Order one bag for each person who is actually meant to receive one—not one for every person who might enter the venue. Count each recipient group once, add a clearly justified reserve for genuine uncertainty, then subtract usable bags already allocated to the event.
Planning formula: planned recipients in non-overlapping groups + justified contingency − usable stock assigned to the event = order quantity. This is a practical synthesis of supplier advice, not a validated industry standard.

Start with the distribution promise
The right quantity depends on who will get a bag and how distribution will work. Build separate counts for attendee kits, speakers, staff, sponsors, volunteers, and promotional handouts. Give each group an owner and distribution method, then check that no one appears in two counts.

- Operational bags: Add speakers, staff, AV crew, sponsors, or volunteers only if they need bags and are not already included.
- Selective giveaway: Estimate the number of people likely to qualify for a bag, rather than using total attendance or footfall.
- Existing stock: Subtract only usable bags already assigned to this event; do not count stock intended for another purpose.
Estimate quantity by event type
Conference, seminar, or attendee kit
If every registered attendee is promised a bag, start with the confirmed kit count—not venue capacity. Add late registrations and operational recipients only if they are not covered by that count. Bag Printing UK recommends about 10% extra for speakers, staff, and late arrivals; Perfect Imprints suggests a 10–15% buffer for several possible needs. These are supplier recommendations, not universal rates.

For a small event, consider the actual number of extra bags as well as the percentage: a percentage-based reserve can produce leftovers that are costly or difficult to reuse. If bags are left out for self-service, some attendees may take more than one. Handing them out at registration can help control distribution.
Exhibition booth or trade-show handout
Do not base a selective booth giveaway on the show’s full attendance unless your plan is to give a bag to every visitor. Estimate likely recipients at your booth using a defined measure, such as expected qualified conversations, demos, or badge scans. Account for show duration, booth location, staffing, and any tiers of giveaway.

Use results from comparable past events if available. Otherwise, document the traffic or interaction assumption behind your estimate. Supplier booth-capture heuristics vary, and no universal capture rate is established.

Launch, campus fair, race, or customer event
Count the people who will actually receive bags under your plan: customers expected on the day, students who stop at a stall, race entrants, or registered participants. Add volunteers, marshals, or late participants only when they are intended recipients. Total footfall is a poor substitute when bags are handed out selectively.

Choose a reserve that matches the risk
A reserve can cover walk-ins, late additions, damaged bags, extra staff needs, or a setup where people may take more than one. It also ties up budget and creates leftover stock, so make the contingency explicit rather than applying a percentage automatically.
As illustrations of supplier guidance, Bag Printing UK recommends about 10% extra for event bags, while Perfect Imprints recommends 10–15% for promotional products. Perfect Imprints’ worked example is 300 expected attendees × 1.15 = 345 bags, rounded to a pricing tier. These are supplier recommendations and an arithmetic example, not independent demand statistics.

- Consider a smaller reserve when registrations are firm, handout is controlled, quantities can be updated near the deadline, and leftovers would be hard to reuse.
- Consider a larger reserve when walk-ins are common or running out would leave promised kits incomplete.
- Recheck the total against supplier quantity breaks, but do not order extra solely to reach a price tier unless the savings justify the surplus.
Check the bag and delivery details before ordering
Decide what the bag must carry before choosing its size or material. Measure the largest contents, estimate their combined weight, and check the construction and handles are suitable. Compare material, intended reuse, presentation, and imprint area; confirm that the decoration method and proof work on the selected bag.
Minimum order quantities, price tiers, production time, and delivery schedules vary by product and supplier. Confirm current terms with the seller and allow time for artwork preparation, proof approval, production, shipping, inspection, and kit assembly. Totes and conference bags are common event choices, but a specific listing’s availability, dimensions, material, and delivery terms must be checked before relying on it. Custom branded orders may require a specialist supplier.
