What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
A business laptop should usually serve for three to five years. Use four years as a budgeting reference, not an automatic replacement date. A well-maintained machine can remain productive longer, while a newer one may need replacement sooner if it cannot receive security updates, fails essential applications, or creates unacceptable downtime.
The practical decision is whether the laptop remains supported, secure, reliable, fast enough for its role, and economical to keep. Age is one input; operating-system eligibility, battery condition, repair history, workload, warranty coverage, and parts availability determine the right action.

What is the normal lifespan of a business laptop?
For most organizations, plan on a three-to-five-year service window. Four years is a useful default for budgets and fleet planning because many companies refresh commercial hardware on that cycle. Lenovo describes a four-year refresh cycle in deployment material for organizations moving employees to Windows 11 devices.

A lightly used laptop that stays docked, runs ordinary office software, and remains supported may be dependable beyond five years. A traveling executive, field engineer, developer, or video-production user can wear out a machine earlier through battery cycles, heat, port wear, demanding workloads, and transport damage.

Think in terms of a useful-life window instead of a birthday. A laptop is ready to leave service when one or more business requirements can no longer be met at an acceptable cost or risk.
What determines the useful life?
- Operating-system support: the device must run a supported edition and continue receiving security updates.
- Workload headroom: processor, memory, storage, graphics, and—where relevant—AI or NPU capability must meet current and near-term application requirements.
- Reliability: recurring crashes, failed ports, broken hinges, display faults, and unplanned downtime matter more than the calendar age.
- Mobility: battery runtime and charging behavior determine whether a mobile worker can use the laptop away from a desk.
- Service economics: parts, labor, warranty response, and lost productivity must be reasonable compared with another supported device.
Windows support creates a hard replacement boundary
Security support is not optional for a business endpoint. Microsoft states that Windows 10 version 22H2 stopped receiving quality, feature, and security updates on October 14, 2025. After that date, a Windows 10 laptop should not remain in normal business service unless the organization has a documented, supported migration or exceptional risk-control plan. Microsoft recommends moving to a Windows 11 PC.
Windows 11 support is tied to both the release and the edition. Microsoft documents one feature update each year. Home, Pro, Pro for Workstations, and Pro for Education editions receive 24 months of support from general availability; Enterprise and Education editions receive 36 months. A machine that can technically install Windows 11 still needs a deployment plan that keeps its particular release in support.
Is it safe to keep using a Windows 10 laptop?
For ordinary internet-connected business work after October 14, 2025, an unsupported Windows 10 installation is a security and compliance risk because Microsoft no longer supplies the normal monthly quality and security updates. The safe choices are to upgrade the hardware or operating system through a supported path, isolate the device under a formally approved exception, or retire it. An antivirus product cannot recreate the operating-system fixes that have ended.
Do application claims eliminate compatibility testing?
No. Microsoft reports App Assure compatibility above 99.7% for enterprise organizations, including line-of-business applications. That broad result is encouraging, but it does not prove that your accounting package, authentication plug-in, printer, scanner, dock, meeting-room system, or custom application will work without changes. Test the equipment and software used by your own employees before a broad rollout.

When should you keep the laptop?
Keep the device when all of the following remain true:
- Its Windows edition and release are supported, and required security controls are functioning.
- Business applications, identity tools, endpoint protection, docks, displays, printers, and conferencing equipment work acceptably.
- Battery capacity is adequate for the user’s role, or a straightforward battery replacement restores mobility.
- Failure history is low and service parts are available.
- Performance leaves enough headroom for the next planning period.
- The cost and disruption of keeping it are lower than replacing and migrating it.
Record the warranty end date, battery-health result, free storage, memory pressure, incident count, application complaints, and parts availability. A documented baseline makes the next review objective instead of dependent on a user’s impression that the laptop “feels old.”
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Clear out junk files and repair common Windows errors3Scan for outdated or missing drivers - takes under a minuteWhen is repair or an upgrade the better answer?
Repair first when one replaceable component is the bottleneck and the rest of the system remains supported. Common examples are the battery, solid-state drive, upgradeable memory, keyboard, display, charger, or dock. Component repair preserves the user’s configuration and avoids the migration, setup, and disposal work associated with a complete replacement.
Battery triage: replace the battery or the laptop?
A worn battery alone does not mean the entire laptop has reached end of life. Dell identifies several concrete reasons to consider battery replacement:
- Diagnostic health reports show “Fair” or “Poor”.
- Runtime has fallen below 50% of the original capacity.
- Built-in diagnostics report an error.
- The computer shuts down unexpectedly, especially away from mains power.
- The battery is swollen or physically damaged.
- Heavy-use age has reached roughly two to three years, when accelerated wear is common.
Check health and diagnostics before ordering a part. If the battery is swollen, hot, leaking, or physically damaged, remove the laptop from service and use qualified support; do not press the case closed, puncture the pack, or continue charging it.

How to choose a replacement battery safely
Use a battery engineered for the exact laptop model and part number. Dell warns that third-party batteries can introduce safety, performance, compatibility, and warranty risks, so a “fits many models” listing is not sufficient evidence. Verify the manufacturer’s identification, voltage and connector specifications, warranty, and return process. A compatible replacement battery for your exact laptop model can be sensible when the operating system, processor, ports, and chassis are otherwise sound.

Other worthwhile repairs
- Storage: replacing a failing or undersized SSD can resolve errors and restore working space, provided the interface and encryption process are supported.
- Memory: adding RAM helps only when the model has accessible slots or supported replaceable modules; soldered memory cannot be expanded.
- Keyboard, display, or port: repair is attractive when the fault is isolated and the system board is reliable.
- Charger or dock: replace the accessory when charging or external-display failures follow the accessory rather than the laptop.
Repairability is improving in some newer designs. Microsoft’s 2025 sustainability report says newer Surface devices include at least 11 replacement components and describes repairability work intended to extend device lifespan. Check the service manual and parts supply for your specific model rather than assuming every laptop offers the same access.
When should you replace the whole laptop?
Replace it when any of these conditions applies:
- It cannot run a supported operating-system version or receive required security updates.
- Required business applications, security software, docking, video conferencing, or peripherals fail after reasonable remediation.
- Repeated failures or downtime exceed the tolerance for that role.
- Required processor, memory, storage, graphics, or AI/NPU capability cannot be reached through supported upgrades.
- Repair, battery, warranty, and lost-productivity costs approach the delivered cost of a new supported device.
- The chassis, hinges, ports, display, or battery creates a safety or reliability risk.
Do not wait for a catastrophic failure when a role is business-critical. A laptop that works most days but causes repeated travel cancellations, missed meetings, or data-recovery incidents can cost more than its purchase price suggests.
Keep versus repair versus replace: a practical scoring model
Score each option—continued use, component repair, warranty extension, refurbished replacement, and new business laptop—against the same criteria. Use a simple 1-to-5 scale and document the evidence behind each score.
| Decision axis | Questions to answer | Warning signs |
|---|---|---|
| Supported security and OS lifecycle | Is the installed edition and release still supported for the required period? | Windows 10 after October 14, 2025, or an approaching end-of-support date |
| Workload performance | Does the laptop meet current requirements with headroom? | Persistent memory pressure, storage exhaustion, thermal throttling, or unsupported features |
| Reliability and downtime | How many incidents occurred, and how long did users lose access? | Repeated crashes, charging faults, display failures, or emergency loaners |
| Repairability and parts | Can the failed component be replaced, and are parts available? | Sealed or unavailable parts, board-level damage, or long service delays |
| Warranty and response | What coverage remains, and how quickly can service restore work? | Expired coverage combined with expensive labor or shipping |
| Battery mobility | Does real-world runtime fit the user’s travel and meeting schedule? | Runtime below half of original capacity, shutdowns, swelling, or excessive charging |
| Total cost of ownership | What are repair, support, downtime, migration, and disposal costs over the next planning period? | Several costs converging on the price of a supported replacement |
How often should a company refresh laptops?
Use a rolling policy rather than replacing every device on one anniversary. Start with a three-to-five-year budget window and a four-year planning assumption, then adjust by role, travel, workload, warranty, and repairability. Lenovo recommends matching service-coverage duration to the expected PC lifecycle; its sealed-battery replacement coverage is available for up to three years.

- Classify each role. Identify mobile, business-critical, technical, shared, and light-duty users. Mobile and high-impact roles usually deserve earlier refreshes.
- Review the fleet annually. Check OS eligibility, vendor support, battery health, incident count, application performance, warranty status, and parts availability.
- Set role-based thresholds. A stationary user running a browser and office suite may remain productive longer than a traveling worker or engineer with heavy workloads.
- Pilot operating-system and hardware changes. Validate line-of-business applications, identity, endpoint security, docks, printers, scanners, and meeting-room equipment with representative users.
- Schedule a rolling replacement wave. Replace the highest-risk machines first instead of creating a single-year support and migration surge.
- Define data handling before collection. Preserve or securely erase storage according to company policy. Lenovo’s “Keep Your Drive” service illustrates why retaining a drive can matter for privacy and compliance.
- Document disposition. Record redeployment, certified refurbishment, recycling, and spare-parts reuse so a working laptop is not discarded solely because its cohort reached a target age.
Why role tiers reduce cost
A single four-year rule is easy to administer but can waste useful life in low-demand roles and leave high-demand users with inadequate hardware. Earlier refreshes for frequent travelers reduce battery and physical-failure risk; longer service for reliable, stationary users preserves capital while support and security remain intact.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Warranty and service planning
Warranty length should reflect how long the organization expects to keep the laptop. Matching coverage to the planned lifecycle limits the period in which a major failure becomes an unbudgeted expense. Compare the response time, onsite availability, battery terms, parts coverage, accidental-damage exclusions, and data-retention options—not just the headline duration.
A warranty extension is worthwhile when the laptop is supported, reliable, and powerful enough for the next period. It is poor value when the machine is already approaching an operating-system boundary, has multiple physical faults, or cannot satisfy application requirements.
Planning a Windows 11 migration on older hardware
Begin with an inventory of model, processor, memory, storage, firmware, encryption status, installed applications, peripherals, and user role. Confirm that each model meets the supported Windows 11 requirements and that the vendor supplies current drivers and firmware.
Then test a representative pilot. Include the applications and devices that are difficult to replace: line-of-business software, authentication methods, VPN or security agents, printers, scanners, docks, external displays, headsets, and conference-room systems. Microsoft’s App Assure figure above 99.7% is a useful confidence signal, not a substitute for this local validation.

Questions to ask before approving replacement
- Will this laptop still receive required security updates throughout the next planning period?
- Is the user’s problem caused by one replaceable component?
- What has the device cost in downtime and support during the last 12 months?
- Can a repair restore the required runtime and performance without creating another near-term bottleneck?
- Are replacement parts, service coverage, and qualified technicians available?
- What data-retention, secure-erasure, redeployment, or recycling process applies?
- Has the replacement been tested with the user’s applications, accessories, and identity controls?
The practical answer for common ages
Two years old
Usually keep it unless it has a safety issue, major failure, inadequate performance, or unusually severe battery wear. Investigate the component causing the problem before replacing the system.
Four years old
It is not automatically too old. Treat four years as the point for a formal review: confirm support dates, battery condition, incidents, workload headroom, warranty, and parts availability. A supported and reliable machine may continue; a marginal one should enter the next replacement wave.
Five years or older
Expect a higher probability of battery, mechanical, and parts issues and less performance headroom. Keep it only when support, security, reliability, and economics remain clearly favorable, with a documented replacement contingency.
Bottom line
Budget for three to five years and use four years as a planning reference, but replace a business laptop when it becomes unsupported, insecure, unreliable, inadequate for its workload, unsafe, or more expensive to keep than to migrate. Check Windows support first, triage batteries and other replaceable parts second, and make the final decision from documented downtime and total cost rather than age alone.
