1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errorsSmall merchants can avoid a customer-facing payment fee by treating acceptance costs as an operating expense: build the expected cost into ordinary prices, select a processor and payment channels that fit the business, and check real statements against the quoted plan. Cards, wallets, bank transfers, invoices and QR payments can all work, but none is automatically the cheapest for every merchant.
The legal details below use United States examples. Surcharges, cash discounts, convenience fees, taxes and disclosure requirements vary by state, country, card type, acquirer and sales channel. Confirm the rules that apply where your business operates before changing prices.

Make the customer’s price include the cost of accepting payment
The most straightforward fee-free experience is a single advertised price, regardless of whether a customer pays by card, wallet or another accepted method. Estimate the annual cost of payment acceptance, divide it across the goods or services you sell, and review the result when your sales mix changes. This is different from adding a separate checkout line labelled “card fee.”

Build a worksheet using the amounts you actually process. total processing cost = fixed monthly charges + Σ[(percentage rate × transaction amount) + per-transaction charge]
Run the calculation separately for in-person, online, keyed or manually entered, invoice, stored-card and bank-transfer payments. A plan that looks inexpensive for face-to-face sales can cost more when many orders are entered manually or when customers pay online. Use the resulting blended cost to set prices; do not assume that one published rate represents your whole business.
Keep the price policy easy to explain
Tell customers that your posted prices include the cost of offering electronic payment, just as they include rent, packaging and other operating expenses. Do not advertise a “no-fee” card option and then add a different amount at the point of sale. If you offer a lower price for another payment method, make the standard price and the reduction unambiguous before the customer chooses how to pay.

Know what the processor is charging
Interchange is not normally a bill that a small merchant pays directly. Visa explains that interchange is a transfer between the cardholder’s issuing bank and the merchant’s acquiring bank. The merchant instead negotiates and pays a merchant discount to its financial institution, usually calculated as a percentage of each transaction; processing services may be included in that rate. See Visa’s explanation in Rules + Interchange | Visa.
Your contract or processor statement may combine several items into one rate or show them separately. Ask for a complete schedule before signing:
- Card-present pricing for tap, chip and swipe transactions.
- Online checkout and payment-link pricing.
- Manually entered or keyed pricing, which is often higher because the card and cardholder are not present.
- Invoice, stored-card and recurring-payment treatment.
- Bank-transfer or ACH fees, limits and settlement timing.
- Monthly software charges, gateway or account fees, hardware costs and replacement terms.
- Refund, dispute, chargeback, currency-conversion and international charges.
- Contract length, termination costs, reserve policies and support hours.
Choose the channel that matches each sale
Payment methods are alternatives, not guaranteed savings. A method with a lower nominal fee can create more failed payments, slower settlement or extra work if your customers do not use it.

|---|---|---|
| Tap, chip or swipe at the counter | Face-to-face sales using cards and digital wallets | Confirm the card-present rate, terminal or reader cost, settlement schedule and dispute process. |
| Online checkout or payment link | Remote orders, bookings and sales from a website or message | Check online pricing, fraud tools, refunds and whether a monthly software plan applies. |
| Invoice with ACH bank transfer | Higher-value or business-to-business invoices where customers can pay from a bank account | Verify the current ACH fee, minimum, cap, return risk and settlement time for your plan. |
| Cash App Pay by QR code | In-person customers who prefer a QR-based wallet flow | Confirm availability, account requirements, fee, refund process and whether customers in your market use it. |
| Virtual terminal or manually entered card | Phone orders and cards that cannot be physically presented | Manual entry is priced separately by many processors and can carry higher fraud and dispute exposure. |
When a phone or link is enough
A dedicated terminal is optional for some businesses. In its current US pricing information, Square says merchants can accept payments through invoices, payment links, a virtual terminal or Tap to Pay on a compatible iPhone or Android device without buying dedicated hardware. This can reduce upfront spending for a mobile seller or a business that takes mostly remote orders. Confirm phone compatibility, operating-system requirements and the provider’s current terms before relying on a phone as your primary terminal.
When dedicated hardware is worthwhile
Hardware can speed up checkout, provide a stable customer-facing display and make contactless acceptance obvious. Square’s US pricing page lists hardware options starting at $59, but that is a product starting price, not a guarantee of your complete cost. Add taxes, accessories, replacement coverage, software and the processing plan when comparing a reader with a phone-based setup. A reader must also be compatible with the processor account you choose.
Use a current US example carefully
Square’s US pricing page describes in-person tap, chip and swipe acceptance, cards and digital wallets, ACH bank transfers through invoices, and Cash App Pay through a QR code. It also says processing fees vary by plan. Its fee documentation separates card-present, online, manually entered, card-on-file, ACH and other methods and includes a section for legacy plans. Treat those figures as account- and plan-specific rather than as a universal market price.

In the legacy-plan section of Square’s fee documentation, ACH transactions are listed at 1%, with a $1 minimum and a $10 cap. Those numbers apply only where that legacy section governs the account; they should not be presented as the current ACH price for every merchant. The same documentation explains why manually entered transactions cost more: neither the card nor the cardholder needs to be present. For businesses with annual sales above $250,000, Square directs sellers to contact sales about custom pricing. Review the live terms at Square Processing Fees, Plans, and Software Pricing and Learn about Square fees before modeling costs.
Reduce cost without adding a checkout surcharge
Negotiate the plan around your real volume
Processors may have different rates for different channels and may offer custom pricing at higher volumes. Bring twelve months of transaction data to a sales conversation: total card volume, average ticket, card-present share, online share, keyed share, refunds and dispute counts. Ask the provider to show the effective rate for that mix, not just the lowest rate for one transaction type. Obtain all recurring fees and exit terms in writing.
Route transactions to the right method
Use card-present acceptance when the customer and card are together. Send an invoice or payment link when the customer is remote rather than manually keying a card number into a terminal. Offer bank transfer for customers comfortable with that workflow, especially for invoices where settlement timing is acceptable. Keep a card or wallet option available so a lower-cost rail does not become a barrier to purchase.

Control avoidable losses
- Train staff to use chip or contactless verification rather than keying a card that is present.
- Set clear refund and cancellation procedures so staff do not create duplicate transactions.
- Use address, verification and fraud controls appropriate to online orders without rejecting legitimate customers unnecessarily.
- Reconcile deposits, refunds and fees to the processor statement every month.
- Remove unused software seats, terminals and add-ons at renewal.
Understand surcharges, cash discounts and convenience fees
A separate fee is not a universal workaround. Visa’s US rules FAQ says a merchant generally must not add an amount above the advertised or normal price unless applicable law expressly permits a surcharge. It says credit-card surcharging is permitted in most US states subject to Visa requirements, but state and local restrictions still matter. Visa also describes a cash discount as a reduction from the standard price, not an extra charge for card users. Read the current Visa Rules and policies and obtain legal and acquirer guidance for your location.
Visa’s general FAQ describes a convenience fee as a clearly disclosed, flat amount for paying through an alternate channel that is different from the merchant’s usual payment channel. That description does not make every fee lawful or turn a normal card checkout into an eligible alternate channel. Confirm eligibility, amount, disclosure and channel requirements before using the term.
Visa notice and disclosure
Visa’s small-business guidance says a US merchant starting a surcharge must notify Visa and its acquirer 30 days before implementation. The notice is one requirement among others; applicable law, signage, receipt language, card-type restrictions and point-of-interaction disclosures may also apply. Your acquirer can tell you how to submit the notice and configure the terminal.
Mastercard restrictions
Mastercard’s US merchant guidance requires at least 30 days’ notice to Mastercard and the acquirer for a permitted credit surcharge, clear disclosure at the point of interaction and disclosure on the receipt. It states that no surcharge is allowed on Debit Mastercard or Mastercard prepaid cards. The page states a 4% maximum, while also limiting the surcharge by the merchant’s acceptance cost and other conditions. Therefore, 4% is not a blanket permission to charge that amount. Review the current Mastercard Credit Card Surcharge Rules and Fees for Merchants and your local law before enabling a surcharge.
Implementation plan for a small business
- Identify your jurisdiction. List every state or country where you sell, deliver or invoice customers. Check consumer-pricing, tax and payment-network rules for each relevant location.
- Map your sales. Measure monthly volume, average ticket, card mix, in-person versus remote sales, keyed transactions, refunds and disputes.
- List required methods. Decide whether customers need contactless cards, wallets, online checkout, invoices, ACH, QR payments or recurring billing.
- Request comparable quotes. Ask each processor for channel-specific rates, fixed fees, hardware, settlement timing, support, dispute handling and termination terms.
- Calculate effective cost. Apply each quote to your own transaction mix and include recurring and incidental charges.
- Select the least-friction workflow. Use a terminal, reader, phone, invoice or link according to how the sale occurs; do not force customers onto a method they cannot use.
- Set one ordinary price. Incorporate the modeled cost into your price list and verify how taxes, deposits and refunds will display.
- Test before launch. Run a small transaction with each accepted method, then test a refund, a failed payment, a receipt and a settlement reconciliation.
- Document staff procedures. Explain when to use tap, chip, invoice, bank transfer or manual entry, and who approves refunds or disputed orders.
- Review after the first billing cycles. Compare the statement’s effective rate and fees with the quote. Escalate unexplained items before they become a recurring cost.
Monitor the arrangement as your business changes
Recalculate when your average ticket, online share, international volume or refund rate changes. A seasonal business may need a different plan during peak months than during a quiet period. Recheck hardware and software fees at renewal, and ask whether a higher volume now qualifies for a custom quote. Keep records of customer disclosures and any network or acquirer notifications if you use a permitted discount or surcharge.
The practical goal is not to find a payment method that is always cheapest. It is to offer the methods your customers will complete successfully, price those methods transparently, and remove costs that come from the wrong channel, unused services or preventable errors.
