Start with the period’s invoice register, match each relevant document to GSTR-1, then check the return’s taxable values and tax against your books and GSTR-3B. Use e-invoice and e-way bill data as additional checks where applicable—not as substitutes for the full outward-supplies record. Investigate differences transaction by transaction before filing, and keep a record of each resolution.
What to reconcile—and why e-way bills are only one part
GSTR-1 is the statement of outward supplies. Its records include invoices, credit and debit notes, exports, amendments, and summaries, so an invoice-register total cannot be compared sensibly with a single GSTR-1 table without first separating the relevant categories. The GST Portal describes the return’s record types and preparation routes in its GSTR-1 guidance.

An e-way bill is a goods-movement record, not a complete sales return. Its Part A carries associated invoice details, while Part B carries transport details. The IRIS IRP field guidance describes Part A fields such as invoice number, supplier and recipient GSTIN, and HSN, and Part B fields such as transport mode, transporter ID, vehicle number where relevant, and distance: IRIS IRP e-way bill guidance. A service sale, an invoice without a corresponding goods movement, or a movement for which no e-way bill is required will not necessarily have an e-way bill match. The applicable requirement depends on the transaction and current rules.
How to reconcile GSTR-1 with sales invoices
- Fix the tax period and source population. Export the sales invoice register and relevant credit/debit notes for that period. Preserve original document numbers and dates, recipient GSTIN, place of supply, document type, taxable amount, tax rate and tax amount, and references to amendments. Include the source records needed to explain timing differences rather than silently changing the period.
- Classify records before totaling. Separate applicable B2B and B2C supplies, exports, notes, amendments, exempt, nil-rated and non-GST items, and other relevant categories. Compare like with like because GSTR-1 uses different tables and treatments for different records.
- Match invoice-level details to GSTR-1. Check that each expected document appears once and that its number, date, recipient GSTIN, place of supply, taxable value, rate, and tax amounts agree. Also check note and amendment references. The Portal describes invoice-level information and says duplicate supply invoices are rejected by validation; that validation does not replace checking for duplicates or omissions in your own source records.
- Tie category totals to the books. Summarize taxable value and tax by supply category and rate. Compare the prepared or filed GSTR-1 totals with the sales ledger and the relevant outward-liability figures in GSTR-3B. Treat this as an accounting control: the cited Portal materials do not prescribe one universal reconciliation template.
- Log each exception and its resolution. Classify the variance—for example, missing invoice, duplicate, timing difference, amendment, note, wrong GSTIN or place of supply, rate or value difference, tax difference, or goods-movement mismatch. Record the source document, affected period, person responsible, and corrective action so the explanation is traceable later.
How to match e-invoice and e-way bill data
Review e-invoice data received by the Portal
For applicable e-invoices, compare the invoice register with the e-invoice details that flow from the IRP into specified GSTR-1 tables. The GST Portal’s GSTR-1 tutorial describes e-invoice auto-population for specified B2B, export, and credit/debit note tables, a download option for those details, and the ability to edit records and regenerate the summary. It describes an update period of up to two days; verify the current Portal screen and instructions for the tax period rather than assuming a record will appear immediately. Auto-populated details still need review against the source invoice and books.

- Two-Part Carbonless Invoice Book: Each invoice book has 50 sets of invoices, each with a white/light yellow section, with the yellow section retained in the invoice book to maintain detailed records.
- Consecutively Numbered: Enlarged red 6-digit numbers in the upper right corner of each invoice receipt book help you quickly navigate through your orders.
- Wraparound Divider Flap: A thick folded cardboard divider is integrated into the back of each invoice book for use between each two-part sales order to prevent the written content from rubbing off on subsequent copies of the invoice, resulting in wasted invoices.
- 2 Packs/50 Sets (100 Sets Total): Each invoice book provides 50 sequentially numbered carbonless sets of 2 invoice books for long-term use.
- Customizable Space: Each invoice book for small business has space at the top to add a company seal or sticker.
Compare e-way bills for relevant goods movements
For a transaction with an e-way bill, compare the invoice identity and associated goods information with Part A, then check whether Part B’s transport particulars correspond to the movement. Where an expected e-way bill is absent, first establish whether one was required for that movement under the rules applicable to the transaction. The sources cited here do not establish every exemption or threshold, so do not treat every missing e-way bill as an error.
The GST Portal also describes an Import EWB Data option in relevant GSTR-1 tables. Use imported information as a cross-check, then verify the resulting records rather than assuming the import is a complete or authoritative sales register. IRIS IRP guidance says registered e-invoice data is shared with the supplier, GST Portal, and EWB system; it also describes generation of an e-way bill with an IRN or later using the associated invoice, subject to data and validations: IRIS IRP process guidance.

Fields to compare and common exceptions
For each relevant document, use the invoice and return records to compare the following practical fields. This list synthesizes the Portal and IRP descriptions; it is not a complete statutory checklist.

- Supplier and recipient GSTIN, transaction classification, and place of supply.
- HSN where applicable, taxable value, tax rate, and tax amounts.
- For relevant goods movements, e-way bill number and the corresponding Part A invoice details and Part B transport data.
Investigate a variance in context. A difference can reflect an omission or duplicate, a classification or data-entry error, a note or amendment, or a timing issue; forcing totals to match can conceal the underlying problem. Keep the original record and document the correction rather than overwriting the audit trail.

Can GSTR-1A correct an invoice before GSTR-3B?
The GST Portal describes GSTR-1A as an optional route to add missed information or amend incorrect GSTR-1 records for the same tax period before filing GSTR-3B. The Portal says the changes auto-populate to GSTR-3B and describes GSTR-1A as available after GSTR-1 filing or its due date, whichever is later, and before GSTR-3B filing; it is available once for a period. Check current Portal instructions, eligibility, and filing status for the period in question: GST Portal GSTR-1 guidance.
Do not assume GSTR-1A is available for every discrepancy or at every stage. Identify the affected document and period first, then follow the Portal’s current route that applies to that return status.

Choose a preparation route and retain the evidence
The GST Portal describes three ways to prepare GSTR-1: online, through the Returns Offline Tool, or through third-party applications via GST Suvidha Providers (GSPs): GSTR-1 preparation options. The cited guidance establishes these routes, not comparative vendor quality or pricing. If selecting a workflow, assess whether it captures all relevant transaction categories, reports exceptions, supports corrections before filing, preserves downloadable records, and works with your accounting data.
Recommended Free Tools
Keep a period-wise file containing the invoice register and notes, downloaded Portal or e-invoice details, return summaries, relevant e-way bill extracts, and the variance log with its resolutions. That evidence makes the reconciliation reproducible and helps explain why a record differs across systems.

Check current e-invoice applicability before relying on old thresholds
IRIS IRP reproduces Notification No. 10/2023, which set an e-invoice applicability timeline at aggregate annual turnover of ₹5 crore effective 1 August 2023. It is a historical timeline item, not a safe standalone statement of present-day applicability. Separately, IRIS IRP reports that from 1 April 2025, taxpayers with aggregate annual turnover (AATO) of ₹10 crore or more must report specified e-invoices within 30 days of the invoice date. Because the latter affects compliance, verify the underlying current GST advisory and applicable rules before relying on it: IRIS IRP guidance and updates.
