Microsoft 365 Copilot in Teams does not draw from one universal pool of information. Its answer depends on where you open it, what content exists there, your Microsoft 365 license, your permissions, and meeting or retention settings. In a regular chat it normally works from that thread, with a default 30-day message history. In a meeting it may use a transcript, meeting-chat messages, or live meeting signals. For organization-wide questions, Copilot can ground answers in permitted emails, files, chats, meetings, people, and projects through Microsoft’s broader work-data experience.
The practical rule is simple: identify the Copilot surface first, then check the source it is allowed to use. A fluent answer is not proof that Copilot saw every attachment, image, meeting recording, or company document. Microsoft also warns that generated responses can be wrong, so inspect citations or source links when they are offered.

What information can Teams Copilot use?
Teams exposes several Copilot experiences that look similar but have different context boundaries. The main distinction is between a local conversation and broader Microsoft 365 work-data grounding.

These are source boundaries, not guarantees of accuracy. Copilot can combine information from the available context, but it cannot legitimately bypass Microsoft 365 permissions. If your account cannot open a file, mailbox item, or chat, Copilot should not present that item as accessible work data.

Using Copilot in a one-to-one or group chat
How to ask about the current conversation
- Open the one-to-one or group chat in Teams.
- Open Copilot from that chat’s interface.
- Ask a question about the discussion, such as what decisions were made, what remains unresolved, or which messages you have not read.
- Review the response and any available citations or source indicators before acting on it.
In this surface, Microsoft defines the chat thread as the normal scope. The default history is 30 days, so a question about an older exchange may not include messages outside that window. A request such as “Catch me up on this conversation” should therefore be understood as a summary of the available recent thread, not a guaranteed archive search.
What chat Copilot does not summarize
Microsoft’s support documentation identifies images, Loop components, and files shared in the thread as unsupported for chat summarization. A message saying “see the spreadsheet above” may be visible as text while the spreadsheet’s contents are not summarized by this chat experience. The same caution applies to screenshots, diagrams, and other visual material: do not assume that a text summary proves Copilot interpreted the image.
If the important fact exists only in an attachment or visual, open that item directly and verify it. You can ask Copilot to summarize the written discussion around the item, but treat the attachment itself as a separate source that requires your own review.

Channel conversations are handled as discussion threads rather than ordinary private chats. Microsoft’s current support guidance says a channel-thread summary requires at least 1,000 characters of text. A short announcement or a handful of brief replies may not meet that threshold, even when the thread is meaningful to the participants.
How meeting chat and meeting Copilot differ
Meeting chat after or around a meeting
When you use Copilot in a meeting chat, the source depends on whether the meeting has a transcript. With a transcript, Copilot can use that transcript. Without one, it uses the meeting-chat conversation instead. Those are materially different records: the transcript captures spoken discussion, while chat contains only what participants typed.
For example, asking “What did we agree about the launch date?” after a transcribed meeting can draw on spoken comments captured in the transcript. In a meeting with no transcript, the same question is limited to written meeting-chat messages. If nobody typed the decision, Copilot has no meeting-chat text from which to recover it.

Copilot during a live meeting
Teams can be configured so Copilot works during a live meeting or call without transcription or recording. Microsoft describes this as a during-meeting-only mode. In that mode, Copilot can use meeting audio and contextual signals to answer prompts while the meeting is in progress, but a transcript or recording is not required for the live interaction.

Organizer choices and administrator enablement can determine whether the mode appears. The meeting policy, license, and account configuration therefore matter as much as the Copilot button itself.
What changes when the meeting ends
Live access and post-meeting access are separate decisions. If transcription or recording was not enabled, the information needed for a later transcript-based recap may not exist after the meeting. Microsoft’s documentation ties later availability to whether transcription or recording was enabled, so do not promise attendees that a during-meeting answer will remain available as a complete post-meeting record.
Choosing no transcription or recording also does not make the interaction invisible to compliance systems. Microsoft states that prompts and responses from meeting Copilot may be retained in the Microsoft 365 compliance substrate and governed by the organization’s Microsoft Purview retention policies, including use without transcription.
How broader Microsoft 365 work-data grounding works
Work IQ and the wider context
For questions that span several sources, Microsoft describes a work-data grounding experience called Work IQ. Depending on the user’s permissions and available capabilities, Copilot can reason over Microsoft 365 work content such as email, files, chats, meetings, people, and projects. This is broader than the currently open Teams thread.
A question such as “What changed in the customer proposal after last week’s meeting?” could require a meeting record, later chat messages, and a document or email. Broader grounding is the mode intended for that type of cross-source question; opening one chat and asking its Copilot to behave like a company-wide search is not equivalent.

Turning work-data grounding off
Microsoft provides a Work IQ control that can turn this broader work-data grounding off. With it disabled, attached content and web information can still be used, but Copilot no longer has the same broad grounding in permitted Microsoft 365 work data. This setting can be useful when you want an answer based on material you explicitly provide rather than on organizational content available to your account.
Check the state of that control before diagnosing a missing email, file, or meeting reference. A response that ignores a document may reflect the selected grounding mode rather than a failure to index the document.
Licensing and account requirements
Work account and qualifying subscription
Microsoft’s comparison guidance says users need a work account and a qualifying business or enterprise Microsoft 365 subscription for the relevant Copilot Chat experiences. Personal accounts and unsupported subscription types should not be assumed to provide the same Teams functionality.

Copilot Chat without the add-on
Without the Microsoft 365 Copilot add-on, Microsoft describes Copilot Chat as having limited work-data reasoning. You may still see Copilot Chat, but the breadth and depth of reasoning over meetings, email, files, and other work content are constrained compared with the licensed experience.
With the Microsoft 365 Copilot add-on
The add-on license provides full reasoning across meetings, emails, chats, files, and more, subject to permissions and the rest of the tenant configuration. It does not turn Copilot into an unrestricted administrator: the user still receives only data that Microsoft 365 controls allow that user to access.
When a feature is missing, verify the account type, assigned license, Teams policy, meeting settings, and Work IQ state before concluding that the feature is unavailable for everyone.

Permissions, privacy, and retention
Permission trimming
Microsoft says Copilot presents work data that each individual user can access, using Microsoft 365 permission controls. A user who lacks permission to a document should not gain access merely by asking Copilot to summarize it. This makes accurate access governance important: overly broad SharePoint, mailbox, or Teams permissions can broaden the data that Copilot is allowed to surface.

Meeting Copilot prompts and responses may be retained under organizational Microsoft Purview policies. That statement applies even when a meeting uses Copilot without recording or transcription. Administrators should set retention and eDiscovery expectations before enabling sensitive workflows, and meeting participants should not treat the absence of a transcript as a promise that no Copilot record exists.
Model training and organizational content
Microsoft states that Copilot prompts and responses are not used to train foundation models. That privacy statement does not remove the need to follow your organization’s information-classification, retention, and acceptable-use rules. Confidential content can still be processed for the authorized Copilot experience and may be subject to your tenant’s compliance controls.
Recap and Intelligent Recap
Teams Recap and Intelligent Recap have their own data requirements. Microsoft ties these features to transcription and describes transcript, attendance, and PowerPoint Live data as inputs. Storage, access, and retention are determined by organizational policy, so a meeting’s Recap experience can differ from another meeting even in the same tenant.
A practical decision framework for prompts
Use chat Copilot for a bounded thread
Choose the chat surface when the answer should come from one conversation. Good prompts identify the desired operation: “List the decisions in this chat,” “Highlight open questions,” or “Summarize unread messages from this thread.” Remember that the normal scope is the recent thread, not every historical exchange or attachment.

Use meeting chat Copilot when you need to distinguish transcript evidence from typed messages. Ask explicitly for the source when accuracy matters, for example: “What does the transcript say about the deadline?” or “Summarize only the written meeting-chat discussion.” If there is no transcript, phrase the request around the chat messages that actually exist.
Use work-data grounding for cross-source questions
Use the broader Copilot Chat experience when your question spans email, files, meetings, chats, people, or projects. Confirm that Work IQ is enabled and that your license supports the required reasoning. If you attach the relevant files yourself, Copilot can still use those attachments even when broader work-data grounding is turned off.
Why an answer may be incomplete or wrong
- The source was outside the surface’s scope. A chat summary may not include an older message, image, Loop component, or shared file.
- No transcript existed. Meeting answers then rely on meeting-chat text rather than spoken discussion.
- Work IQ was disabled. Broader organizational content was not available for grounding, although attached content or web information may still be used.
- The license was limited. Copilot Chat without the add-on has more limited work-data reasoning.
- Permissions blocked the source. Copilot cannot use content the signed-in user is not allowed to access.
- The answer was generated incorrectly. Microsoft warns that AI-generated responses may be wrong, even when they sound confident.
When a response matters, open the cited source if one is provided, compare dates and names, and verify the original message, transcript passage, email, or file. Do not turn an uncited inference into an official decision without checking the underlying record.
What Teams Copilot can and cannot promise
Copilot can make a long thread easier to scan, extract themes from an available meeting transcript, answer questions during a configured live meeting, and connect permitted information across Microsoft 365 when the license and Work IQ settings allow it. It cannot promise complete coverage of every item visible in Teams, permanent post-meeting access, unrestricted access to company data, or factual correctness without review.
The most reliable operating habit is to state the source in your prompt, check the meeting’s transcription state, confirm your license and Work IQ setting, and inspect citations before sharing the result. That approach aligns the question with the context Copilot actually has instead of assuming that the Teams window represents your entire organization.
