There is no single cloud-storage number that fits every computer. The right capacity is the size of the files and devices your backup service actually includes, plus space for versions or deleted files that it retains and the growth you expect before you review the plan again.
Start with data, not the capacity printed on your computer’s drive. Then check the service’s folder selection, device limits, exclusions, shared account quota and retention rules. A 5 GB sync allowance may be enough for a few documents, while a photo-and-video collection can require hundreds of gigabytes or terabytes. A local external drive can supplement cloud backup, but it does not increase your cloud quota.

The capacity formula that works
Use this planning model:
Required cloud capacity = data in scope now + retained versions and deleted files + expected growth + other data sharing the same quota.

Scan for outdated or missing drivers - takes under a minuteDriver Scan →Clear out junk files and repair common Windows errorsFree Scan →The terms matter. “Data in scope” is not necessarily every byte on the computer. A backup client may include selected folders, exclude certain file types, or ignore network-mounted drives. “Retained versions” depends on how the provider stores historical copies. “Other data” can include synced folders, photos, mail, or phone and tablet backups using the same account.

The result is a planning figure, not a guarantee. Microsoft says its own backup calculator for Microsoft 365 tenant backup is an estimate because growth and churn change storage use. That warning applies to the method here as well, although the Microsoft calculator is for tenant backup rather than a consumer PC formula.
Measure what will actually be protected
1. Inventory every computer and storage location
List each computer, internal drive, removable drive and folder you intend to protect. Record the service’s actual scope for each one. A desktop and a laptop may use different selected folders, and a second internal drive may not be included automatically.
Do not use the advertised drive capacity as your starting point. A “1 TB” drive might contain 180 GB of operating-system files and applications, 260 GB of documents and 420 GB of media, with the remainder free. If the service backs up only the documents and media folders, the relevant starting size is 680 GB, not 1 TB.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problems2. Read the inclusion and exclusion rules
Windows Backup sends the folders you select to OneDrive. Microsoft describes it as syncing specified folders to your OneDrive account so they are available on other computers using that Microsoft account. This is different from an image of every Windows system file.
Apple’s iCloud storage can hold files, photos and iPhone or iPad backups. A dedicated computer-backup client may choose a broader or narrower set of files. Confirm whether applications, system folders, external disks, network shares, virtual-machine images and large media files are included.
For example, Backblaze’s computer-backup documentation says network-mounted drives and certain file types are excluded. It also says the service mirrors files on a computer rather than acting as an additional storage drive. Those details change the amount you need and what you can restore.
3. Record used bytes, not free space
Use your operating system’s storage view or folder properties to total the folders that are in scope. Keep a separate list for each device so you can identify which computer is responsible for future growth. If a folder contains temporary exports, caches or duplicate installers, decide whether those items need protection before counting them.

Account for history and future growth
Version history and deleted files
Many services keep older versions or deleted files so you can recover from an accidental edit, ransomware event or mistaken deletion. Historical copies can make storage use considerably larger than the current file set, but there is no reliable universal multiplier. A frequently edited project can produce more retained data than a mostly static archive.
Backblaze documents 30 days of version history by default and offers longer-retention options. A longer history can require a different plan or more capacity. Other services use different retention windows, so read the current terms for the exact product you are considering.
Expected growth
Add the material you expect to create before the next capacity review. Camera footage, game captures, design files, virtual machines and raw video can grow quickly. Write the allowance as a dated planning assumption rather than pretending it is permanent. For instance, if 680 GB is in scope today and you expect another 120 GB over the coming year, your pre-retention planning total is 800 GB.
Do not silently apply a “double it” rule. If you need longer history, a larger growth allowance or an additional device, state those assumptions and recalculate when your usage changes.

A plan can look large until other account data consumes the same allowance. Windows Backup uses OneDrive storage, and Microsoft warns that insufficient OneDrive space can stop folder backup. Count existing OneDrive files, shared folders that are copied into your account and any other Microsoft account data that draws from that quota.
Apple presents iCloud storage as a shared pool for photos, files and device backups. If you already back up an iPhone or iPad, reserve that usage before sizing computer files. A computer estimate that ignores those devices can leave too little space even when the computer itself fits.
When a service reports a quota, compare your total account usage with the quota, not just the new computer folder. Leave room for ordinary changes; a quota that is exactly equal to today’s file total can fail as soon as a version or new photo is added.

Current plan models and what they imply
These examples illustrate different product designs. They are capacities or policies described by the vendors, not recommendations for how much a typical person needs.
| Service model | Published capacity or policy | What to verify before sizing |
|---|---|---|
| Microsoft account with OneDrive and Windows Backup | 5 GB of OneDrive storage is included with a personal Microsoft account | Which folders are selected, what else uses the OneDrive quota, and whether the account has enough free space |
| Apple iCloud+ | 50 GB, 200 GB, 2 TB, 6 TB and 12 TB tiers are listed | Computer files, photos and iPhone/iPad backups share storage; confirm the current regional plan terms |
| Backblaze computer backup | Advertised as unlimited data backup; 30 days of version history by default | Excluded file types, network-mounted drives, device scope, retention option and the statement that it is not additional storage |
| Carbonite personal Safe plans | Its comparison chart lists unlimited storage for three personal Safe plans | Exact plan scope, included devices, retention and current terms; Safe Pro plans list 250 GB or 500 GB allocations |
“Unlimited” does not remove the need to read the terms. Exclusions, device limits, retention and the difference between backup and sync still determine whether the service protects what you care about. Product capacities, plan names and policies can change, so verify the live documentation when you subscribe.
Worked sizing examples
A document-focused laptop
Suppose the selected Documents and Desktop folders total 18 GB, with 4 GB of existing account data sharing the quota. You expect 8 GB of new work files over the next year. Your planning total before historical versions is 30 GB. A 5 GB allowance cannot cover that scope; a plan with at least 30 GB of available space would still need room for any versions or deleted-file retention.
A family photo and video collection
Imagine two computers contribute 420 GB of photos and 260 GB of video, while an iPhone backup and existing cloud files use another 90 GB. The shared pool already needs 770 GB before future imports or retained versions. A 200 GB tier is structurally too small, regardless of how much free space appears on either computer.
A workstation with a large project archive
A workstation might contain 1.4 TB of active design files plus 600 GB of older project material. If the service excludes a network-mounted archive, only the active files belong in the cloud estimate; if the archive must be protected, it needs a service and plan that include that location. Do not pay for a larger quota while assuming an excluded drive is covered.
Cloud backup versus a local external drive
Cloud and local copies solve different problems. Cloud storage provides an off-site recovery copy, while an external drive can make a large first backup or restore faster and can avoid uploading every byte over a slow connection.
Microsoft’s Windows backup comparison says external or network drives may be best when you need to store large files or a large number of files. That advice is about choosing a backup location, not about adding cloud capacity. A local drive does not increase a OneDrive, iCloud or other cloud quota.

- Use cloud storage when you need protection from theft, fire or a failure affecting the computer and the drive in the same place.
- Add an external drive when the collection is large, the internet connection is limited or a fast local restore matters.
- Keep the external drive disconnected when it is not backing up if ransomware protection is a priority.
- Check the drive periodically by opening restored files; a drive that cannot be read is not a usable backup.
Upload time and recurring cost are part of the decision
Large files or many files can take longer to upload, and Microsoft notes that storing large amounts in the cloud may cost more. A capacity calculation that fits on paper may still be impractical if the initial upload saturates a slow connection for weeks.
Estimate the first upload from your measured data and your real upstream speed, then allow for interruptions and daily changes. Schedule uploads outside busy hours if the service supports it. For a multi-terabyte media archive, seed the most important folders first and keep a local copy while the cloud copy is completing.
Recurring cost is not just the headline quota. Compare the amount of data covered, the number of devices, retention options and any account storage shared with other services. Recheck those terms before renewal because prices and tiers change.
A practical selection checklist
- List devices and folders. Write down every computer, internal drive and removable location you want protected.
- Measure current use. Total the used bytes in the folders the service actually includes.
- Confirm exclusions. Check network drives, file types, system folders, external disks and device limits.
- Identify shared usage. Add existing cloud files, photo libraries and phone or tablet backups using the same quota.
- Choose a retention assumption. Record the provider’s default version and deleted-file period and the effect of any longer option.
- Add growth. Use a realistic, dated allowance for new photos, video, projects and other large files.
- Compare plans. Match the resulting scope with the actual quota or with the terms of an unlimited plan.
- Test recovery. Restore a sample document, photo and large file before trusting the service with irreplaceable data.
Common sizing mistakes and fixes
Buying space equal to the computer’s drive capacity
Problem: The drive is only partly used, or the service backs up selected folders rather than the whole device.
Fix: Measure included folders and drives, then verify the result in the provider’s backup-selection screen.
Ignoring history
Problem: The current copy fits, but versions and deleted files consume the remaining quota.

Fix: Read the retention policy, choose the history you need and leave headroom for that policy.

Confusing sync with backup
Problem: A synced deletion or change propagates to other devices, or system files and applications were never included.
Fix: Confirm whether the product is selected-folder sync, device backup or a full-computer backup, and understand how deletion and version recovery work.
Assuming an external drive is covered
Problem: A large USB or network drive is outside the service’s scope.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Fix: Check drive exclusions explicitly and maintain a separate local or cloud plan for that data.
Using an “unlimited” label as the whole evaluation
Problem: Unlimited capacity does not mean unlimited devices, every drive or indefinite history.
Fix: Compare exclusions, device scope, retention and restore behavior alongside the capacity claim.
How to know your estimate is still valid
Review the estimate after adding a computer, moving a photo library, changing retention or using a new phone-backup feature. Watch the provider’s usage meter for several weeks after setup; it reveals how versions and shared data behave in practice. If the meter rises faster than your growth allowance, identify the folder or retention rule responsible before buying more space.
Windows 10 support ended on October 14, 2025. If you are planning a Windows backup on an older installation, check Microsoft’s current support guidance and the capabilities of your Windows edition rather than assuming every newer backup feature is available.
