There is no evidence-based universal “best” provider: offers, eligibility, fees, settlement terms and support vary by merchant profile.
NPCI states that a merchant starts by partnering with an acquiring bank, which supplies the UPI infrastructure. Use that relationship—not a headline fee or a device demonstration—as the starting point for your decision.

What a UPI payment provider actually does
UPI acceptance is not just a QR code. A merchant needs an acquiring relationship, an approved business profile, a merchant identifier, a business-category code (MCC), payment integration, settlement instructions and operational support.

NPCI’s merchant FAQ puts the basic relationship this way: “To enabling UPI system, merchant need to partner with the acquirer bank. Acquiring bank will provide the UPI infrastructure to merchant.” The wording is reproduced as published; the practical implication is that a merchant should identify the acquiring bank behind any bank or aggregator offer.

Acquiring bank and payment aggregator roles
The acquiring bank performs onboarding and risk checks and provides the UPI acceptance infrastructure. A non-bank payment aggregator may acquire merchants through an authorised bank, subject to the applicable regulatory framework. Ask the provider to state its legal role, the acquiring bank involved, and which entity will hold the contractual responsibility for onboarding, settlement and support.
Why the MCC matters
The acquiring bank assigns an MCC based on the business category. Describe your products and services accurately and check the assigned code before going live. An incorrect category can create avoidable compliance, reporting or risk-review problems.
Build a provider shortlist around six decision areas
Compare written offers against the same questions. A provider that looks inexpensive may become costly if it requires hardware, custom integration, minimum commitments or manual reconciliation.
| Decision area | Questions to ask | What is established |
|---|---|---|
| Acquiring and onboarding | Which bank or authorised payment aggregator acquires us? What KYC, business and bank documents are required? Which MCC will be assigned, and how can it be corrected? | NPCI describes due diligence, risk and account checks, merchant identification and MCC assignment by the acquiring bank. |
| Settlement and reconciliation | Which account receives funds? When is a transaction considered settled? What statement, export or dashboard lets us match payments to orders? What happens to pending, failed, reversed or disputed transactions? | NPCI says receipt is immediate after customer confirmation into the merchant pool or bank account, as agreed by the parties. Specific exceptions must be documented by the provider. |
| Sales-channel integration | Do we need QR, intent, application-based, collect, or more than one mode? What software, credentials, testing and maintenance are required? | NPCI lists QR, intent, application-based and collect modes, but does not rank one for a particular merchant type. |
| Support and risk operations | What are support hours, response targets and escalation contacts? How are fraud reports, mistaken payments and operational outages handled? | The available material does not compare provider support performance, so obtain written commitments and test the escalation path. |
| Cost and contract | What are transaction, recurring, integration, device, rental, service, minimum-volume, cancellation and tax charges? Are any services bundled or conditional? | No current, comparable named-provider pricing is established. Request a quote for your actual transaction profile. |
| Counter hardware | Would a QR soundbox solve a genuine staff-confirmation problem? Is it compatible, and what are its purchase, rental, replacement and service terms? | A bank procurement document validates the soundbox-plus-QR category, not a particular model, price or requirement. |
Check eligibility and complete onboarding
Prepare the information a bank or aggregator will use to identify and assess the business. Requirements differ by entity type and risk profile, so treat any checklist as a starting point rather than a guarantee of approval.
- Describe the business precisely. Provide the legal name, trading name, business address, ownership or constitution, contact details, website or sales channels where relevant, and a clear description of the goods or services sold.
- Prepare KYC and account evidence. Ask for the provider’s current document list and submit accurate identity, registration, tax and bank-account information applicable to your entity. Confirm the settlement account name and ownership before activation.
- Identify the acquiring relationship. Obtain the acquiring bank’s name and the aggregator’s legal entity, if an aggregator is involved. Ask who makes the final onboarding decision and who owns the merchant support case.
- Confirm the MCC. Have the provider show the proposed business category and explain how to request a correction if it does not describe your primary activity.
- Review risk and prohibited-activity rules. Read the merchant agreement for restricted products, transaction monitoring, reserves, suspension rights and information requests. Do not assume approval of one channel permits every product or geography.
- Get activation conditions in writing. Record required technical tests, QR or virtual-address issuance, credentials, branding rules, settlement setup and the date on which live processing is authorised.
Match the integration mode to the way customers buy
NPCI identifies four merchant integration modes. Select the simplest mode that gives customers a reliable payment path and gives your staff or software a dependable confirmation.
QR
A QR code is suitable when a customer can scan at a counter, on printed material or on a screen. Decide whether you need a static display, a transaction-specific flow or multiple locations, and ask how each payment is identified in reports. Verify that issued QR artwork and branding follow the provider’s and NPCI’s current specifications.

Intent
Intent is relevant when a customer starts payment on a compatible mobile device and is handed into a UPI application. Ask which mobile environments and checkout platforms are supported, what fallback appears when the hand-off fails, and how the order remains pending until confirmation.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problemsApplication-based integration
An application-based flow is for merchants whose own app or software initiates and records payment activity. Establish the supported interfaces, credentials, test environment, security responsibilities, versioning policy and maintenance ownership before committing engineering time.
Collect
Collect requests can suit a workflow in which the customer approves a payment request in their UPI application. Ask about request expiry, customer notification, duplicate requests, pending status and how an approved or declined request is tied to the underlying sale.
Use more than one mode when the channel requires it
A shop with a staffed counter may use QR and optional audio confirmation, while an online checkout may need intent or application-based integration with a clear pending state. NPCI lists the modes but does not prescribe a best combination; choose according to your customer journey and the integration your team can operate reliably.
Define settlement and reconciliation before launch
NPCI’s FAQ says: “Merchant will receive the money immediately after customer confirms the payment into the merchant Pool bank account/ merchant bank account as per their agreement.” The final phrase is essential. It means the practical destination, timing conditions and operational treatment depend on the agreement with the provider.

Evaluate support, fraud handling and operational resilience
Provider support quality is not established by the available sources, so test it rather than assuming it. Before signing, obtain a named escalation route for payment exceptions, fraud allegations, mistaken transfers, QR replacement, account suspension and service outages.
Ask for an incident process
Request the channels, hours, response targets and information required to open a case. Clarify whether the first-line team can investigate transaction references or must forward every case to the acquiring bank. Ask how you will receive status updates and closure evidence.
Protect access and staff procedures
Limit dashboard permissions, record who can change settlement details, and require a second-person check for refunds or account changes where the provider supports it. Train counter staff to verify the merchant name and amount and to follow the documented process when a customer shows a screenshot but your system has no matching confirmation.
Compare the complete commercial offer
There is no substantiated, current price table that supports naming a cheapest provider. Obtain comparable written quotes using your expected monthly volume, average order value, number of locations, refund rate and required integration.
Separate one-time, recurring and usage-linked charges
- Transaction or processing charges, including any minimums or volume tiers.
- Onboarding, integration, certification or account-maintenance fees.
- QR printing, replacement, delivery, device purchase, rental, servicing and connectivity costs.
- Settlement, refund, chargeback, dispute or reconciliation-report charges.
- Taxes and other pass-through amounts.
Read the contractual conditions
Check the term, renewal, notice period, termination fee, data access after termination, reserve or hold rights, service-level language, liability limits and rights to change pricing. Ask whether a discounted rate is promotional, location-specific or conditional on another product. Have the provider identify every assumption used in the quote.
Decide whether a soundbox is useful
A soundbox is optional counter hardware, not a universal UPI requirement. A Central Bank of India procurement document describes a merchant-acquiring solution combining soundboxes with QR codes, confirming that this is a recognised device category. It does not establish a particular retail model’s features, compatibility, availability or price.

When it can solve a real problem
Consider one if staff need an audible confirmation without watching a phone or dashboard, the counter is noisy or busy, and the provider can link the device clearly to the merchant account. Ask what happens during connectivity loss, how volume and language settings are managed, and who services or replaces the unit.

When to skip it
If staff already have a dependable order-system confirmation, transaction volume is low, or the device adds rental and support obligations without improving control, use QR or software confirmation instead. Do not select a provider solely because it bundles hardware.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Verify regulatory and branding details
The Reserve Bank of India’s Payment Aggregator Master Direction provides the relevant regulatory context for aggregator-led onboarding. It indicates that an acquiring bank should maintain a policy for merchants acquired through an authorised non-bank payment aggregator. Ask the provider to identify the applicable regulated entities and explain how KYC, settlement-account verification and merchant monitoring are handled.
NPCI’s BHIM UPI guideline updated June 4, 2026 sets merchant QR and soundbox branding specifications. It defines a “Partner” as the acquiring bank or payee PSP, or a payment aggregator onboarded by that bank or PSP, that directly onboards the merchant. Use the current NPCI instructions supplied by your acquiring relationship when printing or displaying branded QR material; do not copy an old logo treatment from another merchant.
These checks do not replace confirmation against current RBI records or the provider’s latest authorisation documentation. Regulatory status, contractual terms and product availability can change.

Common selection mistakes and fixes
Choosing on a headline fee
Problem: The advertised rate omits devices, minimums, integration work or exception handling. Fix: Compare a written total-cost schedule against your own transaction profile.

Assuming “instant” means every payout is unconditional
Problem: A customer confirmation is treated as a guarantee regardless of the agreement or a later reversal. Fix: Document the destination account, status definitions, holds and reversal process.
Ignoring the MCC
Problem: The assigned category does not reflect the business. Fix: Verify it during onboarding and request correction before scaling.
Buying hardware before proving the workflow
Problem: A soundbox adds cost but does not solve a staff or reconciliation gap. Fix: pilot the counter process and calculate the full device and service cost.
Free tools Windows power users keep installed
One-click scans. No signup required.
Accepting a vague support promise
Problem: A payment exception has no clear owner. Fix: obtain escalation contacts, response expectations and the evidence required to investigate a transaction.
A practical final decision rule
Shortlist only providers that disclose the acquiring relationship, can approve your business category, support the integration modes your channels need, explain settlement and reconciliation in writing, provide an actionable exception process, and quote the complete contractual cost. Select the offer that meets those operational requirements with the least unnecessary complexity. Recheck authorisation, NPCI instructions, pricing and device terms whenever you add locations or change the sales channel.
