AI office assistants can use work information your signed-in account is allowed to access—such as email, files, chats, meetings, and calendars—along with anything you attach, connected apps you authorize, or web results the product retrieves. What they can use depends on the assistant, account type, license, enabled features, source permissions, and your organization’s settings.
Before entering sensitive material, check six separate things: what sources the assistant can access, whether inputs are used to train models, how chats are retained, who can audit them, what connected services receive, and whether memory stores information for later. “Not used to train models” does not mean “not stored” or “invisible to the employer.”

What work data can an AI office assistant use?
Work grounding is an access question. Depending on the product and settings, an assistant may retrieve information already available to the signed-in user, use uploaded or attached content, consult connected services, or search the public web. The assistant does not necessarily have access to every company file: product permissions, source permissions, license, and administrator controls shape what is available.
Permission-aware retrieval is not a substitute for sound sharing practices. If a document is shared too broadly, an assistant that respects the user’s permissions may still surface it to someone whose account can access it. Microsoft describes permission-aware access for Copilot in its Copilot data-source guidance; Google says Gemini has the same Workspace data access as the user and that administrators and content owners can restrict it in its Gemini access documentation.

Can my employer see what I ask the AI assistant at work?
Possibly. Workplace accounts may be subject to administrator access, audit, retention, or investigation controls. The details differ by product and organization, so a privacy promise about model training cannot answer who can see a conversation in your tenant.
Microsoft Copilot Chat for work or school
Microsoft says prompts—including work content added to prompts—and responses from signed-in work or school users are not used to train foundation models. It also says prompts, related Bing searches, and responses are logged and may be viewed by IT administrators using Microsoft search and audit tools. Web-search handling is distinct from Microsoft Graph/work-data handling: a prompt may generate a short query for Bing, which has separate data-handling terms. See Microsoft’s work or school Copilot Chat data-protection guidance.
Managed ChatGPT
A managed ChatGPT account follows organization policies and administrator permissions. OpenAI says administrators can control workspace features, apps, data controls, sharing, and retention policies. Whether an administrator can access particular records depends on the workspace’s configured controls; check with your organization. OpenAI’s managed-account guidance also advises users to distinguish a managed account from a personal one.

Gemini for Google Workspace
Google documents administrator controls for Gemini access and conversation history. In the cited Workspace admin documentation, history is controlled by administrators rather than end users. The documented choices are history off or automatic deletion after 3, 18, or 36 months, with 18 months as the stated default. With history off, chats may still be saved for up to 72 hours for service delivery and feedback processing. These are product settings, not research statistics; confirm that they apply to your edition and tenant in Google’s Gemini app administrator guidance.
Does Copilot use my emails and files?
It can, when work-data grounding is enabled and the account, license, and organization settings support it. Microsoft lists email, files, chats, meetings, people, projects, accounts, and opportunities among possible work sources, as well as attached content and public web information. In the documented Copilot app experience, a Work IQ control determines whether Microsoft 365 work data can be referenced; Microsoft says it is on by default for users with a Copilot add-on license. Availability can depend on licensing and administrator settings. See Microsoft’s explanation of Copilot data sources and its enterprise data-protection documentation.
Microsoft says Copilot honors existing Microsoft 365 permissions and policies, including sensitivity labels, retention policies, audit support, and administrative settings. That is Microsoft’s description of product behavior; it does not establish that a particular organization has configured its underlying sharing correctly. Review access to the source documents, folders, mailboxes, calendars, and chat spaces themselves.

Is my work data used to train AI?
For the specific managed and workplace contexts below, vendors publish commitments against using the described content to train their generalized or foundation models. Those commitments have defined scopes and exceptions; they do not establish that data is never stored, reviewed under policy, retained for compliance, or sent to a connected provider.

| Microsoft Copilot Chat, signed in with a work or school account | Microsoft says prompts and responses are not used to train foundation models. See Microsoft’s work/school data-protection page. | Prompts, related Bing searches, and responses are logged and may be available to IT administrators through search and audit tools. |
| ChatGPT Business, Enterprise, and Edu workspaces | OpenAI says workspace content, including information accessed through apps, is not used to train its models by default. See OpenAI’s apps and workspace controls guidance. | Chats and research outputs follow applicable conversation, feature, and workspace-retention policies. Data sent from a non-synced app to a third party is subject to that provider’s terms. |
| Gemini for Google Workspace under qualifying editions | Google says customer content is not human-reviewed or used to train generative AI models outside the domain without permission. Workspace privacy protections also apply. See the Google Workspace Gemini FAQ. | Gemini as an additional consumer service has separate consumer terms and data handling; verify that you are using an eligible Workspace account and edition. |
These are vendor-published commitments for the stated account contexts, not an independent audit of your employer’s configuration. Personal consumer accounts may have different terms and controls; confirm the account indicator before sharing work material.
How do I stop an AI assistant from accessing my work files?
Use the controls your product and administrator make available. A setting may disable one source without changing other routes such as attachments, authorized apps, or web access. For managed accounts, some controls are set by IT and may not be editable by an individual user.

- Privacy Screen Filter Size: If the visible area of your display has the following dimension: Width x Height (Exclude Frame/Arrow 1 to 3 mm errors): 20 15/16" x 11 13/16" (532 mm x 299 mm), then this filter is good for you. Very Important to double check your screen's Width and Height excluding frame before ordering. It's not recommended to make your selection based solely on your screen's diagonal size
- Left and Right Privacy: Not block visibility directly behind you, regardless of distance. The privacy filter makes the screen appear dark when looking at it from an angle (left and right 30 to 180 degree), but clear when looking directly at it. To change the privacy levels, simply adjust your monitor's brightness level accordingly
- Matte and Glossy Sides: It's a reversible privacy screen filter, giving you the flexibility to choose glossy or matte finish. The matte side will have less glare, however the glossy side will have stronger privacy
- Perfect for Open Workspaces: Ensure your working space is bright and well lit. Privacy screens do not work in dimly lit areas
- Two Installation Option: Option 1 uses clear double side adhesive strips that securely attach to any computer screen. Option 2 (for computer screens with a raised bezel only) uses slide mount tabs that easily stick to the display frame, allowing you to take out the privacy screen filter easily as needed
- Confirm the account. Check whether you are signed in with a work/school account or a personal account. Managed accounts may be subject to employer policies; consumer accounts may use different terms. OpenAI explains managed-account controls here, while Google distinguishes eligible Workspace use from consumer Gemini use in its Workspace FAQ.
- Inspect enabled sources. Review work-data grounding, connected apps, web access, agents, attachments, and organization integrations. Turn off sources you do not need if the product and administrator permit it. Microsoft documents Work IQ in its Copilot source guidance; Google documents administrator controls for Gemini access here.
- Check source sharing. Review who can access the underlying files, folders, mailboxes, calendars, and chat spaces. Narrow overly broad permissions at the source, rather than relying only on the assistant’s retrieval settings.
- Review memory separately. Check whether personalization or saved memory can use information from connected services. With ChatGPT’s connected Google apps, disconnecting the app does not automatically delete existing chats or saved memories; review and remove those separately if appropriate. OpenAI explains these distinctions in its Google app data controls FAQ.
- Ask about retention and audit. Find out whether chat history is on, which retention policy applies, who can search or export records, and whether conversations are available in compliance or audit systems. Microsoft describes Copilot logging and administrator review here; its privacy documentation describes management of Copilot interaction data and retention policies.
- Review third-party apps and agents. Check their permissions or OAuth scopes and their separate terms for storage, processing, privacy, and data residency. Microsoft says agents can have their own terms and privacy statements in its enterprise data-protection guidance. OpenAI notes separate third-party terms for app data in its apps controls documentation.
- Follow your organization’s data rules. Do not enter regulated, customer, personnel, financial, or confidential information unless you are authorized to use that assistant for it. If a setting is missing or locked, ask your administrator rather than assuming access is disabled.
How long are workplace AI chats saved?
There is no single retention period for workplace AI chats. It depends on the product, account, feature, and organization’s policies. Microsoft says Copilot interaction data can be stored with other Microsoft 365 content and managed under administrator-configured retention policies; users can delete Copilot activity history through the My Account portal, but user deletion and organizational retention are distinct controls. See Microsoft’s Copilot privacy documentation.
OpenAI says managed workspace chats and outputs follow applicable conversation, feature, and workspace-retention policies, rather than giving one universal period in the cited apps and workspace guidance. Google’s cited administrator page gives the history choices and service-related storage window described above; because settings can vary by edition and tenant, verify them with the Workspace administrator before relying on a particular value.

What should I compare before choosing a workplace assistant?
There is not enough evidence here for a universal privacy ranking across vendors. Compare the same dimensions for the exact product, account, and tenant you will use:
- Account scope: managed work/school account or consumer account, and which edition or license.
- Data sources: work repositories, attachments, connected apps, agents, and web search.
- Access model: whether it uses existing user permissions and how administrators or content owners restrict access.
- Model use and review: the exact training commitment, its scope, and any stated exceptions.
- Retention and oversight: where conversations are stored, how deletion works, which retention rules apply, and what audit access administrators have.
- External processing: which third-party services receive data and what terms, scopes, or residency conditions govern them.
- Control ownership: which settings users can change and which are controlled by the organization.
Vendor documentation describes product commitments and available controls, not an independent assessment of a particular employer’s implementation. For a decision involving regulated or confidential data, ask IT or your privacy/security team how the relevant settings are configured for your account.
