For a personal Microsoft account, the published cloud-storage allowance is 5 GB on the free tier, 100 GB with Microsoft 365 Basic and 1 TB with Microsoft 365 Personal. Family, Premium and Pro allowances now depend on when the subscription began and whether Microsoft has moved it to a shared pool. Your cloud total includes more than the files visible in your OneDrive folder, so check the allowance and usage shown for your own account before deciding that you have enough.
If you exceed the allowance, OneDrive stops accepting new uploads, edits and synchronization; existing files remain available but become read-only. Outlook.com mail flow and Teams messages with attachments can also be disrupted. Microsoft says a persistently over-limit OneDrive can be frozen after three months and may be deleted after six months, so treat an over-quota warning as a problem to fix rather than a harmless notification.

How much OneDrive storage does each consumer plan include?
Microsoft’s current consumer quota table, accessed October 9, 2026, lists these cloud-storage allowances. The figures apply to personal Microsoft accounts, not automatically to work or school tenants whose administrators set organization policies.

| Free Microsoft account | 5 GB | One personal account |
| Microsoft 365 Basic | 100 GB | One personal account |
| Microsoft 365 Personal | 1 TB | One personal account |
| Family, Premium or Pro started before October 6, 2026 | 1 TB per person | Individual allocation for each eligible person under the published legacy arrangement |
| New Family or Premium subscriptions from October 7, 2026 | 2 TB shared | A pool shared by the people covered by the subscription |
| New Pro subscriptions from October 7, 2026, and existing Pro subscriptions on Microsoft’s transition schedule | 5 TB shared | A pool shared by the people covered by the subscription |
Microsoft says existing Family and Premium subscribers move to shared storage when they renew from April 1, 2027. Existing Pro subscribers transition on November 1, 2027. The published table does not explain every possible subscription started on October 6, so verify the allowance displayed in your account rather than inferring it from the start date. Plan names, renewal treatment and quotas can change; the current figures and schedule are documented in Microsoft’s storage quotas guidance.

A shared pool is not the same as 1 TB that every member can use independently. All members’ usage is added together, and one person’s large photo or video library can reduce the space available to everyone else. Conversely, an individual allocation cannot normally be reassigned to another member simply because it is unused.
Microsoft 365 subscriptions also list a separate 100 GB Outlook.com mailbox quota. That mailbox limit covers email, attachments, inline images, calendar items, contacts and deleted messages. It is separate from the cloud-storage quota, although attachments and inline images can be counted in both systems.
What counts against your Microsoft cloud storage?
OneDrive’s visible file list is only part of the total. Microsoft’s storage accounting can include:
- Files and folders in OneDrive.
- Photos, including camera-roll uploads from a phone.
- Items in the OneDrive recycle bin.
- Outlook.com attachments and inline images.
- Microsoft Teams message attachments and recordings.
- Loop meeting notes and idea files.
- Images contained in Designer projects.
Because attachments can consume cloud storage while also consuming mailbox storage, deleting a large email attachment may improve one total without immediately resolving the other. Use the storage dashboard and the Outlook mailbox view together instead of estimating from the OneDrive folder alone. Microsoft explains the distinction and the included content in its storage FAQs.

How to check the quota that applies to your account
- Open the official storage page. Go to Microsoft storage quotas, sign in with the personal Microsoft account you use for OneDrive and open the storage-usage or account-dashboard link presented there.
- Record both numbers. Note the current cloud storage used and the allowance shown beside it. If the account is in a shared Family, Premium or Pro pool, record the pool total and each member’s contribution.
- Confirm the subscription and dates. Check whether the account is free, Basic, Personal, Family, Premium or Pro, when the current subscription began, and its next renewal date. This matters during the 2026–2027 transition to shared storage.
- Inspect the categories. Identify whether files, photos, recycle-bin items, Outlook content, Teams recordings, Loop material or Designer images are driving the total.
- Check mailbox storage separately. In Outlook.com, open the storage or mailbox settings page and compare its usage with the separate mailbox quota. A mailbox can be below its own limit while cloud storage is already over its allowance.
Work and school accounts can have a quota set by an organization. If your sign-in is managed by an employer or school, use the value shown in that tenant or ask its administrator; do not apply the personal-plan table automatically.
How to estimate how much space you actually need
The useful number is not today’s allowance minus today’s usage. It is your expected usage over the period you intend to keep the account. Use this simple planning equation:
Projected storage = current cloud usage + (average monthly growth × number of months) + planned one-time additions.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problemsMeasure your current baseline
Write down the dashboard total and the largest categories. A phone that uploads photos and videos continuously, a household sharing one pool, or Teams recordings retained for years can make growth much faster than ordinary document storage.

Calculate growth from your own history
Compare the dashboard total now with an earlier bill or screenshot, or check how many gigabytes your camera roll added over the last few months. Do not treat a single unusually large upload as a monthly average. If the account used 72 GB and has grown by 4 GB per month, an illustrative 12-month projection is 120 GB before any one-time additions; that would exceed a 100 GB allowance unless usage falls or capacity increases.
Leave room for normal variation
Keep headroom for vacations, device migrations, video projects and shared-member growth. A plan that is only a few gigabytes below its limit can become over quota after one phone backup or a large email attachment. For a shared pool, add each member’s projected growth rather than multiplying one person’s estimate.
Choose a planning horizon
Use at least the period until your next renewal when assessing a subscription, and use a longer horizon if you expect to keep the same account for several years. Recalculate after a cleanup, a new phone or a change in the number of people sharing the pool.
What happens when you exceed the storage quota?
| Service | Effect while cloud storage is over quota | Important consequence |
|---|---|---|
| OneDrive | New uploads, file edits and synchronization stop, including camera-roll uploads. | Existing files stay in the account but are read-only. Microsoft’s wording is: “Your existing files remain, but they’re read-only.” |
| Outlook.com | Sending and receiving may stop even when the mailbox itself is below its separate quota. | Incoming messages can be returned to the sender and must be sent again after the storage problem is cleared. |
| Microsoft Teams | Messages that contain attachments may fail to send or be received. | Text-only messaging is not a substitute for restoring the storage allowance when attachments are required. |
Read-only does not mean that the data has already been deleted. It means Microsoft blocks changes that would require additional cloud capacity. Clear enough space or restore an eligible allowance before relying on synchronization to resume.

How long can an over-quota OneDrive remain available?
Microsoft’s current guidance describes a conditional enforcement timeline:
- After three months: if you remain over the OneDrive storage limit, “your OneDrive account is frozen.”
- After six months: if you remain over the limit, “Microsoft might delete your OneDrive and all files in it. Deleted files can’t be recovered.”
The six-month outcome is not stated as an automatic deletion on a fixed date; Microsoft uses “might.” Nevertheless, an account that stays over quota should be treated as at risk. Keep an independent copy of irreplaceable files before deleting anything or waiting for enforcement.

Expiration is different from an overage caused by ordinary use, but it can create one. Microsoft says an expired Microsoft 365 account reverts to the free 5 GB cloud-storage allowance. If the account still contains more than that amount, the upload, edit and synchronization restrictions and the enforcement timeline described above apply. Microsoft documents the reversion and its consequences in What happens when your Microsoft 365 subscription expires.

How to get back under the limit
- Start with the storage dashboard. Sort or filter by size and identify duplicate videos, old device backups, abandoned shared folders and other content you no longer need.
- Delete deliberately. Remove files only after confirming that no device, family member or collaboration still depends on them. Deleting a local shortcut or unlinking a computer does not remove the cloud copy.
- Empty the OneDrive recycle bin. Recycle-bin items count toward cloud storage, so deleting files without emptying that bin may not lower the reported total.
- Review non-OneDrive categories. Check Outlook attachments and inline images, Teams recordings and attachments, Loop files and Designer project images. Remove or archive material according to your retention needs.
- Allow the total to update. Recheck the dashboard after deletion and synchronization finish. Do not assume that a file marked for deletion has already reduced the quota.
- Restore service and verify. Once usage is below the allowance, test a small OneDrive upload, an edit and a sync. Send a test message with an attachment only if Outlook or Teams was affected.
Copying files to a computer or another storage service can preserve an archive, but it does not increase the Microsoft quota. The cloud total falls only when the corresponding Microsoft content is deleted and the change is processed.
When should you pay for more storage?
| Situation | Most sensible first action | Why |
|---|---|---|
| Usage is comfortably below the allowance and growth is modest | Keep the current plan and monitor the dashboard periodically. | Additional capacity adds recurring cost without solving a current problem. |
| Usage is close to the limit and removable material exists | Clean large files, nonessential attachments and the recycle bin. | A one-time cleanup can restore headroom without changing the subscription. |
| Most content is necessary and projected growth will exceed the allowance | Compare an eligible Microsoft subscription or storage add-on in the account dashboard. | Recurring capacity is more reliable than repeatedly deleting needed files. |
| A household is using a Family, Premium or Pro pool | Review aggregate use and agree which member controls the subscription. | The pool is consumed jointly; adding capacity or reducing one member’s use affects everyone. |
| The account is work- or school-managed | Ask the administrator about the organization quota and approved upgrade path. | Consumer plans and personal add-ons may not be available or applicable. |
Compare the price shown for your region, the storage assignment (individual versus shared), renewal terms and any non-storage benefits you would actually use. Eligibility and account-holder control determine whether an add-on can be purchased. Microsoft’s storage guidance lists cleanup and additional subscription or storage options as remedies, but the exact offer and price should be verified while signed in.
Common situations and the right response
“My OneDrive says it is full, but I cannot see that much in the folder.”
Check the recycle bin, camera-roll photos, Outlook attachments, Teams recordings, Loop files and Designer images. Those categories can consume the same cloud total even when the main OneDrive folder looks small.
The Tool Desk
Outbyte PC Repair FREERepair Windows errors before they cause bigger problemsFix Now →Outbyte Driver Updater FREEFix the driver behind crashes, sound loss and screen glitchesFind Drivers →“My Outlook mailbox is below its limit, yet mail is bouncing.”
Cloud storage can be over quota independently of mailbox storage. Clear cloud content or restore the plan allowance, then ask senders to resend messages that were returned.
“My family has plenty of unused space, but one member is blocked.”
Confirm whether the subscription is still on individual allocations or has moved to a shared pool. Under a shared arrangement, only the remaining pool total matters; under an individual arrangement, another member’s unused allocation may not be transferable.
“I canceled and now files are read-only.”
Check the post-expiration allowance shown on the account. If the account reverted to 5 GB and usage is higher, reduce the total or obtain an eligible plan before expecting uploads, edits and synchronization to work again.
A practical decision checklist
- Identify whether the account is personal or organization-managed.
- Record the exact allowance, current usage and subscription dates shown in the dashboard.
- Include OneDrive files, photos, recycle-bin items and Microsoft app content in the estimate.
- Project growth from your own history, including every person sharing a pool.
- Clean up unnecessary data first and empty the recycle bin.
- Back up irreplaceable files before deletion or while an account is at risk of enforcement.
- Choose paid capacity only when necessary content and expected growth justify it, and verify eligibility and current terms in the account.
The safest approach is to manage the number displayed in Microsoft’s storage dashboard, not an estimate based on OneDrive folders alone. Keeping a buffer below that number prevents blocked syncing and gives you time to clean up or change plans before Microsoft’s freeze and possible-deletion policy becomes relevant.
