarantees; advance amount; repayment timing; and whether the lender considers your business or your customer’s credit. The SBA describes this as a possible working-capital option, not a uniform-priced product.
Bank or credit-union financing May provide working capital subject to the lender’s product and qualification rules. Eligibility, funding timing, full cost, security or guarantees, payment amount and frequency, and the impact on future cash flow. The SBA notes that alternative lenders typically charge more than banks or credit unions; actual offers vary.
Community or nonprofit lender, including a CDFI May offer smaller loans and technical assistance, according to Business.NJ.gov’s financing guidance. Compare the same written terms—total cost, repayment schedule, collateral, guarantees, timing, and any advisory support. The state cautions that some short-term for-profit loans carry extremely high rates and can worsen cash flow if repayment obligations are not understood.

For every option, put the proposed payment schedule into your cash forecast. Check the total dollars repaid, fees, effective rate, time to funding, required advance or loan amount, repayment frequency and term, recourse, collateral, and personal guarantees. A payment that arrives quickly can still make the next cash gap worse if repayments begin before customers pay.

Check the New Jersey Main Street Lenders Grant program

Business.NJ.gov’s program page, updated March 26, 2026, describes the Main Street Lenders Grant program as serving New Jersey businesses with fewer than 10 full-time employees and less than $1.5 million in annual revenue. The page lists loan amounts from $10,000 to $100,000, an interest-rate cap of 5%, and at least 12 months of payment deferral after closing; it also lists payroll, rent, utilities, inventory, and other operating costs as possible uses. These are the program-page terms on that date, not a promise of approval, lender quote, or continuing availability. Check the state program page and participating lender for current terms and eligibility.

Do New Jersey prompt-payment rules set the due date for every invoice?

No. Do not assume a New Jersey prompt-payment statute gives every private business-to-business invoice a particular due date. The New Jersey Department of Transportation’s vendor FAQ describes the Prompt Payment Law in covered construction contexts involving public and private owners paying contractors, and contractors paying subcontractors and material suppliers. It also describes interest after 30 days for agreements written after the law’s effective date and a 60-day prompt-payment rule for other invoices under N.J.S.A. 52:32-32 et seq. That agency FAQ also covers state vendor payment processes; it should not be read as setting a universal due date for all private invoices. Review the contract and seek legal advice about a specific payment dispute.

Where can a New Jersey owner get practical help?

Business.NJ.gov’s finance page describes lender and financing resources, including community and nonprofit options. The New Jersey Business Action Center also offers its New Jersey Small Business Manual as a free download and says one printed copy at a time can be requested at no cost.
