Fix Outlook 365 email by working from the outside in: verify your internet connection and Outlook’s connection status, clear any blocked Outbox message, sign in with the current password, confirm the account settings, then repair the Outlook profile. If Outlook freezes or will not open, isolate add-ins, create a new profile, repair Office, and check the PST or OST data file.
First identify which Outlook you have and what is failing
“Outlook 365” can mean the newer Outlook for Windows or classic Outlook installed with Microsoft 365. Their menus and repair tools are different, so identify the app before following a procedure. In classic Outlook, the ribbon includes File and Send/Receive. New Outlook has a modern web-style interface and does not support every classic Outlook troubleshooter.

Write down the exact symptom before changing settings:
- Messages remain in the Outbox or sending fails.
- New mail does not arrive, or folders stop synchronizing.
- Outlook says Working Offline, Disconnected, or Trying to connect.
- Your password is repeatedly rejected or account setup fails.
- Outlook is slow, freezes, closes unexpectedly, or will not start.
The symptom determines whether to investigate the network and mail service, the account credentials, or the local Outlook installation.

Quick decision guide
| What you see | Start here | Most likely area |
|---|---|---|
| Websites and webmail both fail | Restore the network or check the provider | Internet connection or service outage |
| Webmail works, but desktop Outlook is offline | Reconnect Outlook, then repair the profile | Local client, profile, or credentials |
| One message and later messages stay in Outbox | Open the oldest message and remove the large attachment | Blocked message or quota |
| Password changed recently | Sign in again with the new password or required app password | Authentication |
| Outlook opens only in safe mode | Disable and test COM add-ins one at a time | Add-in conflict |
| Outlook will not open at all | Try a new profile, reset the navigation pane, then inspect the data file | Profile, startup configuration, or PST/OST corruption |
This order prevents you from rebuilding a profile when the real problem is an unplugged network, a disabled mailbox, or a provider outage.
1. Check the network and Outlook connection status
Test internet access first
- Open a browser and visit a reliable website.
- If websites do not load, reconnect Wi-Fi or Ethernet, restart the router if necessary, and resolve the network problem before changing Outlook.
- If browsing works, continue with Outlook’s own status indicators.
Reconnect classic Outlook
Look at the status bar at the bottom of the classic Outlook window. Working Offline or Disconnected means the desktop client is not connected to the mail server. Microsoft’s guidance is explicit: “You can’t send or receive email until you reconnect.”
- Select Send/Receive on the ribbon.
- Select Work Offline so the button is no longer active.
- Select Send/Receive All Folders.
If webmail for the same account works while desktop Outlook does not, the account and service are probably reachable; concentrate on Outlook’s profile, credentials, add-ins, or local data. If webmail also fails, investigate the provider, account status, licensing, or an outage instead of repeatedly repairing Outlook.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Fix the driver behind crashes, sound loss and screen glitches3Clear out junk files and repair common Windows errorsHandle new Outlook differently
New Outlook does not use the classic Work Offline control or every classic troubleshooter. Close and reopen it, verify that Windows is online, and check whether the same account works in webmail. For a Microsoft 365 work account, an administrator can confirm service health, licensing, and organization sign-in policies.
2. Separate a sending problem from a receiving problem
Send a short test message to yourself or another address you control, then check webmail. If the message leaves Outlook but never appears in webmail, the issue is not simply the Outbox; check the account, service status, or recipient-side filtering. If new messages appear in webmail but not in Outlook, the mailbox is receiving correctly and the desktop synchronization path needs attention.
For a sending-only failure, inspect the Outbox, attachment size, SMTP settings, password, and cloud-storage quota. For a receiving-only failure, check the account’s incoming-server or IMAP settings, folder synchronization, mailbox quota, and whether Outlook is disconnected. Always run Send/Receive All Folders after a change so you test the current configuration rather than an old queued operation.
3. Remove messages blocking the Outbox
A single unsent message can hold up later messages. Start with the oldest item rather than repeatedly pressing Send.
Recommended Free Tools
- Open Outbox.
- Open the oldest message. If it opens, select File > Save As to preserve a copy, then close it.
- Remove a large attachment and send the file as a OneDrive or other file-sharing link instead.
- Try sending the message again, or delete it if it is no longer needed.
- Run Send/Receive All Folders and check whether subsequent messages leave the Outbox.
Microsoft uses an attachment larger than about 20 MB as an example of a message that may be blocked. That is troubleshooting guidance, not a universal limit; providers and recipients can impose different limits. Even a smaller file can fail when the account’s quota is exhausted.
Check Microsoft cloud storage for the account. Microsoft states that full cloud storage can prevent sending or receiving, so deleting or moving unnecessary cloud files may be required before mail flow resumes.
If the message cannot be opened, switch Outlook to offline mode, close it, reopen it, and remove or move the item when possible. Do not keep creating duplicate copies by pressing Send repeatedly; once the blocker is removed, the queued messages may all transmit.
4. Sign in again after a password or security change
Outlook will continue trying the old credentials after you change a provider password in webmail. Sign in to the account in Outlook with the new password when prompted. Do not keep entering an old password; repeated failures can trigger an account lockout at some providers.

Some providers require an app password for desktop mail applications, particularly when additional sign-in security is enabled. Create the app password in the provider’s account-security page and enter that generated value in Outlook instead of your normal password. The provider, not Outlook, determines whether app passwords are available.
Business Microsoft 365 accounts
For a work or school account, mail can stop when the account is unlicensed, blocked, or subject to an organization sign-in policy. Ask the Microsoft 365 administrator to verify the license, sign-in status, multifactor-authentication requirements, and any conditional-access policy. A local profile repair cannot correct an account disabled at the organization level.

5. Confirm the account type and server settings
Incorrect account type or server details can produce endless password prompts, missing mail, or failed sending. The correct settings depend on whether the mailbox is Microsoft 365/Exchange, Outlook.com, or a third-party POP/IMAP account.
| Account | What to use | Important qualification |
|---|---|---|
| Microsoft 365 or Exchange work account | The Microsoft 365 or Exchange account setup supplied by the organization | Manual POP/IMAP configuration is not the normal path unless the administrator has enabled those protocols. |
| Outlook.com, Hotmail.com, or Live.com | The Outlook.com account type | Do not substitute Exchange or generic Microsoft 365 settings for these consumer addresses. |
| Third-party mailbox | The provider’s POP or IMAP incoming server and SMTP outgoing server | Use the provider’s exact server names, ports, encryption method, and authentication rules. |
Verify a third-party POP or IMAP account
- Open the provider’s current setup instructions in a browser or contact its support team.
- Compare the incoming server name, port, SSL or TLS requirement, and username with Outlook’s account settings.
- Compare the outgoing SMTP server, port, encryption, and authentication requirement.
- Confirm that POP or IMAP access is enabled at the provider; some providers disable it until you opt in.
- Save the settings and run a send-and-receive test.
Do not guess ports or encryption options. A setting that works for one provider can fail for another, and a provider can change its requirements without changing Outlook.
6. Repair the classic Outlook profile
A damaged profile can prevent synchronization even when the account works in webmail. This repair path applies to classic Outlook for Windows.
- Open Outlook and select File.
- Select Account Settings > Account Settings.
- On the Email tab, select the affected account.
- Select Repair.
- Complete the wizard, enter the current credentials if requested, and restart Outlook.
- Run Send/Receive All Folders and test both sending and receiving.
The Repair button may be unavailable for some account types or installations. If the wizard fails, create a new profile rather than repeatedly repairing the same one.
Create a new profile safely
- Close Outlook.
- Open Control Panel, search for Mail, and open the Mail setup dialog.
- Select Show Profiles, then Add.
- Give the profile a distinct name and add the account using its normal automatic setup.
- Choose Always use this profile and select the new profile, or choose the profile at startup for testing.
- Open Outlook and allow the mailbox to synchronize before judging the result.
Do not remove an old profile until you have checked local data files and any locally stored contacts or calendar items. Removing a profile removes its offline cached content from that profile, even though server mail remains on the server.
7. Test Outlook without add-ins
COM add-ins can interfere with startup, sending, synchronization, or the user interface. Safe mode loads classic Outlook without most add-ins and is a diagnostic test, not a permanent operating mode.

- Press Windows key + R.
- Enter
outlook.exe /safeand press Enter. - Send a small test message and check whether folders synchronize.
If the problem disappears in safe mode, disable add-ins normally: select File > Options > Add-ins, choose COM Add-ins in the Manage box, and select Go. Clear all add-ins, restart Outlook normally, then re-enable them one at a time. The failure that returns identifies the conflicting add-in; update or remove that add-in.
If the same failure occurs in safe mode, add-ins are unlikely to be the root cause. Continue with profile, application, or data-file repair.
8. Update and repair Microsoft 365
Install Office updates
In classic Outlook, select File > Office Account > Update Options > Update Now. Install pending updates and restart Windows if requested. A current build can contain fixes for connection, authentication, and startup defects.
Run an Office repair
- Close Outlook and other Office apps.
- Open Settings > Apps > Installed apps (or Apps & features on older Windows).
- Select the Microsoft 365 or Office installation and choose Modify.
- Try Quick Repair first. If it does not help, repeat the process and choose Online Repair, which takes longer and may require signing in again.
- Restart Windows and test Outlook.
Repair changes the Office installation; it does not correct a provider outage, an invalid mailbox password, or a disabled business account.
When new Outlook hangs
If new Outlook stops responding, open Task Manager with Ctrl + Shift + Esc, select Outlook, choose End task, and reopen it. If the failure persists, use Settings > Apps > Installed apps to uninstall and reinstall new Outlook. Preserve any information that exists only locally before uninstalling.
9. Repair damaged PST or OST data files
Classic Outlook uses PST and OST files for local messages, folders, attachments, and cached mailbox data. A damaged file can cause freezes, repeated synchronization errors, or failure to open.
Run the Inbox Repair Tool
- Close Outlook completely.
- Find
scanpst.exein the Office installation folders. The exact folder varies by Office version and whether Windows is 32-bit or 64-bit. - Open the tool, select Browse, and choose the PST or OST file associated with the profile.
- Select Start to scan. If errors are reported, select Repair.
- Reopen Outlook and check the folders and send-and-receive operation.
Make a copy of the data file before repairing it. For an Exchange or Microsoft 365 OST, Outlook can generally rebuild the offline cache after the account is connected again; a PST may contain the only copy of locally stored mail, so treat it as valuable data.

Reset the navigation pane when Outlook will not open
A damaged navigation-pane configuration can block startup. Close Outlook, press Windows key + R, enter Outlook.exe /resetnavpane, and press Enter. This resets navigation settings; it does not repair a corrupt mailbox or restore deleted mail.
10. Avoid common troubleshooting mistakes
- Do not delete a profile or PST before checking whether it contains local-only mail, contacts, or calendar items.
- Do not use POP/IMAP values copied from a different provider; server names, ports, encryption, and authentication rules vary.
- Do not treat safe mode as a permanent fix. It identifies add-in involvement; normal Outlook still needs to work after the conflicting add-in is disabled.
- Do not assume a large attachment is the only possible cause of an Outbox blockage. Quota limits, authentication failures, and provider restrictions can also stop transmission.
- Do not repeatedly repair Office when webmail also fails. A server outage, disabled account, or licensing problem requires the provider or administrator.
11. Choose the next escalation point
Escalate only after recording what changed. Give support the following details:
- Whether you use new Outlook or classic Outlook, and the Microsoft 365 or Office version shown under File > Office Account when available.
- The account type: Microsoft 365/Exchange, Outlook.com, POP, or IMAP.
- The exact error text or code and when it appears.
- Whether webmail works, whether Outlook shows Working Offline or Disconnected, and whether cloud storage is full.
- Whether safe mode, a new profile, Office repair, or
scanpst.exechanged the behavior.
Contact the Microsoft 365 administrator for licensing, policy, or organization-account issues; contact the email provider for POP/IMAP server requirements, app-password rules, or a provider-side outage; contact Microsoft support for a persistent Outlook or Office defect.

Frequently Asked Questions
Why is Outlook 365 not sending or receiving email?
Check internet access, Outlook’s Working Offline or Disconnected status, the Outbox, your current password, account settings, and Microsoft cloud-storage capacity. If webmail also fails, contact the provider or Microsoft 365 administrator rather than repairing only the desktop app.

How do I get Outlook back online?
In classic Outlook, select Send/Receive and turn off Work Offline, then choose Send/Receive All Folders. New Outlook has different controls, so close and reopen it, verify Windows connectivity, and test the same account in webmail.
Why are my emails stuck in the Outbox?
Open the oldest queued message first. Remove or reduce an attachment larger than about 20 MB, replace it with a OneDrive or other sharing link, and try again. A full account quota or cloud storage can also block sending.
How do I repair my Outlook profile?
In classic Outlook, choose File, Account Settings, Account Settings, select the account on the Email tab, and choose Repair. Finish the wizard and restart Outlook. If Repair is unavailable or fails, create a new profile through Control Panel’s Mail app.
What should I do after changing my email password?
Enter the new password when Outlook prompts you. If the provider requires an app password, generate one in the provider’s security settings and use that value. Work-account users should ask their administrator to check licensing and sign-in policies.

Outbyte PC Repair FREEClear out junk files and repair common Windows errorsFree Scan →Outbyte Driver Updater FREEFix the driver behind crashes, sound loss and screen glitchesFind Drivers →Why does Outlook work in webmail but not on my computer?
The mailbox and service are reachable, so focus on the local client: reconnect Outlook, test safe mode, repair or replace the profile, update or repair Office, and inspect PST or OST files if startup or synchronization remains broken.
How can I tell whether an add-in is causing Outlook to freeze?
Close Outlook and run outlook.exe /safe. If sending and synchronization work there, disable COM add-ins under File, Options, Add-ins, then re-enable them one at a time until the failure returns.
Is it safe to delete an Outlook profile or OST file?
Do not remove anything until you check for local-only data. Removing a profile removes its offline cached content. An Exchange or Microsoft 365 OST can generally be rebuilt, while a PST may hold the only copy of local mail and contacts.
The Bottom Line
Work from the simplest explanation to the most local: restore connectivity, reconnect Outlook, clear the oldest Outbox blocker, authenticate with the current credentials, verify the account type, and repair the classic profile. Then test safe mode, update or repair Office, and protect or repair PST/OST files. If webmail fails too, or the account is blocked, unlicensed, or subject to provider settings, escalate to the administrator or email provider with the exact error and tests you performed.
