How Informal Food Vendors Can Track Daily Sales and Expenses

A dated cash-in/cash-out log can show what your food stall brought in and what it paid out each day. You can start with a ruled notebook: record sales and business spending close to when they happen, keep supporting receipts or notes, total the day at closing, and label money taken for household use separately. The format can be simple; using it consistently is what makes the record useful.

Start with a notebook you can use during a busy day

A plain arithmetic exercise book can work as a cash book. FAO bookkeeping training material uses this kind of book to demonstrate recording a date, the source of money received or description of money spent, and the amount. It includes small-business examples such as cooking and food selling. Its historical examples use Liberian dollars, so treat the method—not those dates, amounts, or currency—as the transferable part.

Use facing pages or two clearly labeled sections: money received and money paid out. Make one line per transaction, or a clearly marked sales total for a short period if writing every small sale during service is impractical. Add enough description to recognize what the entry was later. A note such as “ingredients” is more useful than “paid.”

The example below is fictional and uses illustrative dollar amounts only; it is not a recommended daily income or spending level. “Mobile/card” means an electronic payment method available to that vendor, not a requirement to accept one.

Except for standard USB webcams (which use USB data only), they are not compatible with HDMI/DisplayPort cables, video-capable USB-C hubs, or docking stations with video output.
  • Convert USB-A Ports to USB-C: Designed to connect USB-C earphones, cables, flash drives, card readers, and other USB-C accessories to standard USB-A ports. Plug-and-play with no drivers or software required.
  • Aluminum Alloy Housing: Built with a sturdy aluminum alloy shell that aids in heat dissipation and protects against daily wear and scratches. Designed to maintain a stable and secure connection.
  • Compact & Travel-Friendly: The ultra-compact design allows the adapter to stay plugged into your device without blocking adjacent ports or adding bulk, reducing wear and tear on your original USB ports.
  • 12-Month Warranty: Backed by a 12-month manufacturer warranty for peace of mind. Designed to meet strict quality control standards for reliable everyday performance.
Date Entry Cash in Other sales Cash out Note or proof
13 Oct 2026 Lunch and snack sales $72 $38 mobile/card Sales tally
13 Oct 2026 Ingredients bought $42 Receipt R14
13 Oct 2026 Fuel $8 Fuel slip
13 Oct 2026 Packaging $6 Receipt R15
13 Oct 2026 Household withdrawal $10 Owner withdrawal

For a more useful running record, total each day’s activity in a small closing summary. The same fictional example can be summarized as follows:

  • Cash sales: $72; mobile/card sales: $38; total recorded sales: $110.
  • Business spending shown: $56, made up of $42 for ingredients, $8 for fuel, and $6 for packaging.
  • Household/owner withdrawal: $10, recorded separately from business spending.

These amounts are a worked example, not a benchmark. If you use a different currency, write that currency clearly so records do not become ambiguous.

Record sales near the time they happen

For a stall with many low-priced transactions, noting the item and amount as each cash sale happens—or tallying them in a way you can reliably total—reduces the chance of relying on memory at night. The International Labour Organization’s training material for a different kind of small enterprise describes a daily cash record with the item and amount at each cash sale. Its workflow is practical guidance, not a food-sector rule.

If recording every sale during a rush would interrupt service, use a simple method you can maintain: make marks against menu items, keep a running amount, or total a defined sales period and enter that total with its date and payment method. Preserve whatever tally supports the total. Do not count a mobile/card sale as cash received; keeping payment methods distinct makes it easier to compare the log with cash in the box and electronic payment records.

A receipt book can be another way to document sales, especially where a customer needs a receipt or local rules require one. For a low-cost, high-volume stall, a daily sales record may be more direct than issuing a separate receipt for every transaction, but local obligations and customer needs take precedence. Avoid collecting customer personal details unless there is a clear need and lawful basis.

Write down every business purchase and keep its proof

For each purchase or expense, record the date, what you bought, the amount, and how it was paid when that detail matters. Useful categories might include ingredients, fuel or transport, packaging, and other business costs. An itemized description helps distinguish business spending from household spending, especially when the same shop sells goods for both.

Keep receipts, invoices, sales slips, deposit slips, or other records that support the entries. U.S. Internal Revenue Service guidance says expense records should substantiate who was paid, the amount, the date, payment, and business purpose. That is U.S. federal guidance, not a universal legal test, but it is a useful practical checklist for making an expense understandable later.

  • Write the transaction into the log promptly, then keep the receipt with that day’s pages or identify it with a reference such as “R14.”
  • If no receipt is available, make a dated note of the purchase, amount, seller or payee if known, payment method, and business purpose. A note may not replace documentation required by local law, but it is better than an unexplained amount.
  • For electronic payments, retain the transaction record or statement and mark which log entry it supports.
  • Keep original entries distinguishable from later corrections or estimates. If you correct a mistake, make the change legible and note what changed rather than silently rewriting the total.

Keep household cash separate in the record

Many informal vendors use the same physical cash for business and household needs. The key is to label transfers rather than treating every withdrawal as an ingredient cost. FAO’s bookkeeping training manual emphasizes separating business and household money: if the two are mixed without records, it becomes difficult to tell whether the business itself is doing well.

When cash is taken from the stall for household use, enter it as an owner or household withdrawal. If household money is put into the stall, label it as owner money added rather than sales. Those entries explain cash movement without misrepresenting sales or operating costs. The exact accounting and tax treatment of owner contributions or withdrawals depends on the business form and local rules.

Close the day with a short check

A close-out does not need to be complicated. The aim is to see whether the day’s cash and payment records are consistent with what you wrote down, and to notice missing entries while they are still easy to remember. The following routine is a practical recommendation, not a ritual prescribed universally for informal vendors.

  1. Total sales by payment method. Add cash sales separately from mobile, card, or other electronic sales. Combine them for total recorded sales only after the separate amounts are visible.
  2. Total business spending by category. Add purchases and other business costs separately from owner or household withdrawals.
  3. Compare the log with what you can verify. Count cash on hand and compare it with the cash sales and cash payments recorded, accounting for opening cash or other known movements. Check electronic payments against the provider’s transaction history or statement.
  4. Investigate differences, then annotate them. Look for a missed sale, an expense not entered, change given, a cash float, or a payment that has not yet settled. Do not change figures just to make the totals agree; record a correction or explanation.
  5. Keep the day’s records together. Store the page or digital entry with its supporting receipts and transaction records so you can find them later.

In the fictional example, total recorded sales are $110 and the listed business spending is $56. The $10 household withdrawal is not part of that business-spending total. The difference between those two recorded figures is $54, but it is only sales minus the expenses shown in the example—not necessarily the stall’s profit or the amount of cash physically left. Payment methods, opening cash, stock still on hand, unpaid bills, equipment costs, and other items can change the picture.

Know what the daily difference can—and cannot—tell you

A cash-in/cash-out log is a useful first tool for seeing whether money came in, what was paid out, and which costs recur. It can help you notice patterns, such as a day with higher sales or spending that regularly exceeds sales. It does not automatically provide a complete profit calculation.

Sales minus recorded daily cash expenses can omit ingredients bought earlier and used today, stock remaining at the end of the day, bills not yet paid, equipment, borrowing, and other costs. Owner withdrawals also affect available cash but are not the same thing as a business expense in this simple log. For a fuller financial picture, keep additional records of stock, debts, assets, and any other items relevant to your business and local accounting requirements.

Choose paper or digital based on what will stay complete

Paper and electronic records can both work. U.S. IRS guidance recognizes either type of recordkeeping system, while requiring electronic systems to provide complete, accurate, accessible records. That guidance concerns U.S. federal records; its practical lesson is that a tool is only useful if entries and supporting documents can be retrieved when needed.

Consideration Paper notebook Phone or spreadsheet
Access during service Works without a charged device or internet connection Convenient if the device is available and usable during service
Making quick entries Can be quick when kept nearby, though handwriting and later totals take time Can speed totals and searching if the vendor is comfortable entering transactions
Finding past records Requires keeping pages dated and in order Can make searching and summing easier when entries are organized
Backup and document security Paper can be lost or damaged; receipts need to be stored with care Files and images need a dependable backup and secure access

There is no universally best format. Choose the simplest system that you can use accurately through busy periods and still access later. Internet access or paid bookkeeping software is not a prerequisite for starting. If you switch from paper to digital, keep the earlier records and make sure the new method preserves dates, descriptions, amounts, payment methods, and supporting documents.

Check local rules before relying on a general template

Tax, receipt, and record-retention requirements differ by jurisdiction, business type, and sometimes registration status. U.S. IRS materials describe U.S. federal requirements; Singapore’s Inland Revenue Authority describes Singapore-specific rules. Neither set should be applied as a universal rule for a vendor elsewhere.

Singapore IRAS, for example, describes local record, receipt, and retention requirements, including rules that may apply to certain non-GST-registered sellers. Its receipt numbering and duplicate-retention examples are specific to Singapore and the sellers covered by those rules. Before deciding what receipts to issue or how long to retain records, check the tax authority or a qualified local adviser for the rules where the stall operates.

A notebook template is a practical starting point, not a substitute for required invoices, receipts, tax records, or licenses. Keep any mandatory local records in addition to the daily log, and follow applicable retention periods rather than assuming one country’s timetable applies in another.
