How Long Is an E‑Way Bill Valid in India? Validity Rules and Extension for Delayed Shipments

By Freedom251 Team · · 8 min read

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

For ordinary consignments in India, an e‑way bill is valid for one day for travel up to 100 km, plus one additional day for every further 100 km or part of 100 km. Over-dimensional cargo (ODC) follows a shorter distance increment: one day for every 20 km or part thereof. The validity ends at midnight on the last valid day.

If an exceptional event such as a natural calamity, law-and-order problem, trans-shipment delay, accident or vehicle breakdown prevents delivery, the eligible transporter can request an extension through the e‑way bill system. The official operating window is generally from eight hours before expiry until eight hours after expiry. Do not simply continue moving goods on an expired bill; update the bill through the applicable portal process first.

E‑way bill validity at a glance

Validity is based primarily on the distance the consignment is expected to travel. Rule 138 uses a standard schedule for normal cargo and a separate schedule for over-dimensional cargo.

Movement type Distance allowance How additional distance is counted Expiry point
Standard transport One day for up to 100 km One extra day for every additional 100 km or part of 100 km Midnight of the final valid day
Over-dimensional cargo (ODC) One day for up to 20 km One extra day for every additional 20 km or part of 20 km Midnight of the final valid day

For example, a standard consignment with a declared distance of 100 km receives one day. A distance of 101 km requires two days because the extra kilometre is a part of another 100-km block. A 250-km movement receives three days: the first 100 km, the second 100 km and the remaining 50 km. For ODC, 21 km requires two days, while 60 km requires three days.

The official rules table is available in the Chapter XVI: E‑Way Bill Rules. The system FAQ gives the ODC 20-km schedule in its validity guidance at E‑Way Bill System FAQ.

When does the validity clock start?

The operational FAQ says the clock starts when the first entry is made in Part B of Form GST EWB-01. For road transport, that means the first vehicle entry. For rail, air or ship transport, it means the first transport-document-number entry, whichever occurs first. Later Part-B updates do not restart or recalculate the original validity period.

The official rules PDF uses different wording and describes validity as being counted from the time of generation. Because those two official descriptions are not perfectly aligned, timing-sensitive cases should be checked against the validity shown on the live bill and the current portal guidance. Do not assume that a later vehicle update gives you a fresh full period.

"The validity of the e-way bill starts when first entry is made in Part-B i.e. vehicle entry is made first time in case of road transportation or first transport document number entry in case of rail/air/ship transportation, whichever is the first entry."

— E‑Way Bill System FAQ

What happens when the bill expires?

The FAQ states that an e‑way bill whose validity has expired should not ordinarily be used to continue moving the goods. A delay does not automatically create a grace period. If the consignment is still in transit or is held during an eligible exceptional circumstance, the transporter should act within the extension window and record the facts in the system.

Keep evidence of the event that caused the delay, such as a breakdown report, accident record, trans-shipment record, weather or disaster notice, or law-and-order documentation. The portal asks for a reason and remarks, and a precise explanation is more defensible than a generic statement such as “vehicle delayed.”

When is an extension allowed?

Extension is intended for an exceptional circumstance and trans-shipment situation, not for routine late departure, poor scheduling or an avoidable clerical mistake. The official material identifies these examples:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Natural calamity or other severe event affecting movement.
  • Law-and-order problems, road closures or restrictions imposed by authorities.
  • Delay while goods are transferred between conveyances.
  • Accident involving the vehicle or other conveyance.
  • Breakdown of the vehicle or conveyance.

The transporter carrying the consignment at the time of expiry is normally the person who submits the request. The extension facility updates the transport details in Part B and calculates the permitted period using the remaining distance; it is not a way to rewrite the original invoice or other Part-A data.

How to extend an e‑way bill on the portal

Use the current labels displayed by the official portal because validation rules and field names can change. The system’s public entry point is the E‑WayBill System portal.

  1. Check the expiry time. Open the bill and note its current validity, the transport mode, the assigned transporter and the last Part-B entry. Confirm that you are within the extension window: eight hours before expiry through eight hours after expiry.
  2. Sign in with the eligible account. The current transporter should use the transporter login associated with the consignment. If no transporter has been assigned, the generator may need to update the transport assignment before the request can be processed.
  3. Choose “Extend Validity.” Enter the e‑way bill number and select the extension function. The portal may ask you to confirm the movement status and current transport mode.
  4. Select the reason code. Choose the closest available exceptional reason, such as natural calamity, law-and-order issue, trans-shipment, accident or breakdown. Add detailed remarks describing what occurred, when it occurred and why the original journey could not be completed.
  5. Enter the present location. Provide the place where the goods are physically located when the request is made. For a warehouse hold, use the warehouse location and select the appropriate in-transit or warehouse status shown by the portal.
  6. Enter the remaining distance. State the approximate distance still required to reach the destination. The API documentation says the remaining distance must not exceed the original distance recorded for the bill.
  7. Update Part-B transport details. For road movement, enter the applicable vehicle number and other requested vehicle information. For rail, air or ship movement, provide the relevant transport-document details instead of a road vehicle number.
  8. Review and submit. Check the bill number, reason, location, remaining distance and transport details before submitting. Save the acknowledgement or updated bill display for the driver, transporter and records.

The official Q&A explains the user-facing procedure and scenarios at E‑Way Bill System Q&A. The exact fields presented can differ by transport mode and by portal revisions.

If the goods are in a warehouse

When a consignment is temporarily held in a warehouse and the bill is approaching expiry, start the extension request before the deadline whenever possible. Enter the warehouse as the current location, choose the transit status requested by the portal and explain why the goods remain there. A warehouse stop should be described as a specific logistics event, not simply as “delivery pending.”

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

If the vehicle has broken down

Use the breakdown reason, enter the location where the failure occurred and provide the replacement or current vehicle details when the portal asks for them. Keep the old and replacement vehicle information consistent with the Part-B history and retain workshop, towing or incident records. Do not move the goods in the replacement vehicle until the required transport details have been updated.

If trans-shipment is involved

Describe the transfer between conveyances and update the Part-B information for the conveyance currently carrying the goods. The official FAQ expressly recognises exceptional circumstances and trans-shipment as the context in which the transporter may extend validity after updating the reason and Part-B details.

Information and technical checks the system may enforce

The public API reference, Extend Validity API, exposes validations that also help portal users understand rejection messages:

  • The requester must be the current transporter in the bill’s transport chain, subject to the system’s assignment rules.
  • A reason code and explanatory remarks are required.
  • Present location and remaining distance must be supplied.
  • Remaining distance cannot be greater than the original distance.
  • Road movements require a valid vehicle number; rail, air and ship movements require the appropriate transport-document number.
  • The API documentation restricts extension beyond 360 days from the bill’s generation date.

These API constraints do not replace the portal instructions. They are useful when an organisation integrates e‑way bill operations into GST compliance software and receives a validation error that is not obvious from the screen.

Worked validity examples

Consignment type Declared distance Validity calculation Result
Standard 80 km Within the first 100-km block 1 day
Standard 100 km Within the first 100-km block 1 day
Standard 101 km 100 km + part of another 100-km block 2 days
Standard 250 km 100 km + 100 km + part of a third block 3 days
ODC 20 km Within the first 20-km block 1 day
ODC 21 km 20 km + part of another 20-km block 2 days
ODC 60 km Three 20-km blocks 3 days

These are schedule examples, not delivery-time guarantees. Traffic, permits, loading windows and route restrictions can make a trip operationally longer even when the distance-based validity appears sufficient.

Common problems and how to handle them

The extension option is unavailable

First verify the timing. A request made too early or too late may fall outside the eight-hour window. Confirm that you are logged in as the current transporter, that the bill has not been cancelled, and that the bill’s transport assignment is complete. If no transporter is assigned, the generator may have to update the assignment before an eligible transporter can act.

The reason is rejected or appears too vague

Select the closest reason code and add operational facts: the date and time of the incident, the location, the conveyance affected, the action taken and the distance still left. “Vehicle problem” alone does not explain why movement stopped or why the request is exceptional.

The vehicle number does not validate

Check the registration format, transport mode and whether the replacement vehicle has been entered in the correct Part-B field. Rail, air and ship movements should use their transport-document requirements rather than a road vehicle number.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The requested remaining distance is rejected

Use a realistic approximate distance that does not exceed the original declared distance. Review whether the original bill used kilometres for the full route and whether the current location was entered correctly. Correct the location first if the portal’s calculation appears inconsistent.

The bill has already expired

Do not instruct the driver to continue as though the bill were valid. Check whether the request is still within eight hours after expiry and submit the extension with the exceptional reason and current details. If the window has passed, contact the responsible tax or logistics compliance team and follow the current official portal and departmental instructions before further movement.

A practical control process for transport teams

  1. At generation: record the bill number, declared distance, transport mode, first Part-B entry and calculated expiry.
  2. Before dispatch: verify that the vehicle or transport document in Part B matches the conveyance actually used.
  3. During transit: monitor the remaining distance and identify delays early rather than waiting for the final hours.
  4. Eight hours before expiry: if an exceptional delay is continuing, prepare the reason, location, remaining distance and updated Part-B details.
  5. After submission: distribute the updated bill or acknowledgement to the driver, transporter, warehouse and consignee, and retain supporting incident records.

Organisations handling many consignments can use an e‑way-bill management workflow to alert staff before expiry, but any software should be checked against the live portal’s permissions, reason codes, transport-mode rules and current API version.

Which official source should you check?

Use the official FAQ for the system’s stated start point, ODC treatment and expired-bill guidance; the official Q&A for extension timing and delay scenarios; the rules PDF for the statutory distance table; and the API reference for field-level validations. Regulatory wording and portal validations can change, so confirm the bill’s live status immediately before acting on a delayed shipment.
