GST treatment of a bank fee or payment charge depends on the country, the supplier, and the service actually supplied—not on the word “bank” or “fee” on a statement. An ordinary account-maintenance charge may be exempt or input taxed, while card processing, settlement, or payment-technology services may be taxable. Before posting an entry, identify the jurisdiction, read the provider’s invoice or statement, and determine whether GST is separately shown.
This guide explains a practical classification and bookkeeping workflow, then shows how Australia, New Zealand, Singapore, and the UK apply different concepts. The examples are not a substitute for advice under the law that applies to your legal entity.

Start with the service, not the label
A fee described as “bank charges,” “merchant fees,” or “payment processing” is not automatically GST-free, taxable, or creditable. Tax law generally follows the nature of the supply. The same provider can make an exempt financial supply in one part of its business and a taxable technology or processing supply in another.
Classify each charge using these questions:
- Which country’s rules apply? Use the jurisdiction of the business, the supplier, and the relevant place-of-supply rules.
- Who supplied the service? The account bank, card network, payment service provider, platform operator, or another intermediary may be a different legal supplier.
- What did you receive? Distinguish account operation, transfers, card authorization, merchant acquiring, settlement, payment-system access, fraud tools, software, and other services.
- Is the fee bundled? A contract can contain one composite supply or several distinct supplies, with different GST outcomes.
- Is tax shown? A fee line proves a cost was incurred; it does not prove that GST was charged or that you can claim it.
Keep the provider’s fee schedule and the actual statement or tax invoice. A generic chart-of-accounts description is not enough to support a tax position if the underlying service is different.

Can I claim GST on bank fees?
You can claim an input-tax credit only when the law in your jurisdiction permits it, the purchase is used for eligible business activities, the supplier has made a taxable supply, and you hold the required evidence. These are separate tests. A fee may be incurred wholly for business and still carry no recoverable GST because the supply is exempt or input taxed.
Check the document for:
- the supplier’s legal name and registration details where required;
- the service description and invoice or statement date;
- the amount before tax, the GST amount (if any), and the total;
- the account, merchant facility, or transaction covered; and
- any wording indicating an exempt, input-taxed, zero-rated, or outside-scope supply.
For Australian purchases, the cited government guidance requires a valid tax invoice for purchases above $82.50. That threshold is specific to Australia and may change, so confirm the current rule before relying on it. Other countries use different documentation thresholds and formats.
Australia: account fees versus merchant processing
Australian Taxation Office ruling GSTR 2002/2 provides a useful distinction, but it does not make every fee with a similar name identical. The ruling lists account opening, account keeping and maintenance, transaction fees, and electronic account transaction fees as input-taxed financial supplies. Input-taxed treatment means the supplier does not charge GST in the ordinary way and the recipient generally has no input-tax credit for that amount.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problemsThe same ruling identifies sales-processed fees for merchant card operations, and specified processing, settling, clearing, or switching services supplied by a financial supply facilitator, as taxable supplies. The exact result depends on all the facts and circumstances. A merchant statement that says “processing” should therefore be read with the provider’s agreement and fee schedule rather than coded automatically.
Australian posting consequences
If the fee is an input-taxed financial supply, record the gross amount as an expense and do not create a GST receivable merely because the business is registered. If a payment provider makes a taxable supply and separately charges GST, test the amount under the normal creditable-acquisition rules: the purchase must be for business use to the required extent, and the business must have acceptable supporting documentation.
Australia’s GST registration and credit rules can also distinguish taxable, GST-free, and input-taxed activities of the recipient. If your business makes both taxable and input-taxed supplies, apportionment may be required. The supplier’s treatment and your own recovery percentage are related but not identical questions.
Australian example
A bank deducts $22 for monthly account maintenance and shows no GST. If the charge is the account service described in GSTR 2002/2, post the full $22 to bank charges. A card acquirer later deducts $110 for merchant processing and shows $10 GST. Subject to business use and a valid tax invoice, post $100 to payment-processing expense and $10 to the GST input-tax account. If the acquirer’s document does not substantiate GST, do not infer the $10 from the total.

New Zealand: analyse merchant payment functions
Inland Revenue’s Interpretation Statement IS 26/02, issued March 24, 2026, addresses payment processing and facilitation services supplied to merchants, including payment technology providers, payment service providers, and buy-now-pay-later providers. It uses a functional analysis rather than a universal rule for every “merchant fee.”
A key question is whether the arrangement includes settlement. Inland Revenue states: “When the supply to merchants includes settlement services, there will be a supply of financial services, and these supplies will be GST exempt (or zero-rated if applicable).” That conclusion is specific to the interpretation statement’s analysis and should not be exported to another country or to a payment charge that performs different functions.
Composite or multiple supplies
IS 26/02 also considers whether a contract is one composite supply or several supplies with distinct treatment. For example, a provider might combine payment technology, transaction routing, merchant support, and settlement. The contract, customer promise, pricing, and practical operation help determine whether those elements are inseparable or should be analysed separately.
For a New Zealand business, retain the agreement and the provider’s tax documentation showing what is included. Do not split a bundled amount by making up percentages. If the supplier has not made the treatment clear, request a written service description and obtain advice on the specific arrangement.

Singapore: exempt bank-account charges and recovery limits
Singapore’s Inland Revenue Authority lists charges by banks for operating bank accounts as examples of exempt financial services. An exempt charge generally does not carry GST for the customer to recover. It should not be treated as taxable merely because it appears on a business bank statement.
IRAS also notes that a business making both exempt and taxable supplies may not recover all GST incurred on purchases unless it satisfies the De Minimis Rule. This illustrates why two checks are needed: first, determine whether the supplier charged GST; second, determine how much of any GST is recoverable by the recipient under its own taxable-use and partial-exemption rules.
United Kingdom: recharging a bank fee to a customer
Passing a bank cost to a customer does not automatically turn it into a disbursement. HMRC gives the example of a bank transfer fee incurred for the supplier’s own business and then recharged to a customer. That amount is not a disbursement; it forms part of the supplier’s own supply, and VAT is due according to that supply.

True disbursement versus own cost
A genuine disbursement is normally a payment made as the customer’s agent, where the customer—not the business—is the person receiving the underlying service and the conditions for disbursement treatment are met. A payment processor’s fee for your own merchant account is ordinarily your operating cost. Adding a separate line called “bank fee” does not change that character.
Because the UK uses VAT rather than GST, apply this example only to UK VAT analysis. Other jurisdictions may classify a recharge differently. Review the contract with your customer, the supplier invoice, and local agency and invoicing rules before excluding a recharge from your taxable value.
How to record a fee in your accounts
Use the following workflow for every new bank or payment charge. It prevents a recurring statement line from becoming a recurring tax error.
- Set the jurisdiction. Identify the country and tax regime for the legal entity that incurred the charge. Note whether the entity is registered and whether it makes taxable, exempt, input-taxed, or mixed supplies.
- Identify the legal supplier. Match the statement line to the bank, acquirer, payment platform, card network, or technology provider named in the agreement or invoice.
- Read the service description. Classify the actual function as account operation, transfer, card processing, authorization, settlement, clearing, switching, platform access, software, fraud screening, or another service.
- Check for a bundle. Determine whether local law and the contract treat the arrangement as one composite supply or multiple supplies. Ask the provider for an itemized breakdown if the document combines materially different functions.
- Capture the tax evidence. Record the gross amount, any separately stated GST or VAT, currency, date, invoice number, and the document on which the amount appears. Do not calculate tax backwards from a gross fee unless local rules and the invoice support that calculation.
- Choose the expense account. Use bank charges for account services and payment-processing expense for merchant or gateway services, or a more precise account that matches your chart. The account name does not determine tax treatment.
- Separate recoverable tax only when supported. Post a tax-control amount only for the portion allowed under local recovery rules and supported by the required invoice. Otherwise include the full charge in expense.
- Reconcile settlement. Compare gross customer receipts, refunds, processor deductions, reserve movements, and the net deposit. The fee should explain the difference between the gross transaction record and the settlement amount.
- Review customer recharges. Decide whether the amount is your own cost or a qualifying disbursement under local law. Apply the tax treatment of the customer supply when it is your own cost.
- Retain the audit trail. Store the statement, tax invoice, fee schedule, contract, tax decision, and reconciliation together for the period required by local record-keeping law.
Bookkeeping entries and settlement example
The following structure is a bookkeeping model, not a conclusion that GST applies:
- Debit: Bank charges or payment-processing expense — gross fee, less any substantiated recoverable tax.
- Debit: GST receivable or input-tax control — only the eligible, documented amount.
- Credit: Bank account or settlement-clearing account — the total deducted.
Suppose a processor records $1,000 of customer sales, deducts a $30 fee, and deposits $970. If no GST is shown and the fee is exempt or input taxed, record the sale under the applicable sales-tax rules, record $30 as expense, and reconcile the $970 deposit through the clearing account. If the invoice separately shows $3 GST and the business is entitled to recover it, record $27 expense, $3 input tax, and $30 deducted. The sales entry itself remains separate from the processor-fee entry.
Recommended Free Tools
Do not net the fee against sales merely because the processor deposits a net amount. Gross-to-net reconciliation preserves the sales value, makes refunds visible, and gives you a document trail for the tax classification.
Common mistakes and how to fix them
Assuming every bank fee is GST-free
Account operation, merchant acquiring, settlement, and payment technology can have different classifications. Re-read the service description and the jurisdiction’s guidance.

Claiming tax because the business is registered
Registration is not a blanket entitlement. Verify that the supplier charged tax, the acquisition is eligible, the business-use requirement is met, and the invoice is sufficient.
Inferring GST from a rounded total
A $110 deduction may be a $110 fee with no GST, or a $100 fee plus $10 GST. Use the provider’s tax document, not an assumed fraction.
Splitting a bundle without evidence
Do not invent an allocation between settlement, software, and processing. Obtain the contract or supplier breakdown and apply the local composite-supply rules.
Posting net settlements as revenue
Record gross receipts and the fee separately, then reconcile to the deposit. Net posting can understate turnover and obscure the tax base.
Calling an internal recharge a disbursement
If the fee was incurred for your own business, a separate customer line may still be part of your supply. Apply the relevant VAT or GST rules to the recharge.
Relying on an old ruling without checking status
Australia’s GSTR 2002/2 is longstanding. Confirm its current status and compare the specific fee with current Australian Taxation Office guidance before filing a return.

Quick decision table
| Question | If “yes” | Accounting consequence |
|---|---|---|
| Is the charge for ordinary operation or maintenance of a bank account? | It may be exempt or input taxed, depending on the jurisdiction. | Usually record the gross amount as expense unless the local rule says otherwise. |
| Is it a merchant card, payment-processing, clearing, switching, or technology service? | It may be taxable, or may be treated as a financial service where settlement is included. | Read the contract and invoice; do not rely on the label. |
| Does the invoice separately state GST/VAT? | The supplier has presented tax evidence, subject to validity. | Test recovery against registration, business use, and documentation rules. |
| Is the fee bundled with settlement and other services? | Composite-supply or multiple-supply analysis may be required. | Obtain an itemization or professional determination; do not estimate a split. |
| Are you charging the amount to a customer? | It may be your own cost rather than a disbursement. | Apply the tax treatment of your customer supply unless agency conditions are met. |
Questions businesses commonly ask
Do payment processing fees include GST?
Sometimes. The answer depends on the provider’s supply, the country, and the invoice. Merchant processing can be taxable in some Australian arrangements, while New Zealand settlement services may be financial services that are exempt or zero-rated where applicable.
Are merchant fees GST-free?
There is no universal answer. “Merchant fee” describes a commercial charge, not a tax category. Identify whether it covers acquiring, authorization, settlement, switching, software, or another function.
How do I record card fees in my accounts?
Record the fee separately from gross card sales, split any supported recoverable GST or VAT from expense, credit the bank or settlement-clearing account for the deduction, and reconcile the resulting net deposit.
Quick wins for a faster PC:
Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Repair Windows errors before they cause bigger problemsFix Now →What if the provider gives only a monthly statement?
Use the statement if it meets your jurisdiction’s evidence rules; otherwise request a tax invoice or tax-detail report. Keep the statement, fee schedule, and correspondence explaining the charge together.
What if the statement says “no GST” but the contract mentions tax?
Ask the supplier to clarify which document controls and whether the contract price is tax-inclusive. Do not claim an amount that is not substantiated on an acceptable tax document.
Can a business recover GST on fees used for exempt sales?
Recovery may be restricted or unavailable because the recipient’s taxable-use and partial-exemption rules apply. Singapore’s IRAS guidance, for example, notes limits for businesses making both exempt and taxable supplies.
Should a fee be coded to bank charges or merchant fees?
Choose the account that describes the service for management reporting, but make the tax code from the legal and invoice analysis. A correct expense name cannot cure an incorrect GST code.
