Short answer: Use the GST Portal for the transaction that matches your taxpayer category and form. Registration starts at Services > Registration > New Registration; return filing depends on the specific form (GSTR-1 is only an outward-supplies statement); payments use a portal challan and the applicable ledger or bank route; and technical failures should be documented and escalated to GSTN support. Portal procedures can change, so confirm the live instructions, current notifications and the tax period’s deadlines before submitting anything.
What GSTN covers—and what it does not
GSTN’s tutorials, FAQs and Welcome Kit explain how to use the GST Portal for registration, returns, payments, refunds, appeals, ledgers and related services. They are procedural aids, not replacements for the CGST Act, IGST Act, rules, notifications or advice on a taxpayer’s particular tax position. The portal can show you the available workflow, but it does not decide whether your business is legally required to register, which rate applies, or how a complex transaction should be treated.

Start by identifying three things:
- Your taxpayer category (for example, normal, casual, non-resident or a specialized category).
- The exact form or service you need.
- The tax period, filing frequency and ledger position involved.
Those choices determine the fields, documents, authentication route, nil-filing rule, payment requirement and deadline shown on the portal.
How to register for GST online
Open the new-registration application
- Go to the GST Portal and select
Services > Registration > New Registration. - Start the application and enter the business and authorized-signatory information requested for your applicant type.
- Verify the contact details with the OTPs sent by the portal.
- Complete every section that the application enables for your entity and registration type.
- Upload clear, readable supporting documents in the formats and size limits displayed by the portal.
- Review the complete application, submit it using the authentication option offered to you, and save the acknowledgement or reference number.
Do not treat submission as approval. The portal may display follow-up queries, verification requests or status changes after filing. Use the application status shown in your account and respond through the prescribed workflow.

Authentication and Aadhaar choices
GSTN’s registration manual describes Aadhaar authentication and related verification paths, but the route is not identical for every applicant. An Aadhaar e-Sign filing option is available in some cases, with stated exceptions for companies and limited liability partnerships. Do not assume Aadhaar is universally mandatory or that one verification method applies to every entity. Follow the option the current application displays for your category.
Casual-taxpayer applications are different
The casual-taxpayer workflow includes estimated supplies and estimated net liability. The guide describes creating a challan and says an electronic acknowledgement is issued after the advance deposit reaches the Electronic Cash Ledger. That is a category-specific requirement, not a standard step for every new registration. If you are applying as a casual taxpayer, use the dedicated instructions and check the amount shown before making the deposit.
Prepare before you begin
- Keep the legal name, business details and authorized-signatory information consistent across the application and uploaded records.
- Scan documents so that names, dates, signatures and addresses are legible; an unreadable upload can create avoidable follow-up.
- Ensure the authorized person can receive OTPs and complete the authentication step during the application.
- Record the application reference and every status message. It is useful if the portal later asks for clarification or a technical ticket.
GSTN does not promise a universal approval time in the material covered here. Processing depends on the applicant type, verification path and any queries raised.
Which GST return do you need?
There is no single “GST return” procedure for every registration. The form determines who files, what data is reported, how often it is due, whether a nil filing is required and what must be paid before submission.
| Form or route | Who it illustrates | Important rule in GSTN guidance |
|---|---|---|
| GSTR-1 | Applicable normal and casual registered taxpayers reporting outward supplies | Monthly or quarterly statement; nil filing is required even when there is no business activity for the period. Composition taxpayers and several specialized categories are listed as exceptions. |
| GSTR-5A | Non-resident OIDAR service providers | Mandatory even for a nil period; the prior period must be filed before a current-period filing; full payment of tax and other liabilities is required before filing. |
| GSTR-10 workflow | A return-specific payment and filing example | The user reviews the return, creates a challan for a shortfall, selects a payment mode shown in that workflow and files through DSC or EVC. |
The last two rows are examples of form-specific rules, not instructions for all taxpayers. Select the form that applies to you and read its current portal manual.
GSTR-1: outward supplies, frequency and nil filing
What GSTR-1 contains
GSTR-1 is the statement of outward supplies for applicable normal and casual registered taxpayers. It is not a universal substitute for every GST return. The form’s exemptions include composition taxpayers and several specialized taxpayer types, so confirm that you are in the filing population before preparing data.
Monthly and quarterly patterns
GSTN’s FAQ describes the usual pattern as the 11th of the following month for monthly filers and the 13th after the quarter for quarterly filers. Government notifications can extend a deadline, and the examples printed in the FAQ are historical. Treat those numbers as a pattern only: verify the notified deadline for your tax period and filing category on the live portal or current government notification.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Fix the driver behind crashes, sound loss and screen glitches3Clear out junk files and repair common Windows errorsNil returns still require action
GSTR-1 must be filed even when there was no business activity in the period, where the form applies to you. “Nothing to report” is therefore a filing state, not permission to skip the return. Check the portal’s nil-filing option and complete the submission for the correct period.
E-invoice data and editing
For users of the e-invoice system, invoice data from the Invoice Registration Portal is passed to the GST Portal and auto-populated into specified GSTR-1 tables, including B2B, export and credit/debit note tables. You can review and edit populated details. GSTN cautions that editing can clear source or IRN fields, so inspect the result carefully and follow the live form instructions rather than assuming imported data is permanently locked or that an edit has no downstream effect.
Use the correct filing sequence
- Confirm the form, taxpayer category and tax period.
- Check whether the period is monthly or quarterly and verify the current notified due date.
- Gather outward-supply, adjustment and invoice information in the format required by that form.
- Review any data auto-populated from connected systems, correcting only where the form permits and understanding what fields may be cleared.
- Check whether the return can be prepared online or through a currently supported offline tool or authorized software route.
- Validate the return, resolve portal errors and review the final preview.
- Pay any amount the form requires, then complete the prescribed filing authentication, such as DSC or EVC where offered.
- Save the filed-return acknowledgement and payment or ledger references.
Do not copy GSTR-1 assumptions into another return. A form such as GSTR-5A can have a different dependency (the prior period must be filed) and a different payment gate.
How GST online payment and challans work
Cash ledger credit is the key confirmation
GSTN’s online-payment FAQ describes internet banking through authorized banks as an online payment mode. After successful confirmation by the bank, the amount is credited to the Electronic Cash Ledger, identified as GST PMT 05. Starting a payment is not proof that the credit succeeded: check the portal transaction status and the ledger entry.

Portal manuals show that payment options can vary by workflow. In the GSTR-10 example, the taxpayer reviews the return, proceeds to filing, creates a challan for a liability shortfall, selects a payment mode offered in that screen and waits for the bank response to return to the portal before completing the filing through DSC or EVC. This is an illustration of that form’s process, not a promise that every return presents the same buttons.
Payment checklist
- Check the relevant form and liability period before creating a challan.
- Review both Electronic Cash Ledger and Electronic Credit Ledger balances; do not assume a credit balance can satisfy every liability.
- Use only the payment modes currently displayed by the portal for that transaction.
- After bank confirmation, verify the amount in the cash ledger and retain the challan, bank reference and portal transaction status.
- If the bank debits you but the portal does not show credit, do not immediately create duplicate payments. Capture the references and raise a technical ticket.
GSTN help, grievances and portal failures
Use the official helpmodules first
The GSTN Welcome Kit directs taxpayers to GST Portal helpmodules containing manuals and FAQs for registration, returns, payments, refunds, appeals, offline tools, input-tax credit and ledgers. Search for the exact form and error message rather than relying on a generic return guide.
Phone support for technical issues
The Welcome Kit lists GSTN’s technical helpdesk at 1800-103-4786, with stated hours of 9 am to 9 pm daily. It lists support in Hindi, English, Bengali, Marathi, Telugu, Tamil, Gujarati, Kannada, Odia, Malayalam, Punjabi and Assamese. Phone numbers, hours and language availability can change; confirm the current details in the portal before relying on them.
GSTN’s published wording is: “You can raise your grievances or report an issue regarding technical and portal related issues on the GST Helpdesk Number- 1800-103-4786.”

Submit and track an online grievance
The GST grievance portal is available at https://selfservice.gstsystem.in. The service is described as available 24×7 for lodging and tracking complaints.
- Describe the portal problem in specific terms, including the form, tax period, screen and action that failed.
- Upload a useful screenshot showing the exact error. Include the date and time if the message is intermittent.
- Submit the complaint and save the ticket or acknowledgement number.
- Use that number to track progress and read resolution comments.
GSTN’s known-issues guidance suggests raising a new ticket with a proper screenshot when the listed symptom-level fixes do not solve the problem. Do not place passwords, OTPs, complete login credentials or unnecessary taxpayer-sensitive data in a screenshot or public post.
Portal support versus tax advice
| Your problem | Best first route | What to provide |
|---|---|---|
| Login, validation, upload, challan, ledger or filing error | GSTN helpmodule, helpdesk or grievance portal | Exact error text, screenshot, form, period, time and reference number |
| How a law, notification or transaction should be interpreted | Current government legal material or an appropriately qualified tax professional | Relevant facts, documents and the specific statutory question |
| State-specific clarification | Your state GST department website or office | Registration details and the precise state-level issue |
A helpdesk can investigate a system problem; it is not a substitute for a legal ruling or individualized tax opinion. The Welcome Kit separately points users to state GST department resources and government material for laws, notifications and circulars.

Common mistakes and recovery steps
Using the wrong form
Symptom: you are trying to file GSTR-1 even though your category is exempt, or you are applying rules from a specialized return to a normal taxpayer. Recovery: stop, confirm the registration category and open the FAQ for the exact form.

Missing a nil filing
Symptom: no sales occurred, so the period was ignored. Recovery: check whether the form requires a nil return. GSTR-1 does when it applies; GSTR-5A also requires nil filing for its covered taxpayers.
Assuming an old deadline still applies
Symptom: a date from a tutorial example or calendar is treated as final. Recovery: verify the tax period’s notified deadline and any extension before filing.
Payment debited but ledger unchanged
Symptom: the bank shows a debit, but the portal does not show successful credit. Recovery: preserve the challan and bank reference, check the transaction status and ledger, then open a support ticket rather than paying again without confirmation.
Editing imported invoice data without checking the result
Symptom: source or IRN fields disappear after an e-invoice edit. Recovery: review the affected table, follow the current form instructions and correct the record before filing.
A practical pre-submission checklist
- Correct taxpayer category, form and tax period selected.
- Current deadline confirmed against a notification or live portal message.
- Required documents and data are readable, complete and internally consistent.
- OTP, DSC or EVC signer is available and authorized.
- Nil-filing requirement checked.
- Auto-populated data reviewed, with edits verified for cleared fields.
- Cash and credit ledger balances checked before payment.
- Challan, bank response, acknowledgement and filing reference saved.
- Error screenshots contain no passwords, OTPs or unnecessary sensitive information.
For portal-process questions, GSTN’s manuals and support channels are the appropriate starting point. For eligibility, classification, rates or other legal judgments, consult the current law and notifications or obtain advice suited to your facts.
