A periodic review of your Indian GST Portal account should cover six areas: registration identity, contact and authorised-person records, business locations, declared goods or services, bank-account status, and return and certificate records. Use the checklist below to find stale information, follow the correct portal workflow for changes, and preserve an internal record of what you checked. Portal labels, eligibility and legal requirements can change, so treat this as an operational review guide rather than a determination of your business’s tax position.
Why a GST Portal review matters
The GST Portal is not just a place to submit returns. It holds the registration profile that customers, vendors and officials may rely on, displays the return work available to your account, records bank-account validation information and provides your registration certificate. An incorrect trade name, old email address, outdated authorised person or wrong principal-place address can make routine work harder even when your underlying tax calculations are correct.

A review also helps you distinguish three different situations: information that is correct and needs no action, information that must be changed through an amendment workflow, and information that is merely displayed differently because of your taxpayer category or current portal eligibility. Do not assume that every field can be edited from one profile screen or that every taxpayer sees the same return options.
Set a practical review cadence
Choose a cadence that matches how often your business changes. A small business with stable operations may perform a full review at least once each financial year and a quick check before a major filing or audit. A business that changes locations, signatories, banking arrangements or product lines should review the affected area whenever the change occurs, rather than waiting for an annual date.

| Review trigger | Check first | Why it matters |
|---|---|---|
| New registration, merger, conversion or change in constitution | Legal name, trade name, constitution, PAN-linked identity and authorised persons | These fields identify the registered taxpayer and may require a formal amendment rather than an informal profile edit. |
| Move, add or close a location | Principal and additional places of business, state and records location | The portal should reflect where business is performed and where books and records are generally kept, where applicable. |
| Change of bank account | Bank details and bank-account validation status | Validation can identify a mismatch or an account that still needs action. |
| Change in turnover pattern or filing preference | Financial year, return period, applicable form and filing frequency | Return options and QRMP availability depend on current rules and portal eligibility. |
| Before onboarding a vendor or approving an invoice | Search Taxpayer lookup for the counterparty GSTIN, UIN or PAN where available | It is one check against a fraudulent or inactive registration, not a substitute for procurement controls. |
| Staff turnover or change in responsibility | Authorised persons, contact details and access to the current certificate | Operational staff need current records, while sensitive credentials and authority should remain controlled internally. |
1. Check the core registration profile
Start with the information entered during registration. The GST Portal’s registration tutorial for a normal taxpayer groups the relevant details into business identity, constitution, contacts, authorised persons, places of business and goods or services. Compare each section with your legal documents and the records your business actually maintains.
Business identity and constitution
- Confirm the legal name associated with the registered business and the trade name used in day-to-day dealings.
- Check the constitution of business, such as the form under which the taxpayer is registered.
- Verify the state and other registration details shown for the account.
- Compare the portal record with the entity information used on invoices, contracts, bank records and accounting software.
A difference between a trading name and a legal name is not automatically an error, but an unexplained mismatch should be investigated. If the entity has been converted, reorganised or otherwise changed, do not try to solve the issue by editing an unrelated field. Identify the relevant amendment function and confirm the current documentation and approval requirements before submitting anything.
Official contact details
Review the email address and mobile number used for official communication. Remove details belonging to a former employee or adviser and make sure the business can monitor the current contact channels. A shared business mailbox and a controlled business phone number may be more resilient than an individual’s personal details, but your internal policy should determine who can access them and how changes are approved.
Recommended Free Tools
After a contact change, record the date, the person who authorised it and the confirmation or acknowledgement generated by the portal, if one is provided. Do not treat an unchanged inbox as proof that every registration field is current; review the displayed values directly.
Authorised persons and representatives
Check the authorised signatories or representatives listed for the taxpayer. An employee who has left, a consultant whose engagement ended or a person whose role changed should not remain listed simply because the account still works. Conversely, adding a new authorised person should follow the portal’s applicable process and your organisation’s approval controls.
- Match each listed person to a current internal authority record.
- Confirm names and contact details are spelled correctly.
- Remove or update people who no longer act for the business through the relevant amendment route.
- Keep evidence of who approved the change and when it was submitted.
Principal and additional places of business
The registration tutorial describes the principal place of business as the primary location within the state where business is performed. It also notes that books and records are generally kept there. Compare the portal address with the location your business actually uses and with the address recorded in your accounting and document-retention processes, where that description applies to your operations.
Review additional places of business separately. Check spelling, unit or floor details, postal information and whether a location has opened, closed or changed function. Do not mark a site as current merely because it still appears in an old internal spreadsheet; reconcile the portal entry with your active location list.

Declared goods and services
Review the goods and services declared in the registration profile. The objective is not to rewrite the business’s entire product catalogue during a routine check. Instead, look for obvious omissions, obsolete descriptions or entries that no longer match the activities for which the registration is used. If the business has diversified, stopped an activity or changed its operating model, obtain advice on the appropriate amendment and classification before making a filing.
How to act when a registration field is wrong
- Capture the current value and the correct value in your internal review log.
- Identify whether the field is a core or non-core detail and locate the corresponding amendment function on the current GST Portal.
- Gather the supporting information requested by the portal and check that the authorised person submitting the change is current.
- Submit the amendment through the portal workflow rather than overwriting an unrelated field.
- Save the acknowledgement, reference number and final displayed value for your records.
The registration tutorial documents categories and related workflows, but it does not mean every category is editable in the same way. If the portal does not offer the expected option, stop and verify the current instructions or obtain professional advice instead of entering a workaround.
2. Confirm bank information and validation status
Bank details deserve a separate check because the portal can display a validation status in addition to the account information itself. GSTN’s functionality description says validation checks whether the account details are correct and match the business PAN, with the status shown to taxpayers. That functionality description was issued in May 2022; use the current on-screen wording and instructions if the layout has changed.
Inspect the account and status
- Sign in to the GST Portal using the taxpayer’s authorised access.
- Open the profile area and look for the bank-account status link in the profile quick links, or its current equivalent.
- Compare the displayed account number, bank name, branch or other identifying details with the account held by the business.
- Read the validation status and any instruction attached to it. Record whether the account is validated, pending, rejected or otherwise flagged as shown on your screen.
- Save a dated screenshot or download any available confirmation in accordance with your data-retention policy.
A status message is an operational signal, not a complete conclusion about your banking or tax position. If the account does not match the business PAN, belongs to a closed account or is otherwise rejected, investigate the underlying bank records and follow the portal’s correction process.
Use the non-core amendment route when details need correction
The GST Portal’s non-core-fields tutorial describes a route for updating bank details after registration and refers to the period contemplated by Rule 10A. It also notes that non-compliance may lead to officer action. The exact period, rule text and consequences can change, and the tutorial does not provide individualized deadline advice. Check the current rule and the facts of the taxpayer before relying on any date.
- Confirm which bank account should be associated with the registration and obtain the supporting information requested by the current portal form.
- Open the non-core amendment function from the taxpayer account.
- Enter the corrected details exactly as held by the bank and submit the amendment using the authorised person’s credentials.
- Monitor the validation result and any portal message instead of assuming submission equals approval.
- Escalate a persistent mismatch to the bank and the appropriate GST support channel, keeping the submission reference.
3. Review filing frequency and return records
Do not infer filing obligations from a familiar calendar or from another business’s account. Confirm what your own GST Portal currently shows for the financial year, return period, applicable form and filing frequency.
Check the account’s return setup
- Financial year selected for the work you are about to perform.
- Return period, including the month or quarter shown by the portal.
- Return form available for your taxpayer category.
- Filing frequency displayed for the account.
- Any pending, filed, submitted or otherwise marked return tiles that need follow-up.
The same business may see different forms or tasks from another taxpayer because registration type, transactions and current rules differ. A missing tile is not proof that no obligation exists, and a visible tile is not proof that every field in that return applies to you.

Use the Returns Dashboard
The GST Portal’s GSTR-7 manual illustrates the general Returns Dashboard pattern for a specific form:

- Select the financial year.
- Select the return period.
- Search to load the applicable work.
- Open the tile for the relevant return form and inspect its status and available actions.
GSTR-7 is only the example used by that manual. Select the form applicable to your taxpayer category and obligations; do not treat the example as a direction to file GSTR-7.
Understand QRMP options cautiously
The tutorial for changing the profile for the Quarterly Return and Monthly Payments scheme describes a preference workflow and states that taxpayers above ₹5 crore aggregate annual turnover are restricted to monthly filing in that described workflow. This is an eligibility condition presented by that tutorial, not a complete analysis of your business. Turnover calculations, scheme rules and portal options can change.
- Open the current QRMP preference or profile-change function shown for your account.
- Read the eligibility message and the filing-frequency choices actually offered.
- Check the financial year and relevant quarter before saving a preference.
- Keep the confirmation of the selected option and note when the next preference window or review point applies, if the portal displays one.
If the expected QRMP option is absent, do not assume the portal is malfunctioning. Eligibility, turnover information, taxpayer category and current rules may limit what is displayed. Verify the current GST Portal guidance or consult a qualified adviser for a business-specific conclusion.
Reconcile portal status with internal records
For each relevant period, compare the portal’s status with your filing register. A useful register records the return form, financial year, period, date submitted, acknowledgement or reference number and any unresolved error. This does not replace the portal record; it gives your team a second way to identify a missed period or an item that needs investigation.

4. Verify taxpayer details when dealing with vendors
Use Search Taxpayer as one step in counterparty verification. The portal’s public lookup can be used with a GSTIN or UIN, and GSTN’s Welcome Kit also describes lookup by GSTIN, UIN or PAN. The information exposed depends on whether you use the public view or a post-login view.
What the lookup can show
The tutorial says the public view may show identity, registration information, principal place of business, a cancellation date where applicable and return-filing details. A post-login view can expose additional details. Treat the displayed information as a point-in-time portal record; availability and labels can change.

Counterparty-check procedure
- Obtain the GSTIN, UIN or PAN from the vendor’s formal documentation.
- Open Search Taxpayer on the GST Portal and enter the identifier in the appropriate field.
- Compare the returned legal or trade identity with the name on the quotation, purchase order, invoice and contract.
- Check the registration status and principal place of business shown by the portal.
- Review available return-filing details where relevant to your control process.
- Save the lookup date and result in your vendor file, following your privacy and retention rules.
A matching result does not prove that a supplier is commercially reliable, that every invoice is valid, or that the person contacting you controls the registered business. Continue to use bank-account verification, purchase approvals, segregation of duties and other normal procurement controls.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.5. Keep the current registration certificate accessible
The registration certificate is a practical reference for staff and counterparties. The GST Portal provides a View/Download Certificates route that allows the certificate to be retrieved as a PDF.
- Sign in to the taxpayer account.
- Open View/Download Certificates, or the current menu label serving that function.
- Select the relevant certificate and download the PDF.
- Check that the taxpayer identity, registration number and displayed business details are the expected current values.
- Store the PDF in a controlled business location and make it available to staff who legitimately need it.
The certificate workflow supports access and verification, but the available material does not establish a universal retention period. Follow your organisation’s document-retention policy and any applicable legal advice. If the PDF appears inconsistent with an approved amendment, compare the amendment acknowledgement and investigate through the current portal support route.
6. Turn the review into a controlled record
A checklist is more useful when another person can understand what was checked and what remains open. Create a review log with one line for each portal area.
| Log field | Example of what to record |
|---|---|
| Area reviewed | Registration identity, bank status, Returns Dashboard, Search Taxpayer or certificate |
| Date and reviewer | Date in your time zone and the staff member who performed the check |
| Portal value or status | The wording currently displayed, without rewriting it from memory |
| Internal comparison | Accounting system, bank confirmation, authority register or vendor file used for comparison |
| Action required | No action, amendment, clarification, follow-up or professional advice |
| Reference | Portal acknowledgement, return reference, saved certificate filename or dated lookup record |
| Owner and due date | The person responsible for closing an open item and the next review point |
Limit access to downloaded certificates, screenshots and lookup records to people who need them. The portal may contain personal and business information, so your internal storage and sharing controls should apply even when a file was downloaded for a routine check.
7. Troubleshoot common review problems
The field is visible but cannot be edited
That does not necessarily indicate an error. Some information is changed through a specific core or non-core amendment workflow. Return to the relevant function, read the current instructions and avoid entering a different value in an unrelated field.
The bank status is pending or rejected
Compare the account details character by character with the bank’s records and check the PAN association. Follow the current correction instructions and retain the submission reference. If the bank information is correct but validation still fails, obtain help from the bank and the appropriate GST support channel rather than repeatedly submitting inconsistent details.
Best Value
The expected return tile is missing
Recheck the selected financial year and period, then confirm that you are using the taxpayer account and form applicable to the business. Filing frequency, taxpayer category and current eligibility affect the tiles shown. Do not file a different form merely because it is visible.
A vendor’s GSTIN lookup does not match the invoice
Pause the transaction and ask the vendor to clarify the discrepancy through an authorised contact. Check for transcription errors, a changed legal name or a different registration for another state. Keep the lookup result and your resolution in the vendor file.
The certificate does not reflect a recent change
Check whether the amendment was submitted, approved or still pending, and compare the certificate with the latest portal profile. Download the certificate again if the portal offers a newer version. If the records remain inconsistent, use the current support process or seek professional advice.

GSTN’s Welcome Kit describes paid GST Practitioner or GSP-style services as optional: a taxpayer may choose a provider for workflow assistance, but hiring one is not presented as a universal requirement. Do not select a provider solely because a website claims that portal use requires it.
If you are evaluating optional support, compare the provider against your actual workflow:
- Coverage: Does it support the taxpayer categories, forms and filing frequency your business uses?
- Data access: What portal permissions, accounting data and personal information will it handle?
- Security: How are credentials, authorisations, backups and staff access controlled?
- Process compatibility: Can it fit your existing accounting, approval and document-retention process?
- Support: What response channel and escalation path are included?
- Total cost: What recurring, per-return, setup or cancellation charges apply?
GSTN’s material establishes that such paid services exist and can be chosen; it does not rank providers or verify every provider’s current offering. Keep an internal owner who can review the portal directly even when a third party assists.
Limits of this checklist
This procedure helps you inspect records and navigate common portal functions. It does not decide whether your business must register, which tax classification applies, whether a particular invoice qualifies for credit, which return form is legally required or whether a deadline has been met. Those questions depend on facts, current law and the taxpayer’s category.
Before relying on a threshold, deadline or eligibility statement, read the current portal instruction and applicable rule. The ₹5 crore QRMP figure described above comes from the referenced GST Portal tutorial and should be date-checked before use. When the portal and your legal or accounting records conflict, preserve the evidence and obtain advice appropriate to your circumstances.
