How Businesses Can Manage Group Food Orders and Dietary Restrictions

Collect meal choices and dietary requirements before ordering, keep allergy information distinct from preferences, and confirm allergy-related ingredients and preparation directly with the restaurant or caterer. Then keep those details attached to the order, identify special meals at delivery, and do not distribute a meal if its identity or preparation is uncertain.

How to collect meal choices and dietary requirements

Set a clear response deadline and ask each attendee to submit a meal choice and any dietary requirements before the order cutoff. For recurring lunches or events, use a consistent way to collect updates and communicate the final count.

Keep food allergies separate from preferences and other requirements, such as vegetarian, vegan, or religious dietary needs. This helps the person placing the order recognize when a request requires an ingredient and preparation discussion with the vendor—not just a menu selection.

  • Ask for the attendee’s name, meal choice, and relevant dietary requirement.
  • Record allergies explicitly and pass them to the person responsible for the order.
  • Set a deadline that gives the vendor time to confirm the request and prepare the meals.

How to confirm allergy requests with a vendor

For a reported allergy, contact the restaurant or caterer directly. Ask for ingredient information and how the meal will be prepared, including what steps the kitchen can take to prevent allergen cross-contact. A menu filter or dietary label alone does not establish that a meal is safe for someone with an allergy.

The CDC advises restaurants to make ingredient lists or recipes available, train staff, and have a plan for allergy requests. It recommends separate equipment and preparation areas when feasible; if they are unavailable, staff should thoroughly clean and sanitize equipment and surfaces before preparing food for a customer with allergies. These practices are guidance for food-service operations, not a guarantee about any particular vendor’s meal. CDC restaurant food-allergy guidance

If the vendor cannot confidently explain the ingredients or preparation controls, do not promise that the meal is safe. Ask whether the vendor can confirm an alternative or use a provider able to address the request. Do not treat an attendee’s allergy as a preference that can be resolved by removing an ingredient after preparation.

How to keep dietary details attached to the order

Send the final attendee choices and allergy details to both the ordering contact and the vendor. Confirm how special meals will be prepared, kept separate, and identified when delivered or served. A general note buried in an order or an automated dietary filter may not communicate the specific request to the people preparing the food.

The FDA Food Code identifies allergen ingredient information, cross-contact prevention, and establishment-specific communication and controls as relevant to allergen management. It is a model code for jurisdictions to adopt or adapt, not a single set of rules automatically in force everywhere. Check the requirements adopted where the food is prepared or served. Choose an ordering format that makes meals easier to identify

Shared trays or buffet service can suit a group with similar choices, while individually selected meals can make it easier to match each order to its recipient. Neither format establishes that a meal is safe for someone with an allergy; that depends on the vendor’s ingredient information and preparation.

Consideration Shared catering, such as trays or buffet food Individual selections in a consolidated order
How choices are collected The organizer generally coordinates the group’s selections and quantities with the vendor. Attendees can submit individual selections; confirm how the organizer and vendor receive the final details.
Meal identification Ask how special items will be separated from shared food and identified during service. Ask whether meals can be packed and labeled for their intended recipients.
Allergy information Confirm how the allergy request reaches the kitchen and what ingredient and preparation information the vendor can provide. Confirm the same details directly with the vendor; individual ordering or a platform label is not a safety assurance.
Coordination Plan quantities, delivery, and service for the group. Plan the response deadline, consolidated delivery, and how each meal will reach its recipient.

Choose based on the vendor’s ability to confirm preparation, the group’s needs, available lead time, delivery arrangements, location coverage, and the effort required to coordinate choices and payment. These are planning considerations, not evidence that one format is more effective at preventing allergic reactions.

Some services describe tools for coordinating individual choices. Encore Catering says Encore Select lets attendees choose meals and organizers manage invitations, responses, dietary requirements, and final order details. Ordit describes a UK group-order service with individual choices, vendor-supplied menu allergen information, and meals labeled with each person’s name; its page advises direct vendor confirmation for severe allergies. These are vendor descriptions, not independent evaluations. Check current availability, service area, menu information, and order workflow before relying on a service. Identify and distribute meals at delivery

  1. Compare the delivered meals with the final order before distributing them.
  2. Keep special meals identifiable until they are handed to the intended person. Ask the vendor to label them clearly and verify the labels on arrival.
  3. Make available any ingredient or allergen information the vendor has provided.
  4. If a meal’s identity or preparation is uncertain, do not guess or serve it as the requested allergy-safe meal. Contact the vendor and arrange a confirmed alternative where possible.

Individual packaging and removable container labels can help distinguish meals at handoff. They do not verify ingredients, prevent cross-contact, or certify a meal as safe for an allergic person. FSSC catering guidance says organizations offering special-meal requests should have an allergen-control process and clearly identify and label meals intended to meet dietary restrictions. What food-allergy guidance does—and does not—establish

The CDC page reviewed September 9, 2026, reports that about one in three people with food allergies said they had experienced a reaction in a restaurant. It also summarizes studies in which more than half of interviewed restaurant staff had never received food-allergy training; most restaurants had ingredient lists or recipes for at least some menu items, while most did not have separate preparation areas and equipment for allergen-free food. These are findings from the studies and settings the CDC summarizes, not measurements of every restaurant today. CDC summary of restaurant food-allergy studies

The FDA’s 2022 Food Code states that food allergy affects approximately 4% of the U.S. population, or twelve million Americans. That is a figure printed in the 2022 code, not a newly measured 2026 estimate. The code is a model for adoption or adaptation by jurisdictions, so consult local requirements rather than assuming every provision applies where your event takes place. FDA 2022 Food Code

Federal packaged-food allergen-labeling rules have a particular scope. FDA’s Edition 5 guidance describes an exception for food placed in a wrapper or container in response to a consumer’s order at a retail or food-service establishment. That labeling distinction should not be read as permission to disregard food-safety practices or other applicable rules. FDA allergen-labeling guidance, Edition 5, issued January 6, 2025
