An applicant tracking system (ATS) may extract text from your résumé, use it to fill application fields, and make information searchable for recruiters. The result can differ from the PDF’s visual layout: text may be incomplete or appear in an unexpected order. To catch obvious problems, copy all the text from your final PDF and paste it into a plain-text editor. A clean paste is a useful sign that the file exposes readable text, not a guarantee of how a particular employer’s ATS will process it.
What an ATS means by “reading” your résumé
“Reading” usually means parsing: extracting résumé information, organizing it, and potentially using it to populate application fields or support recruiter searches. It is not necessarily the same as viewing the page as a person sees it.

Workday describes parsing as a way to populate fields from an attached résumé, with the resulting information available for review. Roche says parsed information may help populate an application and can be used in recruiter searches; Roche also says its recruiters and managers review applicants and attached CVs. Those descriptions explain the practices of those organizations and products, not every employer’s setup.
Parsing can vary with format and word order. Workday and Roche both make that qualification, and Workday advises avoiding images and image-based styles for best results. A PDF can look polished while exposing text in an order that is confusing when extracted.

How to check the exact PDF in two minutes
This quick manual check looks at the text your PDF exposes and its sequence. The two-minute framing is a practical estimate for the steps, not a published timed test.
- Open the final PDF you plan to upload. Check the actual export, not just the original document.
- Select all, copy, and paste. Paste into a plain-text editor or a blank Word document. Utah Valley University’s career-service guide recommends selecting PDF text and pasting it into Word to assess selection and formatting.
- Scan the information a recruiter needs. Look for your name and contact details, section headings, employer and job titles, dates, technical skills, and the substance of experience or project bullets.
- Check the reading order. Make sure a role’s title, employer, dates, and bullets stay together. Watch for text interleaved from another column, missing or fused words, and odd replacement characters.
- Fix a failed check at the source. If you cannot select text, or the paste is missing or scrambled, return to your source document and export a fresh text-based PDF or use the format specified in the application.
If the pasted text is complete and coherent, that is a positive sign about extractable text—not proof that an ATS will map every item to the right field.

What can make text extraction messy
Layout choices can affect extraction and sequence, though no single design feature guarantees failure across all systems. Roche advises applicants to avoid tables, text boxes, logos, images, graphics, columns, headers and footers, and unusual section headings. It notes that some systems may read columns across rather than down and may drop header or footer information.
For a developer résumé, use familiar labels such as “Experience,” “Projects,” “Technical Skills,” and “Education.” Keep your contact details and important content in the main document body rather than relying on a header or footer. Describe languages, frameworks, tools, and methods truthfully and in the context of work you actually did: a skills list helps identify terms, while project and experience bullets show how you used them.

PDF or DOCX: follow the application’s instructions
There is no format choice that the cited guidance establishes as universally best. Roche’s FAQ recommends DOCX as the most accurately parsed format while noting that PDFs preserve visual formatting. Utah Valley University recommends DOCX or a text-based PDF and cautions that image-based PDFs do not provide extractable text.
Use the format the employer requests. If the application accepts a PDF, check that the text is selectable and that a copy-and-paste review produces a sensible sequence. A scan or image-only PDF is different from a text-based PDF because its visible words may not be available as selectable text.

Review autofilled fields before submitting
Some application flows use résumé parsing to fill fields; others may offer a different route. Oracle Taleo Enterprise Edition documentation describes a configured option in which a candidate pastes résumé text and the system parses it to prepopulate application or candidate-file information. That example shows why the details depend on the platform and how an employer has configured it.

Check names, dates, employers, job titles, education, and technical skills individually. Workday says parsed information can be reviewed, and Roche likewise advises checking that information has populated in the right fields.
What the copy-and-paste check cannot tell you
- It does not identify which ATS an employer uses or reproduce that system’s extraction and field-mapping rules.
- It cannot test employer-specific configuration or guarantee that every field will be populated correctly.
- It does not predict recruiter decisions. The cited sources support possible parsing variation and recruiter searches, not a universal rejection rule for PDFs or a single keyword score that determines hiring outcomes.
Use the check as an early warning for unreadable or scrambled text, then trust the application’s own instructions and review any fields it fills in.
