The right setup depends on where staff work and how they move between shifts and locations: a fixed clock can suit facility staff, mobile clocking can support home-care visits, and web clocking can work for administrative or remote roles. Before choosing, check that the system handles your schedules and time-record workflow, connects to payroll or HR, and treats employee location or biometric data appropriately.
What a healthcare time clock records
At its simplest, a time clock captures when an employee starts and ends work so the employer can prepare timesheets and payroll. Healthcare-oriented platforms may also offer scheduling, approvals, department tracking, location capture, and broader workforce-management features, but what is included varies by vendor. Product descriptions from ClockIt and Gusto illustrate feature categories, not independent proof of quality or legal compliance.

For a healthcare employer, the key is whether clock records match the actual work pattern: the right employee, shift, site or department, and any correction or approval needed before payroll. A clock-in is a time record; it does not by itself establish that the resulting timesheet is complete or accurate.

Many organizations have more than one work setting. Decide which clocking method fits each group rather than assuming a single device or app will suit everyone.

Check the scheduling and time-record workflow
Map the shifts and exceptions your organization actually manages, then ask the vendor to show how a record moves from clock-in through review and payroll. Include the cases that are easy to miss in a routine daytime schedule:

Not every organization needs every feature. Identify which records must be attached to a location or department, who can correct a clock entry, and how those edits are reviewed. Ask how the system handles a missed punch or a shift that does not match the schedule, rather than relying on a feature list alone.
Verify payroll, HR, and operational fit
A time clock is only useful operationally if the approved time data reaches the systems and people that need it. Confirm whether the product integrates with your payroll and HR systems, what information passes between them, and whether the integration is available for your specific configuration. Ask for a walkthrough using a representative shift and a corrected time record.

US hours-worked context
For covered nonexempt workers in the United States, the Department of Labor’s Wage and Hour Division says, “Nonexempt employees must be paid for all hours worked in a workweek.” Its Fact Sheet #53, revised July 2009, describes hours worked generally as time an employee must be on duty, on the employer’s premises, or at another prescribed place of work. It also says hospitals and certain other institutions primarily engaged in care are covered employers.

This is a federal starting point, not a determination of how a particular shift or situation must be treated. The fact sheet is dated, and state or local requirements may add rules. Verify current requirements for your jurisdiction and circumstances with an appropriate authority or adviser.
Review location and biometric data before rollout
Mobile location capture and biometric identification raise different employee-data questions. A system may offer geofencing or fingerprint, face, or iris identification, but those features should be assessed as policy choices—not assumed to be necessary or legally compliant. NoahFace describes facial recognition and Smartlinx describes iris clocks; these are vendor feature claims.

Before enabling location capture, establish what location is collected, when collection begins and ends, who can see it, how long it is kept, and whether the feature can be limited to clocking events. For biometric systems, ask what is captured (for example, an image or a mathematical representation), where any template is stored, who can access it, how long it is retained, how it is deleted, and what non-biometric alternative or accommodation is available.
Two documents show why local policy review matters, without creating a universal rule. A Thorek Memorial Hospital timekeeping policy, effective and last revised March 2021, describes its use of mathematical representations of finger features for timekeeping and payroll, along with its own data protections and deletion process. UKG’s sample policy, dated September 26, 2025, describes possible notice, consent, and deletion provisions and advises customers to consult their own legal adviser. Neither document establishes which requirements apply to another employer; applicability depends on the jurisdiction and system.
Quick Recap
A practical selection sequence
- Map staff and locations. List facility-based, traveling, administrative, remote, and multi-site roles, plus the clock-in points each group can realistically use.
- Document schedules and exceptions. Include overnight and rotating shifts, breaks, on-call or callback work, department assignments, and correction approvals where relevant.
- Choose candidate clocking methods. Match fixed, mobile, and web options to each group; decide whether biometric or location features are needed at all.
- Test a complete time-record workflow. Walk through a normal shift, a missed punch, a correction, manager approval, and transfer to payroll or HR.
- Review controls and data practices. Confirm access permissions, audit history, outage handling, notices, retention, deletion, and alternatives for sensitive-data features.
- Compare full costs and support. Get the device, software, setup, and support costs for your actual configuration and verify compatibility before deployment.
