AI meeting assistants can turn speech or a transcript into summaries, decisions, and suggested action items. Those items are useful as a first draft, not proof that a task was agreed, correctly assigned, or given the right deadline. Check the wording against what participants actually decided before moving anything into a project tracker or treating it as a commitment.

How conversation becomes a task list

Across the products described here, the workflow has three practical stages: the assistant gets access to live speech or a transcript, generates notes or a summary from that context, and presents likely decisions or action items. The result may appear during the meeting, in a saved recap afterward, or in both places. These are product workflows, not a claim that every vendor uses the same underlying technology.

Task extraction is an interpretation of a conversation. A statement such as “we should check the figures” may be a suggestion rather than an accepted assignment. Even when a task was agreed, the assistant may omit a condition, misunderstand who volunteered, or leave the deadline unclear. The generated list is therefore best treated as a prompt for confirmation.

What the documented products do

Product Task and recap workflow Context, saving, and access Important qualification
Microsoft Teams Copilot Can list tasks during a meeting and provide meeting insights. For post-meeting Copilot in Recap, a transcript must be available. Microsoft also documents a live-only mode that uses temporary speech-to-text processing without saving that speech-to-text data after the meeting. Prompts and responses may still be retained under organizational Purview policies. Microsoft says summaries are concise and may not cover all meeting content. It recommends splitting meetings of approximately two hours or more into smaller segments for latency and accuracy; this is product-specific guidance, not a universal accuracy threshold. Source: Microsoft Support, “Frequently asked questions about Copilot in Microsoft Teams” (updated June 13, 2025), and Microsoft Learn, “Manage Microsoft Copilot in Teams meetings and events.”
Google Meet “Take notes for me” Generates notes after the meeting, including action items. Notes are saved in the organizer’s Google Drive and may be shared with participants according to organizer settings. The organization’s Meet retention policy applies. Google says notes can be incomplete, inaccurate, or not generated. Its troubleshooting guidance mentions connectivity problems and recommends meetings of 15 minutes or more; this is product guidance, not a general rule about meeting-note quality. Source: Google Meet Help, “Take notes for me” in Google Meet.
Zoom AI Companion in supported third-party meetings Can join supported Microsoft Teams and Google Meet meetings, transcribe, and provide a summary. Zoom describes in-meeting notices: a chat message tells participants the assistant is present and why, while its tile identifies the assistant and transcription activity. An optional pre-meeting email notice can go to the host or all invitees. The Zoom support page checked for this article lists an eligible Zoom Workplace plan, calendar integration, the feature enabled, and Zoom desktop app version 6.4.5 or later on supported desktop systems as prerequisites. Eligibility can change, so confirm it in Zoom’s current documentation. Source: Zoom Support, “Using AI Companion in third-party meetings.”

Microsoft’s live-only option illustrates why “no transcript” does not necessarily mean “nothing is retained”: the speech-to-text data may not be saved, while prompts and responses can still fall under organizational retention rules. In the documented Teams organizer settings, turning off Copilot also disables meeting recording and transcription. Check the controls and policies that apply to the particular meeting rather than inferring retention from a feature label.

Where task capture can go wrong

  • It can leave out context. A concise summary may omit a qualification, dependency, disagreement, or the reason a task was proposed. Microsoft explicitly says its meeting summaries will not always cover all meeting content.
  • It can state something inaccurately. Microsoft cautions that Copilot answers may not always be accurate and advises users to double-check facts before acting. Google likewise identifies incomplete or inaccurate notes as possible outcomes.
  • It can misattribute a task. Microsoft says Copilot may display a participant’s name differently when the display name is ordered “LastName, First Name.” Treat an assigned name as something to verify, particularly when names are ambiguous.
  • It may not produce a recap. Google documents that notes may not be generated, including in connection with connectivity problems. Microsoft says post-meeting Copilot is unavailable in Recap if no transcript is available.
  • Long or thinly documented meetings can be harder to process. Microsoft says insufficient content can trigger an error and gives its approximately two-hour segmentation recommendation. These limitations and recommendations belong to that product, not to all assistants.

The cited vendor documentation does not establish independent, comparable accuracy rates for extracting tasks, owners, or deadlines. It therefore does not support a percentage estimate or a conclusion that one of these products is more accurate than another.

Verify an action item before assigning work

Before copying a generated item into a tracker or sending it as a follow-up, check the proposed task against the meeting record and confirm four fields:

  1. Action: What exactly did participants agree would be done? Replace vague wording with the agreed deliverable, without inventing detail.
  2. Owner: Who accepted responsibility? Do not treat a person mentioned in the discussion as the accountable owner unless that was agreed.
  3. Deadline: Was a date or time actually set? If not, mark it as unconfirmed and ask rather than supplying a guess.
  4. Condition or dependency: Does the work depend on an approval, another task, or a decision that is still open? Preserve that qualification.

If any field is unclear, ask the participants to resolve it in the meeting or follow-up message. Keep a transcript or recap available only when organizational policy permits and when it is useful for resolving a disagreement.

Check privacy, notice, and access before enabling an assistant

Generated notes and transcripts can expose more than the final task list. Before a meeting, organizers should explain the assistant’s purpose, confirm applicable organizational policy, restrict access where needed, and review retention settings. The vendor controls described here are product features, not a universal legal standard: the cited documentation does not settle recording-consent requirements across jurisdictions, employers, or meeting types.

How to compare meeting assistants for task capture

Choose based on the workflow and controls your team needs, rather than assuming that a polished recap guarantees reliable assignments. Compare these points for the actual plan and settings your organization uses:

  • Timing: Can the assistant suggest tasks during the meeting, produce a recap afterward, or both?
  • Transcript dependency: Does later access require a saved transcript, or is temporary live processing available?
  • Failure visibility: Does the product make missing or limited output apparent? Can users inspect the notes or transcript that informed the proposed task?
  • Storage and sharing: Where does the generated record go, who can view it, and who controls sharing?
  • Participant notice: What will attendees see when the assistant joins or transcription starts?
  • Retention and administration: Which policy governs transcripts, notes, prompts, and responses, and can administrators limit availability?

Microsoft Support’s guidance is direct: “Use your own judgment and double check the facts before making decisions or taking action based on the responses.” That is a sound operating rule for any generated meeting task list: let the assistant find candidate work, then let participants confirm what they actually committed to do.
