How a Messy Vehicle-Sales CSV Became a Power BI Management Report

A credible Power BI report starts with the data model, not the charts. In a project case study, Stacy Mumbi describes preparing JCars Logistics vehicle-sales data by establishing what each row represents, standardizing inconsistent values, separating transaction facts from descriptive dimensions, and handling order and delivery dates as different analytical roles. The result is a framework for examining sales, costs, profitability, vehicles, locations, payments, delivery, returns, and customer experience—with important limits on what the source can prove.

What the report is meant to help managers examine

The case study presents JCars Logistics as a company that imports, sells, and delivers vehicles to customers in Kenya. Its sales report is intended to support questions across the sales process, rather than simply display a headline total.

  • Sales, revenue, costs, and profitability
  • Vehicle performance and differences between vehicle groups
  • Branch and regional performance
  • Payment and delivery operations
  • Returns and customer experience
  • Records that may need investigation

These are analytical aims, not evidence that management adopted the report or that the dataset represents every company activity.

Start by defining what one row means

Mumbi describes the input as a flat file with 276 rows and 32 columns, with each row representing one vehicle sold in one transaction (Stacy Mumbi, 2026; project case study). That stated grain matters: a row count can represent vehicle sales in this file, but it should not automatically be called a count of distinct orders, customers, or all company sales.

The columns cover transaction dates and order IDs, customer details, vehicle attributes, geography, sales representatives and lead sources, financial values, and payment, delivery, returns, and customer-experience fields. Establishing the row grain before building totals helps prevent a dashboard from implying more than its records support.

Prepare inconsistent values without hiding judgment

The author reports inconsistent order-ID formats and category spellings, casing, and abbreviations. If equivalent labels remain separate, a visual may split one real-world group into multiple categories; inconsistent identifiers can also complicate grouping and investigation. The project describes standardizing categories, using related fields as evidence where appropriate.

That description does not establish a complete transformation recipe for every field. A defensible preparation process should preserve the original values or a traceable record of changes, document how ambiguous categories were resolved, and avoid treating a plausible match as certain without supporting evidence. Dates and financial values also need consistent interpretation before they drive time-based or monetary measures, but the case study does not document specific parsing rules or currency treatment.

Separate sales events from descriptive attributes

Mumbi describes a model with one FactSales table and eight dimensions. The fact table represents the sales records; dimensions provide descriptive context for slicing and grouping those records. The reported dimensions connect to FactSales through one-to-many, single-direction relationships.

This arrangement keeps transaction-level analysis distinct from attributes such as customer, vehicle, location, payment, and operational details. The exact case-study summary does not enumerate all eight dimension names or provide a full field map, so those details should not be inferred from the count alone.

Handle order date and delivery date as different questions

An order date answers when a sale was placed; a delivery date answers when a vehicle was delivered. The project uses OrderDate as the active date relationship and keeps DeliveryDate inactive, invoking it in specific measures with USERELATIONSHIP.

This allows a report to use the order-date path by default while defining measures that analyze activity by delivery date. When comparing trends or operational performance, label which date drives the result; otherwise two charts that appear to show the same period may be answering different questions.

Read measures and comparisons in context

The report is intended to examine financial, vehicle, geographic, and operational performance, but the case-study material does not provide exact measure definitions, DAX expressions, or a complete inventory of report pages and visuals. Therefore, a specific revenue or profit figure cannot be reconstructed from the described workflow alone.

For meaningful comparisons between branches, vehicle groups, sales representatives, or periods, use the same metric definitions and the same record-inclusion rules. Decisions about cancelled, returned, unpaid, or anomalous records can change totals; define those rules before interpreting a difference as a performance gap. Likewise, state whether a time-based measure follows the order date or delivery date.

Keep customer-level conclusions provisional

The source, according to the author, has no unique customer identifier. The customer dimension is built from distinct combinations of CustomerName, CustomerType, and CustomerAge. That combination is not a verified customer key: separate people with similar profiles could be merged, while variations in a person’s recorded details could also affect matching.

As a result, counts of customers and claims about individual customer behavior should be treated as provisional rather than definitive deduplicated-customer results.

Do not combine project totals without reconciling definitions

Related public analyses of the same project report differing results, including different totals and profitability conclusions (related project analysis; related project analysis; related project analysis). Those figures should not be treated as one validated result. Differences can reflect cleaning, calculation, currency, discount, cost, return, or anomaly-handling choices; conclusions are comparable only after the underlying data and definitions have been reconciled.

The 276-row, 32-column description and the model choices are the case-study author’s account of a project input and workflow, not an independently audited statement about JCars Logistics. The dashboard’s outputs should be understood as findings produced by those chosen transformations and measures.
